Overview About Second Harvest Since 1985, Second Harvest has been a leader in rescuing fresh, surplus food from across the supply chain that would otherwise have gone to waste. This nutritious food is then distributed to social service agencies serving people experiencing food insecurity. Last year, we rescued 15.6 million pounds of food and served over 520,000 people. Second Harvest’s FoodRescue.ca platform also grew beyond Ontario to launch in BC, connecting even more food donors one-to-one with local nonprofit organizations who can use rescued food. As the largest food rescue organization in Canada, we are supported by hundreds of corporations, foundations, and the community at large and as a result, we rescue and deliver enough food to provide over 43,000 meals a day in Canada. Since 1985, we have rescued and delivered more than 155 million pounds of food, preventing over 192 million pounds of greenhouse gas equivalents from entering our atmosphere. When you donate to Second Harvest, your impact helps make so much possible: you allow us to rescue more food; you help our environment heal, you allow kids in city camps receive a free lunch during the summer, and you help sustain crucial education programs for adults and youth. The Second Harvest Hero Campaign Second Harvest Hero is a year-round workplace fundraising campaign that aims to raise funds and awareness in support of Second Harvest’s food rescue mission. This campaign has multiple events and activities that are easy to implement and are completely customizable to fit the employee engagement goals of each organization. Workplace teams can contribute through a wide variety of fundraising initiatives, from donation drives, raffle ticket sales, lunch money days, popcorn sales and more. In 2019, over 100 campaigns raised enough funds to provide over 850,000 meals for our community. Our Hero staff can help you kick off your most heroic fundraiser yet! 4
Our heroes make an impact By running a fundraiser at your office, YOU are a HERO to people in your city experiencing food insecurity. Second Harvest needs the support of heroes like you to meet the growing demand for fresh, healthy food for people facing hunger in our communities. Here are some ways that you make a difference: $500 provides enough food for over 1,000 fresh, healthy meals $1,000 provides food for warm, hearty lunches for 80 at-risk youth for an entire month $2,500 feeds a family of four for over a year $5,000 provides food for 500 students a year in afterschool nutrition programs $10,000 provides four classrooms of kids with an accessible lunch program for an entire school year 5
Getting started So, you have decided to become a Second Harvest Hero – what’s next? These steps will help outline how any workplace can organize their best Hero campaign yet. Rallying a team Select a Campaign Lead: Role: Lead the campaign internally and be the prime contact for communications with Second Harvest. Make sure to choose someone who is committed to the cause, has available time, and has a “can-do” attitude. Responsibilities: Recruit campaign team Communicate with management Engage executive support Arrange campaign kick-off presentation Take lead role in developing campaign plan, along with goals and timeline Chair regular campaign meetings Order campaign items Maintain communication with Second Harvest representative Remit funds on an ongoing basis Ensure that campaign members, volunteers, donors receive appropriate thanks and recognition Assess campaign results and make recommendations for next year Executive Sponsor: Role: Engage executive support to show your team that this campaign is supported by your company’s leadership base. This will make it easier for your campaign to be an organizational priority. Responsibilities: Attend campaign planning sessions Arrange a presentation to senior leadership Explore and request corporate matching of campaign funds raised Communicate the campaign’s endorsement from senior leadership to the employee base 6
Campaign Committee Member - Finance: Role: Coordinate all financial aspects of the Hero campaign. Responsibilities: Oversee the distribution and collection of pledge forms Track campaign results Ensure that campaign funds are submitted to Second Harvest Participate as an active member of the campaign committee Campaign Committee Member - Communications: Role: Coordinate all communications related to the campaign. Responsibilities: Develop effective communications plan for promoting the campaign and educating employees about Second Harvest’s mission Deliver regular campaign progress updates Communicate final campaign results Deliver appropriate recognition for donors and volunteers Participate as an active member of the campaign committee Campaign Committee Member - Events: Role: Plan and implement specific campaign events Responsibilities: Assess quantity and types of fundraising events to carry out Determine needs for each event, such as: promotion, resources, set-up, scheduling, contingency plan Execute events and/or manage a sub-committee if extra assistance is required Participate as an active member of the campaign committee Organizing your campaign Goal setting: With your team, set qualitative and quantitative achievable goals for the campaign in terms of organizational engagement and funds raised. Make sure to consider all resources available to your team! (See “Tools & Tips” on Page 14) Planning: Fundraising should be fun! Choose events that your organization will enjoy and allocate enough planning time for each event. Be sure to space out your events appropriately to avoid donor and team fatigue. Meet regularly with your campaign committee to review your progress and communicate impact. 7
