Introduction DHL is bringing logistics and forwarding skills again to BAHRAIN INTERNATIONAL AIR SHOW 2018 as the sole officially appointed logistics provider for the event. DHL has been chosen to ensure the efficient movement of stand fitting material and exhibits whilst on site at Sakhir Air Base along with the arrangement of any international or domestic logistic requirements you may have. Domestic Freight DHL can arrange collection from GCC premises and deliver directly to stand, please contact the project team in order to organize a suitable transport schedule for your needs. Shipping guidelines Please read and adhere to the following shipping instructions. We will be pleased to assist you with any questions that you may have. In order to process and facilitate customs clearance we require a combined commercial invoice and packing list as well as a certificate of origin, stamped by a GCC embassy. Alternatively you can use Carnet ATA duly opened and stamped by your chamber of commerce and customs office at origin. The Commercial Invoice should detail the size, weight and contents of each package and give an itemized value also stating clearly if goods are intended for permanent or temporary import. Certificate of origin (stamped by a GCC embassy) must be in 1 original and 2 copies, handwritten documents will not be accepted. Promotional items for free distribution can generally be imported without payment of duty at the discretion of customs and excise. For other items not intended for re-export the applicable import taxes will of course need to be paid. Certificate of origin for all items must be included or shipments will incur a penalty by local customs authority. All items for temporary import should have matching serial numbers on invoice and commodity. Serial number on commodity should be irremovable; no sticker. 1. Ocean Freight All shipments should be shipped to Khalifa Bin Salman Seaport “Freight Pre-paid” and where possible on express release Bills of Lading. In any case (ocean and airfreight) we need a full pre-advice with copy of documents via email or fax providing the requested delivery schedule and onsite contact details. This information will ensure that DHL is able to process the paperwork efficiently and deliver to stand on time. 5
3. Case Markings All cases should be clearly labeled as follows: Bahrain International Air Show Exhibitor Stand / Chalet Number c/o DHL Trade Fairs & Events 4. Unloading, lifting and positioning In addition to customs clearance and transport the appointment includes the lifting and handling of equipment and exhibits on site in due consideration of the strict health and safety regulations in place at the airfield. DHL is the sole provider of such assistance and therefore is pleased to be able to offer the services of fully trained staff which is able to assist with unloading and delivering to stand (straight forward and odd loads alike) as well as with positioning, assembly and dismantling of complex exhibits. 5. Storage DHL can arrange and coordinate the removal, storage and return of any empty cases that you may need looking after for the duration of the show. An accessible storage area for promotional goodswill be in operation for the duration of BIAS 2018 as well. 6. Courier Shipments Only DHL Express couriers / DHL Trade Fairs & Events will be allowed to enter Sakhir Air Base. DHL will however be able to accept your courier shipments at the courier office located near Bahrain International Airport. Courier shipments need to arrive fully customs cleared with all taxes prepaid. With the exception of shipments coming through DHL Express, no courier shipments can be cleared using the temporary import guarantee of DHL. 7. Security It is important for exhibitors to make their own security arrangements as DHL will not be responsible for any items left unattended on stands prior to, during or after the event. 6
8. Arrival Deadlines Document deadline 7 working days prior to shipping date Ocean freight shipments (LCL / FCL) 7 working days prior to requested delivery date Air freight shipments 5 working days prior to requested delivery date Land freight shipment 3 working days prior to requested delivery date Shipments arriving after the mentioned deadlines are subject to service surcharges of 50% of handling tariff. 9. Documentation Requirements The following documents are required for the purpose of temporary / permanent import clearance on arrival. Air Waybill / Bill of Lading / Truck Waybill: 1 copy Commercial invoice and packing list: 1 copy Certificate of Origin: 1 original - Invoice showing description of items, HS-Code, unit price, number of pieces, total price, currency & grand total. - In case of temporary import, serial numbers must be shown on invoice matching with the irremovable marking on the commodity as per Bahrain customs regulations. - Detailed packing list If shipment is under ATA Carnet, it is imperative that all shipping documents should state the ATA Carnet number. Not following this process could lead to delays and additional charges. Hand written documents will not be accepted. The entries on all documents must be in English language and in accordance with the rules and regulations of the Bahrain customs authorities. Details on all documents must tally with the actual shipment. 7
10. Shipment pre-advise All shipments must be pre-advised to bias-logistics@dhl.com latest seven days prior to departure from origin. The pre-advise should always consist of following documentation in order to be properly handled Air Waybill / Bill of Lading / Truck Waybill Commercial invoice and packing list or copy of Carnet ATA Certificate of origin DHL will not take responsibility for any delay or complications in delivery for shipments arriving without proper pre-advise in Bahrain. 11. Storage charges For shipments arriving before November 1st 2018 storage charges plus early arrival charges will occur. FCL shipments will be stored in their container and demurrage / detention will be applicable. For shipments being not re-exported from Bahrain after November 22nd 2018 without receiving return instructions DHL will charge transfer charges to the warehouse as well as storage fees. 12. Payment DHL will require payment of all charges prior to the delivery day to your booth. If agreed beforehand DHL will bill after the show ends. Personal and foreign cheques will not be accepted but upfront bank transfers, cash or major credit cards are all acceptable alternatives. Credit card payments are subject to 5% surcharge. 13. Return shipping information Details of return shipment information to be provided ideally along with inward pre-advise or at least one week prior to beginning of the show. Information must include - Return destination port / airport - Possible change of container type on return and requested date of empty container onsite (FCL) - In case of dangerous goods: provision of MSDS / Multimode DG Goods form / DG Booking form / Copy of Inward DGD if available - Copy of export invoice and packing list - Dimensions and weight details of cargo - AWB and/or B/L instructions - Arrival deadline at destination In case of Ro/Ro shipments: freight movement will be subject to Ro/Ro vessel schedules. Most of the Ro/Ro operators are having only one call to Bahrain port per month. Special Equipment like flat rack & open top containers, if required, will be subject to availability. 14. General terms and conditions All supplied equipment and manpower is subject to availability. Please provide an estimation of maximum number of workers and number of equipment per type required, one week prior the event, to book the same with suppliers. Maximum availability may be only within the initial plan communicated. Each day’s equipment and manpower requirement should be communicated to DHL by previous working day before 11.00 am to make necessary arrangements. For permanent and continuous equipment to be placed on site during operational period, DHL requires a minimum of three days advance notice. All movements and activities must be insured to safe guard unexpected incidences in terms of assets, equipment and manpower. Non SOC containers grounded on site may attract detention charges payable to shipping line which will be billed to your account at actual as per receipt +15%. Escort / traffic permission, if any required for movement, will be charged at cost as per receipt +15%. DHL does not take responsibility in case of delay occurred in clearance due to in-correct paperwork / special permissions or approvals / customs hold and for any other reasons beyond control. 9
