ABOUT THE ACADEMY MISSION STATEMENT Summit Salon Academy is passionate about delivering the kind of education that makes a difference in the lives of our students and the industry at large. Our curriculum is designed to teach not only the technical skills needed to become a Cosmetologist or Esthetician but also the essential business and customer service skills vital to growing a clientele in the professional beauty industry. In addition, we prepare our students to take the Washington State Board licensing exam. OUR STORY Summit Salon Academy referred to in this document as the Academy opened its doors for students September 18, 2006. We constantly strive to evaluate our curriculum and systems to keep up to date with the ever-changing needs of the beauty industry and today’s business climate. We are affiliated with some of the most sought after brands in the industry. We are a Redken Premier school and a Dermalogica Partnership school. In addition we are proud to be closely aligned with the Summit Salon Business Center, recognized as a leader in providing business- consulting services in all facets of the beauty industry. We’re proud of the depth of experience of our staff and ownership. We have worked in all facets of the beauty industry as stylists, estheticians, makeup artists, salon owners, distributor consultants, marketing and sales consultants, platform artists, regional trainers and more. We have a long history with the Summit Salon Business Center. One of our owners, Michael Shea, is a coach/consultant with SSBC traveling helping salons and spas to grow their business and staff. We believe this gives us a unique perspective on what it takes to succeed in the industry. We are eager to share that knowledge with our students and passionate about helping them graduate with the skills necessary to propel them forward in the industry. OBJECTIVE The objective of Summit Salon Academy is to prepare our students to enter the professional beauty industry. That means going beyond the basics and teaching customer service skills, client building skills, technical and interpersonal. We also prepare our students to take and pass the state board exams. LOCATION & OWNERSHIP The Academy is located at 3702 South Fife St. Suite B102, Tacoma WA 98409 and is owned by TSPA NW, LLC, a limited liability company in Washington owned by Karen and Michael Shea, Dan Brassfield, Brigid Peterson, and Michael and Wendy Courter. Tacoma/Pierce County has a market area population of approx.1.2 million. The community has many great places to live, work and play within minutes of the Academy. FACILITY The Academy is a 12,160 square foot facility. Students practice services in a professional salon atmosphere equipped with styling stations, nail area and skin treatment room. The admissions meeting is a great way for a prospective student to understand the Academy’s expectations of our students and the prospective student’s expectations of their education. In other words, are we the right fit for each other? We want to help you make the best decision possible about one of the most important areas of your life – your education and future career. After the meeting, we will discuss the application process. Before enrolling a prospective student for admission, the Academy provides the prospective student a copy of the Academy Catalog, Student Handbook, all required consumer pre-enrollment information, information that accurately reports the certification or licensing requirements of Washington state and the most recent accreditation annual report statistics. The Academy does not admit ability-to-benefit students. All students admitted are beyond the compulsory age of attendance for the State of Washington. Prospective student’s educational background, aptitude, and commitment to the course/program are all considered prior to enrolling a student. To enroll you will need to submit a Student Enrollment Application along with a copy of your high school transcript or GED and sign an Enrollment Agreement and pay a registration fee of $200. ADMISSIONS REQUIREMENTS In order to be admitted on the first day of class for an educational course/program, the student must have completed /provided the following documentation: ü Enrollment Application ü Valid Proof of Successful Completion of High School/Academic Achievement as evidenced by any of the items below: § Copy of the student’s valid high school transcript with graduation date or G.E.D certificate (or equivalent). § Have evidence of completion of home schooling that state law treats as a home or private school; or a copy of state-issued credential for secondary school completion if homeschooled (if applicable) ü Diplomas obtained in a foreign country, submitted by an applicant to the Academy must be evaluated by a third-party service for U.S. equivalency. Please note that any applicable fees for such an evaluation may be the responsibility of the applicant. ü Personal Identification for Proof of Age - a copy of the student’s identification, such as driver’s license, passport, or military id or birth certificate. ü Required Pre-Enrollment Forms/Policies, signed when applicable ü Enrollment Agreement, completed, signed and dated ü The Enrollment Agreement must be fully executed prior to the enrollee starting classes ü The Academy maintains the original copy of this fully executed Enrollment Agreement. ü A copy of the signed agreement is provided to the enrollee and/or parent, legal guardian (when applicable). ü $200 