■Introduction Since its first flower show in 1991, the “Japan Grand Prix- International Orchid Festival” has grown to one of the world‘s biggest Orchid flower events, year by year, improving upon its content and scale. Last year, this flower show was renewed as the “Japan Grand Prix International Orchid and Flower Show ” reaching to the wider range of horticultural world and exploring new focuses and guests. Not only orchid, we attempted to incorporate various flowers and plants, and as a result, we have received new visitors and younger audience. 2020 will be a special year, not only it is the beginning of New imperial era Reiwa, but it is a commemorative 30th anniversary of this flower show. Therefore, we will aim to achieve a greater success by building upon the previous achievements and exploring newer fields emerging from the change of time. We strive to explore the charms of orchid, diversity of flowers, plants and lifestyle merchandises by presenting suggestive experience of “Botanical life style”, and making efforts to contribute to the further developments of the Horticulture industry. We hope that you could work with us, and lead this flower show to a the greater success. We sincerely look forward to receiving your Exhibitor's Application. ■Exhibition Outline (draft) Event title : Japan Grand Prix International Orchid and Flower Show 2020 Purpose : Promoting “flowers” and “Plants” of the floral industry with orchids at its heart, aiming for its development and proposing to people a way of enjoying a pleasant lifestyle, rich in emotion and overflowing with flowers and plants. Host : JGP International Orchid Show Executive Committee (The Yomiuri Shimbun, NHK, JGP Organising Committee and Tokyo Dome) Sponsors : American Orchid Society (AOS), Royal Horticultural Society (RHS) and World Orchid Conference (WOC) (provisional) Venue : Tokyo Dome (1-3-61 Koraku, Bunkyo-ku, Tokyo) Dates : 8 days from Friday 14th February to Friday 21st February, 2020 Friday 14th 12:00-21:00 Saturday 15th 10:00-21:00 Sunday 16th/Monday 17th 10:00-17:30 Tuesday 18th/Wednesday 19th/Thursday 20th 10:00-21:00 Friday 21st 10:00-17:30 Admission : The opening ceremony and the Private viewing are scheduled to be held on the morning of 14th February. ■Specification of Exhibition Booth - The basic booth size is width 4,000 (3,920)mm x depth 2,500 (2,420)mm x height 2,700mm. (1 booth is approx. 10m2) *( ) shows internal dimension * Side panel (partition panel) is 2,000mm deep, and thus will not cover the entire depth of the booth (2,500mm). - A partition panel will be set up on the border between neighboring booths (depth 2,000mm x height 2,700mm) - A parapet wall will be set up for those booths facing a shared passage, with a company name signboard on the front and fluorescent lamp fitted at the back. (parapet wall height: 300mm, 1 x 40W fluorescent lamp) - Decorating the parapet wall is prohibited. - The partition panels and parapet wall etc. provided by the JGP International Orchid Show Steering Committee (hereafter “JGP Steering Committee”) are not allowed to be moved or damaged. The nailing or hanging of picture frames and paintings on the walls are prohibited. Should there be damage to these, the actual cost to restore them to their original condition will be charged. - Pillars will be set up every 4,000mm for booths bigger than 2 booths. - The exhibitors are responsible for all internal decoration of their booths. Decoration has to be in harmony with the whole venue and strict rules apply based on the fire services act. Please check the Guidebook for Exhibitors which will be sent nearer the date. ■Basic Booth Specification System panels will be used for basic booths. ■Exhibitors Booths ◆Booth Fee (per basic booth) Booth Fee 401,500 yen (incl.tax) * Includes garbage disposal bags fee (10 bags per 1 booth). Exceeding bags will be extra of charge. * A stockyard is allocated in a booth and included in a fee. * The services listed below will be an additional charge. - Extra stockyard fee : 16,500 yen (incl.tax) - Brochure publication fee. (please see details in guidebook for exhibitors). * New consumption tax rate (10%) will be applied accordingly to the changing Consumption Tax Law on 1st October. ◆Exhibitor Application - The deadline for the exhibitor applications is Friday 30th August. - The selection of exhibitors will take place from early to mid September all at the same time, regardless of order of application or exhibitor experience, by the JGP Steering Committee, Tokyo Dome. - We will let each company know the result of selection in early October. ◆Pledge Please definitely read the pledge and tick the box in the "Exhibitor's Application Form". 1. Our products, services, and sales methods do not infringe the trademark rights, patent rights, copyright, and publicity rights of any third party. We assume the responsibility of dealing with customers in relation to our products, services, and sales methods in full accordance with the law. 2. When dealing with food, we commit to follow food hygiene laws/all related regulations stipulated by law and follow the instructions of any related governmental organization and will do our best to prevent food poisoning and infectious diseases. In case of food poisoning or any other accidents, we will swiftly report to the JGP International Orchid Show Steering Committee, Tokyo Dome Corporation (hereafter “JGP Steering Committee”) to consult and settle the problems on our own account and at our expense. 