Welcome to our trade-shows! Dear exhibitor! On Mai 19th 2021 maintenance und PUMPS & VALVES Dortmund 2021 will open their doors. We are looking forward to welcoming you as an exhibitor. To ensure that your participation in the show runs as smoothly as possible, we have summarised all the most important information for you on the following pages. The Safest Place To Meet stands above the protection concept for maintenance Dortmund 2021, which ensures that the trade show is controlled and safe for visitors, exhibitors and employees. It is important to us that all participants feel comfortable under the new conditions and achieve their trade show goals. Please use the following forms of this manual: Order form: Name board (Appendix 1) Order form: Stand layout (Appendix 2) Order form: Delivery of heavy machinery or exhibits (Appendix 3) IMPORTANT: Since we work with external service partners, we are required to follow the deadlines mentioned in this document in order to guarantee the processing of all your data right in time and thus the best procedure for the shows and your participation. We thank you for your understanding. The order of graphics and the corresponding files need to be placed and delivered by March 25th 2021 so that we can process them on schedule. Please keep in mind to describe the positioning of the outlets, as well as the placing of the electrical cabinet, shelves, wall modules with graphics, TVs, etc. (if needed) for the design of your Stand. The deadline for all orders is March 31st 2021. All orders received by us after this date can only be accepted subject to availability and will incur a late order surcharge of 30%. All orders received by us after April 13th 2021 our onsite can only be accepted subject to availability and will incur a late order surcharge of 50%. Putting out personal posters, banners and similar on the fair walls is not allowed. Please contact us on time if you have any questions. 1. General information 1.2 Getting there Getting there... Description Dortmund Airport: Direct connections to and from many European cities. Distance to Messe Dortmund: 12 km. www.dortmund-airport.de ... by air Other airports: Düsseldorf Airport: 63 km Cologne/Bonn Airport: 96 km From the Dortmund Central Railway Station via subway line U45 (towards Westfalenhallen) in just 10 minutes. From downtown Dortmund (Subway stops Reinoldikirche or Stadtgarten) – The subway line U46 (towards Westfalenhallen) gets you there in about 5 minute OR, take ... via public transportation subway line U42 (towards Hombruch) to the stop called “Theodor-Fliedner- Heim”. From there it is just a few minutes' walk to the fairgrounds. Please purchase a ticket before boarding the train. Your ticket to the show does not include the use of local public transportation. Schedule: stand setup, opening hours, dismantling 2.1 Schedule Delivery/Assembly of heavy machinery Please inform the show's official freight forwarding Monday, Mai 17th 2021 08:00 – 12:00 h company in advance. See pages 9 and 10. Construction period Tuesday, Mai 18th 2021, 12:00 – 18:00 h Stand setup for exhibitors. The prospects and poken readers will be given out to all exhibitors. Dienstag, Mai 18th 2021, 10:00 – 18:00 h Exhibitor's badges can be picked up at the main entrances with our hostesses. The hall carpets will be placed Mai 18th 2021 at 18:00 h. After that, it is not possible to drive with a pallet truck or similar vehicles over the carpets. Complaints will only be accepted Mai 18th until 16:00 h. Please contact us promptly so that we have the opportunity to correct the error before the trade-show begins. Exhibitors will find us in the service point in hall 5 (stand S01-5). Schedule: stand setup, opening hours, dismantling 2.2 Delivery/assembly of heavy machinery The delivery of heavy, large and bulky machines or exhibits must be coordinated with the official exhibition freight forwarder at the exhibitor's expense. If your machines or exhibits exceed a footprint of 2m² and/or a weight of 500 kg, you will require an approval. Please send us the filled form in appendix 3 before April 13th 2021. Your desired delivery times will be checked and approved by the official freight forwarding company. Floor load capacity and dimensions of the hall's gates: Hall 4 (maintenance): Hall 5 (maintenance, PUMPS & VALVES): Gate 42: 3,80 m high; 5,20 m wide Gate 53: 3,90 m high; 4,50 m wide Gate 46: 3,80 m high; 4,20 m wide Gate 54: 3,10 m high; 4,00 m wide Floor load capacity: 5KN/m² or 20KN / m² respectively Floor load capacity: 20KN/m² 2.3 General assembly period & security deposit regulation The general assembly period for exhibitors starts on Tuesday, Mai 18th at 12:00 h. For deliveries, you can park short-term for up to 2 hours at the setup parking space next to the hall. A refundable deposit (€100,00) must be paid upon entry. Easyfairs does not take responsibility for any delays that might occour while exiting the fair grounds. Charges for late exiting are raised by the fair grounds administration. After the delivery is complete, vehicles must be parked in their designated areas in order to enable others to proceed with their unloading activities (see 5.1 Parking and parking policy, page 16). 2.4 Installation of light, extra electricity, compressed air Additional electrical installations orders can be placed with a 50% late surcharge until Mai 18th 2021 at 14:00 h. If you require additional power for machines or exhibits during the show, please order this no later than March 31st 2021 via your "My Easyfairs" account. Please indicate the position of the ordered intallations in your stand layout in appendix 2. Only complete orders with a stand layout will be considered. 