We’re sure that you and your children will find your time with us to be happy, enjoyable and rewarding! Incorporated under the BBPS P&C, we are independently managed and not-for-profit, pouring all our resources back into dynamic programming, equipment and care for the kids. We are operated by a team of highly- qualified and experienced Senior Staff, a pool of qualified Educators and a volunteer Executive Committee. The Hive provides term-time before and after care for the children of Bondi Beach Public School. During our Holiday Programs, we also welcome children from other local primary schools. The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 The Hive Management Consisting of a group of volunteer parents, the Hive Executive Committee is a sub-committee of the P&C. The Exec decides matters of policy, fees, staffing and all matters relating to the running of the Centre. They communicate regularly and delegate day to day responsibilities to the Hive’s General Manager. A wider Hive Management Committee consists of the Exec members, the School Principal, a representative teacher, the General Manager of the Centre and two representatives from Becklyn, our Service Administrator (see below). This committee is responsible for ensuring that the service we provide meets the requirements of our school and wider community. Parents are encouraged to email us at hello@thehivebondi.com.au - with suggestions, questions or problems - for the attention of the General Manager - or to get in touch with the Exec Committee Administrators A Service Administrator (Becklyn P/L) is employed to handle all financial administrative matters. The Administrators can be contacted on 02 9878 2651 or info@becklyn.com.au Hours of Operation The Hive is open from 7-9am and 3-6pm during public school term times. Staff are present at the Centre from approximately 7-9am during the morning sessions and between 2-6pm in the afternoons. Staff spend the hour 2-3pm running a daily scrum meeting, preparing art & craft, activities, sports, games and food, and ensuring that the Centre is clean and safe. During school holidays the Centre runs a Holiday Program which runs from 7:30am-6pm. The centre is closed on all NSW Public Holidays and usually for approximately 2 weeks over Christmas and New Year. During the first week or two of Term 1, Kindergarten children sometimes finish school earlier than other years. School will inform you directly if this is the case. If so, Kindys will remain with their class teacher until The Hive opens. Ongoing, Kindergarten children are collected from their classrooms just before 3pm by Hive staff, and walked to their Hive roll call rooms. 4
The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 Priority of Access It is our responsibility to ensure that places are offered using the Priority of Access guidelines as set down by the Federal Government. Therefore, our service will take children into care on the following basis: Priority 1 A child at risk of serious abuse or neglect Priority 2 A child of a single parent who satisfies, or two parents who both satisfy, the work / training / study test under Section 14 of the Family Assistance Act Priority 3 Any other child Within each of these priorities the following children are to be given priority: 1. Children in Aboriginal or Torres Strait Islander families. 2. Children in families that includes a person with a disability. 3. Children in families on lower incomes. 4. Children in families with a non-English speaking background. 5. Children in socially isolated families and children of single parents. Should the service become full, a parent using care who is Priority 3 may be requested to vacate the place for a child in Priority 1 or 2. Fourteen (14) days’ notice will be given. Wherever possible, The Hive will endeavour to accommodate both children in such an instance. Please carefully complete the PoA section of the online enrolment form, ticking all relevant boxes, so that we can accurately determine your PoA status. Funding and Government Rebates on Fees The Hive is an approved Child Care Service. This means families can access government funding towards the costs of childcare, via Child Care Benefit (CCB) or the 50% Child Care Rebate (CCR). CCB is a means-tested payment, available for families who earn less than a specified combined income. The rates for the current financial year can be located on the Department of Human Services website at Centrelink: Child Care Benefit. Families must be assessed by Centrelink before any fee reductions can be passed on. CCR is a 50% rebate on out-of-pocket childcare expenses, with a maximum rebate of up to $7,613 per child per year, for eligible families. To find out more, visit Centrelink: Child Care Rebate. Again, families must be assessed by Centrelink before any reductions can be applied. In order to receive any benefits for which Centrelink deems you’re eligible, you MUST include the CRNs of the Parent/Guardian and of each child, along with the DOB of each of these people within the designated sections of the online enrolment form. 5
