A Summer of Fun and Friendships that Last a Lifetime!
Welcome to Camp Marymount. We recognize that sending a child to camp is an important
 decision, and we are pleased that your child will be attending Camp Marymount, Inc. This guide is designed
to give you needed information and to help answer any questions about camp. However, if you have any unan-
swered questions or concerns, please call the camp office at (615) 799-0410. You can also fax us at (615) 799

Our counselors and staff are made up of mostly former campers who have literally “grown up” in the tradition
of Camp Marymount and return each summer. Other staff members are selected from a variety of schools and
universities. Counselors are high school graduates or college students; many of whom are pursuing degrees in
education, social services or outdoor environmental studies. All staff members receive extensive training prior
to opening day in which they are instructed in a wide variety of child care concerns. Every staff member also
receives training in First Aid and CPR during this week. Counselors and staff are evaluated on a continual ba-
sis by the head counselor and director.

We have a Counselor in Training (CIT) program to develop the skills of potential staff members.
Participants in this program have duties at camp, but are not cabin counselors. While completing this program
does not guarantee employment as a counselor, the CIT program provides a valuable learning experience.

Campers come from all over the United States as well as other countries such as Mexico and Canada. While
most of our recruiting takes place in local parishes, churches and schools, many of our campers come to us
through word of mouth. It is not uncommon for campers to begin when entering first grade and return each
summer bringing friends from home back with them. Many lasting friendships are formed at Marymount and
campers look forward to returning each summer.

Upcoming events include:

Summer Camp Open House - Sunday, December 15, 2019 and Sunday, March 8, 2020 from 1:00 PM– 3:00 PM, join us for
our come-and-go Summer Camp Open House! Opportunities to meet our camp directors, some of the 2020 summer staff and a tour
of the different summer camp activities. You’ll see cabin life, some of the activities we offer during the summer and hay rides back
up to the lodge (Spring Open House ONLY).

Marymount in May - Friday, May 1, 2020, in the evening. This is a ver y special event featur ing a fabulous dinner , dr inks,
and great fun. An opportunity to reunite with former campers, celebrate the rich history of Camp Marymount, and help raise much
needed funds to preserve the future of our beloved camp. Look for more information on all of these events on our website at

Volunteer Weekend - May 22– 24, 2020, join our alumni and other friends of Marymount for a day at camp. It is a “volunteer
weekend” where volunteers help prepare camp for opening Sunday.

The MOSS - Marymount Open Scholarship Scramble—to be held on a Friday, Oct. TBD, 2020, This golf tour nament
supports scholarships for summer campers.

Camp Marymount offers a two-week and three-week session for girls and a one-week and two-week session for boys.
Rising first graders through rising 11th graders are eligible to be campers. According to age and grade, campers are
assigned to either Junior or Senior Camp.

JUNIOR CAMP
  Junior Camp is a more structured environment. It encourages children as young as six to participate in a wide range
  of activities and in a cabin community. Campers develop new friendships and learn to work and play effectively as a
  group – all in a carefree and timeless setting. All campers will camp out/ sleep under the stars at least once a session

SENIOR CAMP
  Senior Camp allows campers to be more self-sufficient. They participate in activities designed especially for them,
  and expand their horizons by going on a two or three day camping or canoeing excursion, and/or other offsite
  adventures. Female campers entering their freshman year and male campers entering eighth grade are eligible for
  Senior Camp. All campers will camp out/ sleep under the stars at least once a session

BOYS’ ONE WEEK SESSIONS
Junior campers (rising first graders through rising 7th graders) will be offer ed a var iety of activities listed
below. Campers will rotate through five activities each day in addition to LOPTION -lake option/ activity option (See
daily schedule on page 11). Junior campers will rotate thru the camp activities at least once during the one week
session. The one week option is great for a first time camper as it introduces them to the Marymount spirit/experience
and also allows them to sample the variety of activities. Returning Marymount campers will also enjoy the one week
option as it still allows them to rotate thru the traditional activities and meet new friends. Many of our returning
campers will choose to attend both the two and the one week sessions in keeping with the traditional 3 week session
we have always offered. All campers will camp out/ sleep under the stars at least once a session. The one week
session does not participate in our traditional camp experience of receiving awards and feathers.

Senior campers            (rising 8th graders through rising 11th graders) instead of r otating thr ough the tr aditional
activities, campers will enjoy off sight trips around the Tennessee, Kentucky, and Alabama areas. They will enjoy an
overnight trip during this week as well. Some examples of trip activities are: white water rafting, visiting aquariums
and museums, camping in state parks, zip lining, swimming, and many other surprises. All activity fees are included
in the tuition. All trips will be done according to the safety guidelines of the American Camp Association.

