introduction Suffolk Market Events Suffolk Market Events is a family run business founded in 2008 that delivers award winning farmers’ markets, craft markets and food festivals across East Anglia. Suffolk Market Events has received official certification for all our monthly farmers markets and we are proud members of The Farm Retail Association. Suffolk Market Events only works with top quality producers and at every market we expect the producer to be present and able to answer any questions the customer may have. We also work hard to ensure that nothing will have travelled further than thirty miles to be at the market making sure all our markets are genuinely local. We have established a great reputation for delivering successful markets that consistently attract a high number of visitors and we have developed comprehensive online marketing activity & PR that ensures our markets maintain a high profile, all of which our traders benefit from. In addition to our monthly farmers’ markets we also run a series of vegan markets, mixed artisan markets and craft markets as well as an annual Food Festival and three seasonal Suffolk Farmers Markets at Trinity Park. Details of our regular markets are as follows: Colchester Farmers Market 1st Friday every month 9.30am – 1pm in The Arts Centre, Colchester, CO1 1NF. This market is currently closed due to Covid-19 restrictions and will remain closed until all social distancing restrictions are lifted. Ipswich Farmers Market 1st Sunday every month 10am – 2pm on The Cornhill IP1 1DH. £30 pitch fee/month plus £3 power socket if needed. Reduced parking is available via an app that we will send you on application. Outdoors only – traders must supply their own commercial standard 3m x 3m weatherproof gazebos, adequate leg weights for all legs, table/chair. A TENS is in place for consumption of alcohol off-site only. Bury St Edmunds Farmers Market 2nd Sunday every month (Closed in January) 10am – 3pm on The Traverse, Bury St Edmunds IP33 1BJ. £30 pitch fee/month plus £3 power socket if needed. sudbury Farmers Market Last Friday every month 9.30am – 2pm on Market Hill CO10 2EH. £30 pitch fee/month Limited Indoors with 6ft x 2ft trestle table/chair and power supplied. Extensive space for outdoor pitches where traders must supply their own weatherproof gazebos, adequate leg weights for all legs, table/chair. Fully licensed venue inside. TENs in place for outside pitches. hadleigh Farmers Market Every Friday 9am – 1pm on Market Place, IP7 5DL. £15 pitch fee/week based on standard 3m x 3m pitch (reduced to £10/week if 7 or more dates are pre-booked). £20 pitch fee/week for larger pitches (reduced to £15/week if 7 of more dates are pre-booked). Power sockets are available at £1.50/week. Generators are not permitted at this market. Outdoors only – traders must supply their own commercial standard 3m x 3m weatherproof gazebos, adequate leg weights for all legs, table/chair. Fully licensed venue. What you have to do next to register with Suffolk Market Events: In order to progress your enquiry, we ask you to carefully read through this pack noting the eligibility criteria below and the event booking terms and conditions in order to trade at our markets should a space be available. Please ensure that you are eligible, have the necessary documentation and that our standard terms and conditions suit you. To book onto a market: If you are eligible to be considered and are prepared to meet the terms and conditions, please complete and submit the relevant market booking forms (pages 8 – 12) and return to us with copies of your documentation as per the checklist (page 13). Once we have received your paperwork we will inform you as soon as a space is available. Eligibility Criteria Food miles Traders should ideally be based within a 30 mile radius of the Market they wish to attend, specifying their full business address when applying. There may be occasions when this radius can be extended but please do not apply if you are well in excess of this distance. You must be the producer All primary products sold at our farmers’ markets must be reared, grown, shot, butchered, fished, gathered, caught, brewed or foraged by You, the Producer and you must attend the Market. You may not sell items on behalf of, or bought from, anyone else. The term Producer includes you, your family, and employees who are directly involved in production. secondary selling If you are selling a secondary product then you must be directly involved in the production process and we ask that you use local ingredients in as much of the production process as possible. You must include a full list of all products you wish to sell on your application. Please note that we get hundreds of enquiries about many secondary products such as cakes and we may not be able to offer you a position at the current time. insurance All traders must have current public liability insurance in place, to a minimum of £5 million pounds and this must specify ‘mobile catering’ where this is relevant to their operation. Environmental health All food traders must be registered with their local authority and have the relevant certification from their local environmental health officers. They must have a minimum of 4 stars, preferably a 5 stars hygiene rating. Your stall must be well presented and demonstrating the highest standards of cleanliness. safety certification Traders must have current PAT/Gas Safety certificates in place for operation of any electrical or gas appliances where relevant and all catering traders need to have undertaken a risk assessment for their trading operation. Event Booking Terms and Conditions Market Payments Once we have confirmed the market/s you are going to attend, payment for your pitch will need to be made in advance and can be accepted via BACS or cheque. Outdoor pitch fees are based on 3m x 3m gazebos, if your pitch is larger than this then you must contact Suffolk Market Events before booking to discuss the price. BACs are paid to Suffolk Market Events, HSBC, Sort Code 40 43 23, and Account number 81447769. Please email when a