Registration Fee paid in full TRANSFER POLICY A Cosmetology student wishing to transfer to the Summit Salon Academy may be accepted to an educational course/program after carefully evaluating the student’s academic records. Each transfer is evaluated on an individual basis. No hours will be granted for course/programs taken during high school. Washington State Department of Licensing only allows transfer hours from schools within the state. All accepted transfer hours will be credited at the end of the course/program. Course/programs with an 85% or higher grade will be eligible for transfer hours credit with a maximum of 20% of the student’s completed hours allowable for transfer. We do not recruit students who are attending or have been admitted to other similar course/programs. A possibility exists that no transfer credit will be granted. Cosmetology transfer students will pay the current per hour cost for the remaining hours to fulfill graduation requirements. Tuition balances do not transfer from one school to another. Transfer students will still be subject to over contract fees if applicable. TERMS OF RE-ENTRY A student who must withdraw temporarily may re-enter under the following terms: • The student had satisfactory progress in both grades and attendance when the withdrawal began. • The student had extenuating circumstances that made attendance and academic progress extremely difficult which led to the withdrawal. • The student or student’s family member required medical attention that required the temporary withdrawal. • Under any one or a combination of the above conditions, the student will be re-admitted without prejudice. The Academy will charge a re-entry fee of $175.00 to students who have withdrawn and wish to re- enter more than 30 days after withdrawal. Students who withdraw and re-enter within 180 days will enter at the same tuition rate as when they withdrew. COURSES/PROGRAMS OF STUDY COSMETOLOGY OBJECTIVES Summit Salon Academy’s objective for the cosmetology course/program includes theory and practical teaching that prepares the student to perform hair, skin, and nail services on the general public. The Academy offers an 1800-hour training course/program in the cosmetology arts and sciences that meet Washington state standards. The Academy provides education in all phases of cosmetology. The graduate will have knowledge in the business skills of today’s industry as well as the theory and practical skills required by Washington state laws. The graduate will have the background and skills to take the state board-licensing exam and to work as a cosmetologist. Career paths for a Cosmetologist may be stylist, salon manager, salon owner, distributor sales consultant, platform artist and more. Students who desire to take the Cosmetology state board licensing exam for the State of Washington must complete the Academy’s required 1800 hours of training, complete all course work and graduate within the maximum time frames allowed per the Satisfactory Academic Progress Policy (SAP) and graduate with an 85% attendance and 85% theory and practical grade average. The Academy’s Cosmetology program is 1800 hours compared to the minimum 1600 hours required by Washington State. The 1800 hour program allows for 100 hours of manicuring and 100 hours of esthetics skills required by the State of Washington while leaving 1600 hours for students to practice their Cosmetology specific skills and develop their proficiency in areas relating to technical, client relationships, and critical business building skills. The graduate will have knowledge in the business skills of today’s industry as well as the theory and practical skills required by Washington state laws. The graduate will have the background and skills to take the state board-licensing exam and to work as an esthetician. INSTRUCTOR OBJECTIVES Instructor training at Summit Salon Academy includes theory, practical instruction, and business- building skills which prepare the student to instruct in licensed schools in the state of Washington. The Academy offers a 500-hour training course/program that meets Washington state law standards. In accordance with state laws up to 300 hours can be credited for proven working experience in the professional beauty industry. Such credit, if any, will be determined and acknowledged by the Academy. The graduate of the Instructor program will have knowledge in the theory and practical skills required by Washington state laws. The graduate will have the background and skills to take the state board- licensing exam and to work as an instructor. GENERAL ACADEMY INFORMATION ORIENTATION Students are provided a Student Handbook and receive an orientation to policies at the enrollment agreement signing. All course/programs have a general student orientation held during the first day of class that includes the written Program outline. CLASS SIZE Early enrollment is encouraged. Class sizes are limited at Summit Salon Academy HOURS The Academy is open Monday-Saturday plus evenings. Schedules are pre-determined which define the students’ hours of attendance. The student’s classroom and student salon area/treatment room schedule will be given at the time of enrollment. Students are allowed to clock-in up to15 minutes before the start of their schedule to allow time to set up and prepare for classes. Occasionally when in the Student Salon Area, services being performed may run over the pre-determined student schedule. In these cases the student will be