2022 Election Guide GRIFFITH UNIVERSITY LAW SOCIETY This document aims to summarise the provisions of the Constitution and relevant Bylaws relating to the election process as well as to provide details about the requirements of each position to be elected. Although care has been taken in the preparation of this document, there may be errors or omissions. The Griffith University Law Society does not guarantee the accuracy of the contents of this document.

GRIFFITH UNIVERSITY LAW SOCIETY: Notice of Election NOTICE IS HEREBY SERVED that nominations have now opened for the 2021 Election of the Griffith University Law Society’s Management Committee, Executive Committee and Officers of the Society. The following Offices are declared open for election: 1 President; and 2 Vice-President; and 3 Secretary; and 4 Treasurer; and 5 Griffith Relations Manager; and 6 Director of Activities; and 7 Director of Careers; and 8 Director of Competitions; and 9 Director of Education; and 10 Director of Media and Communication; and 11 Director of Sponsorship; and 12 Sponsorship Officer; and 13 Careers and Alumni Officer; and 14 Education Officer; and 15 Equity and Wellbeing Officer; and 16 External Competitions Convenor; and 17 Information Technology Officer; and 18 Internal Competitions Convenor (Client Interview); and 19 Internal Competitions Convenor (Mooting); and 20 Internal Competitions Convenor (Negotiation); and 21 Internal Competitions Convenor (Witness Examination); and 22 Law Revue Convenor; and 23 Marketing Officer (2x); and 24 Membership and Merchandise Officer; and 25 Mentoring Officer; and 26 Publication Officer; and 27 Podcast Officer; and 28 Socials Convenor (2x); and 29 Sports Coordinator. Organisational Structure
Contesting the Election If you wish to nominate for election, you just need to find a position (or multiple positions!) that you’re interested in, check your eligibility and submit a nomination. It is advised that you nominate yourself for two different positions to increase your chances of being elected in the GULS committee. Eligibility to stand To be eligible to stand for office, you must— 1 Be a financial member of the Griffith University Law Society at the time of nominating; and 2 Be enrolled in a program with a Bachelor of Laws or Juris Doctor component at Griffith University; and 3 Be enrolled primarily at a Griffith University Campus in Brisbane or Logan; and 4 Be a current student at the conclusion of their term, OR, receive the approval of two-thirds of the Executive Committee to stand if you will not be a current student at the conclusion of their time. If you have any questions about your eligibility to stand for election, please contact the Returning Officer via email at info@guls.org. Questions about standing If you have any general questions about standing as a candidate, please do not hesitate to contact our current Executive Committee. Election process The below sets out the election timeframe: Friday 8 October = Nominations open for positions Friday 22nd October = Nominations for position close at 5pm Friday 29th October = Campaigning/Voting opens Friday 5th November = Campaigning/Voting closes at 5pm Monday 8th November = Election Results announced by 5pm
Rules for candidates If you are a candidate for an election, you are prohibited from— 1 Speaking about, or distributing campaign materials regarding their candidacy immediately before, after or during any university class; and 2 Speaking about, or distributing campaign materials regarding their candidacy immediately before, after or during any official event or meeting of GULS; and 3 Making specific references to other candidates either written or orally; and 4 Using information obtained from the register of members of the Society to contact, or send material to, another member of the Society for the purpose of advertising an election candidacy; and 5 Disclosing information obtained from the register to someone else, knowing that the information is likely to be used to contact, or send material to, another member of the Society for the purpose of advertising a candidacy; and 6 Using the Society’s official logo, the official colours of the Society, and any other intellectual property owned by the Society (such as photos used for promotional activities), on their campaign material. It is important that all candidates adhere to these rules. If you breach any of these prohibitions, you may have penalties applied, including having your candidacy vacated. Roles and responsibilities of office bearers All office bearers of the society are required to: 1 Attend a minimum of 60% of GULS’ compulsory events; and 2 Attend meetings of all bodies their office is a member of; and 3 Attend Staff/Student Meetings with the Griffith University Law School; and 4 Attend all General Meetings, Special General Meetings and the Annual General Meeting of GULS; and 5 Attend the GULS office for their designated office hours during the trimester; and 6 To maintain and respond to all correspondence to their official Society email and Workplace accounts; and 7 Support the work of their colleagues in other roles through attending events and assisting where possible.