2.5 Opening hours for visitors Wednesday, Mai 19th 2021 09:00 - 17:00 h Thursday, Mai 20th 2021 09:00 - 16:00 h 2. Schedule: stand setup, opening hours, dismantling 2.6 Dismantling Thursday, Mai 20th 2021, 16:00 – 22:00 h Dismantling of the stands Pick-up of heavy machinery, done by the official Friday, Mai 21st 2021, 08:00 – 12:00 h forwarding company The dismantling begins directly after the show ends. The gates will be opened and exhibitors are allowed direct access to the halls Mai 20th about 1 hour after the show ends. Mai 21st is reserved strictly for picking up machines and materials, and only by special arrangement with the event organiser (see 1.1 Contact & delivery address > Event organiser on page 5). Accessing the hall's gates is only possible in coordination with Easyfairs' technical team. Please make sure that your items are packed and marked correctly (company name, contact number and stand number) and take your personal belongings with you. Please note that, after the show ends Mai 20th 2021, your goods will no longer be guarded. The cabin keys should be left in the cabin locks at the end of dismantling. 2.7 Freight forwarding & storage of empties If you make use of freight forwarding services (forklifts, storage of empties, etc.), please note that, in the Messe Dortmund, only forklifts from the hall shipper are allowed. These services are organised and charged directly to the exhibitor by the official freight forwarding company. Important! The delivery date for heavy machinery and exhibits is Mai 17th 2021. 3. Stand setup, furniture & additional orders 3.1 Did you know? (General information on stand equipment) The full visual system: With our full visual system, you determine your stand's own size and shape and use the entire trade stand as advertising area. We support you with the graphic preparations of the module walls and provide you with a wide range of additional furnishings, such as counters, shelves and lighting elements. For more information, you can see our introductory "Full Visual System" video at: https://youtu.be/usqoP7NAdxw Please note that all provided stand elements can be printed on individually. The different stand modules are categorised in the following picture: Wall module 250cm (height) x 96cm (width) seamless transition, all modules can be printed on individually Name board 48cm (height) x 120cm (width) logo print available at extra cost Tower module 96cm (height) x 96cm (width) included in All-In Plus/All-In Premium Packages (print available at extra cost) Cabin module 250cm (height) x 96cm (width) included in All-In Plus/All-In Premium Packages (print available at extra cost) The print on your stand's wall modules is partially included in your booked package (see page 13). If you wish to print on more stand modules, you can book this via your "My Easyfairs" webshop. Additional printable modules: You can additionally order the printing on your counter via your "My Easyfairs" webshop. Please use the corresponding templates for the preparation of your files. For more information regarding the graphic guidelines, please refer to the appendix 4 of our technical manual. If you have any questions, please do not hesitate to contact us. Included in your stand package: Stand cleaning: a daily stand cleaning (emptying the bin and vacuum-cleaning the carpet) is included in your package. Your floor carpet: The standard carpet color for our stands is anthracite. Should you wish a different color for your stand's floor carpet, please order this via your webshop and confirm the chosen color via e-mail to: technik@easyfairs.com. We offer floor carpets in the following colors: PANTONE: green p347c, RAL: blue 5002, RAL: red 3020 und RAL: grey 7037. 3. Stand setup, furniture & additional orders 11
3. Stand setup, furniture & additional orders 3.2 General information and stand fittings Additional orders: Additional orders can be placed online until March 31st 2021 via the "My Easyfairs" portal. Log in at www.easyfairs.com/my using your e-mail adress and password. All orders that reach us after the specified date can only be processed with a 30% surcharge, if available. If you wish to place an order after April 13th 2021, please send an e-mail to technik@easyfairs.com. These orders as well as those placed onsite can only be processed with a 50% surcharge, if available. Please note that after April 13th we cannot guarantee that the wanted materials are still available and can be delivered. We thank you for your understanding. Design of the stand and graphics: The graphic orders and files should be placed until March 25th 2021. Please remember to also define in your stand layout's design the positioning of the electrical ports, shelves, TVs, graphics, cabinets, etc. if needed. The guidelines for the graphic files can be found in appendix 4 of this book or accessing the following link: https://www.schweizermessebau.ch/anforderungen- druckdaten/ Stand packages and approval: The exhibitors must book a stand package from Easyfairs when booking an exhibition space. Exhibitors are however allowed to bring their own stand components, graphics and furniture with them. The permissible maximum height is 2.5 m. Exhibitors who intend to bring their own stand components must submit their layouts for approval by March 25th 2021 to technik@easyfairs. com. Unapproved personal stand components are not permitted on fair grounds and will be dismantled at the exhibitor's cost. The official construction