Camp Activities:
Archery, Archery Tag, Arts & Crafts, Nature, Wrestling (boy Sessions), Fishing, Riflery, Horseback riding,
Canoeing, Wilderness Awareness, Gardening, Water Sports, Frisbee Golf, Athletics, Tomahawk Toss, Drance (girl
sessions), Yard Games, Marymount Mutterings (camp newspaper), Swim Lessons.

STEPS 1-5:

1. SUBMIT ONLINE CAMPER REGISTRATION – opens November 6, 2019, submit online through
   www.campmarymount.com. (Returning campers will have priority until December 6, 2019. New campers
   will have confirmation of their spot on this day as well.)

2. MAKE DEPOSIT PAYMENT—$150.00 per camper, per session TO COMPLETE THE REGISTRA-
   TION and hold a spot for your camper. Camper will NOT be registered without this payment. Payment
   can only be submitted after all required online forms and waivers are signed and completed. ALL deposits
   are non-transferable and non-refundable.

3. ADD CAMPER MEDICATION to the camper ’s account if necessary. You can edit this form at any
   time up until the FRIDAY before your camper arrives at camp.

4. EMAIL REQUIRED FORMS** (SEE BELOW) to info@campmarymount.com. Forms can
   be sent in as early as one week after registering your camper (HIGHLY RECOMMEND-
   ED). However, they are REQUIRED to be submitted one week prior to the starting date of
   your camper session.

                      **REQUIRED FORMS FOR ALL CAMPERS:
        Proof of Immunizations– Official State Immunization Certificate only.
        Insurance card – Photocopy of the camper or parent’s insurance card.
 Please email (info@campmarymount.com ) or fax (615-799-2261) these forms as soon as
 possible, but no later than one week prior to the start of your camper’s session.

**FORMS THAT ARE TURNED IN LATER THAN ONE WEEK BEFORE OPENING
SUNDAY OF CAMPER’S SESSION WILL RESULT IN HAVING A LONGER CHECK-IN
PROCESS AND WILL INCLUDE MULTIPLE LINES. ALSO, THE POSSIBILITY OF NOT
GETTING REQUESTED CABIN MATES. **

5. SUBMIT ANY OPTIONAL FORMS ** THAT PERTAIN TO YOUR CAMPER (SEE BELOW)

                                       **OPTIONAL FORMS :
      Permission to Leave Waiver –REQUIRED IF camper is leaving camp with somebody other than
                                  their parent or guardian (Can be updated at any time).

      Scholarship Application Form– REQUIRED IF you need additional assistance to help with
                                    tuition. Previous year taxes and current paystubs are required
                                    (Must be Submitted at least 30 days prior to arrival). Scholarship
                                     funding is limited, so apply as early as possible.

                                   ** ADDITIONAL REGISTRION INFORMATION

      Cabin Requests—       Add the campers you would like to request under the “cabin mate” tab on
                            the camper dashboard. Camper requests must be mutual and can only
                            request up to two cabin mates (can be updated up to 14 days prior to
                            camper’s session start).

      Flying— Add flight information under the transport tab on your camper dashboard (can be up
              dated up to seven days prior to arrival).

           50% tuition due 60 days prior to the camper’s session
           100% tuition due 30 days prior to the camper’s session

Shipping Trunks
                                      & Flying to Camp
Trunk /Luggage Shipping:
If your camper is flying to or from camp, you must ship any luggage he/she cannot carry. If you will
be shipping luggage to and from camp all details MUST be included on the form located on your
camper’s CAMPWISE account available in early spring.

What if my camper needs to fly to camp:
   No problem, your camper will fly into BNA, Nashville International Airport.
   They need to fly in on opening Sunday (we prefer early morning), and fly out on closing Friday
    before 11:00 AM.
   You will add the flight arrangements to your camper’s account. Your camper will not be picked
    up if the information is not added to their camper account.
   We will assign a counselor to pick up your camper based on the information entered into their
    account.
   The fee for airport pick up by our staff is $25.00 each way.
   Any additional luggage fee incurred at check-in for example, excessive weight or additional
    luggage that requires payment, will be billed to the respective party with a 10% service fee.
   If your camper is flying as an unaccompanied minor, our counselors will be at the gate to meet
    them.
   The airline will ask for the name of the person picking up your camper if they
    are unaccompanied, email allee@campmarymount.com and
    margaret@campmarymount.com the day before your camper flies and we will
    have the assigned counselor’s name at that time.
   If your camper is not flying as an unaccompanied minor, our counselors will be waiting as your
    camper comes out of the security gate heading to baggage claim.
   The counselor will be wearing a Camp Marymount Staff shirt, please advise your camper of this.

