EXHIBITOR MANUAL Wednesday 4 – Sunday 8 September 2019 ASB Showgrounds, Greenlane Welcome and thank you for exhibiting in the Auckland Home Show – Auckland’s iconic Home Show event. This Exhibitor Manual contains important information for you, regarding setting up your stand, key contact information for the shows preferred suppliers and operational information about exhibiting. Please take the time to read through this manual as it will save you time and energy. Please ensure that this Exhibitor Manual is made available to all staff who will be working on your stand in the lead up to and throughout the Show. We recommend having a copy of this manual on your stand at the show. 3. HOW TO MAKE DELIVERIES TO ASB SHOWGROUNDS 3.1 FREIGHT DELIVERIES - SENDING GOODS TO THE VENUE Large display items and small crates can be delivered from Sunday 1st September 2019. Delivery address is: ASB Showgrounds 217 Green Lane West Greenlane Auckland 1051 Hall # Stand # Contact Name: Contact Number: Please note: Staff at Show Information cannot sign or accept any responsibility for any deliveries. We can direct couriers to your stand. Be sure to put your hall and stand number on any packages to be delivered. If possible, e-mail your courier a Hall floor plan indicating your stand number. 3.2 FREIGHT COLLECTIONS - SENDING GOODS FROM THE VENUE Exhibitors are responsible for the removal of all their stand goods after the event. At conclusion of the event, please ensure that all items are carefully packed. Please ensure you bring all relevant packing equipment for your freight – the venue does not have this onsite. Please ensure you have arranged a courier to pick up your freight and have provided them with relevant delivery and contact details. The Pick-up address for your goods is: ASB Showgrounds 217 Green Lane West Greenlane Auckland, 1051 Hall # Stand # Contact Name Contact Number Contact your courier company before you leave the venue. All boxes, equipment and freight need to be collected by 5pm, Monday 9 September 2019. Break down poses the greatest security risk, therefore the earlier your belongings are collected, the safer they will be.
4. BUILD UP/BREAKDOWN INFORMATION 4.1 ACCESS TIMES Please familiarise yourself with the agreed access times. Build up: The below time schedule is based on carpet lay and stand build. Please do not arrive prior to the times stipulated without prior approval from the event co-ordinator, Janelle Nicholas, 09 394 8120. Sunday 1 September 8am – 7pm Halls 1, 2, 3, 4, 6/7, 8, 9, and Outside. Sunday 1 September 1pm – 7 pm Hall 5 Monday 2 September 8am – 7pm All Halls and Outside Tuesday 3 September 8am – 7 pm All Halls and Outside Any exhibitor or stand contractor requiring earlier access than stated above, will incur additional charges. We have a very tight build schedule as we are back to back with other exhibitions. Halls 1- 4, 6/7,8,9, and outside have a three day build time Hall 5 has a 2 ½ day build time Hall 10 has a 2 day build time and no access before Monday 2 September will be possible. The Street - as per schedule provided. If you are unable to build within the time frame contact Janelle Nicholas 09 394 8120. Show Days: Wednesday 4 September 10am – 9pm (Exhibitors are provided access to their stand from 9am) Thursday 5 September 10am – 9pm (Exhibitors are provided access to their stand from 9am) Friday 6 September 10am – 9pm (Exhibitors are provided access to their stand from 9am) Saturday 7 September 10am – 9pm (Exhibitors are provided access to their stand from 9am) Sunday 8 September 10am – 6pm (Exhibitors are provided access to their stand from 9am) All exhibitors are required to exit the show within 15 minutes of show close from Wednesday to Saturday. On Sunday once all visitors are cleared from the venue breakdown commences. Please wait for the announcement before breaking down your stand. Breakdown: Sunday 8 September approx. 6.15pm – 9pm All Halls and Outside Monday 9 September 8am – 12pm (Midday) Hall 10 and 9 Monday 9 September 8am – 5 pm Hall 1,2,3,4,5,6/7,8 and Outside Everything must be removed by the times and dates listed above. 4.2 EXHIBITOR BADGES – DEADLINE: WEDNESDAY 7 AUGUST 2019 Each exhibitor has a unique username and password which gives you limited administration rights to your company’s online listing. Via this portal you need to enter the names of all staff manning your stand for the duration of the show. Security uses the badges as a form of identification, so we ask for first and last names to be provided. The badges are printed and placed into your exhibitor pack which needs to be collected from the Show Information desk when you arrive to build your stand. All staff working on your stand must have their exhibitor badge with them to gain access to their stands every day. Security guards will check and access will be denied to those without their badge. To gain entry either the pass will have to be brought out to the gate by a manager or your staff will have to pay for entry when the gates open at 10 am. Refunds to staff are the responsibility of the exhibitor.
