Mobile Alumnae Chapter Delta Sigma Theta Sorority, Incorporated Meeting Minutes Saturday, November 7th, 2020 I. Call to Order First Vice President, Dr. Roxanne Hannon-Odom, called the meeting to order at 10:06 am, establishing a quorum. Soror Hannon Odom asked that chapter members take a moment of silence for President Voncile Cunningham as she is attending her sister's memorial service. II. Inspirational Word- Soror Djuna Moore III. Adoption of Agenda First Vice President Hannon-Odom stated the agenda would be adopted by common consent. There was no discussion. Discussion: None Action: Adopted by common consent IV. Approval of October 2020 meeting minutes First Vice President Hannon-Odom mentioned meeting minutes were sent via Constant Contact on October 24th, 2020 (Executive Board) and October 26th, 2020 (Chapter Members) Discussion: Several Sorors (Beatrice Morse, Sandra Kennedy-Owes, Denise King, Danita Holland Autry, Violet Lowery, Patricia Johnson, Tierra Dean, Veronica Davis, Monica Motley) stated they did not receive chapter communications when sent via Constant Contact. Action: Motion by Soror Emily Daniel Robinson to accept October's meeting minutes with the necessary corrections and Seconded by Soror Hattie Randall. V. Correspondence- Soror Hattie Randall 1. Thank you card from the family of the late Jean Simpson Sanderson 2. Thank you card from Samuel Marvin Parson for appreciation/graduation 3. Thank you card for the support shown Emma Louise Smiley Discussion: First Vice President Hannon-Odom asked members to keep those families who have lost loved ones in prayer as we should for all of our sorors. Action: None taken 5. Mercedes Pearson, a recent graduate of Miles College having majored in Mathematics, would like to join the Mobile Alumnae Chapter. Discussion: The Membership Services Committee will make contact with Soror Pearson. Action: None taken 6. NAACP renew dedications toward the continuation of BLM movements and other initiatives that spotlight injustices across the nation that will bring forth a better tomorrow. 1
Mobile Alumnae Chapter Delta Sigma Theta Sorority, Incorporated Discussion: The NAACP's request for a donation was looked into by the MAC Executive Board and confirmed by the Treasurer that a recent contribution in the amount of $250.00 was sent in September to the NAACP Empowerment Program. Action: None taken 7. USA Health Alumni Relations academic help center is requesting donations. ($50, $100, $500, $1000) Discussion: None Action: None taken VI. Reports of Officers 1. The report will be filed for audit. 2. Treasurer Report- Soror Andrea Love-Robinson October and November reports will be read at the December Chapter meeting Discussion: None Action: N/A Operations 3. President Voncile Cunningham’s Report is read by read by First Vice President Soror Hannon- Odom. A. Attire: Please be mindful of attire for chapter business meetings. Professional/business attire is required even while conducting meetings through the virtual platform. Sorors should refrain from wearing hats or caps of any kind. B. Committee Chairs (Operations) • The deadline to submit calendar activities is November 18th. • President Cunningham is responsible for overall operations. • First Vice President Hannon-Odom is responsible for Program Planning and Development. • Second Vice President Robinson is responsible for Membership Services. 2

They will report the findings during next month's Executive Board meeting. D. Communication Distractions: Soror President Cunningham asks that sorors not text her during meetings, which causes a distraction. The exception is the Parliamentarian. Before and after the chapter meeting is when calls and texts are welcome. E. CLDC Property Damage/Clean-up: Due to the two most recent storms (Sally and Zeta) that affected our property, there was damage and debris clean-up needed both at the CLDC and the lot across the street. Discussion: Two recent hurricanes damaged properties at the CLDC and a vacant lot. Soror Hannon-Odom addressed an amended proposal for $600 to clean-up debris. Business: Lakerman Lawn Service Action: Motion by Soror Jerryln London to accept the amended proposal and Seconded by Soror Charmayne Watson. Vote: 79 Sorors (66 Yes, 0 No and 0 Abstention) F. A delta gift box was given to Soror Beverly E. Summerlin as a token of recognition and appreciation for her leadership and dedication to the Chapter during the four years as Chapter President. The box included: desk plaque with name and years of as chapter president engraved, vote shirt, vote pin, bling masks, and cards. G. University of South Alabama: Hosting a virtual Veteran's affair on November 11th from 12noon-1pm, and Soror Hannah Hart will be a featured panelist. President Cunningham is asking sorors to register and plan to attend H. New Appointment: Soror Joy Washington has accepted the appointment to serve as Information, Communications and Technology Chair of MAC and will be the Chapters Public Relations Chair. 4. Compassionate Care- Soror Gloria Davis The Compassionate Care Committee's goal is to serve as a liaison between the Chapter and those sorors who need, will accept, and/or request our assistance. The targeted group includes sorors who are Delta Dears, live alone, serve as caregivers, do not have emails, or cannot attend Chapter meetings regularly. To avoid duplication, we plan to collaborate with the Courtesy Committee, the Council of Chaplains, and the Membership Services Committee. 3