Management Committee Position Descriptions President The duties of the President are— (1) To act as the official representative of the Society; and (2) To oversee and bear responsibilities for all activities of the Society; and (3) To coordinate and manage the Society’s relationship with the Griffith Law School by (a) Coordinating and chairing Staff/Student Meetings between the Society and the Griffith Law School; (b) To sit on committees of the Griffith Law School as required or invited; and (c) To maintain active communication with Griffith Law School staff; and (4) To be a representative of the Society on the Council of the Australian Law Students’ Association; and (5) To promote the interests of the Society through active engagement with relevant external stakeholders; and (6) To ensure the functions of the Society are carried out; and (7) To coordinate the Society’s annual sponsorship drive; and (8) To foster the Society’s relationships with other Law Students Societies and Associations including, but not limited to: (a) Griffith University Law Students’ Association Incorporated; (b) University of Queensland Law Society Incorporated; (c) Queensland University of Technology Law Society Incorporated; and (d) Any other society or association that the Society may interact with from time to time; and (9) To be the head of the Management Committee and the Executive Committee and chair General Meetings, Management Committee Meetings, and Executive Committee Meetings; and (10) Ensure that all Offices of the Society are filled, including where vacancies arise; and (11) Any other activities as may be required from time to time to ensure the smooth-running of the Society; and Vice-President The duties of the Vice-President are— (1) To assist the President with the overseeing of all activities of the Society; and (2) To assist the President with ensuring the functions of the Society are carried out; and (3) To assist the President with the management the Society’s relationship with the Griffith Law School; and (4) To assist the President with the annual sponsorship drive; and (5) To assist the President with any specific projects to be carried out; and (6) To assist the Secretary with ensuring the Society complies with its obligations under its Constitution and Bylaws; and
(7) To assist the Secretary with ensuring the Society complies with its Campus Life Obligations; and (8) To chair General Meetings, Management Committee Meetings, and Executive Committee Meetings in the absence of the President; and (9) Any other activities as may be required from time to time to ensure the smooth-running of the society. Secretary The duties of the Secretary are— (1) To call all meetings of the Society, including preparing notices of meeting, and the drafting of the agenda of business to be discussed at the meeting in consultation with the President; and (2) To ensure minutes are kept of all meetings; and (3) To keep accurate records of all correspondence and other documents of the Society; and (4) To maintain internal correspondence and records of the Society; and (5) Maintain the Register of Members; and (6) To ensure all of the Society’s records are electronically archived; and (7) To educate all office-bearers of the Society about the appropriate procedures for the maintenance of records; and (8) Make current version of the Constitution and Bylaws available to all office-bearers and members of the Society; and (9) To ensure the Society complies with its obligations under its Constitution and Bylaws; and (10) To ensure the Society complies with its Campus Life Obligations; and (11) Any other activities as may be required from time to time to ensure the smooth-running of the society. Treasurer The duties of the Treasurer are— (1) To maintain the finances of the Society; and (2) To receive money and make payments on behalf of the Society, and create and maintain invoices where required; and (3) To ensure all monies are spent in compliance with the Rules of the Society; and (4) To prepare the annual budget and assist with the creation of individual event budgets where required; and (5) To engage in regular reporting of the Society’s financial health; and (6) To maintain full, accurate and complete financial records of the year’s activities including income and expenditure of assets or money held by or in the Society name; and (7) Any other activities as may be required from time to time to ensure the smooth-running of the society. Relations Manager The duties of the relations manager are – (1) Build and maintain relationships with both internal and external organisations, clubs, and stakeholders; and
(2) To assist the management committee with ensuring all functions of the Society are carried out; and