4.3 WHERE TO PARK The venue car park is owned and run by the ASB Showgrounds. There is a VERY limited amount of space for car parking on-site during the Auckland Home Show due to its size, nowhere near enough for the number of Exhibitors and staff at this event. We strongly recommend you car pool or find alternative means to get to the venue, as once the on-site Exhibitor Car Park is full you will need to park in neighbouring facilities which are also desperately needed by the many thousands of visitors wanting to come to the Show and see your products and services. All surrounding car parks are independently owned and managed. Exhibitor onsite parking – Enter through Gate 1 or Gate 3 and show your exhibitor badge to the security guard at the gate. Due to limited space availability parking is on a first come first served basis. The ASB Showgrounds have exclusive rights to car parking on-site for any event. The usual rate is $19.00 per day, however EENZ are subsidising part of this fee and you will now be charged $5.00 per day for this year. Alternative Parking – Is available at Alexandra Park $10 charge, Cornwall cricket club – opposite the venue $10 charge (cash only) and surroundings. These car parks are independently run and operated. Note: If parking in Cornwall Park please take note of closing times on the gates.
4.4 LOADING DOCK LOCATION AND TRAFFIC MANAGEMENT PLAN All traffic must enter through Gate 1 or 3 and exit through Gate 3. Shaded areas are loading zones only. Loading for Halls 1-4 is at the rear of the building only. Do not park in front of Loading Doors, this is a no parking zone and vehicles will be towed. 4.5 BUILD UP / BREAKDOWN VIA ASB SHOWGROUNDS FRONT DOORS OR CAFÉ To comply with health & safety legislation we cannot allow build up entry via the front doors of the main foyer or the Café as this puts undue risk on members of the public using the café and causes damage to the steps. All loading / unloading must be done via the loading bay doors at the back of the Halls. The front doors are the primary emergency egress route and cannot be blocked at any time. 4.6 STORAGE ONSITE There is limited storage at ASB Showgrounds. There will be a single 20ft container located behind the halls suitable for non-valuable packing materials only.
4.7 FORKLIFT Vehicles - including forklifts - are not permitted in the Temporary Halls (Halls 6, 7, 9 & 10) or Hall 5 at any time. Forklifts can bring stock and materials from a truck to the entrance doorway of the temporary halls and a pallet jack or hand trolley can then be used to move stock to your stand. Halls 1- 4 - If you require your stock or equipment to be brought in by forklift you will need to book a forklift at Show Information in the main foyer. There is no charge for this service if it is a straight forward lift to and from your stand. If the forklift is required for longer, there will be a cost charged by the half hour. Rate TBA. Please understand there will be delays and that we are working as fast as we can to unload stock and equipment. Forklifting services can be booked via Show Information in the main foyer, outside Hall 2. 4.8 PALLET JACKS & HAND TROLLEYS There is a limited number of courtesy trolleys available for use. Availability cannot be guaranteed; therefore, if your time is limited it is recommended you bring your own trolley to avoid delay. 4.9 SAFETY VESTS AND CLOSED TOE SHOES High Vis clothing or vests (yellow or orange) and closed toe shoes are required AT ALL TIMES during build up and break down. Security, OH&S Contractors, The Venue and EENZ staff will be roaming the halls and questioning those without. If you do not comply you will be asked to leave the site, no exceptions. We highly recommend purchasing high vis clothing or vest (yellow or orange) before you arrive onsite to build up and placing these in your show packs for staff. High vis vests will be available to purchase onsite however to reduce wait times and access on the day we do recommend purchasing before you arrive onsite to build up.

Each stand is provided with a 4 plug 10-amp multibox for power and an LED light per 12.96sqm approximately. Attaching signage to panels can be achieved with hook Velcro (dots or strips), staples, tacks or drawing pins. These must all be removed during break down. Do Not Use: Nails, screws, danco or duct tape. Damage will be charged back to the exhibitor.
