2. What is Fringe? For 11 days in September Amsterdam Fringe Festival will be presenting theatre and dance by talented new, undiscovered and untamed makers at more than 25 venues across Amsterdam. We present a varied program featuring artists from a wide range of backgrounds, origins and futures. This year the festival will be held from 3-13 September 2020. Fringe is open and uncurated. The festival is an ode to the madness of the stage and to independence of spirit and it is a plea for artistic freedom. A big, fat, heartfelt embrace of experimentation in the true sense of the word: one whose outcome is able to affect a real surprise. Fringe is a platform and a haven for quirky makers and their audiences. Young talent, inventors, niche virtuosos, hybrids, out-of-boxers, post-avantgardists, wildcards and consciously artistic homeless people: they invite you to come along on a Fringe adventure along the fringes of the theater and the city. From small theaters and hidden gems to obscure garages and unexplored ground. A Fringe festival is a festival that takes place in the fringe of an ‘official’, main stream theatre festival. Amsterdam Fringe Festival takes place simultaneously with the Dutch Theater Festival and together these two festivals are part of Stichting De Theaterdagen. Amsterdam Fringe Festival is based on famous and successful Fringe festivals such as Edinburgh Fringe, Brighton Fringe, Adelaide Fringe, New York City Fringe and Delhi Fringe (as well as many others). 3. Communication with Fringe Amsterdam Fringe Festival offers coaching, support and advice in producing and promoting your performance with the following means: • By appointment o For advice you can stop by at the Fringe office, Rombout Hogerbeetsstraat 109, Amsterdam (Westerpark district). You have to make an appointment with your contactperson (Willem or Margo). This will be by e-mail/telephone/skype or at the office depending on your location and availability. o During this intake we will discuss the ins and outs of your performance, the production process, etc. • Newsletters o E-mail newsletters are regularly sent to you by Amsterdam Fringe. In these newsletters, you will find vital information about participation in the festival, so please read them carefully! For example, info on when and how to apply for sneak previews of your performance on the Uitmarkt or details about the next How2Fringe will be communicated through these letters. 4
o The e-mail newsletters are only sent to the main contact person as indicated on the registration form. This person is therefore responsible for passing on this information to the rest of your team. o If you want to add a person to the mailing list, please inform Willem. o We will also publish the updates on the Toolkit. • Online toolkit o In the online toolkit, you can find all information you need for your participation in Fringe, such as this manual, all our updates, How2Fringe PowerPoint presentations, our logo for your poster/flyer and all other relevant info. The toolkit page is regularly updated, so make sure to check it every now and then! o You’ll find the Dutch version of the Toolkit on: § http://amsterdamfringefestival.nl/toolkit-deelnemers/ o You’ll find the English version of the Toolkit on: § http://amsterdamfringefestival.nl/en/toolkit/ How2Fringe workshops To help you realize your performance during Amsterdam Fringe 2020, we organize the so-called How2Fringe workshops. These workshops are especially created for participants of Fringe to help you with a successful participation in the Fringe. During these workshops topics will be discussed such as marketing and publicity, business organization and fundraising, networking and insight into the Dutch theater field. Inspirational guests from the field are regularly invited to speak or give a workshop. • Participants of Amsterdam Fringe Festival are expected to attend at least 4 out of 6 How2Fringe workshops. The first workshop How2Fringe on the 16th of March in mandatory for everybody. You pick 3 other workshops to follow, depending on what topics appeal to you the most. Of course, if you like, you can attend them all six! • It is possible for different people of your group/company to attend the different How2Fringe meetings. One of your group present is sufficient, but you can also attend with more people. • When you live abroad or have already participated in Amsterdam Fringe before, alternative arrangements regarding the number of obligatory workshops. Contact Willem to make exact arrangements. • A more detailed program of the How2Fringe workshops 2019 will be announced as soon as possible by the email we send you, on the online Toolkit and the Fringe Participants 2019 Facebook group. • For dates and venues, check the Toolkit or page 3 of this document. 4. Venue and performance dates Matching process Amsterdam Fringe Festival takes care of and is responsible for providing a venue and a performance schedule, including number of performances, dates and timeslots. When matching your performance to a venue, we consider your wishes as stated in the application form, the technical aspects and the profile of your performance as good as possible. 5
