...................................................................................................................................................... 30 ABOUT NEWSTEAD ATHLETICS CLUB The Newstead Athletics Club is the oldest athletics club in Northern Tasmania, established in 1933. The club conducts cross country, road and trail races on a regular basis from March / April through to September each year and competes in track and field competition at the St Leonard’s Athletic Centre during the summer months. All ages are catered for and participants can run or walk any course (for children, parents’ discretion is required for suitability of distance). Very young children may be accompanied by a parent / guardian but must complete the course “under their own steam” i.e. no hand holding or carrying. The parent is there for safety and to provide direction on the course. Races vary between handicaps, sealed handicaps, and scratch races. Courses vary from flat road to challenging cross country and even a mountain climb, so there is something for all tastes. We are always seeking new members, new helpers and sponsors. Please talk to the committee about how you can help this great club, which in 2013 celebrated 80 years of success! Page 2 of 31

The winner is calculated using their actual race time and their allocated handicap time. • School Series races will be Scratch races (bulk start) • Where School Series races are combined with club races, we will generally score the club portion of the race as a sealed handicap, please see weekly event for specifics. Cross Country Booklet 2021 Season VOLUNTEERS Our club is run by volunteers. We have a very hard-working committee that do a power of work in the background. But there is always more work to do and lots to do on the day each week. We welcome ANY help, either permanently or just for an event, from the tiniest of jobs to more. Volunteer position descriptions: • Weekly Run Director: Pre-race - explain the course and general announcements, advertise next weeks run. Thank you to sponsors and event hosts. Hand out medals from last weeks race. Post-race – reminders for next weeks run information, thank you to Sponsors / Event Hosts, course markers, time keepers and recorders and other volunteers. • Registration Table setup and pack-up of Administration trailer: just need to get to the event a bit earlier and wait until completion to pack up. • Handicapping sub-committee: This is a tough job! You will need to provide support to our chief handicapper. Make yourself familiar with our handicapping policy and know how the handicapping is calculated so you can positively reinforce and explain our policy as required. Whether this is to an individual or the whole group • Timekeeper – Hold the stopwatch. Inform runners of their start times, record (click) finish times and hand the printed tape to Finish Line Recorders (don’t forget to start the printer) • Finish Line recorder – Write down names in order of finishing, if time permits, record the time next to name when supplied by timekeeper. If the race is handicapped or a sealed handicap add handicap time to sheet as well and hand to Results Coordinator for calculation. • Results Compiler (statistician)– Calculate gun time against handicap time to achieve actual time. Keep records in such a way to enable end of season awards to be easily calculated. • Course Marking – follow the direction of Course Marking Official – to put out flags and bunting to assist runners to follow the course. It’s easy, please be prepared to attend at least 1 hour before start time to help with this job. • Course Marshaling – stand in a spot and guide runners – as directed by Course Marking official. This is important to ensure our athletes do not get lost or confused during their event. • Lucky draw coordinator – hand out tickets to finishers and volunteers at the end of the day and draw numbers out of a hat for recipients of lucky draw prize. • BBQ “chef” – buy required food and drink for the BBQ (reimbursed on the day) cook, sell and cleanup after. Or any part of this process…. How to Volunteer. Prior to the day, contact the club On the day please come forward and offer your services, especially if you see a position not filled and can help. We are often too busy to recruit Please wear one of our volunteer vests. Page 5 of 31

