CTM Fare Forecaster The most influential technology available in corporate travel today, Fare Forecaster influences buying behaviour to enable the best decisions to be made. This is an exclusive and proprietary solution available only through CTM. Fare Forecaster provides the user with access to instantaneous live booking data without having to enter the search information into the OBT. You will view the chosen sector, and time, and the tool highlights the cheapest day and departure time to fly up to 10 days either side of proposed date. Clicking on the preferred (i.e. cheapest) option will link you directly into the relevant fare display on Lightning to complete the booking. Book in-policy and secure the cheapest fare. Simple. Travellers and travel bookers will make significantly more informed decisions to maximise COST AVOIDANCE and SAVINGS based on the best time and day to travel, while enjoying enriched flight details on amenities including seat pitch, WIFI, power outlets, and meal options. Here’s an example: A booker opens this solution in the CTM Portal and seeks to book a day trip on 29 June: a return fare from Brisbane to Melbourne. The cheapest fare is $502.77 (below, left) ... but as Fare Forecaster reveals, flying one day later secures a fare for $318.01 (below, right), a saving of $184.76 (37%). Same fare, same conditions, same time of the day. If he or she clicks on that cheaper day, the tool takes you directly into the Lightning booking page – all CTM tools are single sign-on – delivering speed and cost saving in a single click. Global Fares Database Our international consultants will source fares from our Global Fares Database, a multi-GDS driven database sourced via our global alliance network. This will allow clients to benefit financially from cross-border pricing discrepancies, currency fluctuations, as well as discrepancies between GDSs; we have access to more than three million local market fares from our partners. Here’s an example as per the screenshot, below: A return Premium Economy booking from London to Sydney is sourced in Australia, with the cheapest fare available being AUD$6,706.44, as per screenshot below. By comparing fares available via our GDS in the United Kingdom (below), we can reduce the fare to AUD$5,855.70 … an immediate saving of more than AUD$850. Importantly, the ‘home’ country of the booking (in this example, Australia) retains control of the ticket – all changes can be made in Australia, and the booking is captured for reporting and Duty of Care purposes. CTM Hotel Reviews Integrated within the Lightning OBT and, again, exclusive via CTM, Hotel Reviews allows individual travellers to write and view hotel property reviews for both online and offline bookings. Once a review is completed, this is to your travel manager for approval prior to upload. The data collated can only be viewed within your own company reviews, and you own this information. This is immensely powerful for two reasons: bookers can come to understand which properties best suit your location, culture, and expectations, while the database greatly improves your grasp on each hotel’s value, informing your coming tender and negotiation process. Note also in our hotel display, driving and walking directions are accessible at the booker’s fingertips to determine how well located the hotel is based on where meetings and appointments are scheduled, or a regularly visited site is located. Review requests are email-based and easily completed, then forwarded to travel management for approval prior to posting. Once approved, they consolidate in the overall ranking within Lightning. CTM RideShare Thanks to RideShare, your travellers arriving at the same destination within an agreed time window will receive an SMS or email indicating other colleagues with whom they could potentially share a taxi or rental car booking. This largely unrecognised aspect of travel is a significant expense: taxi spend generally equates to approximate 5-7% of an organisation’s T&E. Let’s say you set your time window such that anyone landing in the same airport within 20 minutes of each other is sent a RideShare message – this contains the name, phone number and flight details of other travellers arriving at the same airport within that window. By analysing your booking behaviour, we can assist with recommendations for time windows by destination. It comes down to math. If a customer experiences 500 instances of employees arriving on the same flight OR within 20 minutes of one another. Based on 50% take-up and an average taxi or car rental cost of $70, it would equate to saving of $17,500 per annum on taxi / ride share and car hire expenditure. CTM Tickets-on-Hold Widget The introduction of this heightened visibility in your pre-trip experience ensures travellers and bookers can easily manage and redeem tickets in credit. We already support this in the Lightning via a booking prompt – auto-allocation of the credit is the OBT’s default configuration. An accompanying widget (below, left) sits on the front page of your CTM Portal as an effective ‘visual guilt’ mechanism to assist in keeping on-hold tickets front of mind. This will display a list of total tickets-on-hold by passenger, airline, department and cost centre and you can drill further down to view by expiry date, value, ticket number, etc, as per the following example. CTM Traveller Tracker This interactive product is your central hub for optimal Duty of Care and traveller whereabouts management, and features: 1. PinPoint – pinpoint your travellers on a map according to their itinerary and source real-time itinerary updates in a single screen format. 