OVERVIEW PURPOSE At Bom Funk we aim to provide a safe pathway back to dance so that students and staff can access classes and performance opportunities with peace of mind. This document outlines the internal policies, procedures and management plans for Bom Funk Dance Studio. As COVID-19 is a fluid situation, with new information always emerging, the policies and procedures in this document will change as we are updated on the situation at hand. RESPONSIBILITY It is our responsibility to put measures in place that will limit the spread of the covid19 virus within the studio and community. It is our responsibility to follow all Government directives and communicate clearly and concisely with our community. It is our community’s collective responsibility to follow the policies and procedures put in the place for the benefit of the health and safety of others. METHODS OF SPREAD COVID-19 is highly transmissible between people and immediately spreads through close contact with infected individuals or surfaces. There are four main methods of spreading the virus: 1. Airborne 2. Airborne-to-Surface-to-Skin 3. Skin-to-Skin contact 4. Skin-to-Surface-to-Skin contact. These all rely on three sources of delivery: Airborne, Surfaces, and Skin. We have purposefully designed our policies and procedures to take into account each of these sources. © High Kix Pty Ltd, 2021
MITIGATING RISK As recommended by Safe Work NSW and NSW Health, Bom Funk Dance Studio is mitigating risk in 4 key ways: 1) Hygiene practices 2) Ventilation 3) Physical distancing 4) Screening and record keeping HYGIENE PRACTICES Bom Funk Dance Studio will be enforcing hygiene practices, including: • Washing hands with soap and water, or sanitising hands using alcohol-based hand sanitiser, when entering and exiting the studio. • Covering nose and mouth when coughing and sneezing with tissue or a flexed elbow. • Disposing of tissues immediately, and washing hands or using alcohol-based hand sanitiser after disposing. • Avoiding contact with others (shaking hands, touching faces, hugging, and other intimate contact) • Not attending the studio if unwell. • Requiring students to bring their own water bottle to class - no drinking or refilling from the tap at the studio. VENTILATION Bom Funk Dance Studio will be optimising ventilation by: • Keeping doors open • Maintaining mechanical ventilation regularly, including replacing/cleaning filters PHYSICAL DISTANCING Bom Funk Dance Studio will be enforcing physical distancing, including: • Marking dance studio floors with individual ‘zones’ to meet 4m2 and 1.5m social distancing requirements • Eliminating or minimising shared prop and equipment use • Remove waiting room access to students • Having designated areas for student’s belongings • Requesting students avoid bringing bags (unless coming straight from school) when only coming for one class and that they minimise personal belongings brought to the studio • Facilitating student drop off and pick up zones (e.g. get in, dance, and get out) • Restricting parents/family access to the premises until further notice, unless a child requires additional support in class and this has been pre-arranged. SCREENING & RECORD KEEPING Bom Funk Dance Studio will be adopting screening and record keeping practices, including: • Requiring proof of vaccination for all staff • Sighting student vaccination certificates and keeping records • Service NSW QR code check-in signage and sighting check in ticks • Ensure that a device is available for non QR code check ins © High Kix Pty Ltd, 2021
COVID-SAFE ACTIONS The following actions and procedures have been implemented to ensure a safe return to dance for our students, staff and families. This section outlines these actions as related to eight levels of the business: Studio (the physical space) Classes (groupings of students, e.g. Grade 2 Ballet, Tuesday 3-4 yr olds etc) Lessons Staff Students Families Testing Recommendations Management and Administration STUDIO • Clear and frequent signage re: QR codes, masks, studio capacity, hand hygiene etc… • Multiple hand sanitation stations throughout the premises. • Mark floors with individual dance ‘zones’ to maintain social distancing in class • Remove all non-essential equipment or signage 'not to use' if removal is not possible. • Provide and maintain clearly marked cleaning stations throughout the studio • Disinfect ballet barres and other items after use. • Clean and disinfect surfaces regularly. • Leave studio doors open to maximise ventilation and reduce touching of handles • The waiting room will be out of bounds until further