Site SiteInformation Information Buildings are typically open between 8am and 6pm, Monday to Friday. Access outside of these hours is only with prior agreement. • You must access each building via the designated entrance and exit only. • Wireless Access: is via The Cloud - Guest Wi-Fi • Welfare facilities must be pre-agreed with your King’s project/contract manager and will be located in buildings that are open. • Only use your allocated welfare facilities • All deliveries must be received and handled by yourself. • No storage of materials/tools is permitted unless by previous agreement with your KCL contact. • We expect everyone on campus to wear a face covering inside our buildings, unless you are not able to for medical reasons. Site Information Social Distancing • Throughout some of our buildings you will see signage indicating directional routes around the area. Please follow these routes, as they are designed to aid social distancing. • We appreciate these routes may result in it taking you longer to move through the building, but it is essential that you follow these and we ask for your support. • Corridor signs will indicate the direction in which you should travel. • Some corridors are wide enough to allow to 2-way traffic. Again, signage will indicate when this is the case. In these instances please keep to the left-hand side of the corridor. • Please only use lifts when absolutely necessary and follow the capacity levels. EF-ASU-04-FOOO22 V1.3 June 2021 5
Travel to Site In line with Government guidance, face coverings must be worn for the full duration of journeys on the public transport network from Monday 15 June 2020. NO PARKING ON SITE. Nearest Tube: Waterloo (Bakerloo, Jubilee, Northern and Waterloo & City lines): 4 minute walk, Charing Cross (Bakerloo and Northern lines): 9 minute walk, Embankment (District, Circle and Bakerloo lines): 13 minute walk, Temple (District and Circle lines): 20 minute walk. Nearest Rail: Charing Cross: 9 minute walk. Waterloo: 4 minute walk. Waterloo East: 5 minute walk. Blackfriars: 17 minute walk. Nearest bus : Buses stopping outside the College: 381, RV1. Buses stopping near the College: 1, 4, 26, 59, 68, 76, X68, 77, 139, 168, 171, 172, 188, 211, 243 (24 hour), 341 (24 hour), 507 and 521. By Boat - commuter river service From the west, Putney - Blackfriars: get off at either Embankment Pier or Blackfriars Pier. From the east, Woolwich Arsenal - Savoy: get off at Blackfriars Pier. Site Security • You may be issued with an ID card upon completion of the induction process. • Your ID card must always be visible to and from the site and kept on your person at ALL times. • ID cards to be returned to the Estates & Facilities Office upon leaving site. ACCESS CONTROL • DO NOT leave external doors open and unattended. • DO NOT let anyone in without asking them to produce their pass. • Inform Security on Tel: 020 7848 4664 if Access Control doors need to be kept open or if a Fire Door needs to be used. SECURITY • Scaffolds and builders’ lifts must not be accessible out of hours to students, staff, security or other contractors. • Security measures must be agreed before erection of the equipment. • Ladders must be secure when not in use. • Inform Security if you require out of hours or weekend working. • DO NOT leave waste anywhere onsite e.g. in stairwells, corridors, cleaners cupboards etc. EF-ASU-04-FOOO22 V1.3 June 2021 8

Accidents/Incidents Accidents/Incidents Reporting: • Advise KCL local security for support and where applicable, contact the emergency services as directed. • Contact your KCL representative to inform them of accident/incident. • All Accidents or incidents, including near misses must be reported firstly through your own company’s system. Then through the KCL project manager or KCL Airsweb found here (no login required – select Enter Accident/Incident Tab). • RIDDOR events should be brought to the attention of KCL as soon as possible. Fire and Evacuation The Fire Alarms on this campus are electronic sounders. When it sounds: • Stop work and evacuate if the fire alarm sounds for more than 30 seconds (or if told to do so) by following the fire exit signs and waiting at the fire assembly point. • Foreman/Supervisors have to ensure you have accounted for all personnel. • Inform the evacuation marshal of this at the fire assembly point (evacuation marshals will be identifiable by wearing a high visibility vest). • Once at your fire assembly point, please report to your line manager. • Do not re-enter the building until you’re told it’s safe by an Evacuation Marshal or Evacuation Controller. • Always keep fire escape routes clear. • Never leave a fire door open. Please ensure you familiarise yourself with the emergency procedures and fire assembly points for the building/buildings you may be working in. Site Information Hygiene Measures • Hand sanitiser is available at the entrance. • Please wash your hands as soon as possible after you arrive. • Additional cleaning has been scheduled throughout the day to refresh bathrooms and to clean high touch point areas e.g. corridor doors. • Please touch as few items/surfaces as possible and wash your hands immediately afterwards. • Please avoid touching your face. • We expect everyone working to wear a face covering inside our buildings, unless you are not able to for medical reasons. Sustainability Pollution: • Any activities requiring the discharge of water to the drainage system should be identified prior to the commencement of any work and discussed with the University Project Manager or the Operations Sustainability Manager. • Any person discovering a spillage that could cause pollution must take immediate action to contain at source, to prevent the spillage from entering drains. Spillages must not be flushed down drains but cleaned up using appropriate spill kit materials. • Such incidents must be reported to the University Project Manager on the same day, explaining appropriate action taken, and KCL Airsweb found here (no login required – select Enter Accident/Incident Tab). Waste Storage and Disposal: • Contractors are responsible for arranging removal of all waste generated from their works by a registered waste carrier, • in accordance with Duty of Care provisions and must NOT use University waste bins or skips. • Records including Waste Transfer Notes (or Consignment Notes for hazardous waste) must be kept, and a monthly report on waste volumes provided to the University Contract/Project