Hosting a Kick-Off: With the executive sponsor, introduce Second Harvest and your campaign plan to the entire organization to raise awareness and excitement for your upcoming events. Your Second Harvest representative would be pleased to attend to speak to your staff about the organization’s mission and the impact of your fundraising efforts. Online Fundraising Page: Ask your Second Harvest representative to set up an online fundraising page for your organization. Sharing this link is an easy way for people to donate and learn about Second Harvest. Donors will also receive a tax receipt immediately when they donate online. Promotion: Remind your organization about upcoming events to ensure maximum participation Request promotional materials such as capes, masks, posters, stickers, and collection cans by either contacting your Second Harvest representative or by using the online order survey Display posters in prominent areas, wear capes and masks during your fundraising events, or wear them while selling raffle tickets Organize a fundraising challenge! For larger companies, stoke some friendly competition between different departments or floors in your office, or consider challenging another company in your building or industry Use your company’s intranet to highlight your fundraising campaign and include a link to your online donation page Include campaign updates during regularly scheduled staff meetings Place a story in your organization’s print or electronic newsletter to highlight the campaign Regularly communicate your achievements to your staff, such as when you hit a fundraising milestone, or highlight the success of a fundraising event. Make sure to include photos! Report your progress regularly to your Executive sponsor, and be sure to highlight the work of your employees who have gone above and beyond in their fundraising or campaign planning efforts 8
Wrap up: Ensure all donations are recorded appropriately and be sure to collect the necessary information for those requesting tax receipts. If collecting donations online, all information is already collected, and the tax receipts are provided automatically. Send all donations and campaign materials to Second Harvest by arranging a courier pickup with your Second Harvest team lead. Donor Recognition: The support you receive from your donors can make all the difference for your campaign, and it’s important to instill a spirit of gratitude throughout your campaign. Here are some ways you can express your gratitude to your donors: Call your donors Create a “thank-you” video Write “thank-you” letters Highlight donors on social media/intranet/newsletters Share donor photos and stories Send gifts or tokens Organize a “thank-you” event Team Recognition: Thank your entire organization for participating in this campaign! Share the impact of their hard work – every dollar fundraised for Second Harvest is enough to provide two meals for those in need. Other great recognition and celebration ideas include: Hold a campaign celebration/wrap-up event Award a small prize to your team’s top fundraiser Have a team-building day at Second Harvest and bring your team to the Second Harvest office to participate in a Food Sort 9
Second harvest hero events Hero Raffle – January 1st, 2020 to April 3rd, 2020 The most popular Second Harvest Hero event! The raffle runs from January until the draw date on Friday, April 3rd, 2020. Simply request your desired number of raffle ticket books, any POS machines if needed, sell what you can, and return any unsold tickets to your Second Harvest team lead. The prizes are truly extraordinary with a total value of over $48,000 and the best part is the prizes are all donated by our generous supporters, so 100% of the money you raise will help get good food to people in need. 1 Ticket: $10 3 Tickets: $25 1 Book (10 tickets): $80 Lunch Money Day – May 15th, 2020 The fundraiser that started it all! On May 15th, employees bring a bagged lunch on Lunch Money Day instead of purchasing lunch. They then donate what would they have spent on lunch to Second Harvest. This date doesn’t work for you? Feel free to schedule your own Lunch Money Day at your workplace! 10