The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 Senior Staff Ellie Waddel - General Manager Ellie brings a wealth of leadership experience to our team and focuses on making our Centre a place of choice for children and parents. She has almost two decades of experience in leading and managing teams across various industries (marketing, events and education) in the UK, South Africa and Australia, as both an employee and a volunteer. Based mainly in The Hive office, Ellie leads the Senior Team and works closely with The Hive Executives and the school’s leadership to ensure that strategy and operational decisions align, for maximum benefit to the children. Lenka Sykorova - Programming Lead (Nominated Supervisor) In early 2016 Lenka joined our senior team as Programming Lead, with responsibility for developing an exciting, engaging and varied program of activities for all our children. As Nominated Supervisor in 2018, she's now responsible for the overall running of the Centre and leading the team. Lenka is a qualified, enthusiastic and passionate educator and coordinator with over 10 years' experien ce in caring and programming for primary school aged children. She has completed a Diploma in Pre-primary Teaching and also holds a Masters in Primary School Teaching. When she's not busy taking care of the children at the Hive, Lenka loves travelling with her young family, hiking and sleeping wild in nature! Billy Johnson - Child & Family Liaison Lead (Certified Supervisor) As our Child and Family Liaison Lead, Billy is there for children, parents and carers to listen and answer any questions. Billy is studying for a Bachelors in Primary Education, lives locally and is a father of one gorgeous daughter. He is highly motivated and passionate about fostering a fun, safe and caring environment for all children in the Hive. Britt Welander - Food & Nutrition Lead Britt just loves baking and cooking! She's a certified nutritionist, a qualified training coach for children and she also brings two decades of customer service following her B.Sc. in Hotel Management. As a mum of two (one still here at school with us), Britt truly understands how to feed kids, and how to interpret and respond to the special requirements of parents and children. She's dedicated to delivering the highest quality in everything she does, nowhere more apparent than in her impressive background competing in Ironman Triathlons. Jara Poslusny - Business Operations Lead (Certified Supervisor) From a background as a successful retail Business Coordinator, Jara brings a vital approach to team-work, motivation, problem-solving and the development of effective and efficient processes for our ever-growing and evolving centre. Based in the Hive office, Jara works hard to ensure that the processes behind the operation of The Hive give the maximum support to both our Senior Team and the wider team of Educators. We also have a wide---home-grown and international---team of passionate Educators, who support the Senior Staff and bring lots of smiles and energy to our Centre. The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 Medication In line with the Education and Care Services National Law and Regulations, we are permitted to administer medication to your child only if: ▪ A Parent / Guardian or an authorized nominee with permission to consent to administration of medication has completed a “Permission to Administer Medication Form” including details of time and dosage. ▪ The medication is prescribed for that child, is still in its original container & within its expiry date ▪ A second staff member witnesses the dosage and administration of the medication. Non-prescription medication will only be given if accompanied by a Doctor’s Certificate stating the dosage and the time to be administered. In the case of an emergency, medication may be administered with the permission of a registered medical practitioner or medical emergency services should a parent be non-contactable. In the case of an asthma or anaphylaxis emergency, medication can be administered without any authorization. If this was to occur, the child’s parent and emergency services would be contacted as soon as possible following administration. Asthma / Allergy / Anaphylaxis Action Plans or Medical Management Plans: Parents of any child with asthma, allergies or anaphylaxis are required to submit an up-to-date Asthma, ASICA Allergy or Anaphylaxis Action Plan, before their enrolment can be approved. These plans are available from your child’s doctor. The plan will advise Hive staff of the actions they should take, should your child become unwell with an allergy, asthma or anaphylaxis. Parents of children with other specific healthcare needs may be required to submit further details, or a Medical Management Plan prior to their enrolment being approved. Feeding the kids… During term time and Holiday Program, breakfast is provided each morning between 7-8:15am (term time) and 7:30-8:30am (Holiday Program). Afternoon tea is provided at approximately 3:15pm, with a late afternoon fruit platter at 5:15pm. Families provide their own crunch ‘n’ sip, recess and packed lunches. We provide nutritious and varied food options for the children attending The Hive, with higher fibre, lower sugar and an emphasis on good energy foods that taste great. Information regarding menu selections is available on our website www.thehivebondi.com.au/food. Consideration is given to children with allergies, anaphylactic reactions and special dietary needs, based on the information provided on the enrolment forms and operating within the parameters of our Policies and Procedures. 7