allowed to complete the services and be credited with time accumulated. An Educator will always be present to supervise. CLASS START DATES Class Start Dates are shown on the Catalog Insert #1. If the Academy cancels or alters a course/program start date; the applicant can request to move any money paid to an alternate start date and does not affect the student’s right to a refund. SCHOLARSHIPS Please see Admissions office or the Academy website for available scholarship applications. Scholarships are applied to the student ledger per the terms of each issuing organization. FINANCIAL ASSISTANCE Financial assistance is available to those students who qualify. To apply for financial aid please visit the FAFSA website at http://www.fafsa.ed.gov The Academy’s federal aid school code is 041701. Payment Plans are also offered at the Academy. The Academy is approved for various chapters of VA funding and Spouse funding through MYCAA. NOTE: The Instructor program is not eligible for federal student aid. VETERANS BENEFITS Selected programs of study at the Summit Salon Academy are approved by the Workforce Training and Education Coordinating Board’s Approving Agency (WTECB/SAA) for enrollment of those eligible to receive benefits under Title 38 and Title 10, USC CATALOG RESPONSIBILITIES Each student who enrolls is responsible for reading and becoming knowledgeable of the information contained in this catalog. TEXTBOOKS AND KIT All course/program institutional charges include Textbooks/Kit costs. The Academy includes these items in the institutional charges as a convenience for the student and at a cost below competitive rates. Student may request to opt-out of including Textbooks/Kit in the institutional charges and purchase such items elsewhere by submitting to the School’s Admissions Office a “Request to Opt- Out” form. The Request to Opt-Out form is available from the School’s Admissions Office. Most of the Textbooks/Kit items are available only through suppliers that sell to licensed professionals and cosmetology schools. The textbook and kit items are non-refundable. Costs for the required Academy textbook and kit items including sales tax, shipping, and handling are listed at the end of this catalog. In order to keep learning materials current with changes in the industry and regulatory changes, the Academy, may from time to time change the selection of textbook and kit items and it reserves the right to do so at its discretion. Students must provide their own basic classroom school supplies such as stationary supplies that may include pens and pencils and notebook(s) for note taking as well as items needed for class projects. Materials for class projects will be announced in the class. Fees for the Washington State Board exam and license are paid separately to the Department of Licensing. An outline of these fees is given to students at the time of enrollment and can be found at www.dlroope.com. APPAREL REQUIREMENTS The Academy has a published Apparel Code. All students are required to attend the Academy properly attired. It is the responsibility of the students to provide their own apparel with the exception of a name badge, which is provided in the student kit. The Apparel Code is provided to the student at the time of enrollment. SCHOOL CLOSURES FOR HOLIDAYS The Academy is closed in observance of the following holidays: New Year’s Eve and Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, and Christmas Eve and Day. Dates of closures are listed on Catalog Insert #1 HOUSING SUPPORT Please contact the admissions office with questions related to local housing needs. The Academy does not offer student housing. EXTRA EDUCATION There are opportunities for additional educational events available to the Academy students. These opportunities will be announced to the student body in advance of the educational event. ACADEMIC INFORMATION GRADUATION REQUIREMENTS The following are required to graduate from any course/program: • The Academy will grant a diploma of graduation and Official Transcript of Hours for the applicable course when the student has successfully completed all phases of study, required hours, required tests, practical assignments; has a minimum 85% attendance and 85% GPA, passed a final comprehensive written and practical examination; completed the program of study according to State requirements; completed all exit paperwork; attended an exit interview and all tuition and fees owed paid in full. • GRADES • The Academy utilizes a 100-point grading scale of which 100-95% is equivalent to an “A”, 94- 90% is equivalent to a “B”, 89-85% is equivalent to a “C”, and 84-0% is not passing. Grades are given for classroom theory and practical work, projects, and student salon area performance. A student must be at an 85% or higher GPA to graduate. The student salon area grading scale is based on a 10 step process either a C for complete or an I for incomplete is given in each step: • 100%= 10 Completes in all 10 steps • 90% = 9 Completes • 80% = 8 Completes • 70% = 7 Completes • 60% = 6 Completes • 50% = 5 Completes • 40% = 4 Completes • 30% = 3 Completes • 20% = 2 Completes • 10% = 1 Complete 50% or less may warrant the student to be removed from the student salon area and returned to theory. A zero (0) will be given in each step for refusal of a guest or service. MISSED ASSIGNMENTS/EXAMS Missed assignments or exams must be made up within one week. It is the student’s responsibility to schedule a time to take the exam or assignment