Region XX All-Region Choir Audition Handbook Rules and Regulations Region Audition Chairperson and Host Aaron Easley, Chairperson Jesse Cannon, Host Location and Audition Date Duncanville High School 900 W. Camp Wisdom Rd. Duncanville, Texas 75116 Saturday, January 29, 2022, at 8 a.m. Fees Fees are $5.00 per student and a school fee of $30.00. Make out a school check or booster club check to Region XX Middle School Vocal Division. No cash or personal checks will be accepted. Mail payment to Treasurer, Mike Huffstetler Evelyn Coleman Jr High School, 1000 N Hwy 77, Waxahachie, TX 75165 Entry Forms: Online TMEA/Divisions-Regions/Vocal/Auditions Entry/ Campus List/View Contest/Enter Students Entry Deadlines Entries are due online by Saturday, January 15, 2022, no later than 11:59:59 PM. All entries must be entered by this deadline. Entries after this deadline will incur additional fees. The director may not delete entries after this deadline, and the fees associated with these entries must be paid to the Region. 3
Changes Deadline This deadline is Saturday, January 22, 2022, no later than 11:59:59 PM. No changes may be made by the director after this deadline. Directors must contact the Middle School Coordinator about any changes to their school’s entry. An example of a change is if a student is going to sing a different part than originally entered. There are no substitutions and day of entries. Although this information is currently in our by-laws, we are technically unable to offer this due to the technology currently being used by the Texas Music Educators Association. Requirements ❖ Singers must be registered on the TMEA website at: https://www.tmea.org ❖ Singers must be PREPARED and ELIGIBLE to audition and to perform in the concert. ❖ Enrollment is open to all students in your choral music program. ❖ Soprano 1 (7th/8th) students must sing S1 on the SSA piece and S on the mixed piece. ❖ Soprano 2 (7th/8th) students must sing S2 on the SSA piece but can choose S or A on the mixed piece. ❖ Alto (7th/8th) students must sing A on the SSA piece and A on the mixed piece. ❖ Tenor 1 (7th/8th and voice-changed 6th-grade males) students must sing T1 on the TTB piece and T on the mixed piece. ❖ Tenor 2 (7th/8th) students must sing T2 on the TTB piece but can choose T or B on the mixed piece. ❖ Bass (7th/8th) students must sing B on the TTB piece and B on the mixed piece. ❖ 6th Grade Honor Choir Part 1 must sing part 1 on all pieces. ❖ 6th Grade Honor Choir Part 2 must sing part 2 on all pieces. 4
General Rules for Auditions and Concert Grade levels will go to the designated holding area. Students will not be allowed outside or in other areas of the building except when it is their turn to sing. Have students bring homework, books, and quiet board games to fill their spare time. NO ELECTRONIC DEVICES (including but not limited to smartphones and smartwatches) are allowed in the cafeteria during auditions. CELL PHONES must be turned off and collected by chaperones/directors prior to entry into the building. There are NO exceptions or excuses. If students are caught with ANY ELECTRONIC DEVICES their directors, parents, and their district’s Fine Arts Directors will be contacted and the student will be disqualified. Please, bring an appropriate number of chaperones to watch your students (1:10 ratio). Students who are not supervised will be disqualified. Please, be sure to inform your chaperones of this rule. In the past parents have come to wait with the organization and have left once their children have finished the audition. Unsupervised students are a burden on other schools who do have the required coverage and holding room monitors. Due to Tic Tok’s challenges that encourage vandalism and rude behavior in schools, we put all of our students at risk when we have not made it our first priority to have adequate coverage for the care of our students. Remind students of exemplary behavior standards. Any student who chooses to be disrespectful or not abide by the Region choir rules or standard school rules will be disqualified from auditioning; be removed from the list of choristers who have advanced to the Region Choir and the next student on the list will advance; or be removed from the concert participants. Audition Music Cuts As a courtesy to our younger singers, the Chairperson may release the cuts at any time from 14 days to the day of the contest; however, there is no obligation to do so, according to the bylaws. The cuts will be played once for the morning audition (8:45 am) and once for the afternoon audition (1:00 pm) on Saturday. The students are not to sing the music after the cuts have been sung-through. Audition Procedures Students must have originals of the audition music. Due to copyright, no photocopies will be accepted as proof of purchase. Students are not given a specific time to audition. They are assigned a badge number and they are called to the front of the holding room by their zone and their number. Once the students receive their badges they are to have no contact with their director. The numbers are called in order. Any student without a badge will not be allowed to audition. Badges must be worn in plain sight at all times during the auditions. Please submit special requests with entry forms if a student needs to sing early because of another school-related activity. 5
