Before you begin • Information you enter onto your UCAS form must be accurate and College has to confirm that certain details are correct • These include your full legal name, all your examination results and your area of residence • We do this by checking against your College database entry
• If you had upgrades at GCSE you will need to send scanned copies of the certificates to the database administrator HTao@esher.ac.uk. • You will need your Unique Learner Number, and your BTEC registration number. They can be found on your examination certificates: • Your ULN is a 10 digit number (no letters) • Your BTEC number starts with a letter followed by 5 or 6 digits (no more letters) • If you wish for clarification, contact progression@esher.ac.uk

Do you know your ‘area of residence’? This is very important and harder to complete than you think! It is the county or borough to which you pay Council Tax. It is NOT necessarily your postal address. For example: • Surbiton, Chessington, New Malden = Kingston upon Thames • Hampton, Twickenham, Teddington = Richmond upon Thames • Thames Ditton, Claygate, Hinchley Wood, Long Ditton, the Moleseys, Esher, Walton, Weybridge, Hersham = Surrey If you are not sure, find where you live on the interactive London borough map: https://www.google.com/maps/d/viewer?mid=1KE3Tlm1Bhe4ZbE5bzhD69BZb7 Js&ll=51.48976696101502%2C-0.08815000000004147&z=10 If you are not in a London Borough, you’re in almost certainly in Surrey!
What qualificationsdid you take? • Use the information on the qualifications checklist or your examination certificates to ensure the correct information • BTEC students enter qualifications gained at the end of 6.1 and 6.2 • Don’t forget your EPQ
Esher College deadlines 2020/21 Type of application Esher College deadline We will send your form to UCAS Medicine, Veterinary 8am on Monday 21 September 2020 by the UCAS early deadline of Science, Dentistry and 15th October 2020 Oxbridge applications Competitive applications 8am on Monday 5 October 2020 within 10 working days of the (e.g. applications to form being received, provided it Russell Group and other is error-free high tariff universities, and for certain competitive subjects) General applications 8am on Monday 9 November 2020 by the end of the autumn term, Friday 18 December 2020 General applications - 8am on Monday 23 November 2020 By the UCAS final deadline of final deadline 15th January 2021 • You can continue to submit applications after these College deadlines and we will endeavour to process them as quickly as possible. Do not apply as an independent candidate to circumvent the deadlines – the process takes even longer that way!
2021 entry Apply Most problems with logging in again arise because you do not chose the right entry year. You are 2021 entry (even if deferring)

Phone numbers without gaps The email address you use most You can use your college email, but will have to change it to a personal one once you have left college. If you have a silly personal email address, find time over the summer to create a sensible one!
Choose how you want to be updated
Security questions and passwords Your password must: • be at least eight characters long • have at least one lowercase letter (a—z) and one uppercase letter (A—Z) • contain at least one number (0—9) • use at least one special character, such as: %$£&@* !?

How to navigate the form These are the sections of your UCAS form you need to complete. This is how you navigate to different sections. Start with Personal details,
Personal details Put preferred name if you are always known by this Only do this is you have changed your surname Click yes
Get details correct! Leave. This is for boarding school students who put the school as their postal address, but it’s not their home. Put mobile number in with 44 and no 0 Use drop down lists to choose country of birth, nationality etc. UK is first then they are alphabetical. Area of permanent residence is what you found out earlier on slide 11. Chose correct category Unique Learner number (ULN) is on your database entry (slide 9) This is for overseas students - ignore
Student support You must chose Fee code 02 Student Finance Services This is the area of residence again. Use the drop down list.
Nominated access We require you enter an adult who can discuss your application with UCAS on your behalf, if you are away or ill. It is usually a parent or guardian.
Disability /special needs Choose from the drop down list. This is NOT used for selection purposes but ensures you continue to receive appropriate support at uni. Write in the support you currently get at College.
Equality monitoring None of this is used for selection. Fill in as relevant and as you wish. The information helps UCAS and universities monitor whether they are being fair in their admissions. It is only shared with universities after you have received an offer.

Choices of university /course • This is the next section of the form but it is unlikely you are ready to complete this section yet. • You do not express a preference – the unis are listed alphabetically on your form • Skip to the next section – Education, slide 51– which is the tricky bit

A levels are GCE A levels Your year group doesn’t have module results for A level, so ignore
GCE AS level • You are only doing these if you are adding a 1 year AS level course to your programme • Older students under the modular system may need to add AS levels
Add the qualifications you are taking Check your AED checklist of exactly what you are taking Put August 2021 as that’s when your results will come out Your result is pending, because you haven’t got it yet You can put module grades for BTECs in if you wish
BTEC You will have already gained an award at the end of the first year. Look at your database entry in September to get this correct. If doing a single BTEC (Sub Dip) you already have a BTEC Certificate Level 3 If doing a double BTEC (Diploma) you already have a BTEC Subsidiary Diploma Level 3 Put these as qualifications already obtained, and next year’s qualification as ‘result pending’.
Take note • EPQ is Extended Project Level 3. • Write a short version of your project title for the subject • You should add Duke of Edinburgh’s Award, music, dance and drama qualifications but must make sure they are entered under the correct school or college • If these are not relevant you may miss them out
Go to your secondary school
Add GCSEs (9-1) …and so on until you have entered everything!
Add any ‘old’ GCSEs (A*-G)
Take note • ‘Double Science’ is correctly called Combined Science and is a Double GCSE 9-1 • iGCSE and GCSE (short course) are separate qualifications, so click ‘Add new qualification’ • Make sure your UCAS form qualifications match the qualifications on your database entry • If they don’t, your form will be rejected at the Esher College checking stage

Employment This is mainly aimed at mature students who have had ‘proper’ jobs, but if you have a part-time job, add it in
Personal statement Write it in Unifrog and paste it in once you are happy with the final draft. 3,800 characters is the best length to aim for, otherwise the formatting causes problems.

DO NOT PAY AND SEND! • Get it checked by someone from Progression Guidance • Any errors will delay your form • Once sent your form is locked and cannot be changed unless ‘unlocked’ • We will add the reference and send it finally to UCAS within 10 working days, provided your form is correct • Errors cost time – get it checked!

Declaration
Pay and send! UCAS tells us you have sent your form. We then check the important information and add our reference. Your form will arrive finally at UCAS within 10 working days of you paying and sending, providing there are no mistakes.
Mistakes? • If there are errors you will be emailed by one of the Progression Guidance team. • Your form will be ‘unlocked’ and you must correct the mistake. • The 10 working days restarts once the corrected form is submitted.
