A cleared adult, defined as an individual 21 years of age or older, must be present at ALL team practices and games. If a registered team representative with this clearance is not present, the team is not eligible to practice or compete. For these reasons, it is an expectation of the WSSC that every team will have at least two (2) cleared adults assigned to the team roster. General Process The general steps to complete the background check process are: 1. Apply for a background check a. The name used for your affinity account should match the name on your Driver’s License or other form of ID b. This is the same name used to register with WSSC c. This allows the Club Registrar to reconcile your approval status to your WSSC account. 2. Complete the online safety training including: a. Safe Sport b. Sudden Cardiac Arrest (SCA) c. Concussion 3. Upload copies of the training certificates a. Log onto your Affinity Account b. Certificates are uploaded under the “certificates” tab Page 7 of 29

Notes: • Protect for 1 to 2 hours to complete all the training for the first time • Safe Sport refresher courses that are significantly shorter than the initial course • Sudden Cardiac Arrest certificates are good for 3 years • Concussion certificates are good for 1 year • It is recommended to keep copies of your certificates for future uploading Safe Sport References • WYS Safe Sport Information Page • WSSC Safe Sport Information Page • Safe Sport - Initial Certification o Association: US Soccer o Access Code: YC3E-6P5G-YYIL-CS2M • Safe Sport - Refresher Information Congress passed the Federal SafeSport law requiring that all Olympic and National Sports organization institute a curriculum for prevention of inappropriate conduct. United States Soccer mandated the SafeSport program and Washington Youth Soccer has adopted it. All adult participants of the West Seattle Soccer Club with access to youth (coaches, administrators, volunteers, etc.) must complete the SafeSport education and obtain certification. Field Health And Safety Duty of care by the coaches and other volunteers extends to the practice and game fields or any venue where you are placed in a position of care by the parents/guardians. Other habits to adopt are: • Verify no dogs are at the park. Reference Seattle Municipal Code: Title 18, Chapter 12, Subchapter III - Animals • Walk the field for garbage and dangerous items (feces, needles, glass, etc.). • Carry plastic bags, gloves and hand sanitizer as well as a First Aid Kit • Do not permit any activity near the goals before they are secured. • Do not permit any player to hang from the goals under any circumstances • Refrain from free/unsupervised shooting on goal, especially if that is the location of team gear, due to concussion risk • Ensure players have an adult escort to the public restrooms • Wait at the field until every player has a confirmed ride home. • Properly store goals. Do not assume another team is coming to play unless the coach contacts you directly at the field. • Know and understand the weather risks. Weather Health And Safety • Seek safety if thunder is heard in the area. Do not permit any field activities for 30 minutes until the last peal of thunder is heard. • Suggestion: you may want to inform parents that if they are not going to stay at the practice field, they must coordinate with another parent to be responsible for their child in case they are late picking up their child. You are a coach, not a child-care provider, and your time is valuable. In no case should a child be left at a field without coach/parental supervision. WYS Return To Play Protocols (COVID-19) • Coach specific protocols are below. They are the WSSC tailored version from WYS. • Sign and submit Hold Harmless waiver to WSSC staff at first session (See References) • Ensure the health and safety of your players. Inquire how the athletes are feeling, send them home if they act or discuss feeling ill. • Follow all established federal, state, and local protocols. • Ensure all athletes have their individual equipment (ball, water bottles, bag, etc.) and prohibit them from sharing anything. Equipment placement should be spaced at least 6 feet apart. • The coach is the only person to handle cones, disks, etc. • Wash and sanitize your own equipment after every session. • The coach measures the temperature of every player • The coach records attendance of every player for every session • All training must be outdoors and coaches must strictly enforce social distancing per the current phase guidelines. • Coaches must always wear a face mask per current phase protocol and social distance from players when required. • The use of scrimmage vests/pinnies is not permitted • Increase your communication with parents, they need to know what you are doing as a coach and club to maintain their safety. • Have fun, stay positive – players and parents are looking to you to stay calm, supportive, and caring during this time. Other Risk Mitigation for Coaches These items are for you to consider for your own risk as an adult working with minors. • Only use the email function in the Sports Connect/Blue Sombrero page to communicate to the parents, guardians, and players. o These messages are stored for your benefit and to provide traceability o Out of band messages (personal email, sms, etc.) may not provide same level of traceability • Do not provide rides or carpools to players without another adult in the car Page 11 of 29