Schedule PLEASE BE ON TIME!!! 8:00 am Registration Directors will take students to the registration area. Be sure the students have original octavos of the audition selections. Inform students that they must stay in the holding area. Directors check-in at the director’s lounge and write the names of their school’s DNAs. 8:30 am Director's Meeting - BE ON TIME!!! In the event of an emergency, contact any member of leadership. 8:45 am Sing through cuts in the holding area. 9:00 am Directors are to report to and set up rooms. Please be sure there is enough coverage so the auditioner cannot be seen, the speakers are balanced, and the room monitor has been given adequate instruction. 9:30 am Auditions begin. Noon Lunch will be delivered to the audition rooms. It will be a working lunch. Don’t miss the lunch order Google Form when it comes. 1:00 pm Afternoon sing-through cuts and resume auditions. Results will be uploaded on the TMEA website to ensure social distancing. Judges Directors who have entered students will be required to judge, even if their students' DNA before the day of auditions. In the event of an absence, you must tell the coordinator three (3) weeks in advance so a suitable replacement may be found. You will be responsible for reimbursing the Region $125, the judging fee, and the cost of lunch. An invoice will be sent to you from the treasurer. If you show up to the contest site, you will be required to judge. If you choose not to judge, TMEA will be informed. If you are able to find a replacement after the three-week deadline, you will owe the Region the cost of lunch ($10) as you must make private arrangements with your replacement. They should not expect compensation from the Region. 6
Each room will have a five-judge panel. You must use a calculator to compute the scores of the entrants. No cell phones may be used to calculate the scores. No cell phone use is allowed. Only the head judge may have their phone on in case they must contact Aaron Easley or Jesse Cannon. Directors will be informed of their judging assignment before the auditions. This is a blind audition; therefore, you WILL NOT know your students’ audition numbers. You must wait until all rooms are verified before you will be allowed to visit with your students. Judging and Professionalism When judging, do not make comments to the students or the other judges while a student is in the room. Please train your students to expect silence from the judging panel and to leave the room promptly after sight-singing (7th/8th graders) or singing (6th graders). If comments need to be made, ask all students, parents, and monitors to leave the room and close the door. Do not make comments outside the judging room. Do not use any electronic devices while judging. This includes cell phones, blackberries, etc. This is unethical. All electronic devices must be turned off while in the judging room. Directors who choose not to conduct themselves professionally will be reported to the Region Chair. The situation will be handled in a personal professional manner. Scoring To preserve fairness and objectivity, the judging panel will be obscured from student sight. When the student auditions, each judge gives them a score that will rank them from highest to lowest. The scores from each judge are placed in a computer program that assigns a rank to each student. The students are chosen by ranking, not by raw score. Twenty percent of the students’ scores will be sight-singing. This computes the final rank. The rank determines how the students are chosen for the choir. We will discuss scoring more during the directors' meeting on Saturday morning. Directors must be in attendance and punctual for the directors’ meeting to understand the judging procedures. 7
Sight-Reading 1. Sight-reading is not included as a part of the 6th Grade Region Auditions. 2. Sight-reading shall be included in the 7th/8th grade Region Auditions and shall count as twenty percent of the maximum possible score. a. The level of difficulty shall be that of current UIL standards for sight-reading material. b. The sight-reading shall be in the key of F or G, in the meters of 2/4, ¾, or 4/4, and shall be no more than 8 measures long. 8