The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 Daily Program We provide daily routines to meet the needs of individual children and we aim to implement a stimulating and varied program based on children’s continuing interests and appropriate to their developmental and leisure needs. This allows opportunities for children to play, explore and develop new skills and theories. Children are encouraged to participate in this process by completing surveys, participating in ‘children’s meetings’, and placing activity suggestions in the “Suggestion Box” at The Hive. The current week’s program can be viewed on the door board at The Hive. Conditions of Enrolment The Management Committee and staff aim to provide a quality, caring and safe Before School, After School, and Holiday Program service for your children. The Committee seeks your cooperation by complying with the conditions set out below. Your agreement to the Terms and Conditions during the online Enrolment Process indicates your acceptance of these conditions: 1. The Online Enrolment Process must be completed via the centre webserver: www.becklynweb.com.au/bondibeach 2. The Enrolment Permissions must be completed prior to acceptance / approval of the family enrolment 3. All children who attend Before and After School Care must be booked in via the Centre webserver, using your online account. Children not booked in for an afternoon session will be redirected to the school office. 4. Accounts in arrears may incur overdue fees, or cancellation of bookings and/or enrolment. 5. Casual use of the service is dependent on whether there are spaces available on the days required. 6. Children must be signed in for morning sessions and out at the end of the day when they are collected from the Centre, as per legislated requirements. This must be done by parents or carers via the touchscreen, using the log-on ID provided as part of your enrolment process. 7. If a child is going to be absent for a booked session, you must notify the Hive. See below for full instructions: a. You should mark the relevant afternoon session in question as ‘Away’ on the webserver. This is possible up to midday the day before the session b. For notifications after midday the day before the session, please email us directly on bookings@thehivebondi.com.au. This should be done before midday on the day. c. Notifications after midday on the day of the booking should be made by phone. d. Failure to notify of non-attendance will result in a $15 non-notification fee being applied your account. Full details are here and are also printed out on the side of the touchscreen e. Notification to the school does not constitute notification to The Hive – we are separate entities, although you can email us both at the same time. 8
The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 8. Only persons listed as Parents or Authorised Nominees may collect children. Written permission is required if someone else is to collect a child. The person collecting will need photo ID. If someone is prohibited from collecting your child or from visiting the Centre THIS INFORMATION MUST BE INCLUDED AS PART OF THE ENROLMENT PROCESS. A copy of any relevant court orders must be provided. 9. A late fee of $15 per 15 minutes will be charged for children who are collected after closing time of 6:00 pm. 6:01-6:15pm=$15, 6:16-6:30pm=$30 etc. Please inform the Centre if you think you may be late so that your child/ren can be informed. 10. The program cannot cater for children who are unwell. If a child becomes ill whilst in care, staff will notify parents and the child is to be collected as soon as possible afterwards. Please ensure that all contact numbers on the webserver are up to date. 11. Details of any medical conditions, special needs or family circumstances that may assist staff in working with your child should be included in the child information as part of the Enrolment process. All changes to Enrolment Information must be altered via the webserver. 12. If a child’s behavior endangers the safety of themselves, other children or staff, that child’s attendance will be reviewed in consultation with the parents. 13. Non-compliance of any of the above conditions will result in the attendance of the child/ren at the Centre being reviewed. Bookings, Fees & Charges The Executive Committee is responsible for setting attendance fees, which are reviewed on an annual basis. Any proposed changes will be communicated in the school newsletter, via email and at general meetings of the Committee. Fees will be set on an annual basis. 2018 fees and charges are as follows: Annual membership fee - $50.00 per family A membership fee applies whether the child is to be a permanent, casual or Holiday Program only. Enrolments processed in Term 3 incur a 50% membership fee of $25. Enrolments processed in Term 4 incur the full fee, which will also cover the following school year. Attendance Fees Per Child: Permanent: Casual: Before School Care: $17.00 Before School Care: $19.00 After School Care: $22.00 After School Care: $25.00 Permanent Bookings: If a child will attend the Centre on a regular basis, a permanent booking is required. A permanent booking must 9
