SIERRACOLLEGE NATURALHISTORY MUSEUM Vendors and Exhibitors, SCNHM is excited to announce that we are resuming our annual Dinosaur Day and Science Fest! Thank you for supporting Sierra College Natural History Museum’s signature community event in years past. We are grateful for your passion regarding conversational science, critical thinking, and natural history programming. Additionally, we are excited to observe your creativity and enthusiasm as you engage our visitors through S.T.E.A.M. (Science.Technology.Engineering.Arts.Math.) initiatives! Your participation in this annual community event and Museum fundraiser is integral to the success of the Museum’s principal mission of sparking curiosity and understanding of your natural world. Obviously, the past two years of global pandemic have decidedly changed the operations/logistics of the festival. We appreciate your patience and grace as we present a pandemic-influenced version of our long- standing Dinosaur Day; it will be slightly different than other years, but fantastic never the less! At a Glance: • The event is scheduled for Sunday, May 1, 2022. There will be TWO ticket times for visitors to choose from to accommodate social distancing/crowd management: Morning Session (9am-12:30pm) Afternoon Session (1pm-4:30pm) In between the two sessions is a thirty-minute window for sanitizing and resetting your booth and for vendors and exhibitors to eat lunch/have a break. • In years past, we have offered live animal exhibitions, poster sessions/lectures, tours, physics and chemistry demonstrations, paleontological digs, maker stations, and many other family-friendly activities. This year, we will be expanding our outside event footprint on campus for safety and District protocol compliance. We also plan to minimize the scale of SCNHM offerings to better focus on our guest exhibitors’ contributions. Therefore, we will not be offering Planetarium Shows this year. • Our Dinosaur Day Festival keeps growing and has become a regional draw for visitors; in years past we had 3,000-4,000 visitors. This year we are planning for 1,500 visitors per session, for a total of 3,000 participants. • This event will be both a Sierra College District and public event; therefore it will be widely publicized (television, radio, flyers, e-mailings, newspapers, social media, etc.) throughout the region.
• We enthusiastically invite local organizations, agencies, businesses, and individuals to share in our common goal of supporting S.T.E.A.M. (Science Technology Engineering Arts Math) scientific dialogue within our community. • Our overarching objective for this event especially this year, is to demonstrate the impact that science has in our daily lives. Other objectives include increasing enthusiasm for science content, inviting critical thinking, and inspiring passion for natural history. For that reason, each exhibitor will be encouraged to provide a hands-on activity that coordinates with our subject matter. SCNHM will provide disinfecting wipes and paper towels for sanitizing such hands-on manipulatives. • Non-profit organizations are invited to participate as exhibitors, and fees are waived. Application is still required. • Business, for profit organizations, and agencies that intend on doing commerce/retail sales on site are required to submit a completed application, as reviewed by the DinoDay Committee. After approval by the Dinosaur Day Committee, vendors will pay a $50 fee. The following checklist will provide valuable insight that you might find helpful while serving as a Dino Day vendor or exhibitor: Dino Day 2022 Check List Sunday, May 1, 2022 Event Time: 9:00 am to 4:30 pm 1. CHECK-IN & PARKING Check-in and set-up time is from 7:00am – 8:30am on Sunday, May 1, 2022 • Exhibitors: Please arrive on campus early enough to provide yourself ample time for booth or activity set-up. The event is open to the public starting at 9:00am and gates close at 4:30pm. Museum staff will be on site, extra early to assist in you in locating your vendor space. • Food vendors: Set-up at the time that best meets your concession schedule beginning at 7:00am. Food vendors may park their personal vehicles in a parking lot to be determined. Campus is currently under construction, and we will know definite parking and exhibition areas come April. Food truck parking spots will be designated in Lot ________(to be determined); they will be located close to picnic areas to encourage sales. Exhibitors (non-food/non-sales) will unload and park in Lot S. 2. DIRECTIONS TO SIERRA COLLEGE Sierra College Natural History Museum is located in the science building on the west side of the Rocklin Campus in the heart of Sewell Hall. (Note that map apps on your phone may redirect you to the opposite side of campus near the stadium.) From Auburn/Grass Valley: Take Interstate 80 towards Sacramento. Exit Sierra College Blvd #109. Turn right onto Rocklin Road. Turn right at the red light on to El Don. Turn left on Science Museum Drive.