with their educator. After one week a grade of zero may be given and once the exam is completed 10 points will be deducted for lateness. INCOMPLETES Students may receive an incomplete from an educator when the student is attempting to learn a skill or subject but needs additional time to complete the work successfully. Students will be given timelines to complete the work and a description of the work yet to be completed. INADEQUATE GRADES Inadequate grades may indicate a lack of student ability, effort or motivation. When a student is struggling in one or more areas of study or skill level, an educator will meet with the student to discuss the situation and advise how the deficiency can be successfully completed and determine a deadline for the work to be completed satisfactorily. © 2020 TSPA NW LLC 14 SUMMIT SALON ACADEMY CATALOG 1_2020
SUSPENSION Students may be suspended for tardiness, absences, or for inappropriate behavior with a peer, staff member, or a student salon area guest. If a student is suspended, the student will be advised by staff about the existing problem and what the student must do to correct the problem. A suspension may incur an extra fee for the day. The student should be advised that missing time may result in going over the contracted end date and result in over contract charges. It is the Academy’s intention is to teach professional behavior to support the likelihood of success in the industry. The Academy accepts the responsibility to inform the student about the deficiencies and how to correct the problem. Students in Cosmetology and Evening Esthetics are allowed three incidents of suspension. Students in Day Esthetics are allowed two incidents of suspension. Any further incidents leading to suspension will result in termination of the student. TERMINATION The Student’s enrollment may be terminated by the Academy for any of the following reasons: ü Violation of state laws or regulations ü Disruptive behavior or improper conduct ü Failure to comply with any of the Academy rules or policies ü Willful destruction of Academy property; and theft or any illegal act. ü Insufficient progress; nonpayment of tuition; refusal to follow directions of educators ü Any action which causes or could cause bodily harm to a client, a student or employee of the Academy In the case of termination by the Academy, refunds, if any, will be determined in accordance with the Academy Refund Policy. The Academy will issue an Official Transcript to students who withdraw prior to course/program completion when the student has successfully completed the required exit paperwork; attended an exit interview; and made final payment of any debts owed the Academy. CAREER INFORMATION LICENSING REQUIREMENTS Licensing for Cosmetology in the state of Washington includes students completing a minimum of 1600 hours of approved training and graduating from a state approved school and passing the state board licensing exams. Licensing for Esthetics, in the state of Washington includes students completing a minimum of 750 hours of approved training and graduating from a state approved school and passing the state board licensing exams. Licensing for Instructor-trainee in the state of Washington includes completing a minimum of 500 hours of approved training and graduating from a state approved school and passing the state board licensing exams. The State of Washington may deny an applicant the ability to get a state issued license based on a criminal record. For more information, please visit the Department of Licensing website at www.dol.wa.gov LICENSE TRANSFER AND RECIPROCITY Licensed cosmetologists, estheticians and instructors from Washington State may apply for licenses in their field of expertise in other states. Graduates must comply with each state’s laws and rules to become licensed. Please consult the laws in the state in which you are seeking to be licensed. CAREER OPPORTUNITIES Licensed cosmetologists, estheticians and Instructors have many opportunities available to them in the industry. The Academy prepares all graduates for the state licensing exam and entry-level positions in salons and spas. There are additional opportunities in manufacturer sales, education, distributor sales, cosmetology school admissions and financial aid offices and front desk. In most states, one must acquire a state educator license to become an educator in a cosmetology school. EMPLOYMENT ASSISTANCE The Academy maintains contact with industry related employers in order to assist students in job placement. Although the Academy cannot guarantee job placement, every effort is made to assist graduates in securing a job. The Academy hosts a Career Fair three times a year that is designed to introduce students to prospective employers. As part of their training, students are prepared with job search skills. Job possibilities are posted in the student lounge and through Alumni social media. ACADEMY POLICIES During the enrollment process, each student is given a copy of the Student Handbook and an orientation to student policies. The student agrees to abide by the Academy policies including the standards of attendance, conduct, appearance and courtesy to all. All students attending the Summit Salon Academy must maintain Satisfactory Academic Progress (SAP), which is defined as reaching each checkpoint of training with an average theory and practical grade of 85% and 85% attendance. The Satisfactory Academic Progress Policy is detailed on page 18 and given