Exhibition Guide 2.3 Map of symposium area 2.4 Parking The nearest car park is Interparking Albertine. There is direct access from the car park to the Cube (level -1) which is the main entrance of Square (see the attached document for more info). Access to the Cube is restricted from midnight; however you can go down to the Car Park at any time. If you do not have heavy goods deliveries, you can park your car at the Albertine car park, entrance via Place de la Justice 16, 1000 Brussels. Please park at level -2, which has direct access to the exhibition area. The vehicle must be maximum 1.95 m high. Please avoid using the entrance rue des Sols/Stuiversstraat at 1000 Brussels, which is often congested during the dismantling periods. More info about the Interparking Albertine here. 8

Exhibition Guide 5 Exhibitors: Registration and badges 5.1 Exhibitor badges Your Exhibitor badges need to be ordered via Your Secure Zone on the ISICEM 2021 website. 5.2 Exhibitor registration Exhibitors can pre-register by submitting names using the Exhibitor Order Form Online via your secure zone. Badges can be printed in the registration area (Exhibitors line) at the following times: Monday, August 30, 2021 2 pm – 6 pm Tuesday, August 31, 2021 7:30 am – 6 pm Wednesday, September 1, 2021 7:30 am – 6 pm Thursday, September 2, 2021 7:30 am – 6 pm Friday, September 3, 2021 7:30 am – noon All exhibitors must wear an exhibitor badge. Five free badges/9 m² will be provided. After July 19, 2021 any name change will be charged at € 65 incl. VAT. Ordered badges that have not been collected are not refundable. Each exhibiting company will receive one complete participant’s bag including a copy of the 2021 Annual Update in Intensive Care and Emergency Medicine. Should further bags be required this may be accommodated at an additional cost of € 100 incl. VAT per bag, and should be indicated on the advertising order form (see: INDUSTRY PROSPECTUS) IMPORTANT: Exhibitors are not permitted to attend conference program sessions unless registered as delegates. Please note that if you lose or forget your badge, you will need to purchase a replacement for € 65. This sum will be reimbursed if you find your badge later and show it at the Faculty desk during the meeting. 13
Exhibition Guide 6 Visitor badges All visitors must wear a visitor’s badge, which can be purchased on site for the fee of € 65 incl. VAT. Please note, visitors’ badges cannot be bought in advance. 7 Exhibition happenings • Free drinks are available at the back of Halls 1 & 2 everyday during Exhibition opening hours. • Belgian delicacies will be served everyday in the exhibition halls. • Internet connections will be available to congress attendees allowing high-speed access to electronic messages. 8 Building your own booth: rules The following rules have been implemented because of the size of Square’s exhibition halls: Height: The maximum general authorized height is 2.50 m. Be aware that the ceiling of SQUARE sometimes doesn’t allow a construction that high: please check carefully the maximum building height for your booth as indicated on the floorplan and pricelist below. You may be authorized to dress the booth to a height of 3.50 m if you hire a whole group of booths (e.g., 1.33-1.34-1.35-1.36) and if the ceiling height permits this: please check the floorplan and the pricelist. In this case only, the top of any suspended structure (rigging) above your booth may not exceed a total height of 4 m. Please always check if the ceiling height permits this height. The maximum building height must be respected to obtain our approval for your booth. Aisle: The aisle must remain free for all traffic. No construction is allowed between two booths. Booth sides: Each booth side must be open for a minimum 50 % of its length, the only exception being when the side of the booth is along a wall of Square, then the booth side may be closed for 100 % of its length. Booth layout approval: If you are creating your own booth you need to send the layout for approval to: cre@esn.eu before May15, 2021 If, during the construction of your booth, it is found not to conform to the approved plan, you will be re- quired to make the necessary adjustments on site – this will be at your own expense. 14
