Dear Host Family, Thank you for your interest in hosting our international students in your home. We appreciate your commitment and look forward to working together. Our international student(s) are very much looking forward to their stay with you. The homestay provider is a very responsible role providing a family style experience for your junior student. It is important that the student is treated like a family member at all times throughout their stay. You must be ready to include your student in normal daily family activities, including family dinners, and the student must have the opportunity to speak English with all family members. Our students are teenagers, girls or boys, between 11-17 years of age wanting to live with an Irish family while studying with us. Remember that many of our students are abroad for the first time alone and may feel shy at the beginning. Please review the guidelines carefully and do not hesitate to get in touch with us should you have any questions. Future Learning: Host Family Guidelines PRIOR TO ARRIVING Our host family coordinator will visit your home and discuss all details with you. We prefer all families and members staying in the house above 16 years of age must be Garda vetted. We will help you with the vetting process, please ask more from us and we will provide the necessary forms to you. If you pass the FL requirements for hosting students, you will be contacted in advance to confirm willingness to receive specified student(s). You will receive their name, gender, age, nationality and any special requirements. You will be given the flight arrival and departure details and meeting point details at least one week in advance of arrival. We expect our host families to pick up their students from the meeting point at arrival and drop them off when they depart. The student or his/her parents might contact you by phone or email prior to arriving. Please let us know ASAP if you are unable to host! ACCOMMODATION Your student should have their own bedroom or one that is shared (with another nationality) and that has a comfortable warm bed with a good supply of bedding, study desk and chair, mirror, wardrobe space and an easy to access to bathroom. Students must be allowed to have a hot shower or bath once a day. Students should be made aware of the time spent in the bathroom and take other people’s needs into consideration. Please note that many European nationalities prefer shower over a bath. Adequate heating must be provided at all times. There must also be an access to the general living area in the house and students must respect the family’s time and rules. Host families with several bedrooms can take four students at the most, including students from other language schools. Please note that in the summer you are only allowed to host one student of the same nationality (or same language) at any given time unless specified by FL. During the school year, 2-4 students of the same FL Mini-Stay group can be placed in the same host family. One host family is also allowed to host up to 4 students from different Mini-Stay groups if the students are different nationalities. If the nationality rule is not followed, FL reserves the full right to remove the student(s) from your house and stop the payment immediately. We ask that you ensure you have no holidays, weddings etc. booked for the hosting period and should you need to leave the house overnight, you are expected to organise a responsible person to act as host for your student and inform FL of the temporary address and contact details. Payment must be organized between you and the temporary host. In no circumstances should the student be left to look after themselves. KEY It is up to each host family if they wish to provide your student with a house key: luckily most families are fine with this but we understand if you prefer not to do it. Please note, however, that your student does need an access to the house at all times in case of an emergency, bad weather or when they may have forgotten something. TELEPHONE & INTERNET Future Learning is a technology enhanced language school and expects all of our host families to have WiFi. Presuming you have a WiFi access in your house, you should provide your student with the access code. This is also an ideal way for the student to stay in touch with family and friends back home. Should you have any downloading limits etc, please discuss these rules with the student. If you do not have WiFi you need to inform FL. Telephone calls from host family’s own phones should not be made unless the host family is present and/or has given the student permission. Future Learning: Host Family Guidelines MEALS For summer students you are asked to provide breakfast and dinner each day and packed lunch at weekends. Our Mini- Stay students need a packed lunch from you daily. Please provide your student(s) a nutritious and varied packed lunch with enough food and drink to carry them through the day. It is good to ask students again if they have dietary needs for religious or medical reasons. For more information about special diets please click here. Please inform your student(s) of the potential cultural differences in Irish meals and meal times. As in all matters of the students stay they should be treated as a member of your family and should eat the same meals at the same table as your family. This is the best time for you to spend time together. SCHOOL Our students attend the local secondary school during summer or throughout the academic year our students will have lessons in Malahide or city centre. A detailed schedule will be provided in advance by email. Please remember that your junior student is in a new country and might feel worried about getting around during their first days so it might help to show the student around during these introductory days. LAUNDRY As a host family you are expected to provide the students with fresh towels and sheets each week. The students will also have washing therefore we ask you to please include their items in your weekly wash or show them how to use your washing machine. EVENINGS & SATURDAYS Your new student may wish to go out with friends in the evening time or at weekends. Students from Europe will be used to being out much later in the evening but we do insist students must be home by 10pm every evening - no excuses. You must call the student’s mobile (if there is one) immediately if not home at 10pm. It is also a good idea to have a relationship with your student’s parents so you can converse directly with them, some families like to go through their house rules with the parents so there is no confusion or house rules when your international student is staying with you. www.flireland.com +353 1 564 9907 info@flireland.com
Future Learning: Host Family Guidelines ILLNESS Every EU student should have their European Health Insurance Card. Should your student be ill outside school hours and need to visit a doctor, please bring the student to your family doctor and at the same time inform the local Host Family Coordinator or call the FL Emergency Phone if urgent. Only genuine illness should be accepted as a reason for not attending school. PROBLEMS To help FL maintain our first class reputation we ask you to make sure that any problem which you may have is brought to the immediate attention of your Host Family Coordinator or the main FL email or phone number. FL does not allow rude or bad behavior and in serious cases student will be sent home. Alcohol and drugs are strictly prohibited. FL also reserves the right to contact you of any problems we may hear from the student and ask for further details. DAMAGES It is important to check with your home insurance provider that any accidental damage caused by students is covered. Future Learning Ireland takes no responsibility for any such damage. The host family and the student (or their parents) must deal with any matters before returning to the home country. CANCELLATIONS FL Ireland cannot be held responsible for any change in the dates of arrival or departure of your student for any reason, or if the student does not arrive at all. YOUR PAYMENT Payments are made on stay-per-night basis and paid on or after the departure date. The local FL Host Family Coordinator communicates the current rate and payment methods. All payments are made by electronic transfer. Please ensure you have provided us with your IBAN. FL DATA PROTECTION POLICY When you sign our Host Family Application Form you give us your consent to use the data you have provided us for organising our homestay programmes, that is, to place the students entrusted to us with the right families and to provide the junior students and their parents a profile of the family based on the information you have given us. FL HOST FAMILIES - GDPR STATEMENT As a host family we ask you to consent to the use of your data as follows What data is collected?: All data on the host family application form; Name, Address, Occupation, Phone Number, Email, Marital Status, Children (Name, DoB, Gender), Pet details, Family Interests & Hobbies / pastimes, previous hosting experience, bedroom details, Separately by email, bank details for payment purposes. Garda Vetting disclosures received from the National Vetting Bureau The purpose of this data is; To manage and organise the placement of students and, in certain cases, to facilitate their visa applications. To help the parents of the students that are coming to us understand who their children would be staying with and have confidence that they will be well-looked-after. To arrange prompt and accurate payment for hosting. This data will be stored and can be accessed; In a filing system in our office (lockable cabinet, in an area not accessible to the public) School Management System (Password access to relevant users) Company Email system (Password access to relevant users) Cloud Based Spreadsheets (Password access to relevant users) This data be kept for; As long as it is needed for the operation of host family placements or until requested to delete. This data will be accessible to; Staff working on the host family placements, (Managing Director, Programmes Coordinator, Host Family Coordinator, Administrative Assistant, Summer Centre Managers). Administrative staff in the agencies who are sending students to be hosted on the basis of signed agreement to comply with data protection rules. Individual students and parents, group leaders who teacher accompanying the students to assure them that the children will be properly looked after when they are here. Irish visa issuing authorities in the case of those non-EU students who are required to have apply for one.