(3) Planning, directing, and coordinating activities designed to create and maintain a favorable public image for the society; and (4) Identify and build rapport with key staff in stakeholder companies to cultivate beneficial relationships for the society and its members; and (5) Facilitate and lead all Campus Life Obligations including but not limited to: a. Club Registration b. Transfer of Bank Account Holders c. Market Day and Orientation Week Events d. Required team trainings and ‘CLUBS’ meetings/events. (6) Any other activities as may be required from time to time to ensure the smooth-running of the society. Executive Committee Position Descriptions Director of Activities The duties of the Director of Activities are— (1) To oversee all activities of the Activities Portfolio; and (2) To manage all social events and activities of the Society, including social events, social sports and the law revue;
To participate and coordinate the Society’s relationship and contractual obligations with the L Card; and (3) To coordinate the Society’s stalls for Market Days and Orientation Days as required; and (4) To coordinate the work of the Membership and Merchandise Officer, the Social Convenors, the Sports Coordinator and the Law Revue Convenor; and (5) To strategically promote and support the social aspect of law school through the running of different events; and (6) To ensure activities and events of the Activities Portfolio stay within the prescribed budgetary amounts; and (7) Any other activities as may be required from time to time to ensure the smooth-running of the society. Director of Careers The duties of the Director of Careers are— (1) To oversee all activities of the Careers Portfolio; and (2) To coordinate the work of the Careers and Alumni Officer; and (3) To research and advertise opportunities for improving the student body’s career opportunities including job opportunities, internships, clerkships, volunteer opportunities, conferences, and workshops; and (4) To oversee the organisation of careers events, including liaising with speakers and employer organisations, arranging necessary bookings and orders and preparing promotional materials; and (5) To organise sponsored careers events as required; and (6) To publish the Careers Guides of the Society; and (7) To ensure activities and events of the Careers Portfolio stay within the prescribed budgetary amounts; and (8) Maintaining an alumni database for the Society; and (9) Any other activities as may be required from time to time to ensure the smooth-running of the society. Director of Competitions The duties of the Director of Competitions are— (1) To oversee all activities of the Competitions Portfolio; and (2) To organise and advertise all competitions run by the Society; and (3) To ensure all competitions adhere to the obligations established in the Competitions Bylaw; and (4) To coordinate the work of the External Competitions Convenor, the Internal Competitions Convenor (Client Interview), the Internal Competitions Convenor (Mooting), the Internal Competitions Convenor (Negotiation), and the Internal Competitions Convenor (Witness Examination); and (5) To coordinate the selection and registration of teams for all national and state competitions; and (6) To ensure that all trophies and shields in the possession of the Society are cared fore and up to date; and
(7) To ensure activities and events of the Competitions Portfolio stay within the prescribed budgetary amounts; and (8) Any other activities as may be required from time to time to ensure the smooth-running of the society. Director of Education The duties of the Director of Education are— (1) To oversee all activities of the Education Portfolio; and (2) To facilitate communication between staff and students regarding educational issues; and (3) To assist Griffith Law School with the facilitation of Orientation Day and events throughout the year as required; and (4) To provide mental health and wellbeing, equity and educational initiatives for the student body; and (5) To oversee the organisation of the first-year mentoring program and any other first-year support initiatives; and (6) To liaise with other law student societies and associations as necessary; and (7) To ensure the continued education of the student body on matters of legal or social importance; and (8) To coordinate the work of the Education Officer, the Equity and Wellbeing Officer, the First Year Representative and the Mentoring Officer; and (9) Any other activities as may be required from time to time to ensure the smooth-running of the society. Director of Media and Communications The duties of the Director of Media and Communications are— (1) To oversee all activities of the Media and Communications Portfolio; and (2) To ensure that the Society is issuing weekly notices to its members and the student body; and (3) To produce frequent episodes of the ‘The Law Student Podcast’ in conjunction with the Podcast Officer. (4) To oversee the dissemination of all Society publications; and (5) To maintain and manage all social media accounts held in the Society’s name; and (6) To manage the brand and marketing direction of the Society; and (7) To coordinate with other members of the Executive Committee and Management Committee to advertise the activities and events of the society; and (8) To ensure that the Society’s website is up to date; and (9) To coordinate the work of the Information Technology Officer, the two Marketing Officers, the Publication Officer and the Podcast Officer; and (10) Any other activities as may be required from time to time to ensure the smooth-running of the society.