2. Flight Path – track the status of the flights ‘live’ 3. Risk – View the risk level and any affected travellers on a single screen This has been designed as a multi-purpose platform: specifically, a travel arranger, Duty of Care, and cost avoidance solution. Bookers have instant access to their travellers at all times, removing the need to trawl through emails or maintain a manual process. Track, Locate, Communicate –access to instantaneous information for tracking travellers’ whereabouts 24/7/365, plus the ability to easily communicate with your staff if required. You can also monitor the status of the flights – where it is on its flight path and whether it is delayed or on time – a particularly useful tool for tracking VIPs if required by an EA, support team, etc. Traveller Tracker is also being used by our clients for cost avoidance opportunities. Travel arrangers can identify if colleagues are already in a certain location and determine if that staff member can assist, rather than send another employee. Equally, you can save on areas outside of travel – for example, courier costs, using this widget to identify travellers who could facilitate the delivery of certain goods. CTM Risk Alerts Supported by real-time information from our global supplier, Riskline (www.riskline.com) CTM Risk Alerts provides an automated alert to drive compliance in your Duty of Care demands. A level of risk is allocated to any incident or scenario identified as having potential traveller impact. These are as follows: 1. Negligible – Disruptions where travellers stand less than a 5% chance of being affected 2. Low – One-off incidents where travellers should remain vigilant 3. Moderate – Serious and violent hazards to personal safety, probability of encountering hazard is less than 50% 4. High – Travellers are likely to encounter serious risk to their safety 5. Extreme – Travellers will certainly encounter serious risk to their safety You can determine which level of alerts to receive. (e.g. levels 3-5 only). The system receives and sends alerts 24/7/365, forwarding the alert to the traveller within 10 minutes of being received in the system. Risks can also be defined by region, identifying all travellers in pre-selected areas to receive the relevant alert. Crucially, alerts are customisable by SMS (example, right) or email (example, left) down to traveller level, and we have introduced multiple SMS gateway providers for greater network coverage assurance (the SMS will be intelligently routed via the most appropriate SMS gateway based on the location of the traveller). Equally, there are multiple gateway failover systems, meaning if one SMS gateway fails, a secondary provider will be used to deliver the message. Corporate Travel Management | travelctm.com
CTM Approve CTM Approve takes pre-trip approval to a new level. The system can be customised to suit the approval workflow of your travel and booking cycle, including risk mitigation across health, aviation, country and risk. Accessed via the CTM Portal, the functionality provides for integrated pre-trip approval. A travel request placed via the tool generates an email to your nominated approver, with any risk alerts highlighted. This email can be tiered to multiple approvers in line with the approvers required by policy, and approval may also be actioned via any mobile device. The complexity of the approval matrix can be as simple or advanced as you require. Basic approval across travel only is easily managed; you can then add the risk mitigation elements (and ask questions around them). Thanks to CTM Approve, you can dynamically customise approval workflows in real- time, down to department level (i.e. your investment department may have more complex approval requirements than the marketing department). This ensures that all OH&S, Risk obligations and Duty of Care demands of your travel program can be built into your pre-trip approval workflows, with full visibility and auditability. The CTM COVID Hub and Testing CTM’s response to the Covid-19 pandemic was as rapid as it was effective. The resultant Covid Hub ensures our clients can access real-time, country-level travel advice relating to border controls, quarantine requirements, travel permits and destination health insights, all via an interactive global map and itinerary-based trip search. Critically, it provides up to date information on a state-by-state basis in Australia. We have also integrated Covid testing protocols as required by