                                      ADMINISTRATION POLICY
Entrance Procedures:
01.   Completed Application form must be handed in at the Admin office. Please ensure that all relevant
      sections are completed and that all relevant documents, as stated on the application form, are
      attached.

02.    Interview with Mrs. Van der Walt.

03.    Broad spectrum examination with Mrs. M Haarhoff educational psychologist, Gr. 2 - 12 at
       Appointments must be arranged with Mrs. van den Berg. Parents have to give her permission to send
       a report to Academia Private School. If any further evaluation is necessary it will be discussed with
       the parents

04.    School readiness evaluation for Gr. 1 at the end of their Gr. 0 year by a registered Psychologist,
       Psychometrist or Occupational Therapist

05.    After the broad spectrum examination by the psychologist, learner can be requested to write a
       Mathematics and English evaluation at Academia Private School.

06.    Upon application by a Parent, or during any time while the learner is being educated by Academia
       Private School, the School reserves the right to verify a Parent's history with any Credit Bureau and
       to provide any of a Customer's personal information to a credit bureau for this purpose. Academia
       Private School reserves the right to use the Parent's personal information for purposes of collection of
       all outstanding school fees.

07.    You will be advised telephonically after receiving your application whether your child has been
       accepted at Academia Private School, where after the Enrollment and Book Fees are payable at the
       Administration office.

08.    Academia Private School is a school with high academic standards but do not make provision for
       learners with special learner needs.

09.    There is no discrimination against race, language or religion, however parents and learners must be
       able to identify with the Christian ethos of the school. Learners must be willing and capable to be
       taught in English.

10.    Annually, at the beginning of the fourth term, the parent must re-apply for admission for the
       following year based on the following:
             Enrollment form must be completed and the following will be considered :
             All Demerits as well as Merits
             Scholastic achievement
             Regular payment of school fees
             Parents may be requested to attend an interview with the Board of Directors
             Book fees for the following year will have to be paid on or before the closing date for re-
              admission.

11.    Requirements for foreign students - In terms of section 13(1) of the Immigration Act, Act 13 of 2002,
       all foreign students who are enrolled at South African schools must be in possession of a valid study
       permit authorizing them to study at the said institution. Application must be submitted to the
       Department of Foreign Affairs, Mokopane. Tel No (015) 491-3111

                 CONDITIONS OF ACCEPTANCE AND SCHOOL RULES

On acceptance of the learner to this school it is important for both the parents and the learners to be familiar
with the information given below. Please make sure that your child is aware of all these details.

01.    SCHOOL FEES
       See Annex 1
       1.1   All school fees will be paid by the Parents in accordance with the fee structure as adjusted
             from time to time.

       1.2     School Fees can be paid in the following manner
               1.2.1 Once off at the beginning of the year.
               1.2.2 On the first day of each month.
               1.2.3 On the first day of each term.

       1.3     Interest on outstanding school fees will be calculated at 2,4% per month.

       1.4     Excluding the school fees, a once-off non-refundable registration fee per family is payable.
               This application will not be accepted unless the registration fee has been paid.

       1.6     Parents are liable for any additional costs in regard to sport equipment or educational
               equipment or apparatus.

       1.7     Examination fees are payable per subject for Grade 10 and Grade 12 learners.

       1.8     Book Fees are payable per phase :
               Grade 1       :      Payment is made for all requirements ie text books.
               Grade 2 - 3 :        Payment is made for text books.
               Grade 4 - 8 :        Payment made is for text books.
               Grade 9 - 10 :       Pay for specific books needed during the IGCSE phase.
               Grade 11 - 12 :      Pay for specific books needed to equip the learner to sit for the AS
                                    Levels examination.

               Book Fees are payable at the end of October for the following year for current scholars or at
               enrollment for new scholars.

       1.9     Parents will be held responsible for all legal costs pertaining to any school fees not paid.

02.    LEARNERS LEAVING ACADEMIA PRIVATE SCHOOL

       2.1     Parents are to give one month’s written notice of their intention to terminate the Learner’s
               education irrespective of the reason why the Learner is leaving.

       2.2     This written termination must be handed to the school principal on the first day of the month
               the learner intends to leave the school.

       2.3     The school retains the right to collect all outstanding school fees and/or interest if the Parent
               neglects to notify the School in writing of his intention to terminate school attendance.

      2.4    The school retains the right to ask a Learner to leave if it is obvious that the Learner can not
             fit in with the ethos of the school. Parents will be consulted and requested to find alternate
             education facilities.

