Local Arts Scheme Subcommittee Meeting Minutes 12 March 2020 Minutes of Timaru District Council Local Arts Scheme Subcommittee Meeting Held in the Meeting Room 1, District Council Building, King George Place, Timaru on Thursday, 12 March 2020 at 12.30pm Present: Cr Richard Lyon, Cr Stu Piddington, Ms Jan Finlayson, Ms Kera Baker, Mrs Margaret Foley, Ms Alice Sollis, Mrs Elaine Taylor In Attendance: Grant Hamel (Customer Services Manager), Lucy Johnson (Executive Assistant People and Digital) 1 Apologies There were no apologies 2 Identification of Items of Urgent Business There were no urgent business items identified 3 Identification of Matters of a Minor Nature Committee members to reapply by 15th April 2020 if they want to be reconsidered fot the Local Arts Subcommittee Clouds project accountability form query page 19 4 Declaration of Conflicts of Interest Alice Sollis – South Canterbury Drama League – is a Board member and will be excluded for the consideration of their application. Richard Lyon – Southern Alps Country Music – is presenting awards – the subcommittee agreed that this is a not a direct conflict of interest Kera Baker – Ka Toi Maori o Aoraki – has connections with Arowhenua Marae, which is associated with Flava – the subcommittee agreed that this is not a direct conflict of interest. Margaret Foley – South Canterbury Drama League 5 Confirmation of Minutes 5.1 Minutes of the Local Arts Scheme Subcommittee Meeting held on 5 December 2019 Committee Resolution 2020/20 Moved: Ms Jan Finlayson Seconded: Mrs Elaine Taylor That the Minutes of the Local Arts Scheme Subcommittee Meeting held on 5 December 2019 be received and noted. Local Arts Scheme Subcommittee Meeting Minutes 12 March 2020 Carried 6 Reports 6.1 Correspondence Received 1. To present correspondence from recipients of Creative Communities funding. Committee Resolution 2020/21 Moved: Ms Kera Baker Seconded: Mrs Margaret Foley That the correspondence be received and noted. Carried 6.2 Funds Available 1 To inform the Local Arts Scheme Subcommittee of the funds available for distribution. Committee Resolution 2020/22 Moved: Mrs Margaret Foley Seconded: Mrs Elaine Taylor That the information be received and noted. Carried 7 Consideration of Urgent Business Items There were no urgent business items needing consideration 8 Consideration of Minor Nature Matters Discussion around the members reapplying for the Local Arts subcommittee – there is a requirement for current members Alice and Elaine to reapply for these poisitions if the wish to be considered for the subcommittee for the next term. These applications need to be sent in by 15 April 2020. This has been advertised to members of the public also. Discussion around the Clouds project that was held at the Art Gallery – there were two events on at the Art Gallery on this evening – Grant to follow up with Sharon Taylor (Group Manager Community Services). Local Arts Scheme Subcommittee Meeting Minutes 12 March 2020 10 Public Excluded Reports 10.1 Overview of Funding Applications 10.2 Public Excluded Minutes of the Local Arts Scheme Subcommittee Meeting held on 5 December 2019 11 Readmittance of the Public 12 Funding Application Decisions Recommendation The Subcommittee resolved that the following decisions, made with the public excluded, be made public: The following applications were approved: Donald McCully - $1,200.00 Towards the running costs of the “Comedy of Terrors Play” Timaru Boys High School - $3,000.00 Towards the lighting and sound costs of the School production Grease 2020 Ka Toi Maori o Aoraki Inc. Society - $5,000.00 Towards costs of the Kapa Haka festivals for Schools – FLAVA 18/09/2020 and Korohi O Te Pepi 22- 23/10/2020 South Canterbury Drama League - $4,000.00 8 Live Theatre performances – “Curtains” 25/03/2020 to 04/04/2020 Southern Alps Country Music Assn Inc - $1,071.86 Annual Country music competition 11-12/04/2020 Caroline Bay Hall and Community Lounge This application was withdrawn on the 12 March 2020 and the event has been cancelled due to Covid-19 The meeting closed at 1.41pm. ...................................................