4.11 POWER You are allocated power to your stand in the form of 10amp power multi boxes, please note that heaters or anything with a heating element use up more power than a standard appliance which can overload the temporary power systems, so at times we do have restrictions in place as the system is not designed to have multiple heaters all running at the same time. If you do have any questions regarding this do not hesitate to contact Show Light and Power to discuss. Please note: NO 24-hour power will be available except for refrigeration on special request, please speak to your sales manager about your requirements. Power will be turned off at days end and turned back on the following morning first thing. Any electrical equipment brought on site must be tested and tagged. This can be done ahead of the event or alternatively we will have LECSAFE onsite during the show build up to test and tag equipment. EENZ reserve the right to remove from the venue any electrical equipment it deems to be non- compliant, suspect or against current industry safety standards. Exhibitors must ensure that all loose cables are secured to avoid tripping hazards. All stand lighting must be 2.2 metres above the floor level. Any variation must be approved through your exhibition event organiser. High powered lights such as floods or spots must not be placed within 500mm of flammable material. All portable light fittings must have a Certificate of Approval from New Zealand Electrical Safety Regulators. 4.13 PANELS Stand panels are 2.3m high. Stand displays must not exceed 2.3m. If your display is higher than 2.3m contact your Sales Manager or the Event Coordinator Janelle Nicholas, 021 619 902 no later than 4 weeks out from the event to discuss. Panels are Velcro respective and not weight bearing. 4.15 SECURITY Upon arrival at ASB Showgrounds you will need to be inducted into the site at the entry gates and collect your exhibitor badges from the Show Information desk located in the main foyer outside Hall 2. Red Badge Security staff will be roaming the halls checking for badges and that you are wearing high vis clothing or vests and closed toe shoes. Those without will be questioned and asked to leave if they do not comply. Please don’t be offended if you are required to provide personal I.D to check against your badge. If you have valuable items on your stand and cannot be on site for the duration of build-up and breakdown please contact Cole taylor from Red Badge Security for a quote for a guard to look after your stock/equipment.cole@redbadge.co.nz 09 580 0650. On closing each evening during build-up, show days and break down, exhibitors must vacate the halls within 15 minutes. Should you need to stay, outside of opening and or closing times you must visit Show Information to complete the security log book. While all security and safety precautions are taken by the organisers, no responsibility can be assumed for the loss or damage to goods. Safety and security of the equipment and products on individual stands is the responsibility of the exhibitor. The organiser shall be under no liability for any loss or damage to any property of the exhibitor or any other person, whether or not caused in whole or in part by any act or omission of the organiser, it’s servants, agents or contractors. The exhibitor is advised to take out all necessary insurance cover. We therefore ask for your co-operation by wearing your exhibitor badges and securing/insuring your valuables for the duration of the show including build-up and breakdown. 4.16 INSURANCE Neither EENZ, the venue or any staff, employees, agents or other representatives of EENZ or the venue shall be held accountable or liable for any damage, loss, harm or injury to the exhibitor, employees, agents or other representatives of the exhibitor or for goods sent to the venue before or remaining after the exhibition, or whilst in transit to or from, or during the exhibition. It is a requirement that exhibitors have appropriate insurance cover for their stand area including public liability. Exhibitors should consult their own insurance companies and/or broker for the proper coverage of their exhibits and display area. The responsibility of insuring goods is the exhibitors own. It should cover the total duration of the show, including build-up and breakdown. 5. ADDITIONAL INFORMATION 5.1 INTERNET & EFTPOS SKOPIK is the official venue supplier for WIFI/ Internet / Hardwired line connections for internet and short term eftpos machine hire for the ASB Showgrounds. Please note that ASB Showgrounds do not have free public wifi. Please contact SKOPIK to find the best solution for your needs. Or click HERE for an SKOPIK order form. Please ensure this is all booked in no later than Wednesday 21st August. • Premium High-Speed Internet – Cabled (hardwired and wireless options are available) • EFTPOS Machine hire and line connections. To hire an EFTPOS machine is easy, click HERE for set by step instructions to setting up your eftpos machines. To set up an eftpos machine you will require a Paymark terminal number. This is provided by your banks merchant service department, either by calling your banks 0800 number or requesting Smartpay to
