Booth Standards and Regulations The following Booth Standards and Regulations have been developed to provide exhibitors with all necessary information to design and build exhibits, plan their booth’s layout and content, as well as to create a professional environment in which to conduct business. These regulations include all booth types with definitions, dimensions and requirements as well as important considerations, including federal and provincial government requirements. It is important that you are aware of these standards and comply with them to have a successful show experience! Booth Standards and Regulations In-Line Booth (without side walls) In-line Booths are arranged in a straight line and have neighbouring exhibitors on their immediate right and left, leaving only one side exposed to the aisle. Dimensions In-line Booths are 10ft (3.04m) to 20ft (6.09m) wide and 5ft (1.52m) deep. The maximum back drop display height height is 8ft (2.43m). Side walls are not mandatory and are discouraged to preserve sightlines. If you still plan to bring side walls, see next page for details. All display materials with a height greater than 4ft (1.21m) must be placed in the back half of the booth space and must not obstruct sight lines of neighbouring exhibitors. Booth Standards and Regulations In-Line Booth (with side walls) In-line Booths are arranged in a straight line and have neighbouring exhibitors on their immediate right and left, leaving only one side exposed to the aisle. Dimensions In-line Booths are 10ft (3.04m) to 20ft (6.09m) wide and 5ft (1.52m) deep. The maximum back drop display height height is 8ft (2.43m). Side walls are discouraged to preserve sightlines. If you still plan to bring side walls, the maximum height of 8ft (2.43m) must be limited to 2.5ft (0.76m) out from the rear of the booth, allowing 50% visibility at the sides of the exhibit. The remaining 2.5ft (0.76m) must be at a height no greater than 4ft (1.21m) in the remaining space forward to the aisle. Booth Standards and Regulations Corner Booth A Corner Booth is an In-line Booth at the end of a series of In-line Booths with exposure to intersecting aisles on two sides. Dimensions All In-line Booth guidelines apply to Corner Booths. Booth Standards and Regulations Perimeter Booth A Perimeter Booth is an In-line Booth that backs onto an outside wall of the exhibit hall instead of another exhibit. Booth Standards and Regulations Demonstrations Exhibitors who wish to conduct in-booth demonstrations must submit a request to Show Management prior to March 1, 2019. Exhibitors must conduct in-booth demonstrations in such a way to ensure all exhibitor staff and attendees are within the contracted exhibit space and not encroaching on the aisle or neighbouring exhibits. It is the responsibility of each exhibitor to arrange displays, product presentation, audio visual presentations, and demonstration areas to ensure compliance. Safety Precautions Any demonstrations that will include machinery or equipment that has moving parts, or is otherwise potentially hazardous, should install hazard/safety barriers as necessary to prevent accidental injury to attendees, or provide personal protective equipment, if required. Demonstrations should only be conducted by qualified personnel. Hazardous Materials/ Products - SDS Required: Exhibitors planning on bringing hazardous materials or products onsite, (including install/ dismantle or in-booth demonstrations) must provide copies of each SDS (safety data sheets) to Show Management by March 1, 2019. Exhibitors must have extra copies in their booth, should they be asked to show proof onsite.
Booth Standards and Regulations Other Important Considerations Accessibility for Ontarians with Disabilities Act (AODA) All exhibiting companies are required to comply with the Accessibility for Ontarians with Disabilities Act (AODA), and are encouraged to be sensitive, and as reasonably accommodating as possible, to attendees with disabilities. Information regarding AODA compliance is available on the Ontario Government website. Exhibits are not exempt from AODA compliance. Some examples of how to design an exhibit for AODA compliance: Make exhibits wheelchair accessible by ramping raised exhibit flooring without extending a ramp into the aisle. Note: see “Avoid Trip Hazards” for required dimensions for ramps. Ramp the entry or use hydraulic lifts for two-story exhibits. Avoid double-padded plush carpet to ease mobility device navigation. Provide the same attendee experience on both levels of a two-story exhibit. Offer a sign language interpreter or other auxiliary hearing-impaired device for sound presentations or have a printed copy of the presentation available. Run an audio presentation for people with sight problems. Arrange touch screen displays at a height to accommodate a person sitting in a wheelchair. Floor Covering The exhibit hall is carpeted, therefore exhibitors are not required to bring a floor covering. If you wish to use an alternate floor covering (vinyl, wood flooring, tile, etc.) a request must be submitted to Show Management by March 1, 2019. Painting, nailing or drilling into the building floor is not permitted. Floor covering other than carpet, or any built structures, must not be adhered directly to the building floor. It is required that building paper, plastic sheeting, or some other suitable protection be laid on the building floor, prior to laying the floor covering. If double-sided tape is used, it must be completely removed by the exhibitor during move-out. Avoid Trip Hazards Exhibitors should ensure they build any raised floors with these requirements in mind: Exhibitors with raised floors must remember they are limited to a maximum height of 6” (0.16m). All concealed wiring must be quickly accessible for emergency service. If you plan on installing raised floors in your booth, they must be non-hazardous and wheelchair accessible. Wheelchair ramps must be at least 3ft (0.92m) wide, with a maximum slope of 1:12 (i.e. a 6” (0.16m) rise would require a 6ft (1.83m) run). Landings must be provided at tops and bottoms of ramps and must be at least 30” (0.92m) wide by 60” (1.53m) in length and be free of obstructions. Ramps must be curbed or guarded at their edges and surfaces must be firm and slip-resistant. There must also be a ramp at every 100ft (30.48m). Please note: the full extent of any ramp must fall within your assigned booth space and cannot extend into the aisles. Structural Integrity All exhibit displays should be designed and installed in a manner that will be structurally sound to withstand normal contact caused by neighbouring exhibitors, hall labourers, or installation/dismantling equipment, such as forklifts.