location, further support for travellers seeking accurate, up-to-date information at their fingertips (see following page). Accessible from the CTM Portal, the Covid Hub trip planning tool enables travel program managers and travel arrangers to view visibility of country-level travel advice and critical information to support efficient, effective and responsible travel planning, while underpinning traveller confidence. Users can select a country via the interactive global map, or search based on their proposed travel itinerary; to view current travel restrictions, health status and advice; and access detailed downloadable country travel guides. And, via our integration with third-party provider Sherpa, the hub will provide updated visa and passport information relating to each requested destination. CTM’s unique Covid Hub features real-time status and restrictions of worldwide locations, a prompt and efficient response to the worldwide pandemic as our clients seek to return to travel. As part of the Covid Hub integration, travellers and bookers can also access real-time information on visa requirements, and view any entry and lifestyle restrictions on that location. CTM’s Covid Testing Support As international borders open up, certain destinations require travellers to provide evidence of a false (i.e. negative) Covid test 72 hours prior to departure. CTM has developed a workflow to assist our customers in meeting these requirements. The ongoing enhancement of this support in meeting Covid travel guidelines and requirements is a commitment that typifies direct client need, as follows: Once the international booking is complete, the traveller will receive an email seven days prior to their international flight. Click on the link provided, and individual traveller details will need to be entered to commence secure health data processing with a recognised health provider. CTM will provide payment for the product. The traveller determines when and where they take the test, and a digital, internationally recognised test certificate is provided as proof to travel. Alternatively, your CTM consultant can arrange and facilitate payment for your PCR Covid Test as part of our concierge booking process. The Lightning Online Booking Tool As an independent TMC, we have intentionally positioned ourselves as an ‘agnostic’ supplier of Online Booking Tool solutions – we do not have formal commercial commitments to favour one tool over another, preferring to align the best tool for each individual client. We support a range of tools, including our proprietary solution, Lightning, plus Serko / Zeno, and Concur. We recommend Lightning, for the following, compelling, reasons: • Lightning is developed and maintained by in-house CTM resources, specifically our unique, Sydney-based Technology Hub. This guarantees prompt configuration and development opportunities with no requirement or cost for third-party suppliers’ involvement and – unlike other OBT solutions – guarantees the tool is developed specifically for the Australian market. • With Lightning, integration to our SMART Technology is optimised, with solutions such as Fare Forecaster and Hotel Review linking exclusively to this solution. • The Lightning choice dovetails with our CTM Mobile product, completing a common booking and information solution both in the desktop and via a smartphone (iPhone and Android). • Lightning is accessed via a common web browser: no IT intrusion or links, and sitting within a browser configuration designed to optimise the solution. • Lightning was the first OBT to integrate in real-time with New Distribution Capability (NDC) content with Qantas, and continues to lead the market in securing non- traditional content. With an intuitive, easily navigated interface, Lightning reflects the consumer experience of online purchasing with no compromise to policy or cost saving. The screenshot above highlights non-GDS content integration – in this instance, with regional carrier, Rex – and additional information valuable to the booker: on-time performance (especially useful during Covid changes), preferred carrier status, and a range of fare classes available. Lightning saves our clients time and money When CTM’s in-house Technology Hub developers sat down to formulate a proprietary online booking solution, it was clear that considerations such as the user interface, display configurability, policy compliance, and integration potential were core items on the agenda. CTM arrived at the Lightning tool, adopting a consumerised, familiar look and feel to the screen display while supporting corporate objectives. It’s simple things which paint this picture: a ‘shopping cart’, for example, and a workflow which mirrors the way leisure travel is booked but at no compromise to cost saving, policy compliance, duty of care, or reporting demands which our clients require. Through our single sign-on function, only authorised users provided with a log on and password can make bookings, while advanced settings will allow your ‘super users’ to make bookings for a wide range of