notice. • The hallway is only to be used by staff and students accessing the bathrooms • Provide bins for disposal of tissues, used paper towels and wipes. • Cleaning tubs to place any used props/equipment that needs cleaning or cannot be cleaned at the end of class. • Provide and maintain stock of disposable masks for student and staff use. CLASSES • To minimise congestion, classes will finish 3-5 minutes early, allowing for cleaning time and to let one group leave before the next group enters. • Maintain class capacity to adhere to cap of 20 (excluding staff), 4m2 and 1.5m physical distancing requirements. • Limit movement between studios for students and staff where possible. LESSONS • Minimise or eliminate prop and equipment use (students may be asked to bring their own props on occasion). No shared props. • Lesson content catered to physical distancing requirements, including staying in students’ individual spaces or careful and structured movement when travelling • No hand holding, high fives, or other partner work except in competition routines that cannot be adapted. • Avoid queuing by adjusting lesson plans and using spaced out floor markers placed on all the sides of the room. • Stagger student drink breaks to minimise congestion. • Eliminate or reduce high-intensity activities in both frequency and duration. • All staff must be vaccinated under the current NSW Health Directives and show proof. • Train staff in COVID-19 infection control. • Staff must wear masks until advised otherwise. • A/B rostering to minimise staff crossover in the event of isolation/illness • Provide PPE for cleaning (e.g. disposable gloves). • Support and maintain staff mental health and wellbeing through regular check- ins & support during any imposed isolation periods. • Pay staff for additional cleaning time. • Provide staff who are unwell with the option of Zooming from home when cover cannot be provided. • Staff must adhere to and enforce COVID-19 Policies & Procedures. STUDENTS • Adults & students 16+ must be double-vaccinated and show proof of vaccination status. Proof of vaccination status should be brought to every class in case of inspection. • Wash hands with soap and water or sanitise with alcohol-based hand sanitiser when entering the studio. • No touching or close contact with other students or teachers • Maintain social distancing by dancing within individual ‘zone.’ • Students aged 12+ must wear masks or provide an approved exemption. Younger students may wear a mask if they wish. This will only change upon government advice. • Avoid touching mouth, nose or eyes with unwashed hands. If you do, wash/sanitise hands. • Stay home if sick (the option to watch/join classes via Zoom can be provided on request pending prior notification.) • Acro students will be required to bring their own yoga mat and towel • Must bring own water bottle – no drinking/re-filling from tap. • Arrive ready for class and avoid using bathrooms to get changed in. • No bags brought to class unless coming from school or doing multiple classes - just bring what you need. FAMILIES • Remind students of hygiene and physical distancing practices. • Remind students of mask wearing requirements and procedures. • Do not send children to dance if they are unwell (the option to watch/join classes via Zoom can be provided on request pending prior notification.) • Students to be dropped off and picked up. • No family members to enter studio in order to meet vaccination & capacity requirements and minimise congestion. • All correspondence via email or phone - Face-to-face conversations can only be had with admin team or teachers via an appointment. • Drop off and pick up students in a timely manner to minimise congestion - only fully vaccinated parents may leave their cars for pick up. Students will wait outside the studio until collected. Staff can only supervise students who stay near the open studio doors - please remind your child not to wonder off. © High Kix Pty Ltd, 2021