      2.5    Parents are encouraged to become actively involved in the school and be positive towards the
             education of their child.

03.   SCHOOL POLICY

      3.1    The ethos of our school is Christian. All lessons in the Junior Primary Phase (Foundation
             Phase) are presented to a Learner in either Afrikaans or English. Thereafter the medium of
             instruction changes to English. Parents and Learners must abide by the ethos of the school at
             all times.

      3.2    All lessons will be taught in accordance with the Specified syllabus (if any) with
             adjustments being made if necessary.

      3.3    Our high school will prepare our learners to cope with an international set of examinations
             that are of a very high standard. Parents are encouraged to accommodate the needs of a
             learner preparing for a challenging set of examinations.

      3.4    Where possible extra assistance will be given to learners and parents are requested to assist
             the school where and when necessary.

04.   DISCIPLINARY CODE

      All disciplining of the learners will be dealt with by the school principal. Disciplining - expulsion,
      suspension etc. - will all be handled in accordance with the Christian ethos and the Rules and
      Regulations of the school.

05.   UNDERTAKING BY PARENTS
      Should a learner be accepted at this school, the Parents undertake to

      5.1    not hold the School and staff members responsible for any injuries or damages to goods as a
             result of the Learner’s behavior.

      5.2    agree that the School, its teachers and officials have the right to administer any urgent
             medical attention necessary if it is impossible to obtain the parent’s consent timeously.

      5.3    adhere to all rules and regulations and accept any adjustments that may occur.

      5.4    adhere to the Code of Conduct and Rules and Regulations of the School as they are members
             of the School. A Code of Conduct exists for the Principal and Staff and is available at the
             school’s office.

06.   POLICY FOR PREVENTION OF DRUG ABUSE AMONG THE YOUTH

      ENROLLMENT FORM AND CONTRACT

      On initial enrollment and every year thereafter all students and their parents sign a contract with the
      school in which they “acknowledge and endorse the declared objective of the school to actively
      discourage the use of alcohol and habit forming narcotics by its pupils”.
      ..... and also that any transgression of the school rules (prohibitions) constitutes a breach of the
      contract with the school which entitles the school to terminate the contract and expel the pupil.

      (Prohibition 2.1 : no pupil may use or deal in or be in possession of or under the influence of
      alcohol or any habit forming narcotic in the school environment or at any school function or on
      any school excursion.)

      However if a pupil is caught with drugs (or alcohol) on their person or in their possession, he/she is
      taken to the office and the parents are called immediately and asked to remove their child from the
      school permanently.

07.   RANDOM DRUG TESTING

      When each student enrolls, their parents also sign a form worded as follows: “we understand that
      Academia Private School conducts drug tests on a random basis. As a concerned parent I hereby
      give permission for a urine sample to be taken from my child/children for it to be tested for any signs
      of drug usage / abuse and to pay the costs pertaining thereto.” This policy gives students a reason to
      say “NO” when offered substances when out at parties and discos.

08.   EXTRACT FROM SCHOOL REGULATIONS

      Parents will be informed at a meeting with the student and the Principal of a positive test and the
      appropriate measures and actions will be taken.

      During the meeting:
            the extent of the abuse has to be determined if possible
            reasons for this must be determined if possible
            student’s and parents attitude must be assessed
            punishment can take the following forms depending on the “findings”
      -      suspension for a determined period
      -      community service for a determined period the student must go to ACT - U P for an
                     assessment and possible group
             therapy
            the student will be tested regularly thereafter to ensure no further use / abuse
             of drugs
            a further positive test can then lead to expulsion

09.   ACT U P INVOLVEMENT

      If a student tests positive in one of our “P P Parades” - that student must go for an assessment with
      ACT U P and possibly attend group therapy sessions. Only if the student has been declared “clean”
      by ACT U P will he / she be accepted back at school

10.     LIFE SKILLS CURRICULUM - STUDENT AWARENESS

        Built into our Life Skills curriculum is a section in which students are made aware of the dangers of
        drug abuse. They are also taught assertiveness and correct values and ethics during lessons on
        various topics. Academia Private School organizes speakers to visit the school and inform students
        about the dangers of drug and alcohol abuse.