Region Choir Selection Mixed Choir - Total voices – 138 (66 Treble and 72 Tenor Bass) All-Region Mixed Choir Treble Voices: The top-ranked 22 students (chairs 1-22) from each of the voice parts (S1, S2, A) will be selected as members of the All-Region Mixed Choir treble section for a total of 66 qualifying voices. If needed, the 22 voices may be chosen from two judging rooms per voice part with 11 voices chosen from each room. All-Region Mixed Choir Tenor-Bass Voices: The top-ranked 24 students from each of the voice parts (T1, T2, B1 or T1, B1, B2) will be selected as members of the All-Region Mixed Choir tenor-bass section for a total of 72 qualifying voices. If needed, the 24 voices may be chosen from two judging rooms per voice part with 12 voices chosen from each room. All-Region Treble Honor Choir: The second 22 students (chairs 23-44) from each of the voice parts (S1, S2, A) will be selected as members of the All-Region Treble Choir for a total of 66 qualifying voices. If needed, the second 22 voices will be chosen from the same two judging rooms per voice part as the voices who qualify for the AllRegion Mixed Choir (treble section) with 11 additional voices chosen from each room. Honor 6th-grade Choir Total voices –80 All-Region Sixth Grade Choir: The top-ranked 40 voices from each of the voice parts (S, A or Part 1, Part 2) will be selected as members of the All-Region Sixth Grade Choir for a total of 80 qualifying voices. b) If needed, the 80 voices will be chosen from two judging rooms per voice part with 20 voices chosen from each room. Music Packets Currently, the music for the All-Region Choir is covered by Region XX. Concessions Concessions will be available for purchase in a designated area. 9

Memorization of Repertoire Music does not have to be memorized for the pre-rehearsal but the section leader will inform the chairperson if a student is extremely unprepared. Music must be memorized by the date of the clinic/concert. The above rules are designed to ensure a fair, impartial audition for each student and to aid the clinician in preparing a concert of the highest musical quality. 10
Concert Choir Attendance Policy There can be NO absence from any rehearsal. In the case of emergency (hospitalization, family death), the student may be excused from the pre-rehearsal at the discretion of the chairperson (Aaron Easley). Students who miss the pre-rehearsal may have to sing an audition of all their music at the Friday clinic to certify their knowledge of the program. Activities such as school sporting events, community team events, plays, auditions, etc will not be considered excused. The student and the director must decide in advance how that event will impact the student’s level of dedication. There are other students who would be happy to miss their events to be members of the Honor Choir. Please remember, your actions actually have a direct impact on others. Anyone tardy to rehearsal must inform the section leader (the director who is in charge of the room). Only one tardy is allowed. A student is tardy if they are not in the room when the roll is taken. Anyone tardy to the final assembly preceding the performance will not be allowed to sing. The chairperson will handle emergencies concerning tardiness. Directors’ Lunch/Snacks Director’s lunch will be purchased by the Region. An order form will be sent to you from the host school. Students’ Lunches Lunches for students will be purchased from Jimmy John’s at no more than $10 per person. Directors, please collect the funds from your students and turn it in at the Tuesday, February 15th, rehearsal. Directors’ Responsibilities Directors are responsible for informing students of all dates, times, and rules regarding the All-Region Choir. Any problems caused by insufficient information will be the responsibility of the director and will cause the student to be penalized. Directors will not be allowed in the tab room at any time during the contest except those who have been specifically assigned to work there. Each director who has students competing in the Region audition/contest must be present during the entire process. Directors will be assigned a job. Your students will not be allowed to audition if you are not present at the audition. Exceptions to this rule can only be made in the case of an emergency by contacting the Region chairperson or Auditions Chairperson. Directors with participating students are required to be in attendance at all rehearsals and the concert. 11
Code of Ethics and Standard Practices According to the TMEA Code of Ethics and ethical teachers “shall recognize that the profession demands integrity, high ideals, and dedication to music education (1.10), shall recognize that maintaining the integrity of the profession is the responsibility of each member (1.11), shall build a reputation based on ability and integrity (1.12), shall endeavor to promote positive professional relations with colleagues in education (1.13), shall respect and support colleagues and other school personnel in the proper performance of their duties (1.22), and shall report to the appropriate entity any conduct by a colleague which is considered detrimental to the profession (1.23). Please be reminded of your responsibility as a professional. 12