to students prior to signing an enrollment agreement. STANDARDS OF CONDUCT Students attending the Summit Salon Academy are a reflection of the Academy. Proper student conduct is important to the culture of the Academy and to ensuring a successful learning environment for all students. Students must exemplify good grooming habits as would be expected of a professional cosmetologist or esthetician. All state cosmetology laws and rules are taught and are required to be practiced at the Academy. Lack of honesty and integrity will not be tolerated and will result in termination. ATTENDANCE POLICY Attendance is the responsibility of each and every student. It is one of the leading factors that employers look for in future employees. You are expected to attend your full contracted schedule and to complete all Academy and state-approved training within the stated time frame in your enrollment agreement including any addendums added thereafter. This policy applies to all students in all course/programs. PROCEDURE FOR CALLING OUT ABSENT If you find it necessary to be late or absent, it is your responsibility to notify the Academy by calling or texting the dedicated phone line, 253-617-7006, by: 8:30am for all Cosmetology & Instructor course/program morning start days 11:30am for all Cosmetology & Instructor course/program afternoon start days 8:30am for Day Esthetics course/program starts 3:30pm for Evening Esthetics course/program (5:30pm) starts or 8:30am for all Saturday starts. You are encouraged to miss as few days as possible. The Academy allots a certain number of approved absences as part of the student’s contracted end date. Any student going beyond this contracted end date will incur additional fees to graduate. In addition a student must graduate within 118% of the contracted end date. Allotted Approved Days Off Cosmetology The student is allotted 12 days of absence throughout their training. Instructor The student is allotted 5 days of absence throughout their training. If you exceed the allotted number of days/hours, you may incur over contract charges. Leaves of absence, school mandated closures (holidays, snow days, etc.). are not subject to the above attendance policy. Approved Absence The following must be met for the absence to be considered an Approved Absence: • Submit an educator approved absence request form at least 5 days prior to the absence or • Call or text the Academy, 253-617-7006, and speak with a staff member or leave a message by the required time stated above. Unapproved Absence The following is considered an Unapproved Absence and the student is charged financial penalties for Unapproved Absences in the amount of $77.00 per occurrence for Full Day and/or $33.00 per occurrence for Partial occurrence for not following the published policy. This fee must be paid prior to exiting and receiving state board registration codes. In addition, unapproved absences may put you past your contract completion date and result in over contract charges. • Calling out past stated times above. • Failure to call out by stated times above or submit an absence request in advance – considered a “no call / no show”. This warrants a one (1) day suspension in addition to being charged an unapproved absence fee. • Calling in to say you’ll be late, still considered a tardy, and then not showing up by the time designated in the message. • Leaving the Academy without permission TARDY POLICY Being on time is an important part of becoming a beauty professional. Students are permitted 3 tardy days in a 30-day period of time. The following is considered a Tardy: • Clocking in after your scheduled start time • Arriving in the classroom, salon area or treatment room after the scheduled start time • Clocking in late when returning from meal breaks • Exceeding the allowed break time from class or salon area. You cannot leave the Academy except for meal breaks CONSEQUENCES FOR REPEATED TARDINESS If a student exceeds three tardy days in a 30 calendar day period, an educator will discuss the situation with the student and give them a written warning. If the student is tardy more than three times again in a second 30 calendar day period the student will be suspended for one school day. In addition, students are charged financial penalties in the amount of $77.00 per occurrence for Full Day and/or $33.00 per occurrence for Partial Occurrence warranting a suspension. A Suspension may put the student past their contract completion date and result in additional over contract charges. further suspension and/or being dropped from the course/program. Maximum Suspensions Allowed There is a limit to the number of suspensions a student may incur before being terminated. • Cosmetology and Evening Esthetics students have a maximum of 3 suspensions. • Day Esthetics & Instructor students have a maximum of 2 suspensions. Any further incidents that would lead to a suspension will cause the student to be terminated. In addition, students in their initial 8-week foundation training may only miss 5 days. Any further absence may require that the student be terminated and reapply to restart the course/program. Students should refer to the Refund Policy section of their Enrollment Agreement regarding tuition due for scheduled hours at the time of termination. MISSING STUDENT POLICY A missing student is defined as a student who “no-calls/no-shows” for a scheduled day. The Academy does not provide on campus housing for students therefore is not required to establish official notification procedures for a missing student. In the event the Academy determines a student is missing, the following procedures will be taken to initiate contact with the missing student. If no contact is established with the student after fourteen (14) calendar days, this policy will be applied to define the date of determination for an unofficial withdrawal notification. Procedure for Missing Student: 1) Student attendance at the Academy is tracked by using the Time Clock system. The time clock is used to determine attendance records for all students and to alert staff of student absences. 