assist on your behalf. This Paymark number is loaded into the EFTPOS machine and ensures the funds get deposited into your allocated bank account. Due to changes to the Money Laundering Act, companies are no longer able to hire out terminal numbers, so you will need to obtain one under your own business account. If you already have a permanent EFTPOS facility for your business the bank will just need to load an additional terminal number, which will take a maximum of 48 hours. If you require a brand new terminal number please be aware this can take up to 5 working days to be allocated so allow yourself plenty of time. For internet enquiries or for eftpos 0800 476 278, email ashleey.kohlhase@smartpay.co.nz 5.2 BANNER HANGING If you wish to hang banners or signs, you can do so through Jims Contracting, our preferred Rigging supplier. To contact Jim please e-mail jimscon@xtra.co.nz for a quote. Orders for banner hanging must be completed 4 weeks prior to show build up. Please include in your email: • Your Stand Number • Banner specifications Please note: Banners can be hung in Halls 1- 4 only and is dependent upon the location of trusses. Banners can be hung within the temp halls but locations and options for this are limited. Banners must be within the boundary of your stand by a minimum of 1 metre. Any exhibitor hanging banners or signage that will be closer than a metre to the perimeter of their stand must first gain the permission from the show organisers and the neighbouring exhibitor(s) prior to show build-up. If permission from neighbours is not sought, EENZ reserves the right to remove banners. Please contact your Sales Manager to discuss. 5.3 AUDIOVISUAL SOLUTIONS For all AV solutions, we recommend our preferred supplier, Corporate AV. Corporate AV can provide you with TVs, screens and projectors, monitors and a range of other audio-visual hire solutions. 5.5 ELECTRICAL TESTING & TAGGING All portable electrical equipment, appliances and leads to be used on site must be tested and tagged by a qualified electrician in accordance with AS/NZS 3760. Once completed, the electrical tagging is valid for one year (in exhibition applications only). The Safety Management Team will conduct random checks during the event to ensure compliance. To request for electrical testing and tagging service contact David Easterbrook of LECSAFE NZ. Phone: 0800 lecsafe (532 7233) e-mail: davide@lecsafe.co.nz David Eaterbrook and his team from LECSAFE NZ will be onsite during the show build up to provide last minute testing and tagging services. We recommend booking a time with LECSAFE to avoid long wait times during peak times. 5.6 UTILITIES (WATER/WASTE) Water connections and waste systems can be made available from specific locations inside the Showgrounds. Please discuss any requirements you may have with the Event Coordinator Janelle Nicholas at least 4 weeks out from the event. It is the responsibility of the exhibitor to arrange connection from the service point to the equipment and this must be done by a licensed plumber. The ASB Showgrounds taps will only be for filling buckets or small containers, not large volumes of water for filling spa pools etc. Hose pipes may not be connected to the venues water outlets and the ASB Showgrounds may impose fines for anyone abusing them. 5.7 STAND CLEANING Our contracted cleaners will vacuum your stand each night (including the night prior to show opening). If you do not require this service, please notify Show Information prior. All packaging materials and other build-up rubbish must be removed before 7pm on Tuesday 3rd September for cleaning prior to Show Opening. Should exhibitors be using liquids or gels on their stand, it remains the responsibility of the exhibitor to clean the area back to existing standard should any liquid be spilt. Your hall supervisor or helper can assist you with basic rubbish removal. Not mass packaging or cardboard. Alternative arrangements for this will need to be made by you offsite. 5.8 LOST & FOUND Any lost or found items should be reported to Show Information. All reported items are recorded and held until they are claimed. The maximum time items are held for is three months. Claimed items will need to be signed for by the owner upon collection. 5.9 PRINTED SHOWGUIDE – LISTING DEADLINE: WEDNESDAY 7 AUGUST 2019 A printed Show guide is handed to visitors at the entry point. Each exhibitor has the opportunity to use their unique username and password to enter details in the online exhibitor admin portal and complete the online Show Guide form. We will print your stand number, company name, web address or sales contact information and a fifteen-word description about your company and service.