     ALL flights must be scheduled to leave the Nashville airport
                           before 11:00 AM for all sessions.                                 8

Check-in is on the first Sunday of each session between the hours of 1:00 PM and 2:00 PM (unless you turned
in paperwork or payments late, therefore your check-in will begin at 1:30 PM at the office station inside the lodge).
There is no reason to arrive early, unless you are doing lice check, as check-in will go very fast and this will help
avoid long lines from forming. Please note, the first meal served for campers will be supper on opening Sunday.

As you enter camp there will be staff members directing traffic and showing you where to park and handing out
important information. Be sure to review everything you are handed by camp staff!
Lice Check:
   Begins as early as 11:30 AM for families who plan on arriving to camp early
   Located in the conference room of the lodge
   Parents MUST be on site while campers are checked. Campers will receive a wristband and may proceed to the
    cabin assignment station that will begin at 1:00 PM or head into town to get lunch.

Cabin Assignment:
   Begins at 1:00 PM
   Located under the canopy near the Lodge
   If all paperwork and payments were received on time, your camper is given their cabin assignment. You
    may then head to the lice check station and medicine/ dietary restriction station if necessary.

Medicine check-in:
   Must complete cabin assignment check-in prior to medicine check-in
   Located inside the dining hall of the lodge
   YOUR CAMPER MUST BE WITH YOU THROUGHOUT THIS PROCESS
     1) Med List Confirmation Station– You will receive a printed medicine list from your camper’s CAMPWISE
       account to review. If you need to make any changes or add medications, you will need to visit a medical
       registration station.
     2) Medicine Drop-Off and/ or Talk with Health Staff– Healthcare staff members will be present to receive all
        medications/supplements. They must confirm that all medications are in original packaging and prescription
        labels match what parents submitted on their campers online medical form. The camper’s name must be on
        all prescriptions and OTC items. Also, this is where parents can talk with health care staff about any concerns
        or questions related to camper health.

Dietary restriction station:
   Located in the dining hall of the lodge near the kitchen window
   Here you may speak with kitchen staff about your camper’s dietary restrictions/ needs and ask any
    questions about his/ her meals while at camp.

Your next stop is the cabin!
The counselor will be at the cabin to greet you, answer your questions and help get your child moved
into the cabin.
Marymart is open and has a var iety of apparel, sticker s, decals and a water bottle if your child
forgot theirs.
Check-in time ends at 2:00 PM and new camper swim testing begins as well as after noon activi-
ties. Please say good bye to your camper at this time.

Junior campers
    Activity assignments are announced after each meal.
    Morning clean-up and activities are experienced as a cabin group
    Afternoon activities are completed in Indian groups. These groups are composed of campers from different cabins
     in order to facilitate campers meeting a variety of people.
    A free period for swim or play (LOPTION) includes the entire camp, completes afternoon activities.
    Showers are taken daily

Senior campers
    Have a similar schedule as Junior Campers, but there is more flexibility to allow for special events, including
     occasional trips off camp property.

Campers will cookout/ campout two to three times during their session. This gives campers the chance to select a site
at camp and prepare a meal as a cabin. Equipped with a basket of food, campers gather wood, build a fire, cook their

Please remember to label all items with camper’s first and last name. It may be helpful to put a list of packed
items inside your child’s trunk/luggage so that they can check the items when packing at the end of the session.
Please keep in mind there is no need to purchase new clothing for Camp. Laundry will be provided for campers on a
weekly basis. Campers sometimes misplace their belongings so again, PLEASE LABEL all items sent with your
child.

We recommend packing your camp belongings in any of the following options: trunk, suitcase, plastic containers, and
duffle bags. We ask that the containers are no taller than 15 inches, as the campers will store them under their bunks.

       Optional Items: disposable camera, summer reading books, journal, case and safety strap
                      for glasses, a small bucket or container to carry shower items, BATTERY operated fan.

       Items NOT allowed: cell phone, I-pods, jewelry, TV, Radio, hand held video games, PLUG-IN fans,
                          animals/pets, hair dryer, knives, candy, cokes, or any valuables.

Electronics do not fit in the mission of our programming and therefore are not allowed. Camp Marymount reserves
the right to search trunks, bags, and packages and to confiscate any of the above items and any items it deems
dangerous or inappropriate for its program. We are not responsible for the condition or security of items confiscated,
including cell phones and I-pods. Camp Marymount, Inc. is not responsible for articles of property lost or stolen.
Please do not bring items of monetary or sentimental value. Camp Marymount discourages parents from sending
money with their child and is not responsible for the loss of money even if kept in our safe.