TESTING RECOMMENDATIONS Anyone with COVID-19 symptoms should attend a COVID-19 testing site. Symptoms of COVID-19 include: • fever cough • sore/scratchy throat and • shortness of breath. Get tested if you have coronavirus symptoms and help us identify as many cases in the community as quickly as possible. National Coronavirus Helpline Ring 1800 020 080 to speak to the National Coronavirus Helpline for information on coronavirus or help with the COVIDSafe app. MANAGEMENT & ADMINISTRATION • Electronic payments only. • Enforce QR code check ins or device check-ins for those who do not have access to QR code (make sure device is ready and hand sanitiser available) such as students 16 years+ coming straight from school without a phone. • View and keep records of proof of vaccination where required (record they have been sighted). • View and keep records of proof of vaccination of all staff securely. • Request that all team members must be fully vaccinated by the required date and must keep up with any boosters as required or recommended by government or health officials. • Any face-to-face queries between families/parents and teachers or studio managers must be booked via an appointment and when possible, conducted outside. • Assign COVID-Marshall for all operational times. • Use A/B rostering where possible to minimise disruption due to isolating/illness (identify risks in overlapping teachers). • Create templates and scripts for specific issues that may arise. • Ensure issues are escalated directly to Studio Managers or Studio Owner to avoid teachers dealing with difficult or confrontational conversations. • Maintain clear incident reporting pathways. • Undertake regular risk assessments and implement measures accordingly. © High Kix Pty Ltd, 2021

VACCINATIONS & COMPLIANCE STAFF • In regional NSW, staff can return to work on 11 October if they have had at least 1 dose of a COVID- 19 vaccine, but must be fully vaccinated by 1 November 2021. • Staff must show their employer their vaccination certificate for record keeping. • Staff must keep a copy of their vaccination status on them at all times when at work. STUDENTS • ALL students aged 15 and under, are welcome to return, regardless of the vaccination status of their parents [clause 2.18(3) of the Public Health Order.] We will use digital class attendance rolls for contact tracing and record keeping of students at the studio who are under 16 years. • ALL adults, and students ages 16 and over, MUST check in using the Service NSW QR code before entering the premises, and MUST demonstrate proof that they have been double vaccinated (or evidence of their medical exemption). Please show your 'green tick' to reception staff upon entry. • Parents, staff, students 16 and over, and visitors to the studio who are not double vaccinated will not be allowed on premises [clause 2.18 of the Public Health Order]. This is legislated strictly by the NSW Government (not a decision we have made) and will be applicable until the 1st of December 2021 (or unless otherwise changed by the NSW government). Parents who have not received two doses of the Covid-19 vaccination will not be able to congregate outside the studio and must drop off and pick up in the car park. If staying they must wait in their vehicle. If they are unable to do this then their child cannot return to dance until 1 Dec 21. ACCEPTABLE FORMS OF PROOF OF VACCINATION Only the following three forms of evidence of vaccination (or medical exemption) should be accepted: • A COVID-19 digital certificate displayed through the Medicare App, Service NSW App or equivalent smartphone wallet • Printed version of the COVID-19 digital certificate or immunisation history statement • Successful completion of a Service NSW QR check-in that includes vaccination confirmation. (Vaccination compliance and obligations, NSW Government, October 2021) Medical exemptions must also be sighted. HOW COMPLIANCE WILL BE MONITORED Authorised officers will monitor businesses re-opening, particularly those that have vaccination requirements, for example hospitality, retail, gyms and personal services (e.g. hair, beauty). Penalties may apply for individuals and businesses who don’t comply. • Individuals: On the spot fines of $1,000 may apply for not complying, or for using fraudulent evidence of vaccination or check-in. • Businesses: On the spot fines of $5,000 may apply for not complying with the Public Health Order vaccination requirements. Further penalties including closure of businesses, and higher fines for individuals and businesses may apply for significant breaches. © High Kix Pty Ltd, 2021
