MIDLANDS & EAST SPREE 2015 – INFORMATION AND BOOKING FORMS WHAT IS SPREE? Spree is a crazy weekend of activities coupled with a worship and teaching programme designed to encourage young people (8-15) to either take the first step of faith or move forward in their spiritual journey. It’s organised by Urban Saints in partnership with Rock UK and is specifically designed to allow children’s and youth leaders to bring their groups away, to build relationships, have fun together and allow space for everyone to meet with God. You don’t need to be connected to Urban Saints to come to Spree ... you just need to be up for having a great time! THE PROGRAMME Registration opens at 4.30 pm on Friday 3rd July. Most people aim to arrive between 4.30 pm and 7.30 pm. The first session does not start until 9.00 pm but we run a free mega-barbecue leading up to this ... so, whatever your catering option, you do not have to worry about food on the first evening. We then have some time in the teaching and worship venues which are divided into under-11s, 11+ and a 'Going Deeper' option for those young people who have already made a commitment. The sessions are fun, interactive and challenging. Then it’s straight into our Late Nite programme which may include a night walk, games, movies, youth café and prayer activities. Saturday and Sunday sees activities such as canoeing, raft- building, King Swing, abseiling, archery, football, giant inflatables, crafts, workshops ... plus a few surprises and more time to meet with God. Spree ends at 3.00 pm on Sunday 5th July. ACCOMMODATION AND CATERING OPTIONS Fees, which apply to young people and leaders, include activities and mega-barbecue. Leaders are welcome to participate in all Frontier Centre activities. Places can be reserved for a deposit of £15 per person up to 31st March [free for Service Crew], after which full fees are required. 2. • A bursary scheme is available to young people or leaders who may struggle to pay the full fees. Contact us if you require details. • We are committed to making Spree as accessible as possible for young people with additional needs so please talk to us if have any queries about this in relation to any members of your group. • Leaders’ children under the age of 8 may attend Spree for free if the group is camping self-catered or camping catered or for £18.00 if indoors and occupying a bed (free if in their own cot). • If required, tents may be set up on prior to the event, starting either on the evening of Thursday 2nd July from 5.00 pm to 10.00 pm or from 9.00 am to 4.30 pm on Friday 3rd July, but under 16s are not allowed on site before 4.30 pm on Friday. • For those staying indoors, all rooms have a minimum of two beds, so please be prepared to share with members of your group. Separate rooms will be allocated to boys, girls and male and female leaders (unless married). We will aim to keep your group together in the same block but this may not always be possible and you are likely to be sharing an accommodation block with another group. CANCELLATION AND REFUND POLICY Deposits are non-refundable. Refunds available as follows: More than four weeks 100% of fee paid - less deposit Four weeks to one week 50% of fee paid - less deposit One week or less No refund ACTIVITIES BOOKING Most activities at Spree are ‘turn-up and go’, but the King Swing and water sports need to be booked. This process is moving on-line for 2015 and we will send you details of how to access this when we receive your booking to attend Spree . SPREE SERVICE CREW For young people aged 16-19, Spree offers the opportunity to join our Service Crew - a great way to make new friends, develop leadership skills and grow in their faith. If you have young people who you think would make great Service Crew members, please encourage them to sign up for the weekend. We require a written reference for each Service Crew member – see Appendix A for details. DBS DECLARATION - Appendix B All adults who stay on site must have an Enhanced DBS (CRB) Disclosure less than five years' old at the time of the event. Where a group has DBS Disclosures issued by Third Parties (churches, schools, workplaces, etc.), the group must complete and return the declaration to indicate that they have seen all DBS for adults in the group attending the event. The onus is on groups to check evidence of this and to sign the booking form to indicate that this has been done. The liability for checking rests with the group and not Urban Saints. The exceptions to this are Saturday Day Visitors and those groups whose DBS checks are carried out by Urban Saints (Energize Plus groups). If you are in the latter category, we will ask you for a list of adults attending so we can check their DBS status but, if you are aware of any of your group needing a new or updated check, you must inform us of this by 31st May 2105 or we may not be able to process this in time for the weekend. APPENDIX A SERVICE CREW REFERENCE _________________________________________________________________________________________________ PLEASE READ THESE NOTES BEFORE COMPLETING REFERENCE Being on Service Crew is a responsible position and your young person will be expected to work hard and set a good example to the young people at the event. In return, they’ll receive either a free place (if they book in before 31st March) or a discounted weekend rate which includes their camping fees, food and a special Service Crew-only activity session. During the event, they will be involved in helping supervise and run activities, set up venues, litter picking, stewarding, security and other jobs relating to running a successful event. They must be aged 16 or over to be part of the Service Crew. They need to bring a completed Parental Consent form with them, although they can complete the details on this themselves if they are over 18. Service Crew members aged 18 and over must have valid DBS (CRB) disclosure and should be included as part of your DBS Declaration (Appendix B), if Urban Saints are not responsible for providing your DBS checks. For groups where Urban Saints are responsible for your DBS checks (Energize Plus groups), we will contact any Service Crew members requiring DBS checks. For young people who are joining Service Crew for the first time, we may ask them to participate in an informal interview to assess their suitability and give them further information about their role. We will arrange a convenient time and venue for this, most likely during one of your regular meetings but, if necessary, via Skype or over the telephone. We are happy to accept applications from young people to join Service Crew even if their group is not attending Spree. Please contact Peter Andrews pandrews@urbansaints.org for more information. APPENDIX B DBS Declaration In order to comply with the Urban Saints Safeguarding Policy agreed with our insurers, this declaration must be returned by all groups attending Spree with the exception of those whose DBS checks are carried out by Urban Saints (Energize Plus groups) and those who are attending as Saturday Day Visitors. It must be signed by the group leader making the booking and the church leader (if not the same person) and returned no later than 15th June 2015. You are signing to say that that: • you have seen an Enhanced Disclosure for working with children for every person aged 18 or over (leader, helper, parent or Service Crew member) who will be attending Spree and staying on site. If your disclosures are completed by your diocese (or equivalent), you have obtained confirmation that the person concerned is able to work with children and young people.* • every Enhanced Disclosure is clear, i.e. has “none recorded” in the sections that have been checked** • every Enhanced Disclosure is less that five years old at the time of the event • you have no reservations or concerns regarding the adults who are attending * If you have DBS checks ‘in process’ for any of your group attending the event, you must not sign this form until you have received the Disclosure or confirmation that the person concerned is able to work with children and young people ** If the disclosure is not clear, a decision on whether the person may attend must be taken with the agreement of the Urban Saints Safeguarding Officer.