Cross Country Booklet 2021 Season HANDICAPPING AIM: Everyone has a chance to win and there is a range of winners over the season Criteria to meet 1. Runners should be able to understand how their handicap has been set 2. The method should apply equally to all 3. The handicap should be adjusted to the distance of the race 4. The handicap should reflect the runner's level of ability How we do it • Handicaps are initially established from the previous seasons best km rate from the last ten races, the first scratch race of the current season or the athletes first race of the season, whichever is better. Note: Athletes will be awarded 20 bonus consistency points if a faster km rate than the previous seasons best is recorded in the first scratch race or their first race of the season. • Once an individuals 3 race times are better than their handicap rate, then the handicap changes to the average of these 3. • All handicaps will be converted to a 10km equivalent rate across all divisions and adjusted according to race distances each week. • Where an athlete moves to a lower division, the handicap will be calculated on the higher division predicted km rate minus 20 seconds. • There are no “lifts” in handicap due to deteriorating performance i.e. injury or sickness. However consistent performances below predicted km rate by an athlete may be considered at the discretion of the handicapping panel. • If an athlete wins a race with a faster km rate, that km rate becomes the new rate for calculating the handicap. • Once any competitor has won a race, their handicap will be fairly adjusted by the handicapping panel (20 seconds subtracted from predicted time for Div. 1 and Div. 2 and 25 seconds for Div. 3). • Handicap adjustment for winning a race will be applied to all divisions for that athlete, e.g., a win in division 1 will incur a 20-sec adjustment for division 1, division 2 and 25-sec for division 3. • If an athlete that has won a race runs a faster km rate in any subsequent race, that rate becomes the new best time for calculating handicaps. • For the purpose of handicapping if you did not run in a particular race division last season you will be classified as a new runner for that division. • Where a runner hasn’t completed 3 runs in a higher division their best predicted time from the lower division will be used to calculate their handicap. • If you competed in two or less races last season you will be classified as a new runner. New Runners • A new athlete may not place (in the top 10 in the results sheet) in the individual’s first 3 events and will be awarded a maximum of 10 consistency club points for each of these events. The Exceptions are the scratch races at the beginning of the season. (scratch NOT sealed handicap) • Handicap for new athletes is based on a previous race time if this is available. If there is no time available, then the athlete and club handicappers may initially nominate a time. Note: If there is no handicapper available, a new runner will run off the back marker. • The handicap for a new athlete is set after their first run based on predicted time less 20 sec per km, and adjusted if necessary, for their first 3 events. • Once a new athlete has run 3 times their handicap will be based on the fastest of these runs Minus 20sec. per km and normal club rules will apply thereafter. Where a handicap has been incorrectly applied, which has given a winning athlete a material advantage a discussion with the athlete will be initiated by the handicap committee and the correct handicap may be retrospectively applied prior to the race presentations. Cross Country Booklet 2021 Season FUND RAISING RAFFLE Available at selected events. Please support your club and enter the raffle. We would appreciate donation of prizes for us to raffle. If you feel you have an item that would be suitable please see one of our officials. All proceeds go towards our end of season celebration. On occasion, we also hold a raffle where proceeds go to our State Representatives to help with their travel expenses for interstate events. FUNDRAISING BBQ (BUNNINGS) From time to time (once or twice a year) we hold a fundraising BBQ at Bunnings hardware. For this we need approximately 12-16 volunteers to give us 2 hours of their time on the day. This is a great way for state reps to contribute to the club for an opportunity to receive some funding support for their trip. SAUSAGE SIZZLE & DRINK SALES Where facilities allow, we will provide a BBQ with Sausages and Veggie Burgers. Water and other drinks are also available, all proceeds go to running our club. Tea and coffee provided FREE by the club (donations of tea / coffee / milk welcome). LUCKY DRAWS AND AFTERNOON TEAS Afternoon Tea It is a tradition within the club that we partake in afternoon tea at the conclusion of our events. This is a great time for everyone to have a chat after a great day. We ask that members “bring a plate” each week. We would like to focus on healthy eating but the occasional cake, biscuits or chips are also welcome ☺ Lucky Draws During our Afternoon Teas, we also conduct a lucky draw raffle, a favorite of both young and old. Athletes and Volunteers are in the draw to win blocks of chocolate, bags of lollies and other items of interest. Page 8 of 31

Cross Country Booklet 2021 Season THE FRIENDLY COMPETITION Weekly Prizes Weekly winners will be awarded medals. Winners are the first over the line in all races except our sealed handicap races. These are calculated after the event using the actual time and the athletes pre-determined handicap. Consistency Competition To encourage regular participation, we have a consistency competition. Point scoring = 20 for first, 19 for second etc. until 11th onwards all get 10. The 3 divisions for our races are scored separately. If numbers are sufficient, end of season trophies are awarded to the top 10 consistency placings in each division. To be awarded points you need to run in and complete the actual race to be awarded points. EXCEPTION: A new athlete may not place (in the top 10 in the results sheet) in the individual’s first 3 events and will be awarded a maximum of 10 consistency club points for each of these events. Note: this is not the case for scratch races at the beginning of the season. (scratch NOT sealed handicap) In these races new runners are able to place. EXTRA Points opportunity – if you manage to run a PB from last years’ best run in the first race of the season you will be awarded a whopping 20 extra consistency points. Personal Best Challenge To encourage performance improvement over the season, we are rewarding 1st and Runner Up in each division for this competition. In the event of a tie we will calculate the winner by the best % increase in your Personal Km rate for the season. We will be comparing your speed with last seasons matching venue. Obviously new runners and runners who previously competed in a different division last season will not be eligible for this challenge however they will be setting their standard for their 2021 competition. We have a list of races that we will be calculating your PB from (see our calendar) The aim is to beat your time for that specific race from last year. Good Luck! School Series Competition Our yearly school series competition. Prizes, medals and trophies will be awarded on the last run of the series. See school series page for more details on this competition. Northern All School Competition: Sponsored by Shaw Property Development. This event will be held at Carrick Park Pacing Club with medals for age group winners on the day (and is also part of the school series competition) Club champions: Fastest Male and Fastest Female in each division. Fastest 3 Male and Female runners in each event will be awarded points. Highest points win. Long term clubber: Athletes that have completed in the club for an extended period of time will be rewarded for their loyalty. Caveat: as we only have results from 2010 the calculations will be from this date. We apologise to those runners that have been with the club predating this time but this issue is beyond our control. • 100 weeks completed – you will receive a certificate at the end of season dinner • 200 weeks completed – you will be rewarded with a special commemorative club t-shirt and certificate.