2) The Academy staff makes reasonable efforts to contact a missing student if the student has made no attempt to contact the Academy to report an absence. 3) If the student fails to report an absence, Academy officials reference the student’s voluntary contact information from the Enrollment Application to initiate contact, which may include but are not limited to: a. Calling the student’s contact phone number b. Calling the emergency contact person(s)/references /or parental contact information c. Attempting to contact the student via email or text messaging 4) In the event the Academy is unsuccessful in making contact with the student over fourteen (14) calendar days, the Academy will start the official withdrawal proceedings. 5) The date of determination will be the date the Academy determines a student is withdrawing whether by official or unofficial notification. 6) The withdrawal date will be the student’s last date of attendance in the Academy and will be used in the refund calculation(s). SATISFACTORY ACADEMIC PROGRESS POLICY (SAP) Summit Salon Academy establishes a reasonable Satisfactory Academic Progress policy (SAP) for determining whether an otherwise eligible student is making SAP, in all courses, and may receive assistance under the Title IV, HEA programs. The Satisfactory Academic Progress Policy is consistently applied to all students (including students who are not receiving Title IV), enrolled in both full time and part time courses at the Academy. Academic progress is evaluated at check–points that have been established for the course. Student Handbook and all students receive a copy prior to enrollment. The policy complies with the guidelines established by the National Accrediting Commission of Career Arts and Sciences (NACCAS) and the federal regulations established by the United States Department of Education. To achieve SAP the student must achieve an 85% attendance and 85% cumulative grade average at all checkpoints. The student receives a course outline at the beginning of their course, which details the pace at which the student needs to progress to complete the course within the maximum time frame. The students’ GPA and pace of completion are affected by course incompletes, withdrawals, repetitions or transfers of credit from other institutions. At the time of each evaluation, a student who has not achieved the required GPA or who is not successfully completing the course in the required time frame, is no longer eligible to receive assistance under Title IV HEA programs unless they are eligible to be placed on financial aid warning or on financial aid probation. A student on financial aid warning may continue to receive assistance, for one payment period despite not making SAP. Financial Aid Warning status may be assigned without an appeal or other action by the student. If the student does not reach SAP by the checkpoint following Financial Aid Warning, the student may be placed on Financial Aid Probation, pending approval of an appeal. If the appeal is approved and probation granted, the student may receive Title IV funds for one payment period. At the end of one payment period on financial aid probation, the student must meet SAP standards. A student who appeals a determination that he/she is not making SAP will need to reestablish his/her eligibility to receive Title IV. A student may file an appeal on a death of a relative, an injury or illness of the student or other allowable special circumstances. If Summit Salon Academy permits a student to appeal the determination, the student will describe how he or she will reestablish eligibility and the basis on which the appeal was filed, (death of a relative, an injury or illness of the student or other allowable special circumstances). Information submitted must include what has changed in the student’s situation that will allow the student to demonstrate SAP at the next evaluation. If Summit Salon Academy does not permit a student to appeal a determination, the student will have to pay cash to continue their course. The student will be notified of the results of an evaluation. EVALUATION PERIODS If at one of the below checkpoints/evaluations, the student is not making SAP, the student will follow the warning and probation requirements as established in this policy. Evaluations will determine if the student has met the minimum requirements for SAP. ATTENDANCE PROGRESS EVALUATIONS Students are required to attend a minimum of 85% of the scheduled hours possible based on the applicable attendance schedule, in order to be considered maintaining satisfactory attendance progress. Evaluations are conducted at the end of each evaluation period to determine if the student has met the minimum requirements. The attendance percentage is determined by dividing the total hours accrued by the total number of hours scheduled. At the end of each evaluation period, Summit