Financial Literacy Programs
Cookie Kickoff Cookie Rally: 2 to 4:45p.m. Entertainment: 5 to 5:45 p.m. Wolves Game: 7 p.m.
TCM Responsibility • Submits the volunteer application (if not previously submitted). Register as a Girl Scout. • Offers every Girl Scout the opportunity to participate. • Attends service unit cookie program training. • Ensures that every participating girl and adult are registered members of Girl Scouts of the USA for the current Girl Scout membership year. • Provides cookie program training to Girl Scouts and their parent/ guardian. • Instills goal setting at all levels (council, service unit, troop/group and girl).
TCM Responsibility • Arranges for the immediate distribution of all materials, products, and rewards to every girl. • Secures a signed Girl Scout Product Program Permission & Responsibility Form for each Girl Scout participating. • Reviews all girl cookie orders for accuracy. • Enters and submit girl cookie orders in the electronic ordering system, eBudde™. • Ensures the troop has an established bank account. Deposit all money collected into the troop bank account immediately upon receipt. • Provides accurate and timely reporting, according to established schedules, guidelines, and due dates. • Ensures that payment in full is collected and deposited for all products ordered and received.
Your Cookie Team Delivery Chair •Selects a delivery pickup time in eBudde™. (Your SUCM may have a different sign up process) •Brings a printout of the troop order to verify case counts. •Is responsible for pickup of the troop’s cookie order, verifies, sorts, and distributes each girl’s order . • Arranges a pickup schedule for girls and their families. •Brings enough vehicles to accommodate the entire order in one trip. See girscoutsgcnwi.org for a schedule of how many cases will fit in your vehicle. •Is on time. Don’t be early; don’t be late. •Checks in with the delivery station manager/coordinator. •Verifies the product count as it is being loaded into your vehicle – verify the order again at home immediately BEFORE distribution to the girls. •A receipt must be signed by the troop cookie manager and service unit cookie manager anytime money and product are exchanged. •Damaged product will be replaced; troop orders will not be modified. •Prepares all girls product orders BEFORE families arrive for pickup. •Arranges a pickup schedule for girls and their families.
Your Cookie Team Booth Chair •Monitors booth site sign-ups to ensure adherence to booth scheduler guidelines. •Writes thank you letters to businesses at the close of the program. •Approves my sales booth sites. Recognitions Chair •Receives all girl rewards from the service unit cookie manager. •Inventories all items and reports discrepancies to SUCM. •Distributes rewards PROMPTLY. •Sorts rewards by girl. •Notifies and distributes rewards to the girls PROMPTLY.

Initial Order Instructions • January 1– January 15, set up your troop, verify banking information, add Contacts, add/edit girls (for ease in ordering, complete this step early!) • By January 28, Troops must enter and SUBMIT initial orders and initial rewards by 11:59 PM • Auto Roundups are automatic, not a separate step. • Initial Orders are entered for each girl in boxes. eBudde will automatically round up your troop’s order to full cases for delivery day. • Think about including a booth sale order to avoid lines at the cupboard!
Troop Proceeds • Daisy and Brownie Girl Scouts troops • 65¢ per package with rewards • Only Junior, Cadette, Senior and Ambassador Girl Scout troops • Two Options • 65¢ per package with rewards (Option 1) • 75¢ per package with patches, and initial rewards only (Option 2). Troops choose the proceed option that works for them! Must be a troop choice – majority rules!

Service Unit Incentive Exceed 12 ¢ Cookie Goal By 5% or More = Per case sold

What is ACH? Automated Clearing House (ACH) is an electronic network for financial transactions It is a safe and secure system through which funds are transferred electronically (“sweep”) to make payments and collect funds

Delinquencies • Girl Delinquencies Girls have not paid in full when troop payment is due TCM fills out Individual Collection (IC) form Troop payment will be adjusted so troop account does not become overdrawn • Troop Delinquencies If troop has insufficient funds at the time for final payment SUCM fills out a Troop Collection (TC) form so troop account will not be overdrawn • IC and TC forms are on GCNWI website • Overdue payments by girls and troops will be actively pursued • March 25: SUCM submits all IC and TC forms to Gathering Place
Cookie Cupboards Who can get additional cookies? Where are cookie cupboards located?
Initial Order Delivery 1. Be on time for your pick-up! If you bring more than one vehicle, arrive together. 2. Bring a print-out of the order from eBudde to the delivery station. 3. Count, count, count everything before you load your vehicle and sign your receipt! 4. Do not separate girl orders at the delivery station! 5. Do not store product in a car, direct sunlight, a garage, on a cement floor, porch, patio, or in any warm place! 6. Do separate girl orders before notifying families that product is in. 7. Prepare a receipt for each family picking up product. 8. KEEP ALL SIGNED RECEIPTS!!
Communication is Key Troops should check their email EVERY day. Troops should communicate with their girls and parents. Troops should hold a parent meeting. Parent meetings are a great way to introduce parents to the Cookie Program, share what the troops goals are and recruit volunteer help. Troops who hold parent meetings are more successful at reaching their goals!
Wrap Up Complete Troop-to-Troop transfers. Allocations for proper girl counts Finalize girl recognitions – enter sizes, or make choices, if applicable. SUBMIT when ready. Payments to Council are “automatic” – on the calendar – must email council for payment issues Troops must take ownership of their obligations, pay on time and deliver Discrepancy Reports on time. Girl and troop recognitions are delivered to Service Units May/June. Please pick-up and distribute promptly!