travellers. Lightning Features Lightning requires minimal training, impresses with its ease of use and actively increases online adoption rates. Features include: New Distribution Capability CTM was the first TMC in Australia to enable client’s access to live NDC content via the OBT. This combines with the tool’s in-built functionality to deliver greater booking and servicing capabilities and more relevant choices for customers, displaying information such as on-time performance for each flight, how many seats are available at each fare type, and whether there are cheaper days to travel. Airlines, Hotels and Car Rental options displayed on a single screen With all content collated in a single screen display, you typically complete a booking in under two minutes. Recent Search Function The ‘Recent Searches’ bank (right) displays the last 20 searches that have not been finalised. Selecting a search will take the user back to the point in the booking that they left. Unused Ticket Credits on Hold Automated allocation of valid ticket credits is applied to every booking, delivering an efficient workflow while reducing your unused ticket balance. Non-GDS Accommodation Inventory Lightning books both GDS and non-GDS accommodation, including complete integration to Booking.com and Expedia inventory. ‘Mine Spec’ live content available The OBT enables mine-spec vehicles to be booked, a unique benefit for our Resource and clients with remote / rural travel requirements. Multi-pax Booking Capability Book up to nine passengers from various departments, cost centres, payment types and/or approvers. PLUS, this function allows for slight variance in itineraries. Customisable Approval Controls Approval rules can be applied on ‘Active’ or ‘Passive’ settings, point of origin or destination, booking lead time, ‘only if out-of-policy’, single and multi-tier, the capacity to reallocate the approver ... all configurable to the traveller’s policy rules. Lightning dovetails with our CTM Mobile App This means a common booking platform both on the desktop and smartphone (iPhone and Android), the latter allowing bookers to book on behalf of other travellers. Swap Function The tool highlights if a better fare for the same itinerary is available (both domestic and international); clicking on that prompt will reconfigure the booking with that fare. Accommodation Allotments and Campsite content available Via the CTM Allotment tool, a range of customisable accommodation content can now be booked via Lightning, integrating across the booking to support our single itinerary objectives. Lightning is a tool that well and truly satisfies the end-to-end booking cycle, from: • Personal profile requirements (seating, meals, etc) – it is mandatory for every booking to commence by retrieving a traveller profile. Not only does this ensure the correct Form of Payment, employee ID, personal detail and Budget centre and/or job codes are applied, but this information is auto-populated into the booking, a guarantee of accuracy and adding efficiency to the process. • Policy application and compliance – every booking undergoes a policy check in line with the policy identified in the traveller profile (profiles can carry multiple policies – the booker simply selects the relevant policy from a dropdown box at the time of booking). We are flexible in the level of policy mandate applied, but typically recommend an out-of-policy selection results in a ‘Reason Code’ demand. That is captured and included in reporting, along with any lost savings associated with the booker’s choice. • Location Services – Lightning is the easiest OBT in which to source accommodation by location. Some link location to the nearest airport, which is not an optimum outcome for regional Australia; Lightning uses country town locations – a significant advantage and difference to other OBTs. • Hotel attachment rates – when you book via Lightning and the itinerary has at least one night away, yet no hotel has been booked, the tool can be configured to ask if you want preferred accommodation secured. This greatly reduces leakage from your hotel program, a key pain point for many clients who come to CTM seeking assistance. • In-house fulfilment – for domestic ticketing of OBT bookings, we ticket within a 15- minute automated window, when our mid-office system Tramada generates an itinerary and invoice in PDF format. Traveller histories are archived, and invoices can be retrieved free of charge at any time. • International online booking – Lightning can allow you to book international travel. We recommend only booking international online sectors with which you have a negotiated point-to-point fare to ensure you are securing best value in this environment. • Pre-trip approval – A standard travel request is actioned via Lightning, with all details of travel entered. An email then triggers the approval cycle, and the approver can either approve the booking via that email or enter the OBT and manage multiple approval requests at once. You can establish this as either ‘Passive’ or ‘Active’ approval – passive allows even bookings with policy breaks to proceed once a Reason Code is entered, and that Code (plus lost savings) are captured for exception reporting purposes. Pre-Trip approval Lightning’s pre-trip approval workflow is easily navigated, outlining its progress through every stage from request to approved. Note the ‘pending approval’ summary below, which includes ‘Time Left to Approve’, a request information, the reason for travel, and any lost savings associated with the booking. CTM Mobile Our free of charge smartphone App, CTM Mobile, is an ideal iPhone or Android solution for booking ‘on the go’. A key feature of the App is that allows you to book air, car and hotel – as per the OBT experience – and which allows a travel booker to book on behalf of other travellers via their own log-in. The App also has a Concierge functionality, which introduces travel assistance features including access to itineraries, transiting options, flight check-in and intuitive travel announcements / updates (e.g. gate changes) in real-time. Notably, Concierge includes a ‘proof of safety’ function (as an ‘opt in’): at 0900 local time, every day, your travellers can be prompted to confirm their safety, at which point you receive an update on their location and status. The Concierge module in CTM Mobile brings alive total visibility to travel, calendar event and itinerary alerts such as flight changes, integration with Google Maps and Uber. Reporting: CTM SMART Data Our comprehensive reporting system, CTM SMART Data, is a game-changing approach to travel management thanks to our single Global Data Warehouse, underpinned by Microsoft Business Intelligence Platform. CTM SMART Data provides substantial data benefit for our clients … not simply visibility to information, but genuine interrogation and filtering capability as follows: • Easily access and share, fast, intuitive dashboard reports with your team for more meaningful and digestible insights, or deep dive into your data with customised reports. SMART Data lets you take control of your future travel spend by identifying cost savings opportunities with predictive forecasting. • Locally identify pre-trip (i.e. booked, not departed) cost savings to reduce spend. • Influence and enhance your travel policy: pinpoint data trends to drive savings, identify policy breaches to improve compliance, leverage industry benchmarking data, enhance supplier negotiations, maximise duty of care. • Data includes both pre- and post-trip information. Reports can be viewed through five tiers of your business hierarchy (e.g. Whole of Department, Division, Team, Individual, etc), and can be exported in a range of formats (excel, PDF, .csv, etc). • We capture all data confirmed in a booking. Customer-defined fields such as project or job codes, or approval numbers, can be included as mandatory steps for inclusion in the booking workflow (items such as cost centre auto-populate from the traveller profile) and can be in live text or dropdown box formats. Wellbeing Reporting CTM has long been known for its excellent internal recognition programs and staff engagement levels. Now our clients can benefit from this same degree of care, with our systems developed to identify ‘travel stress’ and the impact it has on client travellers. We have a range of reports available within our Health and Wellbeing program through which we work with clients to support their in-house support approach, a sample of which appears, below. These include: 1. Number of nights away per month. Reports indicate that over six nights away per month can have adverse effects on travellers (e.g. sleep, BMI/weight fluctuation, alcohol consumption etc.). CTM groups travellers in ranges of 1-6 days (low risk), 7- 14 days (moderate risk), 15+ days (high risk), and can adjust these metrics to suit client programs. 2. Top travellers by a number of metrics (e.g. mileage, no. of trips, nights away from home, etc.) can be identified. 3. Number of ‘Red-Eye’ flights (i.e, flights that depart after 8pm and arrive before 6am, or flights that depart before 6am) can be split out to further draw attention to potential traveller fatigue / distress. 4. Return Trips Same Day. Environmental Reporting Over and above our carbon emission reporting via CTM SMART Data, we have developed an enhanced sustainability program with the South Pole Group, called Climate+, which will enable our customers to better understand the environmental impact of their travel and assist them in reaching their climate neutrality goals. Clients are invited to offset their travel program’s carbon footprint through the Climate+ program, offsetting their emissions by supporting a range of environmental sustainability initiatives including rainforest conservation, sustainable livelihood programs, wildlife protection and renewable energy. Each option has one or two projects within it that their offset will be retired against (pricing varies per carbon tonne for each option), and clients can also select a portfolio made up of all four options, with an aggregated offset price.