Exhibition Guide Noise disturbance: Please note the following information: • Exhibitors may use sound equipment in their booths as long as the noise does not disrupt the activities of neighboring exhibitors, and in all cases must not exceed 50 db. • Oral presentations at the booth are not allowed. There are specific meeting rooms at the ends of Halls 1 & 2 for presentations. For more information, please contact the Symposium Secretariat: colette.dutillieu@isicem.org • Electrical or other mechanical apparatus must be muffled so that the noise does not interfere with other exhibitors. • Exhibitors violating noise regulations will be warned once. A fine will be issued if the exhibitor does not comply. You can find the floorplan and pricelist in the attachments of this document. 9 Order your booth from ESN/Poplar events 9.1 ESN/Poplar events builds your booth for you The objective is to offer all exhibitors different lay-outs of packaged booths in line with the exhibitor’s style and their specific requirements. These booths are built using the Octanorm Maxima Light systems, with panels that can be printed on. Please note that the printed panel costs are not included in the price/m² for each package stand. If you need more information, please contact ESN’s project manager, Claude Rella by e-mail: cre@esn.eu or by phone +32 2 639 02 4 REMARK: As a result of the pandemic situation, in addition to the usual booths proposed by ESN/Poplar events, we are introducing a new range of basic displays enabling you as Exhibitor to replace your own booth with a light construction (in case you will be attending with a reduced delegation on site), while maintaining your brand visibility within the exhibition area during the 40th Isicem 2021. You will find more details about these new basic displays on page 28. These basic displays will only be made available if it is decided to hold the 40th Isicem as a hybrid meeting (combining physical and virtual elements), because of the sanitary situation. These basic displays will be built on your booth surface instead of your own booth. IMPORTANT REMARK: Extract of our General terms and conditions, available at www.poplar.events (contact page). Article 5 Cancellation 5.1 Any obstruction, for whatever reason, on the part of the client that prevents the event from going on completely or incompletely, is entirely at the risk of the client and never discharges it from its obliga- tions towards the contractor. 5.2 In the event of a delay or cancellation of the assignment by the client, the client owes the contractor the following percentage of the compensation agreed for the agreement; a. Cancellation or delay more than 180 days before the production date: 25% b. Cancellation or delay between 180 and 120 days of the production date: 50% c. Cancellation or delay between 120 and 30 days of the production date: 75% d. Cancellation or delay less than 30 days of the production date: 100% 15

Exhibition Guide 13 Deliveries and freight forwarding 13.1 Official sole freight forwarder In order to improve and facilitate the movement and transportation of booth and demonstration material, logistics will be handled by Ziegler, as official and sole freight forwarder and on-site handler, for unloading the trucks, bringing stand and demonstration material to the stand area, and reloading the trucks with the material at the time of dismantling (through the lift). Please contact Ziegler in order to: • Receive a time slot for loading and unloading the truck for the mantling and dismantling period. • Have access to the exhibition area using the sole elevator, rue des Sols n°13. Ziegler will handle the storage of material during the event, at your request. Ziegler Expo Logistics is dedicated to fairs & exhibitions, congresses & special events. DO NOT send courier parcels to SQUARE Brussels or to 40th ISICEM 2021 - for security reasons they will not be accepted. No storage foreseen. Courier services do not perform the necessary and specific customs formalities needed for exhibitions and fairs; therefore, we strongly insist that parcels are sent to Ziegler Expo Logistics (consignee/instructions same as for air/sea/road deliveries). Z.E.L. will charge the exhibitor for receipt, handling, intermediate storage and delivery to the booth. These services/charges are NOT included in the original courier fee. NO direct deliveries of exhibition material will be allowed at SQUARE Brussels. 13.5 Delivery restrictions SQUARE Brussels is located in the busy city center resulting in restrictions for cargo deliveries & pick-ups, and requiring strict logistic organization. A narrow dead-end street allows only space for 2 trucks to unload/reload. Only 1 cargo lift leads to the exhibition floor. All suppliers (furniture/stand builders/catering/exhibition cargo…) have to use the same entrance/same elevator! This requires a strict delivery planning agreed in advance between major suppliers. NO direct deliveries of exhibition material will be allowed at SQUARE Brussels. All “partial truck loads” must be delivered in advance to Ziegler Expo Logistics warehouse. Only “full truck loads” will be allowed to deliver direct to SQUARE Brussels (Rue des Sols – Entrance Square 13). For these direct deliveries a pre-advice of delivery/pick-up should be given to Z.E.L. at least 5 working days in advance. The firm date & time window for the truck to park will be confirmed 3 working days before agreed arrival (subject to police approval). The trucking cie has to stick strictly to this arrival window. If the truck fails to arrive at the right time it will have to wait for another opening/possibility, without guarantee. Trucks are only allowed to wait during required loading/unloading time.