Salon Academy will determine if the student has maintained at least 85% cumulative attendance since the beginning of the course which indicates that, given the same attendance rate, the student will graduate within the maximum time frame allowed. MAXIMUM TIME FRAME The maximum time allowed for transfer students who need less than the full course requirements or part-time students will be determined based on 85% of the scheduled contracted hours. The maximum time frame in which a full time cash paying student or financial aid student (to receive Title IV Aid) can complete the course is no more than 118% of the course length, allowed for students to complete each course at SAP is stated below: Maximum Time Frame in Hours Course FT/PT Hrs./Wk. Students are assigned academic learning and practical experiences. Academic learning is evaluated after each unit of study. Practical assignments are evaluated as completed. Practical skills are evaluated according to written procedures and set forth in practical skills evaluation criteria adopted by the academy. Students must make up missed tests and incomplete assignments. Students must be at a minimum 85% GPA to graduate. The following grade scale is utilized for theory evaluation which utilizes a 100-point grading scale: A 95 – 100% Excellent B 90 – 94% Very Good C 85 – 89% Satisfactory Not Passing 84.9% and Below Unsatisfactory, Does not meet standards Letters are given for practical skill evaluation. Evaluation is marked as a “C” for completed steps or an “I” for in-completed steps. A zero will be given in each step for refusal of a guest or service. Incompletes Students may receive an, “I” for incomplete from a educator when the student is attempting to learn a practical skill but needs additional time or practice to complete the work. Inadequate Grades When a student is struggling in one or more areas of theory or practical skills, the educator will advise the student on how the deficiency can be successfully completed and determine a deadline for the work to be completed satisfactorily. DETERMINATION OF PROGRESS STATUS Students meeting the minimum requirements for academics and attendance at the evaluation point are considered to be making SAP until the next scheduled evaluation. The report is maintained in the student’s academic file. Students deemed not maintaining SAP may have their Title IV Funding interrupted, unless the student is on warning or has prevailed upon appeal resulting in a status of probation. WARNING Students who fail to meet minimum requirements for attendance or academic progress are placed on warning and considered to be making SAP while during the warning period. The student will be advised in writing on the actions required to attain SAP by the next evaluation. If, at the end of the warning period, the student has still not met both the attendance and academic requirements, he/she may be placed on probation pending an approved appeal and, if applicable, students may be deemed ineligible to receive Title IV funds. PROBATION Students who fail to meet minimum requirements for attendance or academic progress, at the next checkpoint after the warning period may appeal to be placed on probation. If the student is successful in the appeal they will be placed on probation and considered to be making SAP during the probationary period. Additionally, only students who have the ability to meet the SAP policy standards by the end of the evaluation period may be placed on probation. Students placed on an academic plan must be able to meet requirements set forth in the academic plan by the end of the next evaluation period. Students who are progressing according to their specific academic plan will be considered making SAP. The student will be advised in writing of the actions required to attain SAP by the next evaluation. If at the end of the probationary period, the student has still not met both the attendance and academic requirements required for SAP or by the academic plan, he/she will be determined as NOT making SAP and, if applicable, students will not be deemed eligible to receive Title © 2020 TSPA NW LLC 22 SUMMIT SALON ACADEMY CATALOG 1_2020
IV funds. Students who are not eligible to receive Title IV funds, can remain enrolled only by cash paying. The cash paying student must be eligible to graduate within the maximum time frame. RE-ESTABLISHMENT OF SATISFACTORY ACADEMIC PROGRESS OF FINANCIAL AID Students may re-establish satisfactory academic progress and Title IV aid, as applicable, by meeting minimum attendance and academic requirements by the end of the warning or probationary period. INTERRUPTIONS, COURSE INCOMPLETES, WITHDRAWALS If enrollment is temporarily interrupted for a Leave of Absence, the student will return to school in the same progress status as prior to the leave of absence. Hours elapsed during a leave of absence will extend the student’s contract period and maximum time frame by the same number of days taken in the leave of absence and will not be included in the student's cumulative attendance percentage calculation. Students who withdraw prior to completion of the course and wish to re-enroll will return in the same satisfactory academic progress status as at the time of withdrawal. RE-ENTRY/INTERRUPTIONS All students who are approved for re-entry enter at the same SAP level as when they withdrew. Students who drop and re-enroll within 180 days will enter at the same tuition rate as when they withdrew until the student reaches the