5.10 EXHIBITOR DIRECTORY Each exhibitor is provided with a unique username and password which gives you limited administration rights to your exhibitor listing. You have an opportunity to have a description up to 100 words about your company and or services, be sure to include words that visitors will use in a key word search. You can upload your company logo, three images, up to three show specials, a brochure and even a You Tube video clip. This will become your online exhibitor directory listing on our website. 5.11 FLOOR PLANS Please contact Janelle Nicholas janellenicholas@eenz.net.nz for current floor plans. 5.12 SHOW INFORMATION Is located in the main foyer outside Hall 2, the show information team can help you with your enquiries during build up, show days and break down. This is where you can pick up your exhibitor pack which will have your exhibitor badges in it. Show information hours: 8am – 5pm during Build Up 9am – 9pm on Show Days 6pm – 9pm during Sunday Break Down 8am – 5pm Monday of Break Down 6. ASB SHOWGROUNDS CATERING SOLUTIONS 6.1 FOOD AND BEVERAGE POLICY Exhibitor Food & Beverage Policy: ASB Showgrounds has exclusive rights for sale and distribution of any article of food, drink or tobacco. No Exhibitor shall bring into the ASB Showgrounds, distribute, or give away any item of food, drink or tobacco to visitors without the prior written approval of the catering manager and operations manager of the ASB Showgrounds. ASB Showgrounds will not object to the distribution by exhibitors of foodstuffs used as a means of demonstrating any plant or product manufactured or supplied by the exhibitor. However, sale of such products will not be permitted. Guidelines for distribution of sample servings of food and beverages not purchased through the Showgrounds premises are as follows: Samples must be given away free of cost to the patron Portions must be of a tasting size only (50ml) If you intend to supply food or alcohol either for sale, sample or hospitality during the show you must: Contact your Home Show representative prior to contacting ASB Showgrounds. Should your application be successful you will require a Special Liquor Licence which can be applied for online through Auckland Council. This must be organised at least 1 month prior to Show. If you would like to set up an account to purchase food & drink during show days for your company, this must be applied for and set up no later than Friday 30th August. This allows time for your account to be activated and a card will be waiting for collection at the cafeteria behind the show information desk. 6.2 HOST RESPONSIBILITY Host responsibility will apply to all individuals throughout the event. 6.3 STAND CATERING ASB Showgrounds can offer a range of catering selections for your stand. Other food outlets will be available on show days only as follows: Food Court in the Main Foyer, Café/bar located on the main driveway, a selection food caravans by the grand stand & along the main driveway & coffee stops throughout show. 7. HEALTH AND SAFETY AT ASB SHOWGROUNDS ASB Showgrounds are legally obliged to provide a safe environment for all employees and visitors. In accordance with relevant legislation, New Zealand standards and codes of practice, we’ve developed stringent safety procedures and policies that must be followed by all persons inside our venues. This includes event organisers, event participants, exhibitors and contractors. Health & Safety Signage will be placed at the front of all work sites, to remind exhibitor and contractors of our safety message and we appreciate your adherence to instruction from ASB Showgrounds staff and venue security. All persons onsite during build-up and breakdown need to be inducted into the site and sign the venues site safety rules at the entry gates (gate one and gate three) and receive a wristband, which must be worn while onsite at this time. Failure to acknowledge or comply with the venues health and safety requirements may result in your removal from the site. 7.1 HEALTH AND SAFETY MANAGER Maher Associates Workplace Safety Contact Julie Davy Phone: 021 0409 450 Email: julie@workplace-safety.co.nz 7.2 WORKPLACE HEALTH & SAFETY • PPE (personal protective equipment) high vis clothing or vests are required at all times during build up and break down. • Closed in shoes must be worn at all times during build up and break down. • Other PPE (personal protective equipment) to the risk e.g. safety footwear, safety helmet. This will be captured in the hazard board if required. • No children under the age of 16 or animals on site during build up and break-down. • Do not bring unauthorised or unnecessary persons onto site. • Note emergency evacuation procedures for fire or other potential danger. • Drivers must observe all speed, traffic flow and clearance zone instructions.