The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 be paid for whether or not the child attends. There is a small discount (relative to the casual booking rate) for booking permanent bookings. A booking must be in place for a minimum of 2 weeks for it to be considered a permanent booking. Permanent bookings falling on a public holiday are non-chargeable. Transfers: Transfers from one day to another are available for the same session (i.e. morning or afternoon) and within the current week. You can do this via your online account. Log in here > Parent Menu > Calendar Bookings Casual Bookings: If a child is to attend irregularly or occasionally, then casual bookings are most appropriate. This must be made via your online account by midday on the day prior to the booking. Log in here > Parent Menu > Calendar Bookings Casual bookings should be cancelled online up to midday the day before the session. After this time, please email bookings@thehivebondi.com.au prior to the start of the session. Cancellations after the start of the session will be considered absences, and a non-notification will be charged. Casual bookings will not be accepted if fees are outstanding for prior bookings. Holiday Program: Days are priced independently due to activities taking place. Please refer to the Holiday Program section of the website for prices, details, booking deadlines and the cut-off date for refunds. Pupil Free / Strike Days: During any term, there is a possibility of Industrial action by the Teacher’s Federation and Pupil Free Days. There will be no charge for permanent bookings that choose not to use the Centre on these days. The Centre will only operate if there are sufficient staff and numbers. Absenteeism: If your child will not be present at a pre-booked session, whether a casual or permanent booking, you must let The Hive know. This avoids unnecessary confusion, concern and a non-notification penalty fee. For more detail, please refer to Point 7 of the Conditions of Enrolment, on p.8. For long absences and holidays of two weeks or more, permanent bookings can be cancelled and then rebooked from the date of return, thus avoiding charges. This option is not available for absences of less than two weeks. Cancellations must be made via your online account by 9am on the Friday prior to the booking cancellation date. Cancelled bookings cannot be reinstated until two weeks after cancelled date. 10
The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 Payment of Fees The Hive is a cashless service. We strive to minimise debt and time spent chasing overdue payments. Ezidebit All families are asked to sign up to Ezidebit, a fortnightly, arrears debit payment service. This is a compulsory part of the enrolment process. You can sign up using either a bank account or a credit card. Payments are collected 1-3 working days after statements are issued. Parent Statements Please ensure that you enrol with a current, working email address, to which a fortnightly statement of usage and account will be sent by Becklyn. Attendance fees will be debited within three working days of the statement date. Statements will be emailed regardless of whether your child has used the Centre in the preceding fortnight. Non-Payment of Fees: Both Ezidebit and The Hive charge a dishonour fee for failed debits. Please ensure there are sufficient funds in your nominated account or on your nominated credit card in time for the regular fortnightly payment date. Overdue family accounts will be handled in the following manner: If payment is overdue by 3 weeks from the date of the emailed statement, the family will be contacted by The Hive’s financial administrator to advise that payment is necessary. If there is no response or payment, bookings will be reviewed by the Executive Committee. If a family continues to ignore payment requests and does not communicate with the Centre, legal action for debt recovery may commence and Executive Committee options include: • Establishing a payment plan with the family; or • Suspension of bookings until fees in arrears are paid; or • Cancellation of bookings. Any family experiencing financial difficulty should advise The Hive Executive Committee directly or via The Hive’s General Manager. All matters relating to financial difficulty will be kept strictly confidential. Late Pick Up Fees: The Centre closes at 6:00pm. Any child collected after 6:00pm will incur a late collection penalty fee, which accrues in $15 increments for every 15mins. 6:01-6:15pm = $15 6:16-6:30pm = $30 6:31-6:45pm = $45 and so on Parents should advise the Centre when they will be late to collect their child. If a child is not collected by 7:00pm and no contact can be made with the parents or emergency contacts then the staff have no option but to phone the Police, who will contact the Department of Community Services. 11