next checkpoint as listed on the Satisfactory Academic Process Policy. For the remaining period of enrollment beyond the closest checkpoint at time of re-entry, tuition will be at the current level as per stated in the applicable catalog at the time the student re- enrolls. Tuition costs under the enrollment agreement are reflective of the program hours that must still be taken, after giving hours for work performed in the student’s earlier enrollment. APPEAL PROCEDURE If a student is determined to not be making SAP after warning, the student may appeal the determination within five (5) calendar days. Reasons for which students may appeal a negative progress determination include death of a relative, an injury or illness of the student, or any other allowable special circumstance. Appeals will be reviewed on a case by case basis. The student must submit a written appeal on the designated form describing why they failed to meet SAP standards, along with supporting documentation of the reasons why the determination should be reversed. This information should include what has changed about the student’s situation that will allow them to achieve SAP by the next evaluation point. The number of appeals is limited by the length of the program. The student may continue to attend classes during the appeal process, however; if the student must withdraw due to loss of an appeal, the student’s refund calculation will be based on the student’s last day of attendance. Appeal documents will be reviewed and a decision will be made and reported to the student within 5 business days. The appeal and decision documents will be retained in the student file. If the student prevails upon appeal, they will be placed on probation and federal financial aid will be reinstated until the following checkpoint, if applicable. Appeal approval is an acknowledgement that because of documented unusual circumstances the student continues to be eligible for aid even though she/he fell below standards. If the students appeal is accepted and the student fails to meet the outlined plan, the student will lose Title IV eligibility and can only continue if the student is attempting to comply with cumulative SAP standards and pays cash for their next payment period’s tuition, even if prior to the next checkpoint. If the student achieves SAP by the checkpoint following financial aid ineligibility, the student may have their financial aid reinstated for the next payment period included in the student’s training. NONCREDIT, REMEDIAL COURSES, REPETITIONS Noncredit and remedial courses do not apply to this institution. Therefore, these items have no effect upon the school's satisfactory academic progress standards. TRANSFER HOURS POLICY (see Page 5) With regard to SAP, a student’s transfer hours will be counted as both attempted and earned hours for the purpose of determining when the allowable maximum time frame has been exhausted. Transfer hours are not included in the students SAP calculation as SAP evaluation periods are based on actual contracted hours at the academy. DISMISSAL DUE TO UNSATISFACTORY PROGRESS A student, who was dismissed from the Summit Salon Academy due to unsatisfactory progress, may appeal the dismissal to an owner in writing within 5 business days of the dismissal date. The owner will make a determination within 5 business days of receipt of the appeal and will respond to the dismissed student in writing. If the appeal is approved, the student will be re-admitted to the Summit Salon Academy, however; the student will follow the same Financial Aid Warning and Financial Aid Probation policies if applicable, upon re-entry. The student must achieve cumulative SAP by the next checkpoint in order to be eligible for Title IV aid in the next payment period and to remain enrolled at the Summit Salon Academy. LEAVE OF ABSENCE • An authorized Leave of Absence (LOA) is a temporary interruption in the student’s course/program of study that has been approved by the Academy. • The LOA refers to a specific period of time in which a student is not in attendance. • An LOA is not required during an institutional break, however; a scheduled break may occur during an LOA. • An LOA must meet certain conditions to be counted as a temporary interruption instead of being counted as a withdrawal, which would then require the Academy to perform a withdrawal calculation. • The Academy will not assess the student any additional charges as a result of the LOA. • A student who must take an approved Leave of Absence (LOA) or must withdraw from training for nonacademic reasons may return to the Summit Salon Academy with no loss of SAP if the student was making SAP when the student left. • To qualify for an authorized LOA: • The student must follow the Academy’s Leave of Absence Policy when requesting an LOA. • There must be reasonable expectations that the student will return from the LOA. • The LOA must be requested and approved in writing according to the Academy’s LOA Policy and prior to LOA occurring unless there is an unforeseen circumstance that would prevent the student from requesting in advance. • The student is required to list the reason for the LOA. • The LOA must be dated and signed by the student. • Emergency LOA, without prior written request, may be granted provided the student completes the LOA form and returns it to Summit Salon Academy via mail or in person within a reasonable resolution of the emergency. © 2020 TSPA NW LLC 24 SUMMIT SALON ACADEMY CATALOG 1_2020