• Have a first aid box or kit, one is also available at the show information desk. • Tidiness and safety go hand in hand. Keep access ways clear and stack materials with care. • Do not enter any area where a barrier has been erected. • Erect appropriate warning signs when undertaking a high-risk activity in your own area. • Ensure your tools and equipment are in good working condition, are appropriate for the job you are doing, and leads are tested and tagged. • Electrical work is to be carried out by registered electricians and overseen by Show Light & Power. • No Welding, burning or grinding is to take place within any building without the issue of a hot work permit by Exhibitions & Events New Zealand. • Smoking is restricted to outside areas only. • All Scaffolding must conform to the MBIE heavy scaffolding standards. • No alcohol may be consumed onsite during build up or breakdown. • All accidents / incidents / near hits / spills and any new hazards must be reported to the event organisers and the ASB Showgrounds staff immediately. 7.3 FIRE & SAFETY AWARENESS The ASB Showgrounds pavilions are fully protected by an integrated smoke detector and sprinkler system connected to and monitored by the Fire Service. The marquees are fitted with smoke detectors and fire extinguishers. In the interest of public safety, all fire exits, air conditioning vents, lighting and sound controls, fire appliances and power distribution boards must remain clear at all times. It’s illegal to: • Block or congest emergency exits. • Block the access route to an emergency exit. • Block aisles within the exhibition – these must remain clear at all times. • Obscure or cover emergency exit signs. • Use fabric and display materials which are not fireproof. ASB Showgrounds will not accept the above practices and adherence will be strictly enforced. Sheets may cover 30% Crepe paper For fireproofing contact Fire Pro (09) 579 0367 7.4 HOT SURFACE STANDARDS Exhibitors who are installing hot water cylinders must call their Home Show representative prior to obtaining permission from Auckland Council • Fixed protective screen/railing must be placed no less than 500mm from the face of the fireplace. • Non-fixed screens or railings must be placed no more than 750mm from the face of the fire. • Marine rails may be used. No less than two rails are required. The topmost railing must be no less than 900mm from the floor with a second wire no less than 450mm from the floor. • No open flames are to be faced onto the fire egress, it must be a minimum of one metre back. • Only the area heat needs to be guarded.
• The stands must be manned at all times that any appliance is operating. • No Barrier or screen or guard should become hotter than 65°C. Should this occur the barrier must be moved back beyond 750mm. • You must also have a fire extinguisher visible and easily accessible on stand 7.5 COOKING DEMONSTRATIONS If you intend to use heating or cooking appliances contact your Home Show representative prior to contacting ASB Showgrounds. If you gain approval you will also need the approval of Auckland Council. You will need visible on your stand: • A bucket of clean water • Soap • A clean hand towel • A current fire extinguisher • A fire blanket 7.6 EMERGENCY EVACUATION PROCEDURES A fully compliant, registered, approved evacuation scheme is maintained onsite designed to enable the successful evacuation of staff and visitors in the case of a fire or other emergency. Boards displaying emergency procedures are located throughout the venue with maps to assist you to your closest exit from that point. It is good practice when on site for the first time to observe where the nearest emergency exit is in relation to your stand. 1. Remember, stay calm and make your way to the nearest exit. Follow the instructions of EENZ staff, Red Badge security, Fire Safety officers and ASB Showgrounds staff. Meet and wait in the ASB Showgrounds arena carpark until the all clear is given and you are allowed back into the building. 7.7 ASSEMBLY AREA LOCATIONS In the event of an evacuation the assembly area is outside the main entrance in the arena car park, all occupants of the building are required to congregate at this point. The venue can only be re-entered on the instruction of ASB Showgrounds staff. 7.8 REPORTING INCIDENTS / NEAR MISSES All incidents or near misses must be reported to the exhibition organiser, event security on site or workplace safety staff Julie Davy on 021 0409 450. 7.9 CHILDREN ON-SITE Any person under the age of 16 years is prohibited from accessing ASB Showgrounds and loading dock during the build-up / break down periods. No Exceptions. 7.10 MOTOR VEHICLES Motor vehicles that come on site for display at events require prior approval from EENZ and must adhere to the safety guidelines below: • Vehicles in exhibitions cannot be started and run. • Flooring must be protected by drip trays under each vehicle and a mat placed under each tyre • Ignition keys are not to be left with the vehicle and are to be strictly controlled by the show organiser during the exhibition. • Every car must have at least 1 x 2.3kg A: B:9E) dry powder extinguisher mounted in a prominent location in accordance with NZ 2444:2001 portable fire extinguishers. • No silicone sprays are to be used on the tires of display vehicle(s) within the venue as they create a health and safety hazard. Motor vehicles powered by flammable gas (LPS) may be displayed under the following conditions:
If a car or other vehicle is on display at your stand please arrange a specific delivery time with the Home Show Event Co-Ordinator. LPG powered motor vehicles must have their systems fitted in accordance with AS/NZS 1425:2007 LPG gas fuel systems for vehicle engines. The LPG fuel tank must be isolated from the engine mechanically by closing the ‘service tap’ on the fitted fuel tank. 7.11 GAS CYLINDERS This venue has LPG gas restrictions therefore exhibitors requiring gas cylinders must submit full details to the exhibition organiser as soon as possible. Gas bottles must be turned off at night and security staff will be instructed to check. Each application is assessed with the safety of the public as its prime prerequisite. Gas cylinders delivered on-site will be refused if the delivery was made without prior approval of the exhibition organiser. LPG cylinders shall not exceed 9kg in size with a maximum number approved for your stand to be advised by the Event Organisers. The installation and use of gas appliance and gas cylinders shall be undertaken in accordance with New Zealand AS/NZS 1596:2008 The Storage and Handling of LPG Gas AS 5601 – 2004 Gas Installations. 7.12 ALCOHOL CONSUMPTION DURING BUILD UP / BREAKDOWN Due to OH&S compliance alcoholic beverages are not permitted during build up and break down periods of exhibitions at ASB Showgrounds. If you do not comply you will be removed from the site. 8. EXHIBITS REQUIRING PRE-APPROVAL Exhibitor displays that include gas, naked flame, helium balloons, laser transmitters, smoke/fog or food &/or beverage tastings as part of their exhibit are required to submit a proposal in writing to EENZ briefly outlining the purpose of the display and how it will be used, no later than six weeks prior to the event to allow time for approval to be issued. 8.1 APPROVAL IS REQUIRED FOR: Exhibits which contain: • Gas • Naked flames • Helium balloons • Laser transmitters • Smoke/fog • Food and beverage tastings/samples/give-aways or sales • Motor vehicles • Giveaways • Stands over 2.3m high • Stand sharing with another company Please submit a proposal in writing to your Event Coordinator outlining the purpose of the display and how it will be used, no later than six weeks prior to the event to allow time for approval to be issued. More specific details are outlined below. 8.2 ANIMALS No animals or pets, with the exception of Seeing Eye Dogs and Companion Dogs, are permitted in ASB Showgrounds.
8.3 NAKED FLAME Naked flames include: • Cooking equipment • Barbeques • Heaters • Candles • Oil Burners These are strictly prohibited without prior approval from EENZ. Please contact your Event Coordinator for further information. 8.4 MOTOR VEHICLE DISPLAY Review information 7.10 Motor Vehicles on page 15 8.5 LPG GAS CYLINDERS Review information 7.11 Gas Cylinders on page 16 8.6 FOOD & BEVERAGE No exhibitor or person shall distribute, sell or give away any item of food or drink to visitors of ASB Showgrounds without prior approval from EENZ and ASB Showgrounds. Please review page 12 for the full policy. 8.7 MARKETING OPPORTUNITIES AT THE VENUE All marketing opportunities must be pre-arranged and approved by the exhibition organiser. This includes: • Signage (outside of your stand space) • Branded vehicles parked outside of the designated exhibitor parking areas • Product giveaways NOTE: No brochures or marketing material may be handed out within and around the venue and/or Home Show halls, or placed under guest’s windscreens in the car park or outside street parking at any time. 8.8 MICROPHONES Microphones may be used as voice savers for regular demonstrations. Any amplification or AV equipment must not interfere or disturb other exhibitors. Noise levels to be kept at a level deemed acceptable by the organiser. For further clarification please contact your sales manager. 8.9 WORKING WITHIN THE BOUNDS OF YOUR STAND Please be aware, as per the terms and conditions of the contract, all exhibitors must work within their stand boundaries. You may not step into the aisles to ‘grab attention’ or wander the show handing out flyers.