Girls’ 2 & 3 Week Sessions and Boys’ 2 Week Sessions

                                        CLOSING FRIDAY
        Pick up is between 9:30 AM - 11:30 AM on closing Fridays !
                                Last Day of Camp Pick -Up Procedure

Please do not show up earlier (unless prior arrangements have been made with the administration) as this gives
campers time to say their final goodbyes, finish last minute packing and eat breakfast.

Campers must be picked up no later than 11:30 AM, our staff are no longer available after that time.
If your child is here after 11:30 AM you will be billed at a rate of $25.00 an hour in 15 minute increments.
In the event that your child is not picked up within 1 hour of the close of camp (11:30 AM) and we are unable to
contact you, your emergency contact will be called.
AFTER 9:30 AM:

   When you arrive to pick up your camper you may proceed to your camper’s cabin. Your camper should be
    packed up, but please take a final look around the cabin and clothes line to look for any other items.

   Camper sign-out will begin at the cabin with your camper’s counselor. Please do not forget to sign
    your camper out.

   Your last stop is the porch of the main building for the final session sign out (please make sure you
    sign your camper out at the cabin AND at the main building).
   Here you may talk with the administration if you like or proceed to pick up any medicine you sent with your
    camper.
   Don’t forget to stop by Marymart for last minute shopping.
   Please check the lost & found station before you leave, it will be on the porch of the main building.
Address lists and information for Bunk1– for cabin pictures—will be e-mailed to the parents to share with their
campers.

Above all, Campers are expected to follow the 10 rules of Marymount:.
                 1. Always have a buddy.
                 2. Always tell your counselor where you are going.
                 3. Always wear closed-toe shoes.
                 4. Walk, unless participating in an activity.
                 5. Rocks stay on the ground.
                 6. When a car approaches, move to the side of the road and STOP.
                 7. Ask permission to enter any activity area or building out side of Junior or Senior camp.
                 8. Trash goes in garbage cans.
                 9. Be quiet during announcements.
                 10. Listen to each other and cooperate.

In addition to our golden rules, campers can expect the following:
   Meals are eaten family-style seated by cabin in the dining hall.
   Campers are expected to attend all meals and observe appropriate table manners.
   Campers will help clean the dining hall after a meal on a rotating basis.
   Campers are also required to participate in daily cabin and camp clean-up times.
   Under staff supervision, campers are taught to clean up after themselves and to take pride in all of the
    buildings and camp grounds.
   Campers are also expected to attend prayer services and Liturgies as part of the camp program.

 Marymount hopes that all campers will arrive ready to join in and have fun. It is expected that campers will be
cooperative and attentive to staff at all times. Marymount reserves the rights to remove any camper from the
program, without refund, if the camper uses drugs or alcohol, endangers the lives of others or self, picks on or
bullies other campers, or consistently disregards staff instructions.

Camper Behavior Policy
Three-strike policy:
Camp Marymount operates on a three-strike policy on all issues except physical aggression or violence (Physical
violence will be handled directly by the administrative staff and is subject to immediate dismissal). The first infraction
of the behavior management plan will result in a verbal warning between staff and camper. This will be documented
both by the staff member in their log book and with a behavior report form. The second infraction will result in a time
-out/loss of activity privilege and notification of Head Counselor as well as the parent (to be done by the head
counselor, executive director, or program director only). A third infraction will result in a conference between the
camper(s), and Executive Director or Program Director to discuss dismissal of the camper and any extenuating
circumstances that should be considered. Only the Director can make exceptions and allow the camper to stay at
camp. PLEASE NOTE: Refunds are not available for campers who leave camp due to homesickness, behavior or
health reasons nor are these funds transferable.
By registering for camp, campers agree to: follow all camp rules, treat campers, staff and parents with respect,
show respect for camp property and the property of others, not to use foul or inappropriate language, follow
the standards set forth in the anti-bullying policy above, not to show continuous disruptive behavior.
Camper Vehicle Policy:
Campers are not allowed to drive their vehicle to camp and keep their vehicle on camp property during the camp
session. Drop off and pick up of campers must be arranged by parents/guardians.

Weapons Policy:
No weapons of any kind are to be brought on Camp premises. All knives including penknives, slingshots or other
items are strictly prohibited. Items that can be used as weapons will be confiscated, and could result in camper
expulsions. Camp monitors scheduled activities such as riflery and archery very closely, and this rule is enforced to
maintain the safety of your child(ren), and campers at Marymount.

