Dear NAS students, and guardians and parents of NAS student 5 July 2021 The July exam session will start on 7 July 2021, and we wish all our students’ success in their exams. There is no question that the year has been challenging (as it was in 2020), and that all of us have had to adapt and make sacrifices to get this far. We commend you and our staff for the resilience shown. In the end, NAS’ success depends on the success of the students, and we will make every effort to support you. We also wish you a well-deserved break in early August. Stay safe and look after your mental health! There are a number of matters that I need to bring to your attention: 1. The format of our exams Most of our exams will be conducted online and, in some instances, invigilated online. Make sure that you follow the announcements of each module on clickUP and that you are well prepared for what is expected of you. Please look at the UP Advisory on preparing all your devices and note the IT help that will be available for the duration of the exam period. In the case of scheduled load shedding, contact your lecturer/module administrator in advance of the exam to make arrangements. Based on our past experiences, we developed a set plan for action for our course administrators in the event of load shedding, to give you the best possible chance to succeed. A small number of our exams had to be deferred to August (early in semester 2) and two have been deferred to the November-December exam period. Actuarial Science, Chemistry, Geology, Mathematics and Statistics will communicate with their students as soon as possible. In instances where these modules are prerequisites for semester 2 modules, qualifying for exam entrance will allow students to continue with second semester modules. 2. Covid Please note that UP is obligated by the National Disaster Management Act to report Covid-positive cases and Covid exposure to the DHET. Report forms can be obtained from the NAS Covid- compliance Officer, Mr. Manfred Molomo, from the Faculty Student Advisors, or module coordinators. Students showing Covid symptoms, testing positive for Covid, or being exposed to someone who is Covid positive, should follow the Higher Health regulations as adopted by UP. With respect to writing exams, students should take individual responsibility and seek medical attention and should not write exams when they are not medically fit to do so. Please follow the normal procedures for applying for sick exams as appropriate. Extended illness will be handled on a case-by-case basis. Students must follow this procedure if they experience Covid symptoms or have been exposed to someone who tested positive: 3. Code of Conduct for Students Students are reminded of the code of conduct that is applicable to all registered students, as outlined in the UP General Rules and Regulations of 2021: "The University of Pretoria’s Disciplinary Code:Students is based on, and informed by, the principles of academic integrity and honesty, as well as appropriate behaviour within the wider institutional context. These principles are at the core of the University’s everyday activities and its main reason for existence, namely the academic education and training of students, as well as the fostering of norms and values of excellence in a wider sense. The Code recognises the fact that the safeguarding of the aforementioned principles is an inherent requirement for the preservation of the integrity of the various qualifications awarded by the University. Safeguarding such principles is essential for establishing and maintaining an environment that is conducive to sound academic practices in general, and contribute to shaping individuals who will add value to society." In the section on Examinations, Tests and other academic assignments students are also reminded: Page 2 of 5
"Students may not act dishonestly in any way whatsoever. Dishonest conduct includes, but is not limited to: • dishonesty with regard to any assessment, whether it be a test or an examination, or with regard to the completion and/or submission of any other academic task or assignment; • plagiarism (using the work of others as though it is your own without acknowledging the source); • the submission of work by a student with a view to assessment when the work in question is that of someone else either in full or in part, or where it is the result of collusion between the student and another person or persons. The exception is group work as determined by the lecturer concerned." Students are also bound by the Plagiarism Prevention Policy (Document number: S 5106/19) available here: https://www.up.ac.za/media/shared/1/ZP_Files/s5106-19-plagiarism- prevention-policy.zp181077.pdf In the circular from the VC’s office earlier today, he states: “I also want to alert you all about the consequences of dishonesty and cheating in assignments and tests, especially now that much of our academic work and testing is taking place online. Cheating could open you up to criminal charges for fraud, and you can be disbarred from professional bodies and your degree can be revoked if it is discovered after you graduate that you cheated.” I would like to thank the vast majority of our students who approach examinations with integrity, honesty and a desire to prove themselves. 4. Supplementary exams Please note the module regulations in study guides with respect to qualifying for supplementary exams. These Faculty regulations are aligned to UP regulations and will be adhered to. Page 3 of 5
6. Sick- and extraordinary exams Standard UP regulations (see G.12) will be followed where a student has to apply online (on the student portal) within three days of the scheduled date of a particular exam to be considered for an aegrotat (sick), or extraordinary exam. Valid sick notes, or other substantiating proof in the case of non-illness related reasons for missing an exam, must be uploaded together with the relevant application form. Students who feel uncertain must please contact Faculty Administration at nas.undergradhelp@up.ac.za. 7. Reminder about non-academic support to students The Faculty has five Faculty Student Advisors who have supported the students throughout this semester. In addition, the Student Counselling Unit (studentcounselling@up.ac.za) is available to offer additional professional psychological support. Students can also contact the DVC for Student Affairs and the Director for Student Affairs. Plans for the second semester Two departments (Agricultural Economics, Rural Development and Extension, and Physiology) will continue fully online and most of our first- and second-year modules in the other 13 departments that offer UG programmes in the Faculty, will largely be online. Please note the attached table for the current plans for limited and some regular face-to-face activities on campus; more details will follow from your department, but the table should give you an idea of what we are planning, pandemic permitting. These plans will be implemented and adjusted in line with national and DHET regulations. Students who have comorbidities, and dependent on the vaccination roll-out, will be able to apply for exemption from on campus activities. Page 4 of 5
9. Financial Aid I understand that many of you experience additional financial challenges due to the pandemic. If you are in need of financial aid, please register at https://www.up.ac.za/article/2894107/financial-aid. Registering here does not necessarily mean that you will receive financial aid. UP has a team of fund raisers actively engaging with potential donors to raise funds for needy students. When they are successful, they rely on this list of registered students to match student needs, and donor requirements. If you have registered on this list as a student in need of financial aid, it will not affect your ability to register or continue with your studies. I wish you all the best in your exams!