3. When dealing with plants, we will comply with the Convention on International Trade in Endangered Species of Wild Fauna and Flora, and will not sell or exhibit any plants listed in the Red List compiled by the Ministry of the Environment or any illegal imports and plants collected from the wild. In case of any violation, we will swiftly report to the JGP Steering Committee and follow instructions from the Ministries in charge on our own account. 4. We will never engage in actions that cause annoyance to visitors, other exhibitors, and the JGP Steering Committee (coercive sales, aggressive touting, and character/credibility defamation). 5. We guarantee that we are not members of, or have any relation to, any organized criminal or antisocial groups and we do not and will not have any dealings with such groups or individuals. 6. On being accepted as a exhibitor, we will follow the rules stated in the "Guidebook for Exhibitors" and the instructions of the JGP Steering Committee. 7. In the event of acts in contravention of the pledge, we will swiftly comply with subsequent decisions taken by the JGP Steering Committee. 8. We will comply with the privacy law/related laws when obtaining personal information, notify the individual(s) about/announce the intended use, and obtain/manage the information legally and appropriately. We will not complain in the case of refusal of our application as a result of review by the JGP Steering Committee. In case of acceptance, we agree that receipt of the "acceptance letter" serves as the completion of contract and we agree to make the booth fee payment by the deadline following the rules of the JGP Steering Committee. 9.we will never close the booth(s) during the event held. ◆Procedure After Acceptance - The JGP Steering Committee will send a letter of acceptance to the exhibitors based on the details in the application form and receipt of the letter will act as the completion of contract. We will also send out the invoice for the booth fee which should be settled by the payment due date. ◆Payment Due Date - Wednesday, 18th December, 2019 ◆Booth Allocation - Booth allocation is decided by the JGP Steering Committee and will be shown on the booth allocation map. Allocation will be made, in principal, according to the genre of products and the types of contractors of booths (hereafter “Exhibitor”). Exhibitors can neither ask to change their booth allocation, exchange booth allocations with others nor transfer or sublet whole or part of their booth to third parties. - Joint exhibitors are in principal not allowed. Please contact the JGP Steering Committee where this appears to be unavoidable. ◆Withdrawal of Application and Cancellation of Booth Contract - The following cancellation charges will apply should you cancel the booth contract after receiving the letter of acceptance (completion of contract). - We may also cancel the contract if the payment has not reached the JGP Steering Committee by 18th December 2019 strictly, in which case there will be a cancellation charge. Please be aware of the deadline. On this signboard, your booth number, company/exhibitor name and your business base will be indicated. ・The company/exhibitor name will be as you filled in the exhibitor's application form ・Business base means where your company has registered to. ・The font is standardized as below. Font- type: Kaku Gothic Font-color: Black ・You can not use your company logo, or can not specify the font on your signboard. ・Co. / Ltd. / Corp. / Inc. and etc. will be omitted. 5
◆Photos of your Products - As we would like to see your products beforehand, please send us the photo data about your products. In addition, there are possibilities that photo will be used in the official website and other advertisements. 1. Photo Data: Over 1MB (1MB=1,000KB) *We prefer lager data size as possible. 2. Data Format : jpg 3. How to send in: by E-mail, by File transfer service or by postal or courier service (CD-R or USB) 4. File name:" booth name_product name" (e.g.)IMG_3363.jpg → Tokyodome_Orchid.jpg *Please make sure to change the file name into an accurate shop/product name so that it can be used for publicities. - The submitted photo may not be used in publicities. - Due to the schedule limitation, we will edit your photos by our responsibility. ■Entry to the Venue ◆Entry pass for exhibitors (ID card) - Entry passes (ID card) will be issued free of charge, according to the numbers of booths contracted (4 cards per booth). - Additional ID cards may be purchased for 4,000 yen. Please see details in the “Guidebook for Exhibitors”. ◆Notes - The event host is not liable for any problems that occur during sales at the booths such as accidents, injuries or theft. The response to these problems will be the exhibitor’s responsibility. - The event host is not liable for any damage, disappearance or theft of products caused by natural disasters and force majeure events. - We recommend the exhibitors arrange any insurance required to cover any damage to products between the setting up and taking down of their booth. - In case a natural disaster or unforeseeable emergency prevents the event from taking place, the host may decide to change dates or cancel the event. In such a case, we will inform exhibitors through the Yomiuri Shimbun newspaper or International Orchid Show official website. The host will not be liable for any damage, additional cost and other issues caused in these circumstances. 6