material cannot be damaged in any form. Damages or cleaning costs will be booked to the exhibitor's account. Please consult with the Easyfairs technical team. The stand package's furniture cannot be traded for other Easyfairs pieces of furniture. Should you decide not to use the standard furniture, this will not result in a reduction in the stand price. Please place the furniture pieces you do not require on the Hall aisles Mai 18th, so that our stand constructor can bring them to the storage room. If you need any extra furniture, please place your orders via "My Easyfairs". Name board: The name board is mandatory for all exhibitors and the corresponding form "Nameboard" needs to be sent by March 25th 2021 to technik@easyfairs.com. Failing to meet the deadline incurs the usage of the registered name of the company in the "My Easyfairs" portal. Should you wish to print your company logo on the name board, you can book this service for €200,00/Pc. For the print, please send uns your logo in PDF format following our specifications (see appendix 1). Please note that we can only process your logo files along with your name board order form (appendix 1). Changes after March 25th are not possible. Complaints during the construction: Complaints will be processed Mai 18th until 16:00 h. Please contact us promptly, so that we can organise and complete all the changes necessary before the show begins. The stand layout can be found in appendix 2. lease provide all the desired positioning of furniture, cabins, graphics, spotlights, ports, captions, etc. The spotlights for the All-In stand model will be placed either by the back or by the side wall. 3. Stand setup, furniture & additional orders 3.4 Advertisement Promotional activities outside your stand (such as distributing flyers) is only possible if you book the respective sponsoring package. For more information on sponsorship opportunities, please see our marketing services or contact Ms. Magali Urbany (Magali. Urbany@easyfairs.com). The use of projectors and light effects outside of your stand is not permitted. 3.5 Technical connections: electricity, water, compressed air, internet If you require additional technical connections, please order them online via "My Easyfairs" and send us a layout with the desired placement for the connections. Please note that if you order an additional electrical connection, the installation of extension cables to the exhibit is not included. These must be ordered separately via the webshop. For safety reasons, all technical work is to be carried out exclusively by the official stand builder. The deadline for all orders of technical connections is March 31st 2021. Orders received by us after this date can only be accepted subject to availability and will incur a late order surcharge of 30%. All orders received by us after April 13th 2021 or onsite can only be accepted subject to availability and will incur a late order surcharge of 50%. 3.6 Insurance All statutory safety regulations and the technical guidelines of the Dortmund fair for the installation and operation of your products / equipment are to be respected by your stand build staff and stand personnel. Each exhibitor is responsible for compliance with the legal provisions relating to this show. If appropriate, please extend your company’s third-party liability insurance for the duration of the exhibition. We strongly recommend that you not leave valuables (laptops, monitors, bags, etc.) unattended at your stand (especially overnight). 3.7 Cleaning and rubbish disposal All stands will be handed over in a clean condition on the evening of Mai 18th 2021. At the end of each show day, the carpet will be vacuumed and the waste baskets emptied. This service is free of charge! Should you require larger containers for greater quantities of waste, please contact technik@easyfairs.com prior to April 21st 2021. 3. Stand setup, furniture & additional orders 14
4. Construction guidelines for own stand setup 4.1 Construction guidelines Please note that you have booked a complete stand package. Exhibitors who intend to bring their own stand components must send dimensioned stand sketches (in metric measurements) with plans and views for individual stand construction to technik@easyfairs.com by March 25th 2021. Individual stand structures may only be erected with a signed approval. Constructions without a permit are not allowed and will be dismantled on site at the exhibitor's expense. Unused stand materials and/or furniture will not be refunded. Please place the stand construction materials you would like to do without on the hall aisles on the day of construction, so that our stand builder can pick them up. Should you need additional furniture, you can order it via the "My Easyfairs" portal. Electronic work may only be carried out by the official stand builder for a fee of €75,00 per started hour. In general, the maximum permissible construction height is 2.50 m. Higher construction elements up to 3.50 m may only be built with the permission of Easyfairs, and only at a distance of 1.0m from the perimeter shared with the direct stand neighbor within a block. Suspensions from the ceiling are not permitted. It is also not permitted to raise the stand floor with a full-surface platform floor without permission. The materials of the official stand builder must not be damaged in any way. Costs for the repair of material damage and/or cleaning will be charged to the exhibitor. The use of vehicles, forklifts and containers as stand construction elements in the halls is only permitted with approval by Easyfairs and may only be organised and executed by the official service partner for freight forwarding at Messe Dortmund, "Messespedition Kühne DMS". Please contact Mr. Peter Döring, phone: +49 (0)231 10 47 91, messe@kuehne-dms.de. All the regular stand build requirements must be fullfilled. No exhibits, displays or advertising material of any kind may exceed a height of 3.5 m. And they must be placed on the stand at a distance of at least 1.0 m from neighbouring stands. For security reasons all exhibition materials must remain well within the stand's perimeters. 4. Construction guidelines for own stand setup 15