                 Marymount will call you under the following circumstances:
Behavior Related
· A camper brings and/or uses drugs or alcohol
· A camper endangers the lives of others.
· A camper consistently disregards staff instructions or breaks camp rules
· A camper is homesick and does not respond to continued participation or discussion
· A camper is involved in an extraordinarily verbal or physical altercation with another camper

Health Related
· A camper spends the night or an extended time in the first aid center.
· A camper requires a visit to a clinic or a hospital.
· A camper is involved in a medical emergency.
· A camper has refused to take his/ her prescription medication or requests a change in their treatment plan.
· A female camper has her first menstrual cycle.
· The Health Staff has a medical/health related concern about a camper for which they need parental guidance or
    clarification.

Our First Aid Center is staffed 24 hours a day, 7 days a week by our Healthcare Managers. They receive training on
basic treatment protocols that are reviewed and approved each year by a physician. The physician is available by
phone, along with several nurses and nurse practitioners. A Registered Nurse also visits camp daily to answer
questions and offer advice. In addition, Camp Marymount has a volunteer registered nurse visit camp on a daily basis
to review logs, analyze camper medical issues and examine any camper that may need the assistance of a licensed
medical professional.
ALL MEDICATIONS AND SUPPLEMENTS must be collected dur ing check-in and remain locked in the First
Aid Center, with the exception of certain emergency items. Medications are distributed during meals or as indicated on
the prescription. Medications that cannot be taken at a meal time will require your camper to go to the First Aid
Center. Please consider this when selecting the night vs dinner administration time. Night and non-meal-time
medications are NOT allowed to be stored in the cabins for safety and legal reasons. Any medications administered/
taken are documented by the Healthcare Managers, and unused medication will be returned to you at check-out.

PLEASE REFRAIN FROM SENDING NON-ESSENTIAL OVER-THE-COUNTER MEDICATIONS,
VITAMINS, AND/OR SUPPLEMENTS. STORAGE SPACE IS LIMITED, AND OUR STAFF NEED TO
FOCUS ON CRUCIAL MEDICATIONS. THIS ALSO HELPS TO REDUCE THE RISK FOR
UNINTENTIONAL MEDICATION ERRORS.

Marymount is not a specialty health camp and professional licensed healthcare personnel are not always on site.
Campers must be able to self-administer medications and use any specialty medical equipment they bring to
camp. This most specifically applies to injections, inhaled medications, medications with var ying doses (e.g.,
insulin), or medications received through alternative routes. Healthcare Managers will ensure the appropriate
medication and dose is available to the correct camper at the correct time; however, the camper should be able to take
the medication with minimal assistance. We also ask that the parent/guardian demonstrate to the appropriate Camp
Marymount staff how to trouble-shoot any specialty medications or equipment during the check-in process.

ALL medications and supplements the camper might r eceive while at Camp Mar ymount must be r eviewed and
dropped off at the Health Station during check-in. This includes as-needed items. State law, the American Camping
Association, and safe health practices require that all medications/supplements meet the following requirements:
   The camper’s name must be printed on the prescription label and written on any OTC containers.

   The medication/supplement must be in the original packaging. We cannot accept plastic bags with loose pills or
      pill bottles containing multiple tablets, even if it is the same medication

   The medication is not expired and will not expire during the camper’s stay. Please double-check any PRN meds.

   Prescription labels must match the dosing instructions provided in the online camper account. If a dosing plan
      changes before a medication is refilled, please bring a note or other documentation from your child’s provider.

All medications/supplements your camper brings to camp must be individually listed in the camper’s online account
in CampWise. Incomplete medication lists can significantly slow down the check-in process. Please update online
health forms at least one week prior to the beginning of the session to avoid this issue.

distributed for common health complaints, by protocol. You do not need to send these items with your camper unless
he/she uses the medication on a daily basis.

What if My Camper is Sick or Injured?
In case of illness or injury, a Healthcare Manager and/or volunteer RN (if on site) will evaluate the complaint to
determine if it can be managed at the First Aid Center or requires more advanced care. The health staff will contact
you if there are any questions regarding the health of your child, if they require a doctor visit, or if there is an
emergency.

What If My Camper Needs a Doctor?
Should your camper require a non-emergency health visit, we will notify you. In most instances, a staff member can
take your child to a local urgent care clinic, located approx 10 minutes from camp, and pick up any prescriptions
related to that visit. Local families have the option to take their camper to their personal doctor, but they must
arrange the appointment and transportation to and from camp.

 Marymount will bill you for any fees from a clinic visit and/or prescriptions. If the clinic does not accept or
 bill your medical insurance at the time of the visit, it is your responsibility to file the necessary paperwork
                             with your insurance company for reimbursement.