The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 If a parent continues to collect their child after 6:00pm, the Director will need to discuss alternative options with them, and suitable arrangements made or the child’s place at the Centre may be suspended or cancelled. Emergency Evacuation Policy The Centre has an emergency evacuation / lockdown procedure, which is displayed on the door for all to see. A routine emergency evacuation will be carried out for every session of the week, at least once a term. First Aid Policy The Centre has a First Aid Policy that is available for parents and staff to view. Parents will be informed of any accidents and will be asked to sign the incident / injury / trauma / illness form. A copy will be offered to the parent or carer and the original stored at The Hive office. Parents/Carers will be contacted if staff believe a child needs further medical treatment. Should staff be unable to contact parents/carers, it will be at the discretion of the staff whether an ambulance is called. Sun Protection Policy The Hive staff enforce a “No Hat, No Sun Play” policy whenever the UV Index reaches 3 or more. Parents should remind their children of the need to protect their skin against the sun by wearing hats and using sunscreen. If a child forgets their hat, they will be instructed to wear sunscreen and remain in the shade. Children will apply sun cream provided by the Centre, as they leave for school in the mornings and before outdoor play in the afternoons. If your child has sensitive skin, please advise staff and supply an appropriate alternative sun protection cream. Complaints and Compliments We believe that parents play an important role at The Hive and we value and welcome your comments. Please feel free to communicate any concerns you have in relation to The Hive, staff, management, programs or policies, without any negative consequences. Our priority is to constantly improve the quality of our service. To comment on any aspect of The Hive, please talk directly to a senior member of staff, the General Manager, or address your concerns in writing to the Secretary of The Hive Executive Committee. Policies, Procedures and Guidelines: A series of policies, guidelines and procedures for the service are available on our website. These policies, procedures and guidelines will be reviewed on a regular basis to ensure that they are kept up to date with community expectations. We hope that you will take the opportunity to comment on these if you are asked or if you feel that an amendment would be appropriate. 12
The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 Legislation for Out of School Hours Care On 1 January 2012, the National Quality Framework (NQF) was established, applying to most long day care, family day care, preschool (or kindergarten) and outside school hours care services in Australia; consisting of key requirements that will be phased in between 2012 and 2020, including staff qualifications, educator-to- child ratios and other key staffing arrangements. National Quality Framework (NQF): The National Quality Framework aims to raise quality and drive continuous improvement and consistency in education and care services through: ▪ a national legislative framework ▪ a National Quality Standard ▪ a national quality rating and assessment process ▪ a new national body called the Australian Children’s Education and Care Quality Authority. National Quality Standard: The National Quality Standard sets a new national benchmark for the quality of education and care services. The National Quality Standard is divided into seven Quality Areas: 1. Educational program and practice 2. Children’s health and safety 3. Physical environment 4. Staffing arrangements 5. Relationships with children 6. Collaborative partnerships with families and communities 7. Leadership and service management. The National Quality Standard aims to promote: ▪ The safety, health and wellbeing of children ▪ A focus on achieving outcomes for children through high-quality educational programs ▪ Families’ understanding of what distinguishes a quality service. 13
The Hive Bondi Beach Public School Campbell Parade Bondi Beach NSW 2026 National Quality Rating and Assessment Process: Approved Services will be assessed and rated against each of the seven Quality Areas of the National Quality Standard and the National Regulations. They will also be given an overall rating. The rating and assessment process aims to drive continuous quality improvement at services and provide families with better information for making choices about their children’s education and care. Assessments for existing services will commence from mid-2012.The National Quality Framework replaces the National Childcare Accreditation Council. For further information, please visit: www.acecqa.gov.au Privacy and Confidentiality All information provided to the Centre staff will be kept confidential as per the Privacy Act and only provided to those necessary for the provision and administration of the Centre, or when required to do so under law. 14