payment has been made. Cheques should be made payable to Suffolk Market Events and posted to the address on the front page of this Trader Information Pack. All bookings must be submitted on the relevant booking form. Suffolk Market Events reserves the right to refuse or cancel any booking without giving a reason. Dishonoured cheques If your bank refuses to honour a cheque that you have given as payment for a booking fee then an administration fee of £10 will be charged. This will be charged every time a cheque is returned and no exceptions are made. Your commitment to an event We expect all traders to commit to attend most dates that a regular monthly market is running. New traders at the monthly markets need to commit to at least 6 months to maintain a level of continuity for customers and to properly ‘test the market’ for their products. We email every trader two weeks before each regular farmers market and at this point we ask you to confirm your attendance and make your payment. We expect you to reply immediately and to make your payment at this point. Bookings for some markets may be taken in rolling 3 monthly blocks with regular traders emailed before the next booking period to confirm attendance and make payment. If you do not pay for your pitch when asked, we will not be able to confirm your booking. If, for whatever reason, you are unable to attend a market, you must inform us immediately. Electricity You must state if you require electricity on the booking form when making your enquiry as access to power sockets is limited. You must supply your own socket adaptors and extension cables at all markets where you require power. All electrical equipment must be in possession of a current pat certificate which must be sent to Suffolk Market Events. Suffolk Market Events Trading information pack 6
Attendance and conduct at market You must arrive in good time to set up and be ready to sell at least 15 minutes before the market opens. Your gazebo, table and all stall equipment must be in excellent condition and we expect all traders to meet high standards of presentation. Your vehicle, if you have one, must be removed from the Market space at least 15 minutes before the advertised opening time. All rubbish must be removed by you. You and your staff must at all times follow all instructions given to you by the market manager on the day, including (but not only) in relation to matters of safety, waste removal, audits and payment of fees. Threatening, sexualised or racist behaviour towards any manager, producer or shopper at the market, whether physical or verbal, will not be tolerated. Insurance Suffolk Market Events is not responsible for any loss, theft or damage to your property or stock at any event. All stallholders must carry adequate insurance and provide a copy of their PL insurance to Suffolk Market Events at the time of submitting the booking form. Food producers must also provide their certificate of premises inspection from the local authority at the time of booking. Cancellation policy If a regular, monthly farmers market is cancelled in it’s entirety, due to circumstances beyond our control including extreme weather then we shall have no liability for losses or costs which you may incur due to such cancellation but we will refund 50% of your pitch in the form of credit off your next monthly market booking with us. Events are subject to cancellation or rescheduling at the discretion of Suffolk Market Events and/or the organisation responsible for the whole event. If the event does go ahead with changes made, and you are unable to attend, no refund will be given and Suffolk Market Events will not be liable for any additional loss or damage resulting from such changes. If a one off event is cancelled in its entirety, due to circumstances beyond our control including extreme weather then we shall have no liability for losses or costs which you may incur due to such cancellation but we will refund 50% of your pitch fee. You will be asked to sign and date your acceptance of these event booking terms and conditions. Suffolk Market Events reserves the right to cancel bookings deemed not to comply fully with these terms and conditions. Our right to vary these terms and conditions We have the right to revise and amend these terms and conditions from time to time to reflect changes in technology, changes in payment methods, changes in relevant laws and regulatory requirements and changes in our system’s capabilities. Vegan, Craft and other Markets In addition to our regular farmers markets, Suffolk Market Events also runs a number of vegan, one off events and craft markets and these events are outlined below. If you would like to attend any of these events then please visit our website where you will be able to download a Booking Form from either the Events Market page or the Craft Market page. Please note that all items at our Craft Markets must be handmade. Please complete the relevant form/s, make the payment using the bank details that are listed on the form and return the form/s to Suffolk Market Events. Trinity Park Farmers Markets Clare Craft Markets This will be held on Saturday March 21st, Saturday Clare Town Hall, Market Hill, Clare, Suffolk, CO10 October 17th and Saturday December 12th 2020. 8NN. Dates to be confirmed 10am - 4pm. FREE These events are held inside the Cattlesheds at Trinity ENTRY. Pitch fees are £40 plus £5 for power. Park, Ipswich but we do suggest you bring a gazebo as it is a huge space. We are taking bookings from food, drink and craft stalls plus hot food concessions. Vegan Market Pitches cost £40. Power is charged at £25. A series for three vegan markets will be held on Sunday April 18th, Sunday July 18th, Sunday September 19th 2021 on the Cornhill right in the Felixstowe Artisan Markets very centre of Ipswich. Everything that is sold at our craft markets is handmade by the person who is selling and we attract stallholders from across East Anglia selling a stunning range of items including ceramics, original art work, papercrafts, felting, handmade candles, silver jewellery and lots more.