Director of Sponsorship The duties of the Director of Sponsorship are— (1) To assist the President with the annual sponsorship drive; and
(2) To prepare the Society’s sponsorship prospectus, in consultation with the Management Committee; and (3) To seek out new and innovative methods of sponsorship for the Society; and (4) To ensure that all sponsorship obligations of the Society are upheld and met; and (5) To maintain an up-to-date list of the Society’s sponsors and their appropriate contact details; and (6) To maintain a database of all communications between the Society and its sponsors; and (7) Any other activities as may be required from time to time to ensure the smooth-running of the society. Officers of the Society Position Descriptions Sponsorship Officer The duties of the Sponsorship Officer are- (1) To assist the Director of Sponsorship and Management Committee with annual sponsor recruitment; and (2) To assist in preparing the Society’s sponsorship prospectus; and (3) To assist the Director of Sponsorship in drafting emails and correspondence with potential sponsors; and (4) To ensure that all sponsorship obligations of the Society are upheld and met throughout the year; and (5) To maintain an up-to-date list of the Society’s sponsors and their appropriate contact details; and (6) To assist in the maintenance of completed and uncompleted obligations from sponsorship agreements; and (7) To assist the Director of Sponsorship with any other events or initiatives of the portfolio; and (8) Any other activities as may be required from time to time to ensure the smooth-running of the society. Careers and Alumni Officer The duties of the Careers and Alumni Officer are— (1) To ensure the student body is aware of employment opportunities and career paths; (2) To ensure the student body is aware of when clerkships and other position applications are open and provide information on how to apply for these roles; (3) To network with employers with a view to creating further opportunities for the student body; (4) To add the contact details of alumni working in the industry to the alumni database maintained by the Director of Careers; (5) research and prepare articles about for the Society’s Careers Guides; and (6) To assist the Director of Careers with the organisation of sponsored careers events; and (7) To assist the Director of Careers with any other events or initiatives of the portfolio; and (8) Any other activities as may be required from time to time to ensure the smooth-running of the society.
Education Officer The duties of the Education Officer are— (1) To represent the student body in relation to educational issues; and (2) To collect feedback from the student body and ensure it is advocated to the Griffith Law School; and (3) To ensure that any issues the student body is facing is advocated to the Management Committee and Executive Committees; and (4) To coordinate exam buster seminars in study week by finding high-achieving student presenters in difficult core units; and (5) To compile and produce the trimester one, trimester two and summer trimester Electives Guides; and (6) To assist the Director of Education with any other events or initiatives of the portfolio; and (7) Any other activities as may be required from time to time to ensure the smooth-running of the society.
Equity and Wellbeing Officer The duties of the Equity and Wellbeing Officer are— (1) To organise and coordinate the equity and diversity events run by the Society; and (2) To compile and produce the Social Justice Guide; and (3) To Organise and coordinate events for Mental Health Week in trimester two; and (4) To compile and produce the Mental Health Guide in trimester two; and (5) To promote diversity among Griffith Law Students by assisting students in minority groups or with special needs, i.e., Indigenous students, disabled students, etc.; and (6) To promote existing equitable services available to Griffith Law students, e.g., counselling, housing assistance, support against discrimination, financial support, etc.; and (7) To work with relevant committee members to actively promote mental health awareness; and (8) To assist the Director of Education with any other events or initiatives of the portfolio; and (9) Any other activities as may be required from time to time to ensure the smooth-running of the society. External Competitions Convenor The duties of the External Competitions Convenor are— (1) To be responsible for tracking registration dates and key deadlines for all external competitions; and (2) To organise applications and early promotion of external competitions; and (3) To assist the Director of Competitions with selection of delegates to represent the Society in external competitions; and (4) To ensure all aspects of external competition registration is completed as required; and (5) To ensure competitors access to adequate coaches and facilitate practice sessions where rules permit it; and (6) To assist the Director of Competitions with any other events or initiatives of the portfolio; and (7) Any other activities as may be required from time to time to ensure the smooth-running of the society. Information Technology Officer The duties of the Information Technology Officer are— (1) To regularly develop and maintain the Society’s website; and (2) To update notices on the Society website as required on at least a weekly basis; (3) To maintain the online photo gallery if required; and (4) To liaise with the Director of Sponsorship to ensure compliance with sponsorship obligations; and (5) To liaise with the Secretary to ensure correct contact details are posted on the website; and (6) To assist the Director of Media and Communications with initiatives of the Portfolio; and
(7) Any other activities as may be required from time to time to ensure the smooth-running of the society.
