Due to the COVID-19 crisis, some restrictions have been implemented inside the circuit, thank you for respecting these. Please read carefully the information inside this document, it is there to make your trip easier and more enjoyable. COVID-19 MEDIA HEALTH PROTOCOL Thank you for reading carefully The TOTAL 6 HOURS OF SPA-FRANCORCHAMPS 2021 MEDIA PROTOCOL https://press.fiawec.com/assets/fileuploads/60/79/607941391038f.pdf As part of the fight against the spread of the “COVID-19” coronavirus, specific preventive measures are being rolled out in addition to our Rules and Regulations, with a view to the protection of public health and the personal prevention of risks associated with the epidemic. LMEM reserves the right to change, update or modify this protocol at any time, before or during an event. LIFE IN THE PADDOCK AND THE MEDIA CENTRE ● It is recommended that any person allowed and accredit to take part in the event promotes the use of regular and effective core transmission mitigation measures. ● Each Media will have a dedicated space in the Media Centre, journalists and photographers will be in room n°1 – each TV & Eng Crew will be in a dedicated commentary booths. Please do not use any other desk other than your own. ● All circuit facilities and toilets will be cleaned regularly. ● Social distancing will be mandatory inside the Media Centre and when in contact with teams/drivers/organisation. ● Outside its allocated space, each member of a group (Media/ team...) will have to respect the transmission mitigation measures (i.e. in the paddock, organisation office, race control, scrutineering area, stewards’ office …). ● Inside the circuit facilities, everyone must respect the direction of travel / marked routes. ● Interviews: For the journalists, an interview zone will be at your disposal in the paddock in order to allow you to do your interviews and make your appointments with the drivers, team managers...Please use this zone to do your interviews and to not enter any garages. ● The COVID-19 Unit will use the dedicated tool of each championship, to exchange information concerning COVID-19. MEDIA ACCREDITATION CENTRE Everybody needs to go at the accrediation centre, even if you already have your season pass. Thank you for arriving at the accreditation centre with the «2021 CONSENT AND LIABILITY RELEASE AND INDEMNIFICATION AGREEMENT COVID19» (1 on page 19) filled in. You will need it to collect your pass and the specific writsband that will allow you to enter the circuit. All passes must be collected during the opening times of the Media Accreditation Centre above. If it’s not possible for you OPENING TIMES FOR THE EVENT: to do this, please contact the WEC Media Centre Manager Catherine Vatteoni. They must be signed for by the person Friday 23/04 17.00 - 19.00 to whom the pass is issued. You cannot collect the pass for Saturday 24/04 08.30 - 19.00 another person. SAFETY BRIEFING IMPORTANT – NO PHOTO BRIEFING WILL BE HELD on site IN ORDER TO RESPECT THE SOCIAL DISTANCING MEASURES. ALL media – journalists, photographers, TV crews and Team PRs must watch a specific COVID-19 protocol video briefing and sign a form confirming that this has been done. Forms to be emailed to media and collected by Catherine Vatteoni. Jeff Carter’s photographers’ briefing will be videoed in English (& subtitled if necessary in the language of the country concerned) and sent to all the media in advance, who must confirm in writing that it has been viewed. There will be a code word in the briefing, which everyone must quote on the confirmation form to prove they have watched the video. https://youtu.be/81ric-wsLyo To collect your tabard, it is in the Media Centre at your arrival (with the 2021_WEC_Covid19_safety briefing Waiver & deposit form signed) Covid-19 Protocol restrictions for photographers and TV crews Due to Covid-19 protocols imposed there will be restrictions on photographers access during the Total 6 Hours of Spa-Francorchamps. 1. T he number of photographer pitlane tabards has been reduced to 10 for the event. If you are not issued with a Pitlane Tabard please do not ask for one because the answer will be no. 2. Trackside Photographers cannot go in the pitlane during the event. 3. Pitlane Photographers cannot go trackside during the event. 4. Social distancing of 2 metres must be maintained at all locations in the pitlane and around the track with masks worn at all times. 5. TV crews must respect the restrictions. If access to the pitlane and to the track is required then, if possible, two camera operators must be used, one for each location. 6. Remember garage access is only permitted to a photographer or TV crew from that team. Do not enter a garage otherwise. All temporary tabards will be disinfected before and after use. PHOTOGRAPHER & TV CREW TABARDS Photo and TV tabards are available to those who have been allocated one. During WEC event, camera stickers will be given out in the media centre. Tabards will be distributed from, and must be returned to the Media Centre. All WEC TV crews must wear TV tabards - with the exception of the person in front of the camera (presenter/reporter) when they are speaking on air – they must wear the tabard at all other times while in the pitlane. TV CREW TABARDS CAMERA STICKERS & RF EQUIPMENT RF EQUIPMENT AT WEC EVENTS All transmitting RF equipment being used at WEC events must be declared to the organiser for the frequency management. All users of RF equipment including but not limited to wireless microphones, voice radios, RF cameras, intercoms (e.g. wireless pit reporter systems) and satellite uplinks are required to fill WEC Radio Frequency Form 2021 (Cameras+Mics) and return to Chris Lee chris@mrtc.co.uk no later than 2 days before the first track running day. Please