Dietary Information
       Camp Marymount strives to provide balanced, child-friendly and nutritious meals at an
affordable cost to our campers and staff. The cost of regular daily meals is included in tuition for
campers. We understand that some campers will come with special dietary needs. The camp kitchen,
within our budget, will provide at no extra cost, balanced meals or options for campers who eat a
vegetarian or peanut free diet. Both situations must be indicated on the camper health information
for the kitchen to prepare enough food and provide information regarding ingredients to the camper
or staff member. If your child has any other approved dietary needs, you will be asked to provide
detailed information and pay a fee of $25 for special preparation and purchases. Examples of these
situations include gluten-free and lactose intolerant diets. Any other dietary needs not listed will be
discussed individually with the Summer Director in order to make appropriate arrangements for
meals.
All food allergies and special circumstances should be noted on the camper health information.

   Campers are not allowed to make or receive phone calls; please do not suggest he or she
    will be able to do so. If the camper believes this is an option, he or she will focus on calling
    home instead of participating in camp activities.
   We encourage use of the U.S. postal service and Bunk1 (see page 21) to communicate with your
    camper. Your camper’s mail should be addressed as follows:

                                           MAIL CALL
Mail call can be a very exciting time of the day for campers who receive mail. However, it can also
be disappointing for the camper who doesn’t receive any mail. If possible, try to send a letter or two
per week. Any mail or email received after lunch will be delivered the next day.

                                          PACKAGES
Receiving a package at camp can be a highlight of the week, however, if the camper receives a
package a day, the excitement dwindles for that camper and resentment can form in the others. We
ask that you send a maximum of 3 packages per session per camper. We ask that the contents are
meant to be shared, and that sugar snacks, junk food, and soft drinks are not included. Not only
does it produce more trash, stomach aches, poor eating at meal times, and often visits from bugs and
critters, an indulgence of these things leads to lack of community growth. We reserve the right to
search any packages brought to camp and will hold those items that are contradictory to our policies.
Food items that are confiscated will not be returned. We strongly encourage you to use the USPS or
another delivery system rather than dropping things off at camp, with the exception of medication.
The campers can live without most things until the mail comes. We keep extra toiletries for
emergencies and often other campers will share if possible. Please remember that Camp Mary-
mount stresses cabin community, therefore the contents of all packages are encouraged to be shared
among the cabin.

Suggested items for packages are: granola bars, pretzels, healthy snacks,
books, magazines, games, etc.

Children of any age who attend a residential camp may feel homesick (or as we call it at
Marymount “Missing Home”). It is only natural to miss a place of love and comfort.
Here are a few suggestions of how parents can help their camper prepare for those feel-
ings:
☼ Be positive before camp starts
Parents sometimes reassure a hesitant child by saying, “try it and if you don’t like it after one week, you can
come home.” This is a mistake. Homesickness is mor e about missing the feelings of love and secur ity
that a child gets at home, and it takes a little while to establish those bonds at camp. By suggesting a ‘try out
period”, you may inadvertantly sabotage the process. It is better to tell the camper how much you believe in
him/her and give personal examples of how you have overcome missing home.
☼ Don’t overreact to an unhappy letter
Parents always feel so helpless when they receive a sad letter from a camper. Take comfort in knowing that
the problem was probably solved before you got the letter. Please email Margaret Hagey at
margaret@campmarymount.com and ask questions before you react to one of these letters.
☼ Write upbeat letters often
It is great to keep your camper in touch with what is going on at home, however don’t make it sound as
though he/she is missing out on all kinds of fun. Reassure your camper that he/she can succeed and you
believe in him/her. No matter how much you miss your child, don’t over emphasize these feelings. Focus
on the experiences at camp and how proud you are of him/her.
☼ Don’t go overboard with packages
A letter can share genuine words of encouragement and heartfelt expressions of love that a package cannot.
Keep the packages to a minimum and try to send items other than food.

                                  Concerns about your child
     If you are concerned about your child, please email margaret@campmarymount.com
     We will have someone check on your camper and return the email. We ask that you
     give us 48 hours to make contact with your child as the campers are usually busy
     and the best time to talk with staff about them is at mealtimes. Please do not contact
     your camper’s counselor directly; the Head Counselor or another administrator will
     relay any communication between camper and parent.

Diocese of Nashville and Dominican Campus discounts:
Camp Marymount is proud to be a part of the Diocese of Nashville for over 80 years! In honor of this history we
want to offer any fulltime employee of the Diocese of Nashville or the Dominican Campus of St. Cecilia, a 10%
discount on tuition rates. Please provide us with a letter of employment from your pastor or employer verifying
fulltime employment with either the Diocese of Nashville or the schools at the Dominican campus.