From Placerville: Take Interstate 50 towards Sacramento. Turn right on exit #21 Hazel Avenue. (Hazel becomes Sierra College Blvd.) Turn left onto Rocklin Road. Turn right at the red light on to El Don Drive. Turn left on Science Museum Drive. From Sacramento: Take Interstate 80 towards Reno. Exit Sierra College Blvd #108. Turn right onto Rocklin Road. Turn left at the red light on to El Don. Turn left on Science Museum Drive. 3. CAMPUS SECURITY Security services are located at Building X-T at the West entrance, should you need their assistance. Extra event security will be making rotations during Dinosaur Day, as well. 4. PARKING PERMITS Sierra College parking permits ARE NOT required for this event. Please see Section 1. for parking locations. 5. EVENT CLEAN-UP Vendors and Exhibitors are expected to close their booths or activity/demonstration at 4:30pm. Clean-up lasts until 7:00pm. Should you need assistance boxing or loading, please let a Museum Staff person know and we will assist you. 6. CULTURE OF LEARNING & COMMUNITY LEADERSHIP As part of SCNHM’s culture of learning and best museum practices, Dinosaur Day Exhibitors are expected to provide/support family friendly, engaging verifiable scientific dialogue. Dinosaur Day Vendors are expected to sell merchandise that runs parallel to the mission and objectives of the Sierra College District and Museum. We respectfully request that vendors not sell items that conflict with SCNHM DinoStore sales: official DinoDay t-shirts and other marketing merch, fossil/rocks/shells/geodes/minerals, etc… Prohibited items for resale include drugs, medicine, or pharmacopeia; firearms or weapons; and fireworks. As we are also serving as an example to our community regarding natural history and environmental stewardship, all participants are encouraged to exercise conservation practices and ecological awareness, if applicable/possible. (i.e., minimizing footprints in packaging or materials, selling sustainable or ethically/ecologically sourced merchandise, promoting environmentally positive activities or demonstrations, etc…) 7. FACILITIES APPLICATION All Vendors and Exhibitors are required to complete the yellow highlighted sections of the attached Sierra College Facilities Application from the “Applicant & Organization” section forward. Please be mindful of the Certificate of Liability and Additional Insured Endorsement requirements as well. ***This year, Exhibitors and Vendors’ applications will be reviewed by the Dinosaur Day Committee. After - approval by the Dinosaur Day Committee, vendors will pay a $50 fee.*** Don’t forget to attach the highlighted documents to your application as the Dinosaur Day Committee will review only completed applications for approval! 8. FEEDBACK To ensure the BEST visitor experience and overall Museum practices for this event, we will offer your organization/business an event survey (paper or link to online survey). We encourage you to offer us
constructive ways of improving Dinosaur Day and Science Fest, as well as any praise that we might be able to share with our outstanding event planning team. COVID-19 PROTOCOLS AND PUBLIC HEALTH MEASURES To ensure the safety of our Museum visitors, as of time of this publication, SJCCD has in place a mask mandate whereas masks are required by all Dinosaur Day and Science Fest participants, volunteers, vendors, exhibitors, and visitors over the age of two years. This includes all Sierra College campus buildings and outside festival areas that do not allow for social distancing. Failure to do so will result in disqualification to participate in the event. Should local public health officials and/or Sierra College administration make changes or revisions to the current approved Covid-19 safety protocols, SCNHM and all affiliated Dinosaur Day participants will adhere to those guidelines as effective as of event day, May1, 2022. Any major changes in health guidelines and protocols will be communicated from the Museum Office and Marketing Department prior to event day. 9. EVENT CANCELLATION/CRITICAL DECISION DATE Over the past two years, we’ve experienced such a rollercoaster in pandemic life: fluctuating Covid-19 infection cases, ebbing state health measures, and subsequent virus variants wreaking havoc in our community. Schools have closed, schools have reopened; residents have quarantined/stores have cloistered, and businesses have now resumed services with safeguards in place. Currently, the projections for May 2022 look favorable for the Museum to host this outdoor science festival. However, should an infection spike, new variant, or some other related public health situation unfold prior to the event day that the District deems unsafe to proceed, the Museum and SJCCD will make a critical decision to cancel no later than April 15, 2022. Should that happen, vendor fees will be reimbursed in full, as will ticket sales.