A-Z INFORMATION & FAQS ACCOMMODATION • If you are travelling from outside of Auckland and need accommodation then there are a couple of options available to you. • Click on the following below link and mention “ASB Showgrounds” to the reservations department to receive the special discount offer http://www.asbshowgrounds.co.nz/services/accommodation/ AISLES • During move-in/move-out the aisle way must be kept clear at all times. • Exhibitors are not permitted to place any promotional matter in any other part of the Venue, other than their own stand, nor hand out literature in the aisles or at the entrance. • All business and visitor contact must occur on the inside of your stand and not in the aisles. ATM • There is an ATM located by the café opposite Hall 2 and a manned cash out hut located on the main drive by the café / bar. AUDIO VISUAL • Corporate AV stocks an excellent range of audio-visual hire equipment. Please refer to the ‘official suppliers’ section of the manual. CAR PARKING The venue car park is owned and operated by the ASB Showgrounds. During the show, there is limited parking available onsite as the show takes up much of the space with additional marquees. Therefore, there is not enough room for every exhibitor to park onsite. Once full, alternative parking can be found in Alexandra Park $8 – 10 Charge (cash only), Cornwall cricket club – opposite the venue $8 - $10 charge (cash only) and surroundings. These car parks are independently run and operated. Please carry cash with you as these car parks do not have eftpos available. Note: If parking in Cornwall Park please take note of closing times on the gates. CATERING • The ASB Showgrounds have sole rights to the sale and distribution of food and drinks within the exhibition halls. No external catering is permitted without prior approval. Seek further information from Janelle Nicholas if you need clarification on how to seek venue approval for sampling and/or selling food or liquor. • The ASB Showgrounds offers a range of catering options for your stand. Contact Jan Forbes, Head of Catering at ASB Showgrounds for more information. Contact details are located on page 4 ‘official suppliers.’ CLEANING • Your stand will be vacuum cleaned the night before show days, and a pre-show clean will occur once build- up is complete starting Tuesday 4th September at 7pm. Rubbish that you have placed in the aisles will be removed and discarded. If you have a floor covering that is not carpet you will need to make separate arrangements to have it cleaned. • Floor mopping is not included as part of stand cleaning.
DELIVERIES • Neither EENZ nor ASB Showgrounds will accept deliveries of any goods on behalf of Exhibitors or provide storage for any items delivered. Nor will they accept responsibility for the safety of any such items delivered to the site in the absence of the Exhibitor. • To facilitate the delivery of goods to the ASB Showgrounds, all consignments must be marked with the following details: Company name (or the name that appears on the stand) Stand number Contact person name (the person who will be onsite to sign for the goods) Contact mobile telephone number Event name Hall number Number of Items/Boxes Courier Company - Contact telephone number Venue address: ASB Showgrounds 217 Green Lane West Auckland, New Zealand Via Gate One and Show Information ELECTRICAL EQUIPMENT • All portable electrical equipment, appliances and leads to be used on site must have already been tested and tagged. • All equipment entering the venue will be checked by the safety management team and reserves the right to demand removal from the site any electrical equipment it deems to be non-compliant or suspect. The safety management team can call upon internal specialists to assist when circumstances require it. • You may bring in your own electrical appliances and fittings for use at the ASB Showgrounds. The appliances and fittings are required to be properly tested and tagged by a qualified electrician. • Once completed, the electrical tagging is valid for one year (in exhibition applications only). • The Safety Management Team will conduct random checks during the Event to ensure compliance. • To request for electrical testing and tagging service contact David Easterbrook of LECSAFE NZ. Contact details are on Page 4 of the exhibitor manual. EXHIBITOR BADGES • Exhibitors will only gain access to the venue with an official exhibitor badge. • A list of staff names must be submitted prior to show. You will be sent an email shortly from Shannon Gallagher asking for these details. You must provide the first and last name of your staff members. • All badges can be collected from Show Information desk located in the foyer outside Hall 2 during build up. • All staff working on your stand must have their exhibitor badges with them to gain access to their stands every day. Security guards will check and access will be denied to those without their badge. To gain entry either the exhibitor badge will need to be brought out to the show entry by a manager or your staff will have to pay for entry when the gates open at 10 am. Refunds to staff are the responsibility of the exhibitor. FIRST AID It is recommended that you have a first aid kit on your stand. In the event of accident or trauma please see the show information desk located in the main foyer outside of hall 2 for basic first aid and supplies and to record the incident. If the accident is more serious in nature the nearest medical facility is Ascot Accident and Medical Clinic (24 hours) 90 Greenlane Road, Remuera Auckland 09 520 9555. • While the show is open to the public, we have St Johns onsite, if needed please alert EENZ staff or security whom can contact St Johns on radio. The Ambulance is located between hall 6,7 and hall 5.
