Booking Terms and Conditions Reservations, Payments and Guest Numbers − Trackside and Stables Marquee require a deposit of 25% of the total cost, to be paid at time of booking. The balance of the payment and final guest numbers is required no later than Friday 5th October 2018. Please note we do not 'hold' dates or take tentative bookings. − Chevals Restaurant requires a deposit of 50% of the total cost to be paid at time of booking for any booking with 30 guests or more. Any booking under 30 guests requires full payment at time of booking. − Members Lounge and Mark Murphy Lounge require full payment at time of booking. − Bookings will be confirmed on receipt of a deposit. Payments can be made by cash, cheque or credit card (VISA or MasterCard) − For the safety of patrons and staff, the Racecourse reserves the right to re-allocate venues or cancel a function if it is deemed that patrons and staff will be at risk from factors that may include environment or Workplace Health and Safety issues. Newcastle Racecourse will allow transfer of a function to another date without penalty subject to the following: a written request is made by the Event Organiser with at least 28 days’ notice; the deposit will be transferred if the function is moved to within 28 days of the original date; any transfer within 28 days will be treated as a cancellation; and subject to the availability of a suitable room within the 28-day period. Seven days’ notice required for reductions in number, after this no refund will be given. Booking Conditions The function organiser must declare the purpose of the function and provide a driver’s license number. Newcastle Racecourse is a licensed venue and a condition of this license prohibits entry for ‘bucks’ parties. All guests associated with your booking must accept eviction if your booking is subsequently identified as an undisclosed ‘bucks’ party and there will be no refunds or reimbursements. Our Liquor license does permit hens parties but no adult entertainment is permitted. Ticketing Ticketing will be forwarded after final payment is received. The perforated section of the ticket will gain guests entry to the racecourse, while the remainder of the ticket must be displayed to allow security and staff to identify guests in the function venue. Newcastle Racecourse will take no responsibility for lost or stolen tickets. Menu Confirmation All menus must be confirmed at least three (3) weeks prior to the function date. This also includes dietary requirements. The Racecourse reserves the right to substitute dishes if seasonal influence results in ingredient unavailability. Pricing All prices quoted are subject to change. A deposit will secure the menu at the time the price is quoted. Children Children may attend functions but it should be noted that all function venues are licensed and all persons under the age of eighteen (18) must be supervised by a parent or legal guardian at all times. It is against the law for persons under the age of eighteen (18) to consume alcohol or gamble. Please contact the Events team to inquire about children's pricing to attend events at the Racecourse. Dress Standards With any race day comes the on course fashion, and Newcastle Racecourse is all about dressing to impress. Booking Terms and Conditions Decorations Please see your Event Coordinator for permitted decorations. Please note balloons are not permitted on race days. Responsible Service of Alcohol Newcastle Racecourse has taken measures to ensure that patrons enjoy alcohol without danger to themselves, fellow patrons and staff. Staff have been trained in the practices of R.S.A. and Management supports the actions of staff in refusing service to intoxicated, disorderly or underage patrons. A few house rules include; No jugs of spirits or beer No shots or double measures of spirits or liqueurs Maximum of 4 drinks per customer - may be revised during the day back to 2 or 1 Plastic beer and wine cups to be used in all public areas. For complete liquor license conditions, please visit newcastleracecourse.com.au ATM Facilities There are 3 ATM’s located on the ground floor at the centre of the Betting Ring, near the Members Entry gates. Wheelchair Access Some of our function venues have limited wheelchair access. Please contact Newcastle Racecourse’s Events Department for the best access points. NSW Non-Smoking Law NSW tobacco laws prohibit smoking in any spectator areas of Newcastle Racecourse, including all function venues and the undercover Betting Ring, Grandstands, Marquee and public lawns. Smoking however is permitted in our designated smoking areas. Please note NSW Health Officers visit the venue on a regular basis to impose these laws. You risk a $150 on-the-spot fine if you are caught breaking these laws. Cancellation of the Races Due to Bad Weather If a race meeting is cancelled prior to a race being run, it is left to NJC discretion whether the function will continue or be cancelled. If the races are cancelled The NJC will usually hold a ‘Phantom Race Meeting'. A Phantom Meeting is held when the condition of the track prevents the safe running of the event. The Club will provide betting facilities for all other local and interstate meetings. Full monies will be refunded to the client for a cancelled function under these circumstances. If a race is run and then the meeting is cancelled, the function will go ahead regardless. Race Day Times Gate opening times vary throughout the year however they will usually be approximately 1 hour prior to the first scheduled Newcastle race. Times will be posted on our website at newcastleracecourse.com.au on the Thursday prior to the Saturday meeting. Food Policy Patrons are permitted to bring picnic style food and snacks onto the course including finger foods and non-perishable items. Disposable or plastic cutlery only. No metal cutlery, knives of any sort or glass are permitted onto the course. Patrons may only consume their picnics in open spaces and grassed areas and NOT in our pre-booked function and dining areas. No beverages are allowed.