Military Discount:
In appreciation of the sacrifice our military families give to our country, Camp Marymount extends a 10% discount
toward tuition of any summer camp session to all active military families. Please send in military papers verifying
active duty military status.

**Discounts are for children of employees of the Diocese of Nashville, Dominican Campus and Military employed
parents ONLY and cannot be used for extended family in any way. A Sibling Discount cannot be combined with any
Diocesan, Dominican Campus or Military discounts.

Lice Check Procedure:
As you know the issue of lice is a common one that affects private and public schools, community centers, camps,
etc. There are no additional fees for our professional lice screening provided by Honeycomb Lice Boutique, however
the treatment of any campers found with lice will be the responsibility of the camper’s family. We strongly recom-
mend that you check your camper BEFORE you come to camp and treat if necessary to avoid additional charges. If
your camper is screened and found to have ANY lice or lice eggs (nits), your camper will be treated on-site at the
cost of $125.00. Otherwise, camper s can go to cabin check-in at 1:00 PM then proceed to the medicine check—in
(if needed) and finally the lice check station.

**After receiving the arm band, they may proceed to their cabin.

Opening Sunday and Closing Friday:

Can my female camper attend the entire five weeks?
Yes! You can register your camper for the 2 week and 3 week by clicking both sessions. If the sessions are not full,
you will need to pay the deposit for both sessions to hold them both open. Because the 5 weeks is really 2 sessions
with a break between, your camper has 2 options: stay between sessions (Friday—Sunday- changeover $100) or
leave Friday at check-out and return Sunday, at check-in for the 3 week session. See changeover details below.

Can my male camper attend the entire 3 weeks?
Yes! You can register your camper for the 1 week and 2 week by clicking both sessions. Price break and priority
will be given to campers who sign up to attend both sessions. The $270 three week camper discount will automati-
cally be deducted from the camper tuition once both sessions are checked. Because the 3 weeks is really 2 sessions
with a break between, your camper has 2 options: stay at camp between sessions (Friday-Sunday –changeover $100)
or leave Friday at check-out and return Sunday at check-in for the 2 week session. See changeover details below.

What is changeover?
Changeover is for boy or girl campers to spend time at camp between sessions if they are registered for both. While
there will be supervision and activities for those campers that stay between camp sessions, many campers feel this is
a great time to visit friends and family while in Nashville. This is not a time to come and go as you please, either the
camper checks out on Friday or stays on Friday for the duration of the weekend. The changeover fee is $100.00.

Can I visit my child if he/she stays for changeover?
YES! You may visit your camper if they stay for changeover on the opening Sunday. You may hangout at camp or
sign your camper out at the main office for some time away from camp. Visiting hours are from 11:00 AM to 2:00
PM. When arriving back to camp, you must sign your camper back in at the main office. You don’t need to get in
line to get a lice check.

When will I find out what cabin my child is in? Will we be able to switch cabins at check-in?
You and your camper(s) will stay together through the entire check-in procedure and will find out the cabin number
and counselor at check-in. You will meet your cabin mates at the cabin; please do not ask at check-in who is in your
cabin. The placement of campers is done by grade, with camper requests considered. It is a very difficult and
delicate process; therefore, we will not change camper cabins at check-in except in the case of grade.

What about requesting a friend to be in the same cabin as my child?
While we encourage campers to meet new people and be open to cabin placement, we understand the first time
camper may be apprehensive about being “alone” in a cabin. In addition, campers who do not live in the same city
may only have this time to see each other. Therefore, you may request one or two people with which to be placed
in the same cabin. If the other campers’ requests are NOT reciprocal, we cannot guarantee the matching placement
will be made. Log into the camper account to submit cabin r equests up to 2 weeks before your camper’s
session.

How do I find out how my child is doing while at camp?
You may e-mail camp to check on your child. Please e-mail margaret@campmarymount.com and allow 48 hours
for a response. Our staff will check on your camper, and call or email you back to inform you about how he or she
is doing. We field many of these requests each day and logistically this takes time. We will not notify your camper
that you have called.

What if my child left something at camp?
Unfortunately, each year we have many items that end up in our lost and found. On closing Fridays, we will put the
lost items that we have found, out for parents and campers to go through on the porch of the lodge. To help us get
clothing back to your child and to help you recognize their clothing, we highly recommend that you put your
camper’s first and last name in everything he/she brings to camp. Although we cannot be responsible for lost items
at camp, we will hold on to the unclaimed items for 2 weeks after the session has ended. After that time, all
remaining items will be donated to charity. Marymount will work hard to get these items back to their owner, but
we don’t have the resources to deliver items to the owner after camp nor are we able to have items shipped. We
will make every effort to have your item available for UPS, FedEx or any other carrier to pick up. For this to
happen, parents must cover the cost of shipping. Because we transition to our rental season after camp is over and
we have groups on the property, we ask that you don’t stop by to look for lost items. Please email
allee@campmarymount.com with a detailed description of the item/s for her team to look through lost and found.