Share chapter announcements from calling posts and emails. 3. Remind sorors of upcoming Chapter events. 4. Collect and deliver any Chapter handouts. 5. Remind sorors when dues or other subscriptions are due. Sorors who would like to join the Committee and/or take advantage of either services should call or text Soror Gloria Davis at 251-605-0579 or send an email to davis230@bellsouth.net. 6. Courtesy- Soror Shawanda Andrews-Colston The following courtesies were extended for October: • Sympathy cards were mailed to Soror Jacquitta Powell Green, following the passing of her mother-in-law, Mrs. Olivia Bradley Green. Sorors Elizabeth Levins, Beverly E. Summerlin, and Shana Levins received a card following the passing of their aunt and great aunt respectively, Mrs. Lizzibell Monica Andrews Hunt. • A Peace Lily was delivered to Serenity Funeral Home in memory of Ms. Annie Kirksey Harbin, mother of Soror Ann Dreda Blair. • A Dish Garden was given to Soror Doris Bell due to an extended illness. 6. Information, Communication and Technology- Soror Denita Reed Committee has participated in two virtual training/planning meetings. Priority is ensuring that valid email addresses and telephone numbers are on file for all active sorors. Since the October chapter meeting, 12 notices were sent via Constant Contact (six bereavement emails and six announcements). Make note that messages sent on October 24th and October 26th included chapter minutes, organizational chart, and committee members list. If you did not receive these, please check your spam folder. If needed, visit the Sisters Only portal on the National website to confirm and/or update your contact information. 4

Internal Audit- Soror Beatrice Morse Members of the Internal Audit Committee (IAC) of MAC participated in one of the webinars presented on October 12, or 18, 2020, by the National IAC. Collection of documents (identified during those sessions) as required for our work has begun but is not yet complete. The Committee anticipates that all pertinent documents will be located and collected this week. Because of the pandemic and the delay in transition, there was a delay in the delivery of documents from outgoing officers to newly elected officers. However, it is likely that the December deadline for entry into the Red Zone can be met. 8. Journalist- Soror Deborah Kim Studdard MAC newsletter will be distributed December 15th, 2020, via Constant Contact. 9. Protocol and Traditions- Soror Stephanie Streeter The goals are to educate chapter members regarding expectations and principles noted in the Protocol and Traditions Manual (2011) during monthly Chapter meetings and propose revisions per the Chapter’s Policies and Procedures. 10. Ritual and Ceremonies- Soror Harriett Montgomery The Ritual and Ceremonies Committee would like to know are there any sorors who do not have a 12th Edition of the Ritual. If yes, please purchase one. The cost is $20.00. The deadline to mail your subscription to the Chapter's P. O. Box is Friday, November 27th, 2020. Please send your order to P. O. Box 2313, Mobile, AL, 36652. The Committee will meet with the Finance Team after chapter meeting, December 5th, 2020. We will only order the number of rituals that are paid for in advance. The Committee will place an order four Rituals, one for use on the head table during chapter meetings. Three will be reserved for Omega Omega Services. The Committee is still in search of shorter white robes to add to the robes we currently have. 11. Rules of Order (Policies and Procedures) -Soror Felecia A. Dailey Members of the Policies and Procedures Committee have been charged with monitoring the Chapter's adherence to Policies and Procedures. In accepting this charge, committee members are committed to receiving and evaluating recommendations for changes in the Chapter's Policies and Procedure. Additional responsibilities: • Receiving and evaluating recommendations for changes in the Constitution and Bylaws and the Chapter Management Handbook. • Present to the Chapter revisions and amendments to the Chapter Policies and Procedures. • Present to the Chapter recommendations for changes in the Constitution and Bylaws, and the Chapter Management Handbook. The changes adopted by the membership at the June 2019 Chapter meeting are pending approval from Scholarship and Standards. 5
Mobile Alumnae Chapter Delta Sigma Theta Sorority, Incorporated The Committee is working expeditiously to finalize directives from Scholarship and Standards to move the Chapter forward with receiving an approved revision to the Chapter's current October 2017 revision of Chapter Policies and Procedures before the December chapter meeting. The Committee maintains an open line of communication with the Southern Region Member of Scholarship and Standards. The Committee will provide complete transparency to chapter members regarding the Chapter's Policies and Procedures and Rules of Order Form. Chapter members may anticipate the Committee's call for recommended changes to Chapter policies and procedures at the December Chapter meeting. Members will have 30 days to submit any recommended additions, deletions, or changes. Program Planning and Development 12. First Vice President Roxanne Hannon-Odom A. MI: A request has been made for the Chapter to continue with membership intake. This request is being reviewed for consideration by Regional Director Deidra K. Diaz. President Cunningham and First Vice President Hannon-Odom attended a virtual meeting with Soror Diaz and her team to discuss where the Chapter currently stands in the MI process and are waiting to hear back. As information becomes available, it will be released to Chapter members. 