In April - May artists and venues will be matched by Amsterdam Fringe. We always do this in dialogue with all parties involved, so it can be a complicated puzzle sometimes. Please be aware that this process takes time. List of possible venues A list of possible venues can be found on the Toolkit > Venue and performance dates. What can you expect of your venue? • Participants of Amsterdam Fringe do not have to pay rent to the venue. In return the venue receives a part of revenue of the ticket sales (20%, unless alternative arrangements have been made; alternative arrangements are only made in dialogue with the artist). • Participants can also bring their own venue. Financial agreements with these venues may differ from the percentage division of 70/20/10 (see under ‘ticket sales’, p. 9-10). • When there is a match between you/ an artist and a venue, Fringe will introduce you to each other and we’ll draw up contracts for all parties involved. After this, Fringe will step aside and you can discuss further details and agreements with your venue directly. • Please keep in mind that your venue may be closed for the summer break. Some venues are closed from the beginning of July until the end of August; be sure to contact your venue in time! • Your location might have their own house rules, be a nice guest! Make agreements on your building time, use of equipment, parking and other facilities. Keep in mind that you might share a venue with other groups, there for technical facilities might be limited. • Flammable decors or props must be treated with fire retardants due to the safety of the public and the stricter control of the fire department. The use of open fire and fireworks in the performance is not permitted. Smoking is also not permitted. If you choose a location where no regular performances take place, you may have to apply for a permit. • No more tickets may be sold than the permitted capacity of the location (Fringe takes care of this), due to safety reasons. Emergency exits and walkways must be free of obstruction, this must be consulted with the venue. 5. Producing your performance Amsterdam Fringe Festival expects all its participants to be able to independently realize the submitted plans financially, productionally and artistically. Amsterdam Fringe Festival presents the performance but we are not the producer of your show. As artist / company, you carry the responsibility for the (productional) realization of the performance. Amsterdam Fringe offers support by mediating a venue, coaching and advice through the How2Fringe workshops. • The artist/company is responsible for arranging a technician who builds and runs the show. At most venues, support is provided for the build-up of the performance, but your own technician will have to run the show every night. • The available technical conditions and technical support can vary per venue. Keep in mind that for some (additional) technical requests you may have to pay extra (for example, projectors but also special objects such as pianos are not standardly included). • Agreements concerning possible rehearsals at the venue or storage for set and props need to be made directly with the venue. Fringe has made no agreements with venues about these topics. Please note, that possibilities for rehearsal or storage space may be limited and / or that additional costs may be involved. 6
• Amsterdam Fringe Festival tries to take as much of your technical wishes into consideration as possible when matching your performance to a venue. However, we cannot guarantee that wishes stated at the application form will be available at a venue. Any extra costs for (additional) technical requests are for your own account. • Participating artist should have, if applicable, the necessary performance rights of their performance and / or the used music. • Participating artists must comply with the safety standards that apply within the performing arts in the Netherlands. The festival organization is not liable for accidents and damage or loss of property of groups or playing locations. • Please let us know when the information you’ve provided in the application form has changed! Especially when it concerns things like the length of your performance, language of your performance, availability, the use of live animals, weapons, confetti, large props, stroboscopes, food, cigarettes or the use of water. 