Can I visit camp during the ‘Off Season’ whenever I want?
Unfortunately, you may not. Camp is rented out during the week and weekends when summer camp is not in
session. Please call or email ahead if you would like to stop by to visit or to get a tour of camp. You can call Allee
d’Aquin at 615-799-0410 ext. 12 or email at allee@campmarymount.com to request a good time to come out.

What if my child is waitlisted?
Some sessions are very competitive and will fill up more quickly than others. We do recommend registering
for an open session while remaining on the waitlist to ensure a spot at Camp Marymount! Additionally, you
won’t miss any camp emails because you will have a “registered” camper. Your deposit will transfer to the
new session once/ if there is an opening.
You will receive an email once your camper’s status changes. Please make sure your current email address is
on file. Once another camper cancels, we will move down the waitlist in the order that the registration was
received. Please do not call and ask where you “are on the waitlist” as this information is not given out. You
will need to have the $150.00 deposit paid at the time your camper has cleared the waitlist to get a confirmed
spot, therefore we recommend paying the deposit at the time you fill out the registration. Not to worry– FOR
WAITLISTED CAMPERS ONLY– the deposit is refundable IF there is no opening to offer.
Generally, there is a lot of movement within a waitlist in March and April and as late as May, as family
vacations get finalized, mandatory sport camp dates are announced, tryouts and summer school is announced.
The longer you can remain on the waitlist before making other plans, the better your chance is at getting a
spot. Unfortunately, every year is different in regard to how quickly the waitlist clears.

Cancellation/Refund-
If your cancellation occurs 60 or more days prior to the start of the session, all fees except the deposit, are
refundable. If your cancellation occurs 30-59 days prior to your camp session, then 50% of all fees are
refundable, except the deposit. If your cancellation occurs less than 29 days prior to your camp session, then
all fees are non refundable. Written medical excuses are eligible for a refund at the sole discretion of the
director, except the deposit (on a case by case basis). Additionally, any non-refundable funds are also
non– transferrable from camper to camper.

   Activity assignments are announced after each meal.
   Morning activities are experienced as a cabin group
   Afternoon clean-up is experienced as a cabin.
   Afternoon activities are completed in Indian groups. These groups are composed of campers from different cabins
    in order to facilitate campers meeting a variety of people.
   Showers are taken daily
Campers will cookout/campout once during their session. This gives campers the chance to select a site at camp and
prepare a meal as a cabin. Equipped with a basket of food, campers gather wood, build a fire, cook their meal and
enjoy. These nights typically make for a great camp out adventure under the stars. Each cabin will camp out under
the stars at least once a session.

Electronics do not fit in the mission of our programming and therefore are not allowed. Camp Marymount reserves
the right to search trunks, bags, and packages and to confiscate any of the above items and any items it deems
dangerous or inappropriate for its program. We are not responsible for the condition or security of items confiscated,
including cell phones and I-pods. Camp Marymount, Inc. is not responsible for articles of property lost or stolen.
Please do not bring items of monetary or sentimental value. Camp Marymount discourages parents from sending
money with their child and is not responsible for the loss of money even if kept in our safe.

**Laundry service is not offered for one week campers. We will offer laundry for campers
staying for the two week session at the end of the one week session.                29
Boy’s 1 Week Session

Please do not show up earlier (unless prior arrangements have been made with the administration) as this gives
campers time to say their final goodbyes, finish last minute packing and eat lunch.

Campers must be picked up no later than 3:00 PM, our staff are no longer available after that time.
If your child is here after 3:00 PM you will be billed at a rate of $25.00 an hour in 15 minute increments.
In the event that your child is not picked up within 1 hour of the close of camp (3:00 PM) and we are unable to
contact you, your emergency contact will be called.
AFTER 1:00 PM:

   When you arrive to pick up your camper you may proceed to your camper’s cabin. Your camper should be packed

   Camper sign-out will begin at the cabin, with your camper’s counselor. Please do not forget to sign your
    camper out.

   Your last stop is the porch of the main building for the final session sign out (please make sure you sign your
    camper out at the cabin AND at the main building).
   Here you may talk with the administration if you like or proceed to pick up any medicine you sent with your
    camper.
   Don’t forget to stop by Marymart for last minute shopping.
   Please check the lost & found station before you leave, it will be on the porch of the main building.
Address lists and information for Bunk1– for cabin pictures—will be e-mailed to the parents to share with their
campers.