note that this form is does not provide authorisation or a licence to use the equipment. Licences should be obtained separately or by using the Frequency Application Service below. Equipment will only be authorized to be used in a WEC event if the materials used are in conformity with the prescriptions of the local Telecommunications Administration (frequencies, broadcasting power, etc.). FREQUENCY APPLICATION SERVICE MRTC is pleased to offer a Frequency Application Service at WEC events. This is not a requirement, but a service offered to all. Applicants would need to complete the attached form contained for any RF equipment. MRTC will apply for the same frequencies for all events without the requirement of further details, but please note that you MUST inform them of any change in your frequency requirements at least 4 weeks before the event. This includes confirming new frequencies following reprogramming. Please ensure that all forms are returned to by the deadlines set out in the Team Information General Contacts attachment Payment of Radio licences: MRTC will pay directly for all licences and invoice the cost back to each team/supplier. The cost for this service would be £65 per event in addition to the licence cost. Invoices from MRTC for licence costs and arrangement fees must be paid within 7 days to avoid any disruption in this service. Any organisation who does not attend an event without 4 weeks notification is liable for all costs of licences incurred. However, even with 4 weeks’ notice licence costs may still have been incurred, which the organisation would be liable to pay. WORKING IN THE PITLANE Pitlane access is strictly limited and is granted to photographers who need to access the area. All photographers and TV crews working in the pitlane are required to wear a fireproof overall to the standard FIA 8856-2000 or the newer FIA8856-2018 standard and a helmet, such as a cycle helmet. If you don’t have these items you will not be able to access the pitlane during the WEC sessions. WEC PRESS CONFERENCES The pre-event, post-qualifying and post-race press conferences will be held in the briefing room behind closed doors due to COVID-19 protocol. The winning line-up of each category, one category at a time will be filmed to ensure no mixing of teams. The press conference will be conducted by the WEC press officer and will be streamed live. The video will be available on the official website and other dedicated platforms including YouTube. There will an individually filmed pre-event press conference which will be held in the briefing room. MEDIA CAR PARK To all members of the media, please ask at the Media Accreditation centre for a car pass when you collect your sticker/ wirstband and/or your weekend media pass. CIRCUIT MEDIA SHUTTLES Access to media shuttles will be limited to 3 people maximum at any one time (number depending on the type of vehicle used). In order to alleviate the pressure on the shuttles, photographers are permitted to use their own scooter (if available) on the public paths which allow access to all major areas around the circuit. Scooters cannot be shared, and they must only be parked in designated areas. 14 TOTAL 6 HOURS OF SPA-FRANCORCHAMPS
DEPOSIT FORM For the WEC tabards, a refundable deposit of €250 is required before a tabard can be issued. For the Support Race tabards, a refundable deposit of €50 is required before a tabard can be issued. A form will be handed to each person asking for their credit card details which the photographer / TV crew must complete. This form below will be held securely and confidentially by the WEC Media Centre Manager Catherine Vatteoni and given back to the member of the media once the tabard is returned. If the tabard is not returned, the deposit will be CASHED BY THE WEC. NO CASH ACCEPTED! I further acknowledge that Le Mans Endurance Management (LMEM) has put in place preventative measures to reduce the spread of Coronavirus/COVID-19. I further acknowledge that LMEM cannot guarantee that I will not become infected with Coronavirus/COVID-19. I understand that the risk of becoming exposed to and/or infected by Coronavirus/COVID-19 may result from the actions, omissions, or negligence of myself and others, including, but not limited to, LMEM staff, and other participants. I hereby release and agree to hold LMEM, ICE, RACB, Spa-francorchamps circuit, the ACO and the FIA harmless from, and waive on behalf of myself, my heirs, and any personal representatives, any and all causes of action, claims, demands, damages, costs, expenses and compensation for damage or loss to myself and/or property that may be caused by any act, or failure to act of LMEM, ICE, RACB, Spa- francorchamps circuit, the ACO and the FIA, or that may otherwise arise in any way in connection with any services received from LMEM, ICE, RACB, Spa-francorchamps circuit, the ACO and the FIA. I understand that this release discharges LMEM from any liability or claim that I, my heirs, or any personal representatives may have against LMEM, ICE, RACB, Spa-francorchamps circuit, the ACO and the FIA with respect to any bodily injury, illness, death, medical treatment, or property damage that may arise from, or in connection to, any services received from LMEM, ICE, RACB, Spa-francorchamps circuit, the ACO and the FIA. This liability waiver and release extends to LMEM together with all owners, partners, and employees. This declaration is valid for the Prologue to be held at Spa-francorchamps as well as the TOTAL 6 Hours of Spa-francorchamps event to be held in 2021. Should my health conditions change, thereby causing the above declaration to no longer be valid, I commit to inform the COVID-19 Unit and to not come to the next scheduled event out of respect for other people’s health.