MANAGEMENT PLANS Note: contact tracing procedures for vaccinated people may soon be changing IF SOMEONE IS IN CONTACT WITH A CONFIRMED CASE OF COVID-19 • Anyone who has been in contact with a confirmed case must follow health advice for either close or casual contacts and inform Bom Funk Dance Studio immediately. • Casual and close contacts must get tested and self-isolate, even if they are vaccinated or feel well. • Casual contacts should not return to the studio until a negative result is received. • Close contacts must self-isolate for 14 days regardless of a negative test result. They may not enter the premises for 14 days from the day of exposure and they must have a negative result and clearance from NSW Health (or ACT Health). • As risk assessment will be conducted based on Government guidelines, and, if needed, students and staff in the same class as the person may be notified. We will seek and follow advice from health officials where provided. IF A STUDENT BECOMES ILL AT THE STUDIO • If a dancer becomes unwell at the studio, they will be isolated in the vocal room (not being used in Term 4). Staff members must maintain physical distancing practices. • Parents/carers for the child will be notified and asked to pick up the student immediately. • The dancer should immediately get tested and isolate until a negative result is received. The dancer must not return to classes until cleared with negative test and are well. Proof of test results may need to be sighted on request. IF A STAFF MEMBER BECOMES ILL AT THE STUDIO • If a staff member starts showing symptoms of being sick while at work, they must inform a manager or the Covid Marshall on duty and return home immediately • If awaiting transport, the staff member must stay well away from students and other staff and wait in the Vocal Room until someone can collect them. • The staff member should immediately get tested and isolate until a negative result is received. The staff member must not return to classes until cleared with negative test and are well. Proof of test results may need to be sighted on request. YOU MUST SELF-ISOLATE IF YOU • Have been tested for COVID-19 and haven’t yet received your result have been diagnosed with COVID-19. • Are suspected of having COVID-19. • had close contact with a confirmed case of COVID-19, including visiting a case location. • Are a household member of, or have been in close physical proximity to (for example a close friend or work colleague), a close contact who has yet to receive their initial negative test result. • Have returned from overseas and are exempt from hotel quarantine. If you have been directed to self-isolate, you must follow the instructions of NSW Health designated health practitioners and authorised contact tracers. IF SOMEONE IS AWAITING RESULTS FOR COVID-19 • You must self-isolate if you have been tested for COVID-19 and haven’t yet received your result. • You may only return to the studio once a negative test has been received AND you are no longer showing signs/symptoms of being unwell. IF A STAFF MEMBER IS A CONFIRMED CASE • Self-isolate in your home immediately. • Tell everyone you live with that they must immediately get tested and self-isolate too. • Tell your work manager and people you have been in contact with in the 2 days before you got sick (or if you feel well, 2 days before your test ) that you have tested positive for COVID-19 and ask them to immediately get tested and self- isolate. • You may only return to the studio once cleared by NSW Health (or ACT Health). Proof of clearance may need to be sighted on request. IF A STUDENT IS A CONFIRMED CASE • Self-isolate in your home immediately. • Tell everyone you live with that they must immediately get tested and self-isolate too. • Tell Bom Funk, your school/work manager and people you have been in contact with in the 2 days before you got sick (or if you feel well, 2 days before your test ) that you have tested positive for COVID-19 and ask them to immediately get tested and self-isolate. • You may only return to the studio once cleared by NSW Health. Proof of clearance may need to be sighted on request. IF A FAMILY MEMBER OF A STUDENT OR STAFF MEMBER IS A CONFIRMED CASE • Self-isolate in your home immediately. • Tell everyone you live with that they must immediately get tested and self-isolate too. • Advise a manger of Bom Funk (email or phone), your school/work manager and people you have been in contact with in the 2 days before you got sick (or if you feel well, 2 days before your test ) that you have tested positive for COVID-19 and ask them to immediately get tested and self-isolate. • You may only return to the studio once cleared by NSW Health (or ACT Health). Proof of clearance may need to be sighted on request. IF THREE OR MORE STAFF MEMBERS ARE CONFIRMED CASES • Businesses must inform NSW Health if 3 or more employees test positive for COVID-19 in a 7 day period. Further advice regarding actions required will be provided by NSW Health. (https://www.nsw.gov.au/covid-19/business/covid-safe-business/contact-tracing-and-isolation-rules-for- businesses) IF A PERSON IS UNWILLING TO SHOW PROOF O F VACCINATION • There are public health orders in place that require a person to be vaccinated