Booth Standards and Regulations Flammable and Toxic Materials All display and construction materials used must be made of fire retardant materials and be certified as flame retardant. Materials that cannot be treated to meet the requirements should not be used. Any exhibitors who plan to bring products onsite that require SDS must submit copies to Show Management prior to move-in. Copies must also be available in the booth, should proof be requested onsite. Electrical All electrical services are provided exclusively by ShowTech Power & Lighting. See online exhibitor manual for order forms. Exhibitors are not permitted to install electrical wiring devices onsite. Extension cords must be of the three-prong type (i.e. grounded) and must contain wires of the proper size to carry the electrical load. Wiring and electrical must follow the latest edition of the Ontario Electrical Safety Code (OESC), be up to the Electrical Safety Authority’s (ESA) standards and MUST BE APPROVED. Do you plan to display or energize UNAPPROVED electrical equipment in your booth? If you answered yes, please read the information outlined on the Exhibiting Electrical Equipment at Trade Shows page of the online exhibitor manual for more information and fill out the mandatory Application for Permission to Show or Application for Permission to Energize form (see online exhibitor manual for forms). The OESC and ESA will not accept: Open joints. Taped joints. Ungrounded wiring. Improper box connectors. All wiring and lighting inspections and corrections should be taken care of before being brought onsite. Any lighting or wiring that is not factory assembled must be approved by an accredited approval agency prior to move-in. Lighting No lighting, fixtures, lighting trusses, or overhead lighting are allowed outside the boundaries of the exhibit space. Exhibitors intending to use hanging light systems should submit drawings to Show Management for approval by March 1, 2019. Lighting should be directed to the inner confines of the booth space. Lighting should not project onto other exhibits or exhibition aisles. Lighting that is potentially harmful, such as lasers, ultraviolet lights or flashing or strobe lights that can trigger photosensitive epilepsy are not permitted. Lighting that spins, rotates, pulsates, and other specialized lighting effects should be in good taste and not interfere with neighbouring exhibitors or otherwise detract from the general atmosphere of the event. Requests to use specialized lighting must be submitted to Show Management for approval by March 1, 2019. Sound/Music Exhibitors may use sound equipment in their booths as long as the noise level does not disrupt the activities of neighbouring exhibitors. Requests to use sound/ music must be submitted to Show Management for approval by March 1, 2019. Exhibitors may be asked to turn off sound equipment if attendees or other exhibitors complain.
Booth Standards and Regulations Display Vehicles Exhibitors wishing to display a vehicle in-booth must secure written approval from Show Management by March 1, 2019. Please note: the vehicle must fit within your contracted booth space allowing for staff to work within the booth and attendees to enter the booth. All display vehicles must have drip pans underneath them and pads under all tires. Exhibitors will be charged with cleaning costs for staining solutions not removed. No motorized vehicle may be operated on carpeted areas under any circumstances unless approved by Show Management and the Metro Toronto Convention Centre. When motorized vehicles have been approved for use on carpeted areas, a protective sheet of visqueen, tarpaulin or comparable material is to be used to eliminate damages from leaks, oil, etc. Fuel tanks containing fuel shall be maintained less than half full. Caps for fuel tank fill pipes shall be of the locking type and be maintained locked to prevent viewer inspection. If they cannot be locked, they shall be taped shut. The electrical system shall be de-energized by either: a) removing the battery or b) disconnecting both battery cables and covering them with electrical tape or other similar insulating material. Tanks containing propane shall be maintained less than half full.