Truck Pull Challenge – September 15th, 2020 Rally a team of 10 to test your strength pulling Second Harvest trucks, each weighing 10 tons and full of food donations, 100 feet across Nathan Phillips Square! Teams must fundraise a minimum of $2,000 to participate. Can’t participate in Second Harvest’s events? No problem! With Second Harvest Hero, you can always pick what works for you! Here is a list of fundraising suggestions below but remember that the sky is the limit! Kernels Popcorn The perfect snack year-round! Order Kernels popcorn bags for $1.15/each and sell them for $2.25 each. Pick a week to run a drive so your coworkers can stock up or keep them on hand to fundraise year-round. Email krisjohnk@secondharvest.ca to request a form. -500 bags sold/year (about 40 per month) = $550 raised Jeans Days Wear your favourite jeans and support a great cause! “Purchase” dress-down days for $2/day (or $30 per month). Already a casual office? Choose a fun theme instead, such as wearing your favourite hat or sports jersey. -$30/team member x 25 people = $750 raised 11
Potluck challenge Challenge your coworkers’ culinary skills! This competitive twist on the traditional potluck lets you vote on the best dish. The winner receives a prize, and everyone gets to sample the culinary creations with a minimum donation. -30 participants x $20 donation = $600 raised Bake sale A classic fundraiser for a reason – it works! Ask the bakers in your office to prepare their favourite recipe and sell your sweet treats in the lobby of your building to reach even more buyers. -Double or triple your total raised by hosting once a month, or once a quarter Skills auction Everyone donates their time and talent while coworkers bid for a chance to win and learn something new. For example, Brian in HR loves hitting the gym and donates a 2-hour boot camp workout session. -20 prizes x $35 average winning bid = $700 raised Office bingo Sell bingo cards and draw a number once a day until someone fills their card! Use a free online card generator to make it easy. -$5 per card or 5 cards for $20. Raises an average of $500-$700 Donation drive Simple and straightforward. Reach out to friends, family, clients and vendors and tell them why you are fighting hunger in our city. Create an online fundraising page at http://SecondHarvestHero.ca to make giving easy for your donors. -5 donors x average $60 gift = $300 raised/fundraiser -10 fundraisers x $300 = $3,000 raised Office pool Simple to organize, with plenty of templates available through a quick online search. Some fun themes: Oscars, your favourite sports tournament, or staff trivia. -$20 per entry x 50 participants = $1,000 raised Summer bbq Hold a summer cookout for your staff! -Tickets - $5/person x 50 people = $250 raised 12

Prize ideas Getting prizes for your office pools, bingo, or other fundraisers doesn’t have to be difficult or costly. Consider these options: Request a small budget or non-cash prize from your company such as a vacation day, use of a premium parking spot for a week, or lunch with a member of your Senior Leadership Team. Reach out to local businesses to donate a prize. Consider asking your company’s partners or vendors to make a prize donation to support your campaign. See prize solicitation template on Page 22. Run your fundraiser as a 50/50 (or 60/40, 70/30) draw, with a portion going to your fundraising total and a portion going to the winner. 14
Corporate matching Many companies have a donation matching initiative for employees who fundraise. Work with your committee’s Executive Sponsor to determine how to qualify for this match. Since every dollar raised provides 2 meals for those in need, every matched dollar can allow your campaign to feed twice as many people! Online fundraising Your Second Harvest representative can set your team up with a fundraising team page. You’ll receive a personalized link for your team that you can send to donors. Encourage your team members to register online as well. Set-up takes less than 5 minutes and it’s easy and secure, with all donations receiving an automatic tax receipt! United way holiday giving If your workplace is already holding a Holiday Giving Drive for United Way, you can designate your raised funds to go towards Second Harvest, providing an additional boost to your Hero campaign later! Social Media Spread the word through both your personal and company social media channels. You’ll reach a wider audience and raise awareness about the important work you’re doing to help Toronto’s most vulnerable people. Your online fundraising page All Second Harvest Hero campaigns are set up with an online team page to be used for online donations. While online fundraising is not a mandatory component for Second Harvest Hero campaigns, it’s a great resource for campaigns to use to help boost their fundraising! Where to find your page Your Second Harvest Hero representative will send your campaign lead the link and login information for your team page. However, all team pages can be found by going to Second Harvest Hero’s fundraising home page and searching for their team name. -Click on “Search” Both teams and registered individuals can be found under the “Search” portal. -Click on “Team Search” -Enter your team’s name *Note* you can login to your team’s page anytime by clicking on the login tab at the top of the page. 16