13. Delta Academy- Soror Motricia Burks Applications were mailed to Mobile County public, private and parochial school counselors on October 12th with a deadline of October 31st. Delta Academy received a total of 30 applications. Orientation will be held November 14th. All applicants MUST be in attendance. 14. Delta GEMS- Soror Beanner Powe Report given by Soror Motricia Burks Applications were mailed to Mobile County public, private and parochial school counselors October 12th with a deadline of October 31st. Economic Development- Soror Shirley Sessions The Economic Development Committee's goal is to utilize Grand Chapter's Financial Fortitude Initiative that addresses a path for its members and communities at large to become debt-free. The Economic Development Committee met Saturday, October 17th, 2020, during MAC's Planning Retreat. Building on the momentum established in 2019, the Committee will continue the Dfree platform to address specific topics such as Goal Setting, Financial Planning, Budgeting, Debt Management, Savings & Investments, Retirement Planning, Homeownership, Insurance, Estate Planning, and Entrepreneurship. The committee will develop and collaborate with organizations and individuals who will provide their expertise to address financial topics through community forums and workshops held virtually. Impact: The Committee will spread the message of financial empowerment throughout the local communities with the use of digital and traditional news media to promote specific events. Economic Development Committee meeting - 1st Tuesday of each month via zoom at 6:30 pm. Meeting dates are the following: November 3rd December 1st January 5th April 6th Three free online workshops will be held for one hour. Encourage chapter members to sign up, using the registration link via Constant Contact. The following sessions are the following: October 22nd – “Budget & Debt Management.” November 19th – “Are you drowning in debt?” December 17th – “Is Your Financial House in Order?” The Economic Development Committee will host Several Financial Fitness Workshop March 2nd (Delta Dears) April 13th (Everyone) April (Youth) Tentative based on their meeting schedule. Minority Small Business Directory Committee Task with the development of MAC Minority Small Business Directory. Business must be: • Licensed • Companies specializing in Greek items must be an approved National vendor • Develop a profile 7
Mobile Alumnae Chapter Delta Sigma Theta Sorority, Incorporated 16. Emergency Response Team (ERT) - Soror Portia Payne Are You DELTA Ready MAC! The ERT committee met on Thursday, October 22nd via ZOOM and discussed the following: • RED Envelopes: Distribution and use of the red envelopes for easy access to medical information has been a success. The Committee agreed to continue the project, mainly providing envelopes to our more than 22 reclaimed sorors. • Emergency Red Binder • General Safety Message: Once in-person sorority meetings resume, we will again make general safety announcements before the start of each session. • Complete the Emergency Response Plan – Life Safety • Active Shooter drills and fire drills are postponed due to virtual meetings. Calendar: The ERT committee is submitting the following suggestions for activities for the 2020 – 2021 sororal year: • Demonstrate how to build an Emergency Safety Kit for individual homes. A list of all the necessities needed in case of hurricanes or other disasters will be available for sorors. Items can be placed in a bin, fire-proof box, or duffel bags. The ERT committee will encourage all chapter members to prepare a kit for their homes. (December 2020) • Train chapter members on proper handwashing techniques and the use of gloves and masks. (November 2020) • Collaborate with Compassionate Care and Membership Service committees to create an Emergency Buddy Plan or Calling Tree. E.R.T. will work to create a calling tree whereby members, particularly Dears who are isolated, may be contacted regularly, and more during a disaster. • As ERT is now a Standing committee and the Committee plans to submit a budget in the Spring. • The Committee will meet every third Thursday of each month at 7 pm. • CDC recommends that people wear masks in public settings, like on public and mass transportation, at events and gatherings, and anywhere they will be around other people. • Handwashing is one of the best ways to protect yourself and your family from getting sick. The ERT committee is requesting to make this information available on the Chapter's website…how to wear a mask correctly, proper handwashing techniques, and when to wear gloves. The ERT committee is requesting Chapter to be Delta Ready by committing to support each other in the face of this health crisis. May God Bless you! Stay safe! 8