Coaching Sports Connect / Blue Sombrero You can think of this as your team’s own personal team website. Team Connect allows you to see your roster, game schedule, standings (if maintained), add your own events and pictures, communicate with your team via email or text, and as an easy way to print medical release forms and rosters. When rosters are finalized, the page is activated and each member of the team receives an invite. Medical Release Forms All coaches should have a signed medical release form for every player before allowing them to participate in practices or games. A signed release enables emergency personnel to treat an injured player in the parent’s absence. Without a signed release, emergency workers can only perform life-saving measures until a parent arrives to authorize care. There are no current provisions to print pre-filled forms in the Sports Connect / Blue Sombrero system. A blank copy is provided in Resources – Other, Section: Authorization To Play, Medical Release & Waver Form The coach is responsible to have each player’s signed medical release present at all practices and games. Hold Harmless Waiver Due to the unique nature of the fall 2020 season the board is requiring an additional hold harmless waiver from all participants, including coaches. For fall 2020, the form is sent directly to the player guardians with the request they bring completed forms to their first day of participation as a condition to participate. Please bring your own copy to the first day of participation. A copy of the form is in the Resources – Other, Section: Hold Harmless Waiver Volunteer Match Programs We know how much time this takes and we appreciate your efforts on behalf of the players and families of WSSC. Your efforts can keep on giving if you work for a company that has a volunteer match program. Please help the West Seattle Soccer Club access these free funds, which are used for player scholarships and club operations, which in turn helps us keep WSSC affordable for our families. Many companies, such as Microsoft, Starbucks and Boeing, provide rewards to support their employees’ volunteer efforts. If you are unsure if your company participates in a volunteer matching gift program, please ask your supervisor or your company’s Human Resources department. You can also consult the Matching Gift company finder at KCTS: https://kcts9.org/match . Page 12 of 29
The two most common volunteer matching programs are: • Matching Funds – your company matches your dollar donations up to a certain percentage or amount • Matching Volunteer Hours – your company will pay a certain amount for every hour you donate to the club For example, Microsoft currently matches at the rate of $25/hour for every hour you volunteer up to $15,000 per year! Microsoft employees track and submit their volunteer hours on an internal site, WSSC is then asked to verify the hours, and then WSSC receives the matching funds. Companies track this information differently, so please check with your employer for company specific requirements. The West Seattle Soccer Club is a 501(c)(3) organization (Tax ID – 23-7163315). Please search for this organization within your company’s volunteer program. If it isn’t there, please add WSSC (if possible) as a valid non-profit so other employees can find and support the club. Coaching – Resources Reimbursement Policy Please email our club Treasurer at wsscboard.treasurer@gmail.com if you have any questions concerning reimbursement. Coaching License Reimbursement WSSC will reimburse coaches for fees paid to attend Coaching License classes. The only condition is that the coach must pass the final exam to acquire the license. Standard class fees run up to $150. If the class will cost more than that, prior approval is required. Please submit your receipt and proof of completion to wsscboard.treasurer@gmail.com for reimbursement. Referee License Reimbursement The WSSC will reimburse new referees up to $75.00 for fees paid to attend classes and obtain their certification. The only condition is that the referee must pass the final exam to acquire the license and officiates at least 10 WSSC matches. WSSC Coaches Clinic There is no pre-season Coaches Clinic for fall 2020. WSSC Coaches Social The monthly Coaches Social is suspended until further