Region XX UIL Concert/Sight-Reading Contest (1 Semester into January or February) ___ Pick Choral Music for the contest. Make sure you appropriate music according to UIL rules. ___ Make sure you are and have been practicing sight-reading. Make sure you are well familiar with rules of the sight-reading room and have explained and practiced these with your choirs. ___ You should have original sheet music for each choir member but certainly make sure you have original sheet music for each song for each judge. (3 judges) ___You may want to plan a pre-UIL concert. (February) ___Turn in all necessary documents to the school secretary to get a check for the UIL contest. (REGISTRATION DEADLINE: Wednesday, February 23, 2022) ___ Register Online (https://www.texasmusicforms.com/) and fill out Form 4 (Solo/Ensemble) and Form 1 (Eligibility/Certification) information. (Note: You will need to bring Form 1 signed by your principal with you on the day of the contest. You will not be permitted to perform if you do not have your Form 1 signed.) ___Get checked mailed off to Executive Secretary, Scott Coulson, 4214 Ravenbank Dr., Rockwall, Texas 75087 (214) 417 - 1042 uilmusicregion20@gmail.com (He must have the check in hand by or on the day of the contest or your choirs will not be permitted to perform.) ___Make sure you order buses for the competition (Day of Competition) ___Make sure you have all original copies of sheet music for each judge. Make sure the measures are numbered. ___Make sure you have your Form 1 (Eligibility/Certification) with eligible choral students names and a principal's signature. (You must have it signed.) ___ If you haven’t sent your check-in, bring it with you. (You must have it to compete) ___Directions ___Make sure your accompanist knows when and where to meet you. You and your accompanist should try to show up at least 30 minutes before your 1st scheduled performance. 13
PROCEDURAL CHECKLIST FOR ENTERING UNIVERSITY INTERSCHOLASTIC LEAGUE REGION 20 VOCAL CONCERT AND SIGHTREADING CONTEST DEADLINE TO REGISTER IS WEDNESDAY, FEBRUARY 23, 2022 MIDDLE SCHOOL NORTH ZONE - LAKE HIGHLANDS HS March 24-25, 2022 MIDDLE SCHOOL SOUTH ZONE - RED OAK HS March 24-25, 2022 ONLINE ENTRIES ONLY NO POSTMARKED ENTRIES WILL BE ACCEPTED This checklist is intended to be used as a guide in conjunction with the UIL Constitution and Contest Rules (C&CR) and the Prescribed Music List (PML). Study and be familiar with the rules that apply to you and your organization. YOU ARE ULTIMATELY RESPONSIBLE FOR KNOWING AND UPHOLDING ALL RULES OF THE UNIVERSITY INTERSCHOLASTIC LEAGUE. THIS IS MERELY A GUIDELINE. All choirs will be required to perform three selections. Two of their selections must be from the PML, from their designated grade, and a third piece of their choosing. You are required to perform one piece without accompaniment. All of the compositions may be performed as a cappella if so indicated by the score. Instruments should be utilized as scored unless otherwise noted in the PML. All selections should be performed as desired by the composer in the score. The text must be sung in the language of the title as listed in the PML. You can find the performance requirements for each individual conference at the end of this checklist. You must provide three original pieces of music with measures numbered for the judges on the day of contest or a letter from the publisher explaining the reason why you were not able to supply the said originals. No exceptions! Please - make sure that you are familiar with all the rules of the sight-reading room. Remember, it is YOUR responsibility. All changes in music selection must go through the executive secretary no later than seven days prior to the first day of contest. All schedule changes should be made among the directors after the schedule has been posted. You are responsible for finding someone to switch places with you, 14
should the need arise. Please inform the contest host, the chairman, and the executive secretary of said change at least two weeks prior to the contest. SUMMARY SHEETS & CHECK: Two (2) summary sheets and a check shall be mailed to the executive secretary postmarked no later than midnight on the deadline dates listed above. These are the official deadlines. You can find the summary sheet on the region web page The fee for Concert and Sightreading is $500.00 for all groups. (Fees include recording fee and state fee.) Checks should be made payable to UIL Region 20 music. Please make sure that your school name appears somewhere on the check to assure that your school is credited for payment. FORM 1: Only one copy of Form 1 (certification form) is needed. Computer roster printouts may be stapled to Form 1 if more convenient. The Form 1 must contain the director’s name, the principal’s signature, and the name of each eligible student. NO CHOIR WILL BE ALLOWED TO PERFORM UNTIL A SIGNED CERTIFICATION FORM IS ON FILE WITH THE EXECUTIVE SECRETARY. FORM 4,5: Follow the instructions for your online entries for form 4 located on the region web page. The form 5 is automatically done for you. You are no longer responsible for printing these forms. The executive secretary will have these forms printed and available for the judges at the individual contest sites. NOTE: All directors must enter under their own director profile in order to have their names appear on their 4’s and 5’s. If there are multiple directors for some groups, please Email the executive secretary with whom you would like to appear as directors for that particular choir. If you have any questions regarding the entry procedures for the vocal concert and sight-reading contest, please contact the executive secretary or your individual contest host or chairperson. WHEN IN DOUBT – ASK QUESTIONS! DON’T ASSUME ANYTHING – RULES ARE EASILY VERIFIED! 15