6. Promoting your show What will Fringe do? Amsterdam Fringe Festival promotes the festival as a whole with a campaign and resources such as: o (abri)poster campaign throughout the city and in bars o Flags/banners in the city center o Program book and flyer o Website and active presence on social media o Free publicity in different (news) media • Fringe will do it’s best to pay at least 1x attention to every performance on social media, via attention in the press or, for example, via We Are Public, a giveaway or discount campaign. • The Fringe logo is available on the Toolkit, and we recommend using it on your poster/flyer for visibility. What will your venue do? • Fringe has contact with the venues regarding the promotion of the festival as a whole and of the performances that perform at that location. The venue will receive program booklets, flyers and Fringe decoration as well as links to our ticket sales system to sell your show through their own channels. • As an artist you can contact the venue directly about promotion and publicity as well! The more they are willing to do the better. Consider, for example, the promotion of your performance via the social media of the venue, their website, their (digital) newsletters, program booklets and a press releases to their press contacts. What will you do? Amsterdam Fringe Festival expects from all artists / participants that they take care of a good promotion of their performance and of attracting audiences, for example through social media, distributing flyers / posters and making use of the various sneak preview moments (see below) to pitch your performance to audiences and professionals. Social Media TIPS • Create one event on Facebook for your performance on Fringe and put all your separate performance dates in this event (so not a separate event for each performance date). You will need a business profile on Facebook to do this. 7
• Make Amsterdam Fringe Festival and your location co-host for this event. In this way, the followers of both can also see it. We advise to do this once ticket sales are live, so on or just after July 16th, and then invite your Facebook friends to the event with a reference to the ticket sales. • Let’s create that BUZZ !!! The more buzz, the more people will come to the festival and therefore to your performances! So: o Follow Amsterdam Fringe on FB and on Insta. o Always add #amsterdamfringe #amsfringe and tag @amsterdamfringe in your posts about your project o Shoot out the dates of the festival: September 3-13 2020 o Create a (bitly.com) link from your performance page on the Fringe site. Put this link in your bio on Insta and put it in all your FB posts! o Put yourself on ‘attending’ at the general event of Amsterdam Fringe Festival 2020 and invite all your friends to do the same! o The same for Fringe x Uitmarkt, Fringe x Bijlmer and Fringe x Meervaart. o Just like all Fringe things, just to be sure;) Tools • On the Toolkit you can find a Marketing roadmap that can help you get the overview of deadlines and the different tools you could use to promote your show. • There’s also a handy checklist for the marketing materials (what to deliver on/before 1 June) – also on the Toolkit • For (printing and) distribution of your poster in bars and restaurants in Amsterdam, you can contact Jan de Flyerman. They have a special ‘Fringe deal‘. You can contact Jan de Flyerman directly, please refer to the ‘Fringe deal’: o Jan de Flyerman / Bastiaan Wesselius o T: 020 341 91 18 / M: 06 1848 5360 o bastiaan@flyerman.nl o www.flyerman.nl What to deliver on or before the 1st of June We expect you to respect the deadline (1 June) for handing in your publicity materials, in order for us to use your text and image in our promotion materials. Please send your materials to Willem. You can use the checklist to make sure you have sent in everything correctly. PR Material • 1 high-res campaign image (landscape, 300 dpi/print quality, format JPG/PSD/TIFF, no text on the image) • Publicity text for the program booklet (max. 50 words) in Dutch and, if your show is in LNP or in English, also a text in English. • Please note: If you do not submit your publicity text in time, Fringe will compile a text based on your web text and application form. Because of the scale of the festival with 70+ shows, we do not have the means not send you a copy of this text for approval. This also applies for translations. So please make sure you hand in your text(s) in time. • You can send the PR material to willem@amsterdamfringe.nl (possibly with a WeTransfer link for big files) on or before 31 May. TIP: Please keep in mind that you might want to use the image for your poster in portrait, so if you are planning a photo shoot: make sure to shoot both landscape and portrait. Webpage Fringe website • Filling out the page for your show is your own responsibility • For the WordPress web page you will receive a login on the 1st of May (Please note: this is an email from WordPress, not from Fringe). 8