Parking, badges for stand setup/dismantling & exhibitor badges 5.1 Parking and parking policy Every exhibitor will receive one free car parking permit valid for the two days of the show on Mai 19th and 20th 2021. These will be sent by post at least two weeks before the event. Should you require more than one parking permit, please order this (for an additional charge) online via "My Easyfairs". Private vehicles are not permitted in the halls under any circumstances. The use of vehicles, forklifts and containers in the halls may only be organised and executed by the official forwarding company, Messespedition Kühne DMS (For contact information, see page 5). These allow access to the exhibition halls during the setup and dismantling phases. Please register your complete personnel in the "My Easyfairs" portal. These allow access to the exhibition halls for the duration of the show. Please remember to register your stand personnel in the "My Easyfairs" portal. You will receive a confirmation e-mail in which you can find the corresponding badge's barcode. With this code, you can have your badge printed out onsite, either during the construction period or, if you are not present then, on the first day of the show at the main entrance between 08:00 and 09:00 h. 6. The "My Easyfairs" portal 6.1 Your portal The "My Easyfairs" portal is the most important platform for the preparation of your event participation. You can, among others, design your web presence, place orders on the webshop and register your personnel. You will also find a download area with all our important documentes and forms for the ideal preparation. How do you set up your "My Easyfairs" account? 1. After booking a stand, you will receive an automatic reply e-mail from noreply@easyfairs.com with the plea to activate your account using the attached link. Please check your spam box as well. If you do not receive this message 48 hours after your booking confirmation, please contact us. 2. Please click on the "My Easyfairs" button in the e-mail and set up your password. When this process is completed you will receive a confirmation of the password configuration. Afterwards, you can log in to your account at any time. 3. Participants at multiple Easyfairs events can use the same login information for all trade-shows. Have you forgotten your password? If you have forgotten your password, simply access our website and click on the "My Easyfairs" button. On the opened page, click on "Forgot password?" to receive an e-mail with a link to reset it, as described in the steps above. Appendix 4: Graphic guidelines Instructions for creating the print data (graphics) Appendix 4 Deadline: Mar. 25th 2021 The creation of print data requires specialist knowledge and the use of professional software. Trust your graphics department or advertising agency. 1. Use our templates Use our templates for Indesign and Photoshop (https://www.schweizermessebau.ch/anforderungen-druckdaten/), which already have the correct dimensions and edge areas of 15 mm. Our new layout templates make it easier for you to design across multiple module walls. All module graphics are exported individually and have a 15 mm edge area/trim (which disappears in the frame). More about this in the explanation of the border areas, please refer to the next page (No. 1.1). Important: Office programs are absolutely not suitable. The following picture shows you how you can comfortably download and use all required templates online. . Appendix 4: Graphic guidelines Appendix 4 1.1 Explanation of the trimming/bleed When using our templates, all module graphics are exported individually and automatically have a bleed. The bleed refers to a 15mm edge on all sides when creating the graphic for the wall module print. The trim/bleed is then folded over and thus contains a part of the graphic which is no longer visible after installation in the wall module. Thus it is to be considered that if you do not use our templates and plan on using a single picture which is to be printed on several wall modules, an overlay (redundancy) of this picture must be planned in the range of the bleed (see the detailed explanation). To make it more pleasant for you, we recommend that you use the templates provided by us, in which this trim/bleed area is automatically created and exported (https://www.schweizermessebau.ch/anforderungen-druckdaten/templates/). Creating the print files All colours must be created in CMYK mode* (also special colours such as Pantone or HKS), otherwise considerable deviations may occur. The working color space is “iso-coated“. In large-format digital printing, minor color deviations are technically possible. Images should have sufficient resolution to appear qualitatively appealing on the large-format walls. All data must be exported with at least 100 dpi (or more). The fonts used must be converted (vectorized) into paths in Indesign. In Photoshop everything has to be reduced to one layer.