11.     ACADEMIA PRIVATE SCHOOL ETHOS - SMALL SCHOOL

        Because Academia Private School is a small school, with high teacher - pupil ratio, it is easy for staff
        to get to know the students well and to notice any changes in academic work, grooming and moods,
        that might point to a drug problem. This can be dealt with promptly. The whole ethos of the school
        is caring, relaxed and “in tune” with young people. Students know they can talk to Teachers or
        Management openly and that they will be treated with respect as human beings who are responsible
        for their own actions.

12.     SCHOOL DRUG PROTOCOL
12.1    School property to be maintained as a drug free environment

        In this contract, the pupil undertakes to maintain the school property, buildings and fields as a drug-
        free environment. The pupil accepts that he/she may not carry these substances on his/her person,
        will not use himself/herself, or supply to anyone on the school premises. This includes extra-mural
        activities and school functions held after school hours or over weekends. The pupil also undertakes
        the responsibility of informing an appointed councilor should he/she be aware that substances are
        available on the premises.

12.2    Conduct of pupil while in school uniform, including sports wear

        The pupil undertakes while in school uniform that he/she will not use drugs and/or alcohol, nor
        appear in uniform under the influence of these substances. He/she also accepts that he/she may not
        carry any of these substances in person while in school uniform and that he/she may not supply such
        substances while in uniform.

12.3    Conduct of pupil in civilian clothing while representing school (e.g. tours, outings)

        The pupil undertakes not to obtain, use or supply to another, drugs or alcohol while representing the
        school in attire other than school uniform. The pupil accepts that supplying a minor (under 18) with
        alcohol, or supplying illicit substances is illegal and the school reserves the right to report such
        instances where the pupil has been supplied with alcohol and/or drugs.

12.4.   Use of substances with delayed Central Nervous System effects that contribute to changes in
        concentration, memory and behavior

        Certain substances have delayed or prolonged effects on the Central Nervous System. This results in
        changes in concentration, memory and behavior sometime after the drug has been used, and can lead
        to deterioration of physical and mental health, relationships with peers and teachers, school work,
        sports achievement and general behavior. The pupil undertakes not to use these substances relating
        to the above clauses, and also over weekends and holidays.

12.5   Guidelines for intervention

       Should a person be suspected or reported to be in breach of the above clauses, then the following
       actions may be taken :

             he/she may be called into consultation with the Headmistress or some other designated person
             his/her parents shall be informed
             a written warning shall be handed to the pupil in the presence of his/her parents
             he/she shall be obliged to undergo a urine test for illegal substances and the results of these
              tests made known to the Headmistress or other designated person
             refusal to undergo a urine test shall be interpreted as a positive result
             in the event of a negative result, the pupil is referred for counseling for the behavior that
              raised the suspicion
             should the results be positive for any illegal substances, then he/she shall accept responsibility
              for attending treatment at a therapist recognized in the field of substance dependency. Proof
              of attendance at this therapist shall be provided to the school.

12.6   Interaction with treatment team

       The school reserves the right to communicate with the therapist treating the pupil. Rights of
       confidentiality of the pupil will be respected by the school. The information shared will mainly
       pertain to expected behavior and means by which the school can assist recovery. It is the school’s
       aim to support the pupil.

12.7   Disciplinary action

       Should the pupil and/or his/her parents refuse to comply with the above, or the pupil not comply with
       therapy, then the school reserves the right to hold a disciplinary hearing. The regulations regarding
       disciplinary hearings in the draft regulations relating to misconduct of learners published in the
       Provincial Government Gazette Extraordinary No 480 dated 17 April 1998.

12.8   Refusal to sign

       The pupil and/or his/her parents may refuse to sign this agreement. Should the pupil then be
       suspected, or reported, to be in breach of any of the above clauses, then the school reserves the right
       to issue a written warning, and/or hold a disciplinary hearing. The pupil and/or his/her parents may
       then conform to the above guidelines.

12.9   Prevention and Treatment of Drug Dependency Act

       The school retains the right to act in the pupil’s interest regarding Act 20 of 1992, Prevention and
       Treatment of Drug Dependency Act.

      The school is bound by Law to report any suspicion of drug abuse, with or without the signature of
       either the parent or the learner.

13.     GRADES AND PHASES OFFERED AT ACADEMIA PRIVATE SCHOOL

        Primary School
        Junior Primary Phase (Foundation Phase)

        Grade 1 - Grade 3
        Please refer to Annex 3 for all new learners in this phase.

        Intermediate phase

        Grade 4 - Grade 6

        High School phase

        Grade 7 - Grade 8              :      Bridging course and preparation for IGCSE

        Grade 9 - Grade 10             :      IGCSE - Please refer to Annex 2.