notice. United Soccer Coaches Membership WSSC is a member club of United Soccer Coaches. As a member club, we offer free membership to United Soccer Coaches August – November each year. Membership benefits include select free coaching courses and online access to the Soccer Journal magazine, including their annual activity/session idea booklet. Player Preparation Team Meeting In-person team meetings are not sanctioned for the fall 2020 season. Online team meetings are strongly recommended. If you need help hosting a meeting, developing an agenda, or are looking for ideas for socializing please contact the Age Group Coordinator (contact info on page 4) or VP of Coaches (contact info on page 4) Uniforms For the fall 2020 season jerseys are provided at the first session. Each team receives four (4) dark shade jersey and four (4) light shade jerseys. Please assign jersey shades to each cohort group accordingly. Balls For the fall 2020 season, every player is to have a single ball they bring and take home for every session. Balls are available at the first session. Please contact your team to survey how many balls you expect to need and forward that info to the Age Group Coordinator. Strongly recommend the players uniquely mark their balls so they are easily identifiable at a distance. Player Equipment Before each practice and game, review the player’s equipment. • No toe cleats are permitted (e.g. football or baseball) • Shin guards are required • No earrings or jewelry • Jewelry restriction includes rubber or knitted bracelets • Taping over jewelry is not permitted • Medical alert bracelets are permitted if: o Bracelet is taped or secured to remove any room between the wrist and band o Medical information remains visible • No hair bands, ties, elastics, or barrettes that contain metal • No hard plastic hairbands or other accessories WSSC strongly recommends forwarding this list to your players and parents as part of the pre- season communication. The Season The fall 2020 season starts October 11th for six weeks. The last session is November 15th. Fields All activities at the U6 and U7 age group are at Hiawatha. Each team is on the same sub-field each week. See the coaches meeting presentation for details. Session Schedules Session schedules are published before the first session. For the fall 2020 season your activity time is at the same time each week. Team Pictures There are no team pictures for the fall 2020 season. This permission extends to any travel to and from any and all practice sessions, games and other activities sponsored and arranged by WSSC. This permission is granted without reservation. Recognizing the risks presented by the competitive contact sport of soccer, the signature below indicates a knowing, voluntary release of any claim which might be asserted against WSSC, its officers, assistants, coaches, trustees, sponsors, chaperones, drivers, volunteers and any and all other agents representing WSSC or HSA and its officers, agents or representatives, or the local league organization of which WSSC is a member. By waiving any right to assert a claim, I am agreeing to release, absolve, i ndemnify and hold harmless any and all parties previously mentioned for any and all liability arising from any injuries incurred by participant in relationship to the sponsored and arranged activities of WSSC. WSSC Coaches Code of Ethics Responsibilities to PLAYERS • The coach shall never place the value of winning over the safety and welfare of players • Coaches shall instruct players to play within the laws of the game and within the spirit of the game at all times • Coaches shall not seek unfair advantage by teaching deliberate unsportsmanlike behavior to players • Coaches should not tolerate inappropriate behavior from players regardless of the situation • Demands on players' time should never be so extensive as to interfere with academic goals or progress • Coaches should direct players to seek proper medical attention for injuries and to follow the physician's instructions regarding treatment and recovery • Any problems that cannot be resolved between coaches should be referred to the WSSC Board of Directors Responsibilities to the LAWS OF THE GAME • Coaches should be thoroughly acquainted with and demonstrate a working knowledge of the rules for their age group • Coaches are responsible to assure their players understand the intent as well as the applic ation of those rules • Coaches must adhere to the letter and spirit of the Laws of the Game • Coaches are responsible for their players' actions on the field and must not permit them to perform with intent of causing injury to opposing players • The coach must constantly strive to teach good sporting behavior Responsibility to OFFICIALS • Officials must have the support of coaches, players and spectators. Coaches must always refrain from criticizing officials