Internal Competitions Convenor (Client Interview) The duties of the Internal Competitions Convenor (Client Interview) are— (1) To be responsible for organising and coordinating the Open Client Interview Competition and the Junior Client Interview Competition; and (2) To collaborate with the Competitions Portfolio for the organisation and running of Open Competitions Workshops and Junior Competitions Workshops; (3) Organise early promotion of the competitions; (4) To secure adequate judges, clients, and any other role needed for the competition day; and (5) To format documents such as: schedules; pairings; briefs; problems; etc.; and (6) To ensure competitors have access to the Competitions Handbook and Bylaw; and (7) To assist the Director of Competitions with any other events or initiatives of the portfolio; and (8) Any other activities as may be required from time to time to ensure the smooth-running of the society. Internal Competitions Convenor (Mooting) The duties of the Internal Competitions Convenor (Mooting) are— (1) To be responsible for organising and coordinating the Open Mooting Competition, the Open International Humanitarian Law Moot and the Junior Mooting Competition; and (2) To collaborate with the Competitions Portfolio for the organisation and running of Open Competitions Workshops and Junior Competitions Workshops; (3) Organise the early promotion of the competitions; (4) To secure adequate judges, clients, and any other role needed for the competition day; and (5) To format documents such as: schedules; pairings; briefs; problems; etc.; and (6) To ensure competitors have access to the Competitions Handbook and Bylaw; and (7) To assist the Director of Competitions with any other events or initiatives of the portfolio; and (8) Any other activities as may be required from time to time to ensure the smooth-running of the society. Internal Competitions Convenor (Negotiation) The duties of the Internal Competitions Convenor (Negotiation) are— (1) To be responsible for organising and coordinating the Open Negotiation Competition and the Junior Negotiation Competition; and (2) To collaborate with the Competitions Portfolio for the organisation and running of Open Competitions Workshops and Junior Competitions Workshops; (3) Organise early promotion of the competitions; (4) To secure adequate judges, clients, and any other role needed for the competition day; and (5) To format documents such as: schedules; pairings; briefs; problems; etc.; and
(6) To ensure competitors have access to the Competitions Handbook and Bylaw; and (7) To assist the Director of Competitions with any other events or initiatives of the portfolio; and (8) Any other activities as may be required from time to time to ensure the smooth-running of the society. Internal Competitions Convenor (Witness Examination) The duties of the Internal Competitions Convenor (Witness Examination) are— (1) To be responsible for organising and coordinating the Open Witness Examination Competition and the Junior Witness Examination Competition; and (2) To collaborate with the Competitions Portfolio for the organization and running of Open Competitions Workshops and Junior Competitions Workshops; (3) To organise early promotion of the competitions; (4) To secure adequate judges, clients, and any other role needed for the competition day; and (5) To format documents such as: schedules; pairings; briefs; problems; etc.; and (6) To ensure competitors have access to the Competitions Handbook and Bylaw; and (7) To assist the Director of Competitions with any other events or initiatives of the portfolio; and (8) Any other activities as may be required from time to time to ensure the smooth-running of the society. Law Revue Convenor The duties of the Law Revue Convenor are— (1) To organise and produce an annual comedic stage production known as law revue; and (2) To audition cast members and select appropriate support crew; and (3) To oversee the writing of the script; and (4) To manage the cast and crew for the success of the production; and (5) To work with the Media and Communication Portfolio to ensure successful promotion of the event and the selection process; and (6) To assist the Director of Activities with any other events or initiatives of the portfolio; and (7) Any other activities as may be required from time to time to ensure the smooth-running of the society. Marketing Officers There are two (2) Marketing Officers The duties of the Marketing Officers are— (1) To create resources, including print materials, online and social media campaigns and lecture presentations, to advertise the functions and events of the Society; and (2) To maintain and enhance the Society’s social media and online presence to promote the functions and events of the Society; and
