What is the Presentation Meeting? • An opportunity for applicants to present their grant projects to the FVA Advisory Committee, who will ultimately make award recommendations to the Commission. • Participation is not required. This is an optional event for applicants. • Non‐participation does not negatively affect your chances of being awarded. The FVA Advisory Committee reviews all application material in their process of recommending grants to the Commission. • In summary, the Presentation Meeting is an opportunity for applicants to speak in an official, public meeting environment about how their grant project will help improve the lives of veterans in their communities. 5 5 2 Ways to Participate 1. New for 2021 • 4 minute time limit • All presentations will be virtual or media only • Participants must submit BOTH files: the Slide Deck AND the Executive Summary • Prompts for the Slide Deck and Executive Summary 9 9 Presentation Slide Deck Why should this project be awarded? • Submit one or more slides that respond to the prompt • PowerPoint preferred • Media (video, audio, etc.) must be EMBEDDED in the file 10 10 5
Executive Summary What will you do specifically with TVC funding? • Submit a 1‐2 page document • DOCX or PDF preferred • Include information about the proposed project (not the organization in general) 11 11 Best Practices 12 12 6
Best Practices for Presenters • Cameras are allowed, but not required • Connect from a stable internet connection, in a quiet location • Test your comms equipment before you log on to GoToWebinar the first time • Attend the Technical Rehearsal with FVA staff on January 22, 1‐3pm. You don’t need to stay on for the entire time – just test systems then go on about your day! 13 13 Best Practices for Presentations • Practice, practice, practice! Four minutes could go by very fast… or very slow… • Practice your pitch virtually before the Technical Rehearsal • Talk about your project, not your organization • Accuracy of statistics and demographics are key 14 14 7
Technical Rehearsal 15 15 Technical Rehearsal: January 22, 1-3pm • Presenters and alternate contacts will receive a confirmation and reminders about the event from GoToWebinar • Only the Presenter must attend • Practice turning comms equipment on/off • Practice verbally cueing FVA staff to advance an example slide deck • This is not a practice of your actual pitch to the Committee • Staff will verify your files have been received, and if we had any issues opening files or test‐playing embedded media If you are presenting virtually, you must participate in the Technical Rehearsal 16 16 8
What Happens at the Technical Rehearsal? • Presenters will be muted unless actively practicing • Do you have a question before it’s your turn in the spotlight? Chat us! • The Moderator will provide a verbal cue: “Next up, [Name] with [Organization]. Presenter, are you ready?” • The Moderator will un‐mute/send an unmute request when it’s time for your practice/presentation • You will speak into your mic/camera and verbally cue staff to advance the slides (i.e., “Next Slide”) when ready • This helps everyone identify and resolve equipment issues BEFORE the meeting 17 17 Presentation Meeting 18 18 9

Estimated Daily Schedule 8:00 am ‐ Meeting opens for housekeeping business 8:30 am ‐ Presentations begin 15‐minute morning break as schedule permits Noon‐1:00 pm ‐ Lunch 15‐minute afternoon break as schedule permits Meeting ends for the day after all presentations have been completed for the grant program 21 21 What Happens at the Presentation Meeting? • Same rules as the Technical Rehearsal • Presenters will be called in the order posted on the webpage • When called, make your pitch and cue staff to advance slides when needed • Your time will start when you begin speaking • Your time cannot be paused or reset for any reason, including technical or internet issues • After 4 minutes has elapsed, the Timekeeper will call time and mute your audio • Committee members may ask questions 22 22 11
Committee Member Questions • Committee Members may ask as many, or as few, questions as they want to about your project • There is no time limit for Committee Member questions • Time used for questions does not count against your presentation time • Committee Members are evaluating applications so they can provide the Commission with their recommendations 23 23 Miss your presentation? Life happens… we know. The internet goes down, computers restart, etc. Plan B: • If something happens during the Presentation Meeting and your presenter is not able to appear as scheduled, staff will come back to you after the rest of the presenters have pitched in your group of applicants. Plan C: • If your presenter is still unable to appear when re‐called, staff will present your organization’s files with the rest of the Media Only presenters in your grant category. 24 24 12
Media Only Presentations 25 25 Why present with Media Only? • Scheduling conflicts • Internet connection not stable • Comms equipment not working • Backup presenter not available • Other unforeseeable circumstances 26 26 13
What Happens in a Media Only Presentation? • Staff will present each slide to the Committee • Committee Members read the slide, and cue staff to advance the deck • Slide Deck and Executive Summary files are made available to the Committee before the meeting begins 27 27 Questions? 28 28 14