More ways to connect! Beyond fundraising for the Second Harvest Hero campaign, there are other ways your staff can engage with our mission: Warehouse food sort (Throughout the year) Use your company’s designated volunteer outreach day to spend a few hours in the Second Harvest warehouse or simply gather a group of employees who want to volunteer together. Provide your employees with a chance to develop teamwork skills and gain further knowledge about Second Harvest’s food recovery programs. Shifts: Monday to Thursday: 9:30am-11:30am or 1:00pm-3:00pm Friday: 9:30am-11:30am Requirements: Minimum of 4 volunteers, maximum of 10 per shift Truck ride along (Throughout the year) Join one of our drivers on the road for a day, picking up and delivering donations of fresh and frozen food. This is a great opportunity to see who we are and experience our mission’s impact firsthand. We can accommodate one volunteer per truck and can take a maximum of 5 volunteers per day. Shifts: Monday to Friday: 7:45am-approx. 3:00pm Saturday: 8:30am-approx. 2:30pm Sunday: 9:00am-approx. 2:30pm Turkey drive (December 7 and 8 & December 14 and 15, 2019) Teams of 10 volunteers are stationed in local grocery stores across Toronto to encourage customers to purchase a turkey and donate it to Second Harvest. The turkeys will be distributed through our agencies to people in need during the holiday season. Tasks include greeting customers, helping customers choose frozen turkeys, loading donated turkeys onto Second Harvest trucks and dressing up as our turkey mascot! This is a great way for volunteers of all ages to give back during the holiday season! Shifts: Saturdays & Sundays: 9:30am-1:30pm or 1:00pm-5:00pm 19

Toronto taste (June 14, 2020) Our biggest fundraiser of the year and celebrating its 30th anniversary, Toronto Taste is also the city’s premier culinary event with more than 50 food & beverage stations serving all you can eat to 1,500 guests. It requires more than 300 volunteers to help during event weekend in a variety of roles such as catering, registration, set up, auction support and more. Toronto Taste provides a fun and fast-paced experience for volunteers who are vital to the success of Taste, which helps to provide over 2 million meals for people experiencing hunger in our city. Feeding our future (July & August 2020) Spend a weekday during the summer to help make hundreds of healthy lunches for children attending summer camp in the city. Second Harvest delivers to 16 community camp programs in Toronto, ensuring children who get subsidized lunches during the school year also receive at least one nutritious meal a day during the summer. Groups of 10 volunteers are needed per shift. Shifts: Monday 7:00am-9:30am & 10:00am-1:00pm Tuesday-Thursday 9:30am-12:30pm Scotiabank Toronto waterfront marathon (October 2020) Team Second Harvest will be coming together again for the annual STWM charity challenge. Impact stories Looking for additional ways to communicate to your team and donors the value of fundraising for Second Harvest? Artheart community Art centre “Without the support of Second Harvest, ArtHeart would not be able to provide nutritious food for our afterschool arts drop-in. Thanks to their food recovery program, we are able to provide fresh fruit, juice and dairy products to our students on a daily basis. Their services are urgently needed, for example: when the kids arrive, they head straight to our snack table before starting their art activities. As well as serving healthy snacks to our kids, ArtHeart has a youth employment program (The SnackMasters) that provides larger snacks to the Pathways to Education homework program. The food that Second Harvest provides is integral to us providing this service and is much appreciated by all. Our adult and seniors program benefits from the food deliveries as well. Mentoring juniors kids organization (mjko) Since 2010, Mentoring Juniors Kids Organization (MJKO) has provided free fitness and leadership classes to thousands of young people across Toronto from all backgrounds, ethnic groups, fitness and social levels. Empowering children ages 6 to 18, MJKO uses the sport of non-contact boxing to promote positive and healthy lifestyle choices, with the mandate of getting kids moving and building community. Although MJKO offers co-ed programming on most days, Fridays are dedicated to a program called FAB (Fit, Active, Brave), specifically designed to empower girls to get active and gain confidence. Most of the kids attending MJKO programming start in grade four and stay for three to four years. Some of them now work as youth coaches, inspiring other kids in the community by doing something they love, and some went on to become athletes who are currently training to participate in various tournaments and championships across the country. Each week, Second Harvest delivers nutritious snacks for the kids attending programming. For Miranda Kamal, Executive Director, ensuring that MJKO can provide healthy snacks is crucial to her programs. She raves 25