(3) To coordinate with the office-bearers of the Society to advertise the functions and events of the Society; and (4) To assist the Director of Media and Communications with initiatives of the Portfolio; and (5) Any other activities as may be required from time to time to ensure the smooth-running of the society. Membership and Merchandise Officer The duties of the Membership and Merchandise Officer are— (1) To assist the Secretary with the maintenance of the Register of Members; and (2) To coordinate the selection and sales of the Society’s merchandise; and (3) To manage and coordinate the Society’s presence at Orientation Day and Market Days to drive membership of the Society; and (4) To manage the cast and crew for the success of the production; and (5) To work with the Media and Communication Portfolio to ensure successful promotion of the merchandise offering; and (6) To assist the Director of Activities with any other events or initiatives of the portfolio; and (7) Any other activities as may be required from time to time to ensure the smooth-running of the society. Mentoring Officer The duties of the Mentoring Officer are— (1) To coordinate the Society’s mentoring program; and (2) To organise and manage regular events and catch-ups as part of the mentoring program; and (3) To facilitate the mentoring process by matching up mentors and mentees based on relevant factors i.e. degree factors, mature age, etc.; and (4) To address mentor and mentee concerns and finding the appropriate channels to deal with their respective concerns; and (5) To assist with promoting the mentoring program during Orientation Week, at Society events, and within the law school community; and (6) To assist the Director of Education with any other events or initiatives of the portfolio; and (7) Any other activities as may be required from time to time to ensure the smooth-running of the society. Publication Officer The duties of the Publications Officer are— (1) To be responsible for the production and publication of the Society’s newsletter; and (2) To be responsible for the production and publication of the Society’s annual yearbook; and (3) To plan and seek out motivated people to write articles for publications on a variety of subjects, both within the law school and other schools of thought that may be relevant or interesting for law students; and
(4) To compile the Society’s event information, photos and other material for inclusion in publications; and (5) To assist the Director of Media and Communications with initiatives of the Portfolio; and (6) Any other activities as may be required from time to time to ensure the smooth-running of the society. Podcast Officer The duties of the Podcast Officer are— (1) To plan and produce episodes of ‘The Law Student Podcast’ at the direction of the Director of Media and Communications and the President, including, but not limited to, seeking guests for the podcast, planning the content of the podcast, recording the podcast, editing the podcast, and posting the podcast on relevant platforms. (2) To assist the Director of Media and Communications and the Marketing Officers to maintain and enhance the Society’s social media and online presence to promote the functions and events of the Society, where required; and (3) To assist the Director of Media and Communications with initiatives of the Portfolio; and (4) Any other activities as may be required from time to time to ensure the smooth-running of the society Socials Convenors There are two (2) Socials Convenors The duties of the Socials Convenors are— (1) To organise all Society social events; and (2) To ensure the Society’s social events are available and accessible to a broad cross- section of the student body; and (3) To ensure Campus Life’s alcohol requirements are complied with; and (4) To ensure that all events are marketed well in advance; and (5) To assist the Director of Activities with any other events or initiatives of the portfolio; and (6) Any other activities as may be required from time to time to ensure the smooth-running of the society. Sports Coordinator The duties of the Sports coordinator are— (1) To be responsible for organising and coordinating social sporting teams in trimester 1 and 2; and (2) To provide ongoing support for sporting teams and following up social sport payments; and
(3) To pursue inter-varsity opportunities for sporting teams such as grudge matches and UQ Law Cup; and (4) To ensure early promotion and running of these events and programs; and
(5) To explore and promote further opportunities for students to engage in physical activity; and (6) To assist the Director of Activities with any other events or initiatives of the portfolio; and (7) Any other activities as may be required from time to time to ensure the smooth- running of the society.