Manager on request. Conservation of Biodiversity: • All trees, hedges, ponds, streams and other wildlife features should be protected from damage during construction works. • No works to trees should be carried out without prior confirmation that it is not covered by a Tree Preservation Order (TPO), • The University has an active Biodiversity Action Plan found here; this document can help inform decisions about habitat enhancements during a development. Estates & Facilities Procedures The following work requires at least 5 days' notice. • Access to ceiling voids • Work involving noisy or dusty procedures • Work requiring isolation of fire detectors • Working with or altering building fabric • Installation of Services (including IT) • Construction Works Do NOT move or disconnect any security devices without prior notification and approval of the Estates & Facilities and Security Departments. • Hand tools and plant must be 110v and PAT tested. • Trailing leads must be covered in high visibility tape. • All equipment must be provided by you and may NOT be left in any building. • In the event of unscheduled work/unforeseen circumstances staff need to be aware of the conditions of the risk assessment. No noisy works are to be carried out unless prior authorisation has been confirmed. EF-ASU-04-FOOO22 V1.3 June 2021 16
Permit to Work To obtain a Permit to Work you must supply a Method Statement and Risk Assessment to Estates & Facilities, Giving at least 5 working days prior notice to works commencing. • You must have completed a contractors site induction within the last 12 months (this document). • You must have authorisation from Estates & Facilities to start work. • Permits are issued from the Estates & Facilities Engineering Office. • On completion of works, you will need to sign out, complete the handback section on your permit, then return your permit to the Estates & Facilities Engineering Office. Works requiring Permit to Work include: • Work in confined spaces • Work in operational laboratories • Hot works • Work on high or low voltage electrical systems • Mechanical line breaking (pressure) • Work on fire alarm or emergency lighting systems • Work on roofs • Work in an excavation • Work with asbestos • Work at height No such work should commence without authorisation from Estates & Facilities. Permit to Work No works will be allowed to begin without: • A Risk Assessment and a Method Statement (RAMS), specific to the task at hand. • Viewing and discussing the Asbestos Register with the Estates & Facilities Department on site. • Wearing Personal Protective Equipment (PPE) suitable to the task, or as site rules indicate. King’s College London has sites that are away from the main campus; you will still need to sign in and collect your permit at the Estates & Facilities Engineering Office or at the local security desk on site. The university CANNOT accommodate storage of materials/tools within the buildings. • Tools/materials should be stored in work area compounds. These are to be agreed and assigned (if necessary) in advance. • Any tools/materials left unattended can be disposed of without notice. • Discuss any combustible or explosive articles with the Estates & Facilities Department before they are brought on site. • Oxy/acetylene is NOT allowed on College premises. Permission to Access Permission to Access documents are designed for managing contractors carrying out low risk activities around the university estate. Tasks that may be covered by Permission to Access document includes: • Routine Planned Maintenance • Visual Site Surveys • Utility Meter Readings etc. All activities are carried out on a risk-based approach which will determine the level of controls required. • To obtain a Permission To Access you must have completed a contractor’s site induction (this document) within the last 12 months. • You must have authorisation from Estates & Facilities to start work. • Permission to Access Documents are issued from the Estates & Facilities Engineering Office. Use of Subcontractors If your contract with King’s allows the use of subcontractors, the following is required: • Your managers and/or supervisors must ensure that all subcontracted personnel have completed a contractor’s site induction (this document) within the last 12 months. Which should be sent to assurance at assurance-estates@kcl.ac.uk • All Sub-Contracted personnel must be covered by a valid Permit or Permission To Access • All risk assessments and method statements must be received from and accepted by main contractors including a counter signatory or cover letter. Personnel found working on site without having attended an induction and not covered by a valid permit will be suspended from site. EF-ASU-04-FOOO22 V1.3 June 2021 20
Staying COVID-19 Secure All contractors must include a completed Staying COVID- 19 Secure poster and include associated evidence and arrangements within their RAMS for all activities on King’s sites. All construction sites must display a completed Staying COVID-19 Secure poster at the access point to confirm: 1. Completion of a COVID-19 risk assessment. 2. Implementation of cleaning, handwashing and hygiene procedures. 3. Encouragement of working from home. 4. Implementation of steps to maintain 2m distance 5. Management of transmission risk. Asbestos • Due to the age and nature of our buildings many of them contain asbestos containing materials (ACMs). • Request a copy of the asbestos register for the area where you are working. • Signage may also be present on doorways or panelling to prohibit access due to asbestos contamination. Asbestos warning labels are used throughout the Estate but these must not be relied on as they can be accidentally removed or covered. EF-ASU-04-FOOO22 V1.3 June 2021 22
Asbestos In the event of an unplanned disturbance of suspected (ACM) asbestos containing material: • STOP WORK • Evacuate all personnel from the immediate area to a suitable waiting area nearby.(E.g., a suitable place to minimise/confine potential contamination, where communication by phone is possible. Avoid populated areas). • As you leave, close windows, doors etc. only if this is possible without causing further disturbance to the material or delaying evacuation. • Leave all tools and belongings behind • Invoke a “stay put” protocol i.e., do not wander from the waiting area until help arrives, and any decontamination process is actioned. • Immediately report to the manager of the works by phone.