• You can edit this page yourself. Instruction swill follow in a later stage. • Please have your page filled on or before 1 June. After this date you can still make amendments or updates to your page with your own login. • Fringe will provide a link to the ticket sales system, which means that performance dates, venue and ticket price will be added. • Ticket sales goes live on July 16th. o You can edit this page yourself, instructions will follow. o We ask you to create a Facebook event. Make sure you follow Amsterdam Fringe Festival, so you can link us to the event as co-organizer and the event will appear on our event page (only possible if you have a business page on FB). Make sure you make an event with multiple dates. We advise you to do this after the ticket sales have started (16th of July) 7. Finances Participants fee • After your performance has been selected for the program of Amsterdam Fringe 2020 you can participate in the festival and we expect you to present your performance at Fringe. • Participation in Amsterdam Fringe Festival is linked to a participation fee of €150 (excluding VAT). • The participation fee assures you of a spot at the festival, a page on the website, attention in the program book and access to the How2Fringe workshops. • The participation fee must be paid by 24th of July 2020. From that date it is assumed that your performance will be a definitive part of the program of Amsterdam Fringe 2020 and it is no longer possible to cancel free of charge (i.e. with a refund of the participation fee). • If after the 24th of July 2020 the show is canceled without compelling reasons (such as force majeure), a fine of €150 will be charged to cover cost incurred by Fringe. • If there are problems in the run-up towards Fringe that make you think you have to cancel your performance? Please contact us as soon as possible so that we can look for a solution together. Income Participation in the Amsterdam Fringe Festival is at the expense and risk of the artist or company. You receive income from ticket sales, based on a percentage of the ticket price (70% of ticket price excluding 9% VAT). So for example, if your performance has a ticket price of 13 euro, 9% VAT is deducted and of the remaining amount you will receive 70% per ticket sold. • The festival organization does not provide fees, travel costs, overnight stays, meals or technical and productional support. We can, however, advise on finding affordable options or collecting additional funds. • Amsterdam Fringe Festival takes care of and is responsible for the ticket sales of the performances via the website and at the performance venues (door sales). Ticket sales go live on Thursday July 16th, 2020. Payment of ticket sales • After the festival the contact person will receive the list of receipts mentioning the part of the box office income you are entitled to, according to the contract. That’s the amount for which you can send us an invoice or be remunerated. All payments are done AFTER the festival. 9
• Amsterdam Fringe is responsible for the payment of 9% VAT for sold tickets. This is deducted of the ticket price. The remaining amount will be divided between the artist, the venue and the festival; here, a split of 70/20/10 (artist / venue / Fringe) usually applies (depending on the venue). • After the festival, Fringe will send you an overview of the tickets sold. Based on these numbers you can send an invoice to collect the revenues. • To pay you we need the following: o If you are registered as Dutch citizen/ resident: • In the case of a foundation (stichting): payment occurs after receiving an invoice and a declaration of deduction of the foundation • In the case of an independent artist (zzp’er): payment occurs after receiving an invoice. On the invoice the following has to be mentioned in Dutch: o ‘de Artiest/het Gezelschap kiest er voor géén gebruik te maken van de artiestenregeling, dus om géén loonheffingen te laten afdragen en niet verzekerd te zijn voor de werknemersverzekeringen (“opting out”). Door deze keuze, mag de opdrachtgever de recette voor het optreden bruto aan de Artiest/het Gezelschap betalen.’ o (Meaning: The artists choose not to take part in the so called “artiestenregeling” and therefore Amsterdam Fringe Festival does not haven to withdraw Dutch taxes and other employee contributions from the revenues.) • In case you are neither of a foundation or registered as self-employed: after receiving contract from a remuneration company o For all other nationalities: • Officially you are allowed to work in The Netherlands up to ONE MONTH without having to pay taxes and social security to the Dutch tax services. Tax payments are your own responsibility. 8. Ticket sales Ticket prices The ticket prices are determined by Amsterdam Fringe Festival, based on the duration of the performance. • There are three price categories: o € 8,00 short (< 35 minutes) o € 10,50 midlenght (35 – 50 minutes) o € 13,00 long (50 < 60 minutes) • Is your performance shorter than 25 minutes? Then we will discuss an exact ticket price with you. • Discounts: There is a fixed ticket price per performance and a fixed discount price (for holders of a discount card such as CJP). • In addition, there are special promotions initiated by Fringe, such as discounts for We Are Public members. These additional discounts will always be discussed with you for approval. Company tickets Amsterdam Fringe makes a total of 4 free tickets (‘company tickets’) available to the artist / company. You will not receive any income on these tickets. • The tickets will be listed on the name of your guest; your guest can just mention this name at the door. 10