in certain indoor areas and public outdoor gatherings in NSW (including at Bom Funk Dance Studio), unless they are exempt. • If a teacher, Covid Marshall or Studio Manager at Bom Funk Dance Studio believes that a person does not have a valid exemption, they can ask the person to leave the premises. IF A STAFF MEMBER, OR STUDENT (OR MEMBER OF AN U/16'S STUDENT'S HOUSEHOLD) IS MEDICALLY EXEMPT They must: • Show the exemption to a Manager of Covid Marshall at Bom Funk Dance Studio so that it can be sighted and marked off on the digital roles. • The evidence of a medical exemption must be from a medical practitioner in the form approved by the NSW Chief Health Officer. IF A STUDENT IS DEAF OR HAS A DISABILITY AND/OR NEEDS TO SEE THE TEACHER'S FACE • Teachers and support workers are allowed to remove their masks to assist in communicating with deaf students or students with a disability, or in any other setting where enunciation is vital (e.g. giving directions in an emergency). Teachers may remove their mask for some portions of our Dance Kingdom classes, when it is truly essential for the teacher's mouth to be seen by the students for the sake of enunciation, communication or demonstration. [clause 2.17(d)(ii) of the Public Health Order.] • Where possible, all care must be taken to ensure that physical distancing is maintained when masks are removed. • To minimise the chance of droplet spread, teachers should not yell when masks are removed. IF A STUDENT REQUIRES PARENT/CARER/SUPPORT WORKER ASSISTANCE • The parent/carer/support worker must be fully vaccinated (unless medically exempt) and must show proof of vaccination. • This must be pre-arranged to ensure we meet capacity requirements. Parent/carer must adhere to hygiene and physical distancing practices. IF ANOTHER LOCKDOWN IS IMPOSED OR SOME STUDENTS ARE REQUIRED TO ISOLATE • Should another lockdown be imposed, Bom Funk Dance Studio will revert to the lockdown online timetable and conduct lessons online via Zoom, upload videos to Band app classrooms and give access to online resources until restrictions are lifted. • If only some classes are forced into lockdown or isolation due to a close/casual contact, a hybrid model will be used at the studio where some classes may still be allowed to run face-to-face. Students/classes in isolation will be provided with a zoom link to continue to access their class in the regular scheduled time (but the lesson may be shortened depending on the timetable) and additional resources will be provided to students in their Band App classroom. • If online alternatives are made available, we are not in a position to offer refunds or credits to families who decided not to use the programs provided. It takes a lot of time and resources to provide online lessons and as such, no refunds will be provided should this occur. • If we have to cancel any performances due to COVID-19 and after invoices have been sent or paid, families will receive a full or partial refund of the Production Package pending any costs that have already been outlaid, unless alternative dates can be rescheduled. If dancers cannot make a rescheduled date, a partial refund of the production package will be provided. A partial refund will also be provided if your child is sick on the day and cannot attend (medical certificate may be requested) or if your family has been ordered to isolate by government guidelines. This is due to expenses that would have already been incurred towards the show. • Any costumes will be refunded only if they have not already been ordered. Hired costumes will receive a full refund. • There will be no refund for change of mind or non-attendance on the performance day. © High Kix Pty Ltd, 2021
CLEANING Cleaning is the responsibility of all staff during COVID-19. Cleaning is conducted after every class by the class teacher and common areas are cleaned hourly by Studio Mangers or Covid Marshalls on-site. All high- touch surfaces are cleaned regularly. All staff must follow all steps in the ‘STAFF DAILY OPERATIONAL PROCEDURES DURING COVID-19’ AT ALL TIMES. Staff MUST disinfect and wipe down all surfaces mentioned below at the end of EVERY class: • Wipe down all high touch surfaces: o Speaker volume/buttons Devices o Light switch/aircon buttons Barres o Windows sills o Mirrors (if touched) Door handles o Drawer handles & surface o Vinyl acro mats if used (carpet mats not to be used currently) o Clean any props used or place into cleaning box See ‘Staff Daily Operational Procedures During COVID-19’ (separate document) for specific cleaning duties and requirements. © High Kix Pty Ltd, 2021