REGION XX MIDDLE SCHOOL SOLO/ENSEMBLE 1. This year’s Region XX Solo and Ensemble Contest will be held at TBD, on Saturday, TBD from 8:30 a.m. to 5:00 p.m. 2. Directors need to be responsible for all rules and instructions. Please read before attending. 3. Make note of important dates, times, and deadlines. No entries will be accepted after the “in-hand” deadline (Wednesday, TBD). Entries mailed without fee payment will not be scheduled. (Generally, one month prior to the competition) 4. Bring a copy of your TMEA card on the form provided. All directors must be current members of TMEA to enter your students. Also, if you renew or join TMEA online, please attach a copy of your membership confirmation. 5. Fill out online ( https://www.texasmusicforms.com/ ) a Form 6/7 for each solo and small ensemble and Form 8 for each medium ensemble. (Note: You will bring form 6/7 and 8 with you on the day of the contest. Do not send them to the host ahead of time.) 6. Complete Form 9 (certification) ( https://www.texasmusicforms.com/ ) 7. Complete the Fee Computation Form found in the handbook, under the section marked “Solo and Ensemble”. (Must be emailed, sent, or faxed by deadline.) (Deadline is Wednesday, TBD) 8. Enclose a school check or booster club check in the amount of your entry fees. Allow plenty of time for a school district check. No personal checks will be accepted. South Zone – TBD North Zone – TBD WHAT DO I NEED TO BRING? 1. FORM 6,7,8 - Bring your form 6/7’s and 8’s. (Judges Sheets) You need one Judge’s Sheet for each soloist and one Judge’s sheet for each ensemble. Judge’s Sheets need to be printed on a color other than white to assist with organization. 2. MUSIC FOR JUDGES - Please make sure you have original music for your judges with the measures numbered. 3. PIANO SHEET MUSIC and/or CD’s – Make sure you bring original sheet music for all student entries. We will have a CD player in every room. If a keyboard is needed, you notate on your Choral Fee Computation Form. It is your preference to bring your own CD player. 4. CHAPERONES – Recruit one chaperone for every 10 students. Chaperones will monitor students in the cafeteria while waiting for their scheduled performance time. Directors should not be accompanied by large groups of students in the hall unless the director is escorting an ensemble to their assigned room. Chaperones are one of the greatest assets for minimizing student masses in the halls. WHERE DO I GO? WHAT DO I DO? 1. BUS Parking - Please have your buses park in the back of the school and not in front. The contest host will forward maps and driving directions at least one week before the contest. 2. REGISTRATION – Upon arrival, students and chaperones will be seated in the holding area. Directors will need to register in the contest office. (South Zone: TBD/ North Zone: TBD) Look for signage for directions. 3. PERFORMANCE – After registering, go back to the cafeteria, organize students to arrive at the judges’ room 10-15 minutes prior to their scheduled performance time. Directions will be posted throughout the building. HOW SHOULD MY STUDENTS BEHAVE? 1) BEHAVIOR EXPECTATION – Student behavior should be exemplary at all times. 2) FOOD and DRINK – Concessions will be provided for students within the building. Inform your students that food will not be permitted outside of the cafeteria. Directors will be notified if there are violations of the school policy. 3) CAFETERIA BEHAVIOR – Students are to be seated at all times in the cafeteria. Exceptions: Traveling to/from the concession stand, restroom, or checking their ratings. Students need to be accompanied by an adult when leaving the cafeteria. 4) HALLWAY BEHAVIOR a) SEATED - Students are to be seated (in provided chairs) in hallways when waiting to perform. b) QUIET – Students are expected to be quiet in the hallways in respect of soloists and judges. c) SHOE MARKS - Students in formal uniforms need to be reminded of the inappropriateness of purposely making shoe marks on the floors. Campus principals are concerned about the clean-up that is required to erase the marks. d) PDA – Please address with your students the inappropriateness of PDA. (“Public Displays of Affection”) This behavior is not conducive to the best educational environment for any school function. WHAT DO I DO WHEN I’M FINISHED? After your last student has performed, have your chaperons get your students on the bus. Directors will report to the contest office to check out. (South Zone: TBD/ North Zone: TBD. Be sure to collect your original music, adjudication forms and medals. This form must be emailed to the contest host by Wednesday, TBD. 17