in the presence of players or spectators • Coaches must not incite players or spectators or attempt to disrupt the flow of the game • Comments regarding an official should be made in writing to the appropriate organization assigning the official Responsibilities regarding RECRUITING • All WYS rules pertaining to recruiting shall be strictly observed by coach, manager or any team representative • It is inappropriate to recruit player(s) actively playing for another team • When discussing the advantages of his/her organization, the coach has an obligation to be forthright and refrain from making derogatory remarks regarding other coaches, teams and organizations Responsibility of PUBLIC RELATIONS • Coaches have a responsibility to promote the game of soccer to the public. Comments and critiques of governing bodies, teams, coaches, players, parents or media should be positive and constructive. • Coaches have the responsibility to assist their players in conducting themselves properly when in public when representing their team, member association and WYS Other RESPONSIBILITIES • A coach's behavior must be such as to bring credit to himself, his organization and the sport of soccer • While the concept of rivalry is wholly embraced, it cannot take precedence over exemplary professional conduct • The attitude and conduct of the coach towards officials, players, spectators and coaches should be controlled and undemonstrative • It is unacceptable for a coach to have any verbal altercation with an opposing coach or bench before, during or after the game • Coaches must use their influence on his/her spectators that demonstrate intimidating and/or unacceptable behavior towards officials, player(s) and opposing team members
WSSC Player Agreement I recognize that being part of a West Seattle Soccer Club team is a privilege, and with that privilege there is responsibility. I agree to abide by the following terms and conditions: 1. I will come to practices and games on time, prepared to participate with the correct equipment and at the time designated by the team coaches or manager. 2. If I am unable to attend practices or games, I will notify my coach or the team manager in advance. [If I miss practices without notice or miss practices on a regular basis, I acknowledge that the coach can restrict my playing time in games accordingly]. 3. I will treat my teammates, coaches, and opponents with respect. I understand that responsibility will be delegated within the team and that it is to be respected as well. 4. I will work hard and keep a positive attitude. Part of my commitment will include practicing my soccer skills on a regular basis at home, and maintaining an appropriate level of fitness to compete. 5. I will demonstrate a good sportsmanship attitude towards other teams, coaches and game officials at all times. [If I disagree with referees, I will speak with my coach about any issues and refrain from confronting the referees.] 6. I recognize that my teammates are counting on me; therefore I will give my best to the team at practice sessions and games. 7. There shall be no use of alcohol or drugs at any WSSC sponsored events such as practices and games. 8. For significant violations (such as violence towards others, possession of illegal drugs at any WSSC sponsored occasion or minors consuming alcohol at any WSSC sponsored occasion) or for repeated violations – a suspension of participation rights, with the length of the suspension dependent of the severity of the violation.
.WSSC Parent and Spectator Agreement I recognize that being part of a club team is a privilege, and with that privilege there is responsibility. I agree to abide by the following terms and conditions: 1. I will support my child by ensuring that transportation is available to attend games and practices on time. 2. I will treat the all game participants with respect. 3. I understand participants include players, coaches, spectators, guardians, and parents of both teams. 4. I will treat the all game officials with respect and acknowledge they can make mistakes and the game is not the correct avenue to tell them of those mistakes. 5. I understand that my involvement is of a positive support member during games. 6. I understand I have delegated coaching responsibility to the during these times. 7. I understand my role is a spectator. 8. I will demonstrate a "good sportsmanship" attitude towards other teams, coaches, game officials and parents at all times. 9. I will abide by the City of Seattle Parks policy of NO DOGS at athletic fields as specified in the Seattle Municipal Code: Title 18, Chapter 12, Subchapter III - Animals 10. I will abide by the City of Seattle Parks policy of no air-horns or other sound amplifying devices, as specified in the Seattle Municipal Code: Title 18, Chapter 12, Subchapter V - Prohibited Acts, §170 - Sound Amplifying Devices