        Grade 11 - Grade 12            :      AS Levels

14.     SCHOOL HOLIDAYS

        Academia Private School generally follows the National Department of Education’s
        school holiday timetable. This will however change to the calendar of the Independent School’s
        Board to facilitate the writing of our examinations.

        AFTERCARE

        Monday – Friday          :    14h00 – 17h00 @ R350.00

    HOMEWORK TIME and SPORT
    Grade 4 – 12
    Monday - Thursday : 14H00 – 15H00 @ NO CHARGE
16.   TRANSPORT

        The arrangements for the transporting of children to and from school remains the parent’s
        responsibility. Parents are also to arrange all after-hour activity transport.

17.   SCHOOL UNIFORM

      Boys :          Denim jeans or shorts

      Girls :        Denim jeans or long shorts or wide skirts.

                     Denim may not be faded, embroidered, unraveled or hipsters.
                     It must be dark blue.

      Each child must have the following, with the school emblem embroidered on them
      1 x orange golf shirt
      1 x teal golf shirt

      Winter Uniform
      Each child must have a school tracksuit with the school emblem embroidered thereon.
      Orange Fleecy long sleeve shirts are also available.
      Orders for the school uniforms must be placed at the Admin Office at the school.

18.   EXTRA - CURRICULAR ACTIVITIES (Sport and Culture)

      It is important for any child to develop not only the mind but the body as well.
      Therefore we encourage our learners to take part in both sporting and cultural
      activities.

      Please refer to “Academia Private School Information” for a list of different activities
      offered in our district. Please feel free to add to this list according to the needs
      of your child. All arrangements and costs involved remain the responsibility of
      the parents.

      Please remember to inform the teachers at school about any activity your child
      takes part in.

19.   SCHOOL GROUNDS

      Under no circumstances may any child leave the school grounds during school hours without
      permission from the office.

      A staff member will be on duty on the playground from 07h20 in the morning. Any injury or
      problem experienced on the playground should be reported to the office immediately.

      Learners are nominated as monitors. A monitor is responsible for reporting any irregularities on the
      school grounds to the office immediately.

20.   CAMPS AND EXCURSIONS

      School camps and field trips are all part of our curriculum. All learners are encouraged to be a part
      of these excursions so as to widen not only their academic scope but also to improve their social and
      behavioral skills. Plans and information will be provided long in advance and costs are to be carried
      by the Parents. Obviously these trips are planned on a strict budget and the school does not gain any
      financial benefit from the money collected.

                                               ANNEX 3

REQUIREMENTS FOR NEW LEARNERS
GRADE 1

Stationery package available at school. This package contains the necessary apparatus to complete
instructions for the year, as well as the payment for Design and Technology, Art and Information
Technology Projects. Certain items can be used in Grade 2 again.

OTHER REQUIREMENTS

01.   Sturdy suitcase - not a rucksack.
02.   Orders for school uniform to be placed at admin office.
03.   If available: a squash racket.
04.   Two puzzles according to age group.
05.   2 Ice cream container.
06.   Soccer ball.

NEW LEARNERS AND OTHER GRADES

01.   As above, except 4, 5 & 6.
02.   Latest report of previous school.
03.   Transfer certificate from previous school.
04.   Stationary and books as prescribed by specific subject teachers.

CREDIT POLICY

01.   School Fees are payable within the first 7 (seven) days of the month.

02.   If a parent has not paid the school fees by the seventh of the month, the parent will
      be contacted via a telephone call from the administration office.
      2.1     A written commitment, on a prescribed form available from the admin
              office, must be submitted before the fifteenth of the month to the admin
              office to be discussed by the Board of Directors,
      2.2     After perusal of the written commitment the Board of Directors reserves
              the right to request a meeting with the parent.

03.   Should the written commitment not be accepted by the Board of Directors, the following
      procedure will be applied :
      3.1    The Parent/s will be handed over for collection of all outstanding
             school fees.
      3.2    The Board reserves the right to request the parents to remove the learner from
             school until all fees are paid.
      3.3    The learner will not be allowed to sit for his/her examinations.
      3.4    The learner’s results / report card will not be handed over until all outstanding
             school fees are paid.

04.   Interest on all outstanding school fees will be charged at 2,4% per month, from the first
      month that school fees are outstanding.

05.   The school policy requires a month’s notice if a learner is going to leave Academia Private School.
      The parent will however still be liable for the outstanding fees.