• Please let Willem know no later than 31 August for which dates you wish to reserve your company seats and which names to register on the tickets. Free tickets for press and professionals Amsterdam Fringe can also provide up to 10 tickets (distributed over all shows) as free tickets to professionals such as programmers, press and jury members. • When there are more than 10 requests from press or other professionals. We’ll ask the artist / company if more free tickets for your performance can be provided. • Professionals can only make a claim for free tickets if they have received an accreditation form the Arts Industry Office.o You will not receive any income on free tickets. • If you have a curator, scout or booker that would like to visit your show? Please make sure they get an accreditation at the Arts Industry Office, so they can be provided with a complimentary ticket! aio@amsterdamfringe.nl • Please refer press to communicatie@amsterdamfringe.nl Fringe Artist Badge All Fringe participants can pick up a Fringe Artist Badge (bring a headshot photo) on the first day of the festival, which you can use for free with all other Fringe shows if there is still room available. You will not receive any income on these free tickets. Everyone who is in the credits of your performance (as mentioned on your registration form) can clam an Artist Pass. If you have any changes let Willem know before August the 31th. 9. Connection with the professional field Amsterdam Fringe actively invites professionals, like curators, agents and bookers, through the Arts Industry Office (AIO). By organizing a number of networking events, Fringe offers you the opportunity to (better) learn what the theatre field looks like and how you can find your way in it. These are also very suitable moments for pitching your performance to bookers and program makers. What is the Arts Industry Office? The Arts Industry Office (AIO) is the ‘professionals’ desk’ of the Amsterdam Fringe Festival. We are the main contact point for (inter)national professionals in the field of curating, festival organization, scouts and bookers. We approach professionals who may be interested in performances and artists on the Fringe, and offer them (to a limited extend) free tickets. Moreover, we organize networking events at which you can show yourself and your work to professionals. Wich professionals are eligible for free tickets? The AIO only issues free tickets to professionals who are actually able to book your performance. Other professionals such as producers, directors and consultants are not eligible for this! We also do not reserve free tickets for friends, family and other acquaintances. Let them invest in your future and buy their own ticket! In other words, the AIO only reserves free tickets for curators and bookers. Press Press that wants to visit your performance for a review, you can send an e-mail to communicatie@amsterdamfringe.nl for a free press ticket. Professionals via Fringe The AIO annually invites a wide network of professionals to visit the festival. To do so, professionals apply through our accreditation form. After confirmation of the accreditation, they receive a ‘Ticket 11
Request Form’ on which they can indicate which performance they want to visit. We also give curators advice on which performances fit best within their programming. Professionals via your invitation All performances at Fringe are visited by professionals from our own network. Nevertheless, we advise you to approach people yourself. Is there a venue you would love to perform in the future? Contact the right person there and invite him/her for your performance. If they show interest, you can forward them to the AIO, so that we can arrange a free ticket for them. They can complete an accreditation form online from the end of May or send an email to aio@amsterdamfringe.nl. Remember that our ‘bookers only’ rule also applies here. Network opportunities with professionals from the field • Amsterdam Fringe organizes several networking moments for Fringe participants and professionals: o Showcase morning together with the Dutch Theater Festival/NTF Pro – 3 September 2020 o Fringe Networkevent – 9 September 2020 • During the How2Fringe workshops guest speakers from the theatre field will also be invited. • In addition to these professionals, your performance is also visited by the Fringe Jury, which consists of (inter)national professionals from the performing arts field (curators, bookers). • Amsterdam Fringe Festival is part of the World Fringe network and the World Fringe Alliance, an informal, international network of Fringe Festivals, including Edinburgh Fringe, Brighton