Physical and Mental Health- Soror Veronica Davis The committee held its first meeting on Thursday, October 15th at 7 pm via zoom with four Sorors in attendance. Our retreat breakout meeting had seven Sorors in attendance. Election DeStress Tips were sent to Sorors via constant contact Friday, October 30th. Sorors are encouraged to be intentional about incorporating stress management activities each day to help improve overall wellness. The Committee plans to submit wellness tips regularly, so Sorors, make sure to be on the lookout for these valuable wellness ideas. All Sorors are welcome to join the Physical & Mental Health Committee. The committee will meet each 3rd Thursday. The next meeting is Thursday, November 19, 7 p.m. Current Calendar Event: St. Jude Walk donations are still being accepted. Our Goal is $500.00. The deadline for donations is December 31st. Political Awareness and Involvement- Soror Annette Lucas Committee had planned a Get Out to Vote event. However, due to the pandemic, the event was cancelled. The Committee sold 26 vote shirts in support of the presidential election. Sorors supported a Striker event that assisted people throughout the city to register to vote. Sorors also volunteered by making calls via phone banks, absentee/early voting, and providing transportation to 21 individuals in need of getting to and from the polls. 19. Scholarship- Soror Kimberly Walker The committee met during the virtual Planning Retreat. Discussion included creating an electronic application for scholarships due to COVID guidelines, identifying alternatives to award scholarships, and reviewing an opportunity to collaborate with the Fundraising Committee and DREAM to generate more funding for scholarships. Additionally, a request is being made for all chapter members to please donate $50 or more toward the scholarship fund payable through DREAM. Donations made through DREAM are tax-deductible. 20. Sparkling Jewels- Soror Eleanor Martin Committee met October 22nd. Electronic applications were sent to Mobile County public, private and parochial school counselors on November 2nd. To date, 16 applicants have expressed interest. Additional sponsors are needed. The Committee is asking that sorors be willing to sponsor a jewel. The deadline for accepting applications is November 13th. Membership Services 9
Mobile Alumnae Chapter Delta Sigma Theta Sorority, Incorporated 21. Second Vice President Emily Daniel Robinson A. Risk Management: Volunteer applications were distributed October 19th to those who currently serve as youth group volunteers. Face-to-face interviews were held November 2nd, 4th and 6th, which is part of the process for volunteer approval. Special Thank You to Sorors Mary Carmen Williams, Motricia Burks, Portia Payne, Beanner Powe, and Sharon Inge as they assisted with conducting the interviews, which can be time-consuming. Reference checks have started. Training is scheduled for November 12th at 6:30 pm. 22. Founders Day- Sorors Valerie McGrew and Charmayne Watson Founders Day Committee met via Zoom Saturday, October 24th at 10:00 am. There were 16 of 24 members present. To honor our 22 Founders, the Committee decided to focus on service by making monetary donations to 4 charitable organizations with a minimum of $500 each. A request for financial support from the DREAM Foundation has been submitted. Sorors are invited to contribute $19.13 payable to the DREAM Foundation (to receive a tax deduction). A video is scheduled for release on January 13th, 2021, as a tribute to our 22 Founders. Additional Founders Day guidelines from Grand Chapter are forthcoming. The chosen charities are McKimmie Place, Penelope House, Mobile Optimist Boy & Girls Club, and the Dearborn YMCA. The Founders Day Committee will meet monthly on the 2nd Wednesday. 23. Membership Services- Sorors Bessie McMillion Membership Services is in the process of reconciling Chapter Members' information in the Red Zone. Members who are not receiving communications should go to the Sisters Only Portal and update your profile (i.e., birthday, email, and phone numbers.) November Birthday cards have been mailed. The Committee will hold its next meeting on November 12th. VII. Unfinished Business None VIII. New Business Discussion: Motion made by Soror Jerrlyn London that the Executive Board be permitted to make monetary decisions brought to the Chapter up to $1000.00 before bringing it to the body. Soror Dailey stated the Policies and Procedures Committee would call for recommendations at the December Chapter meeting and asked that this request be tabled. Action: None taken 10

The Arts and Letters Committee Meeting will be held Thursday, November 12, 7 p.m. More information will be sent later from Soror Sylvia Bettis, chair B. DREAM Foundation: The Virtual Draw Down will be held on Saturday, January 16th. The new feature is insurance, which will allow for your name to be drawn twice. Insurance is $25. If a ticket is purchased between now and Saturday, November 14th,, insurance will be FREE. Tickets are $100 and can be purchased online or at the CLDC on Saturday, November 14, 10 am- 12noon. Each member is asked to sell three tickets. The next board meeting will be held Wednesday, December 2nd. X. Closing Prayer- Soror Djuna Moore XI.