about the fresh produce and nutritious dairy she has been receiving from Second Harvest. “Before Second Harvest began donating food to us, food was very limited. Kids in our programs would only get a small portion because our budget is so low,” says Miranda. “Now, kids feel nourished. They are incredibly excited when they come in and see a full fridge. The quality of food is amazing, and kids are excited to try fruits they don’t normally eat.” MJKO is just one of hundreds of programs in our city that thrive thanks to your support. Every dollar you raise provides two more meals for agencies just like these. Lay-up youth basketball “Lay-Up has received nearly 12,000 pounds of food from Second Harvest to nourish program participants and this has saved the agency $20,000 annually. By reallocating those funds to programming, curriculum, and expanding our services, Lay-Up is able to empower 400-500 youth annually. This generosity from Second Harvest has a direct impact in feeding our youth, but also in helping Lay-Up provide more programming than ever before. 26
The meals donated from Second Harvest do so much more than just feed our youth. They provide energy, education on healthy living, and the fuel to focus and learn new life skills. So many of our program participants gain confidence, social development skills, and the ability to work as a team. Preparing and submitting donations 1. Fill out the Donation Submission Form (enclosed in your team’s kit and on the Resources page of SecondHarvestHero.ca) and return the following to Second Harvest: Donation money and cheques Completed Donation Submission Form Tax Receipt Request Form(s) Second Harvest collection cans along with any leftover stickers and capes (masks are yours to keep) 2. Send your donations to Second Harvest by Purolator, mail, or online. a. Purolator: Our logistics partner, Purolator, will pick up and deliver your donations and leftover supplies to Second Harvest. Tax receipt information All financial donations provided by you and your donors are eligible for tax receipts. Any donations made online through your company’s fundraising page will receive a tax receipt automatically. For those who have made a donation via cash, cheque, or POS machine, a Tax Receipt Request Form is required if the donor would like a tax receipt. Please provide the names and information of all individuals requesting a tax receipt in the enclosed Tax Receipt Request Form and return with the donation. Collections and funds raised through event or other group fundraising are not eligible for tax receipts as per Canada Revenue Agency regulations. Frequently asked questions When can I run my hero campaign? The Second Harvest Hero campaign runs year-round, from September 1st to August 31st, so you can hold your workplace campaign whenever works best for your team. Is there a fundraising minimum? Except for the Truck Pull Challenge, where teams must raise a minimum of $2,000 in order to participate, there is no fundraising minimum to take part in any other facet of the campaign. How long does our campaign run for? You can run your campaign for as long as you like! Whether it’s a one-day event, or a campaign that is active for a week, month, or a year! Is there any cost? None at all! There is no fee to register your campaign and all fundraising materials are free to order and have delivered to your workplace. We can also arrange to have your kit and monetary donations picked up from your workplace free of charge, as well. Can a second harvest representative visit my workplace? Your Second Harvest representative can visit with your campaign team to discuss campaign ideas and strategy. They can also visit your workplace to help deliver your campaign kick-off or wrap-up presentation. Do we keep the campaign kit items we receive? We do request that all kit items are returned upon completion of your campaign, along with any unsold raffle tickets. Most items can be reused and distributed to campaigns the following year. However, the one item you can keep are any Hero masks you received. 30
How does our fundraising help second harvest? The funds you raise directly support our food rescue operations. Whether it’s supporting maintenance for our food rescue fleet, or costs associated with our warehouse, your funds allow us to maintain and eventually expand all aspects of our food rescue operations, allowing us to increase our capacity for rescuing more fresh, healthy food. This, in turn, will allow for more food to be delivered to our social service agency partners and allow for more meals to be provided to those in need. Do I receive a tax receipt for my donation? Please refer to “Tax Receipt Information” on page 29 for more information concerning tax receipts. Does our hero campaign qualify our team for food sort and feeding our future shifts? If your campaign raises at least $500, you can qualify to send one group of up to 10 team members to either a Food Sort or Feeding our Future shift.