Fringe, Prague Fringe, Grahamstown National Arts Festival and Adelaide Fringe. Between these festivals, performances are exchanged with some regularity. Brighton Fringe has had a Dutch season since 2017 and this year there are also several Dutch performances at Brighton Fringe. Fringe Jury One of the initiatives to stimulate the promotion of Fringe makers in the Dutch filed are the Amsterdam Fringe Awards and the associated Best of Fringe tour. A jury of (inter) national programmers, artistic leaders and Fringe alumni jointly visit the entire festival and select from the range of performances the three best Dutch productions and the best international production and the winner of the International Bursary. All winners can use the label “Best of Fringe 2020” to promote their show. Fringe Awards and the Best of Fringe Tour • The three best Dutch productions win a free spot at the next festival and a place in a Best of Fringe Tour (winter 2021), along several theatres in the Netherlands: Utrecht (Theater Kikker), Amsterdam (Theater Bellevue), Den Haag (Het Nationale Theater / Zaal 3), Rotterdam (Theater Walhalla) and Arnhem (Theater a/d Rijn). • To be eligible for the Best Of Fringe selection, an artist needs to be based in the Netherlands or Belgium and your show must be ‘tourable’ and be able to travel to the Dutch theaters. International Bursary • The (international) jury will also select the winner of the International Bursary, a sum of € 3.500, which the winning performance can use to play the show at a Fringe Festival abroad. • Conditions: performance must be (internationally) travelable and be translatable to English or be in English or LNP. 12
Next Best Fringe Award Amsterdam Fringe encourages artistic experiment. Sometimes, this may result in a performance that turned out differently than you expected or hoped for. Or, you may realize after the festival that you’d like to continue working on your project because it did not achieve its ultimate form yet. This is why Amsterdam Fringe in collaboration with ICK Amsterdam and Het Huis Utrecht will grant the Next Best Fringe Award: consisting of a residency (studio space + coaching) at ICK Amsterdam and/or Het Huis Utrecht and a guaranteed spot at Amsterdam Fringe 2021 to show the new version of the work. To be eligible to win this award you need to nominate yourself by sending a letter of motivation (max. 750 words) about why you’d want to continue working on your performance and how you will change/improve your artistic experiment this time around. You can send in your nomination from 14 – 27 September 2020 to aukje@amsterdamfringe.nl; please mention ‘Nomination Nexy Best Fringe’ as the subject of your email. The residencies will take place in the summer of 2021. The new version of your performance will be presented at Amsterdam Fringe 2021 (2-12 September). 10. Festivalcontext Amsterdam Fringe Festival creates a cheerful festival context: a challenging and dynamic environment in which both local and international makers meet at performances, workshops and of course parties and peripheral activities. Festival Centre In the Fringe Festivalhart you can come and eat and drink, visit performances and side programming and participate in the network events for makers and programmers. Sneak previews of Fringe performances can also be seen here. You can read how to sign up for this in the e-mail newsletter. The Fringe opening, the Awards Ceremony and the Fringe After also take place in the festival center. • In 2020 Vlaams Culture House De Brakke Grond will once again become the Fringe Festival Centre; the meeting point for makers, professionals, crew, volunteers and public. • Address: Nes 45, Amsterdam (just behind Dam square). Fringe x Bijlmer & Fringe x Meervaart In 2020, Fringe x Bijlmer will take place in Amsterdam Zuidoost for the fourth time in cooperation with the Bijlmer Park Theater (4 and 5 September). In addition, a Fringe X event will take place this year in Nieuw-West in collaboration with theater De Meervaart (11 September). • The Pop-up will consist of (paid) performances and a free (Fringe) program. The (paid) performances will also be staged in the festival at other venues. • As an artist you can show a sneak preview at the Fringe X events! Registration for this will go via an announcement in the newsletter this summer. Fringe x Uitmarkt • In 2020 Fringe will once again be present at the Uitmarkt, a big festive event with lots of exposure that functions as the opening of the Dutch cultural season. • At the Uitmarkt Fringe hosts its own stage. A stage for young and edgy talent! • The Fringe stage at the Uitmarkt will take place on 29 and 30 August. 13
• You, as a participant in Fringe, are invited to show a sneak preview of your performance here and there is plenty of opportunity to promote your performance for audiences and different media outlets. Registration for a spot at the Fringe stage starts in the summer and is announced via the e-mail newsletter. 11.
