Sunset Series 2021 – Sailing Instructions 1 Welcome 1.1 Welcome Welcome to all of our 40 new sailors! We have 36 new 8- & 9-year-olds in Diamond fleet and 4 slightly older cadets in the other fleets. Also, welcome back to everyone else. Having missed Sunset during 2020, it is great to see so many who are keen to get back on the water again. This year we have 120 sailors registered to sail with us in Sunset every week, These sailing instructions are for sailors and parents. They contain important information about how we will run the series and what we need you to do to help us run it smoothly. As we cannot hold our usual mass safety briefing in the club house, we ask that ALL parents read these instructions and that they also ensure that their children understand them and what they need to do. We will be holding a Zoom Sailors Briefing on Wednesday at 6:30pm on 28 April 2021. 1.2 Notice of Series These sailing instructions should be read in conjunction with the Sunset Series 2021 Notice of Series located on the DSC website . 2 Sunset’s Aims Our aim is to help our young sailors to have fun whilst learning to sail in in the hope that they become enthusiastic, active, and competent sailors. Our objective is maximum fun, subject to safety. 3 Key changes for 2021 Due to the large number of new starters and the COVID restrictions, it has been necessary to make some significant changes as follows: • No longer just one ‘Big Wednesday’ Session – instead we’ll be sailing on Mondays, Tuesdays & Wednesdays plus a few weekend sessions. • Diamond Fleet are sailing at the new Mersea Boating lake in May and then sailing from the Hard from June onwards; and • We will be operating under current COVID restrictions. 4

(*) The Diamond Fleet are sailing on selected weekends at Mersea Boating Lake during May and will then sailing from the Hard from June onwards on Tuesdays & Weekends. Details of scheduled sessions for each fleet are provided in Appendix 1.] 6 Communication 6.1 WhatsApp Groups 5
Sunset Series 2021 – Sailing Instructions Notices will be posted on relevant fleet WhatsApp Groups. Therefore, make sure that you are on the WhatsApp Group(S) for your fleet(s). 6.2 TeamApp We are using Team App to enable you to register for each Sunset session and to confirm your COVID status. Please therefore load TeamApp (it is a free App) onto your mobiles. If you have not already done so, you will receive an invitation to join our TeamApp group(s) shortly. 6.3 Notice Board Notices to cadet sailors and parents (‘participants’) will also be posted on the Official Notice Board(s) located at the Dabchicks Sailing Club. 7 Sailors Briefing - Zoom - Weds 28 April 2021 ALL sailors, and at least one parent, MUST attend the Sunset Sailors Briefing please. Attendance is a condition for participation in the series. This is scheduled to take place via Zoom call at 6:30pm on Wednesday 28 April 2021. Invitations will be sent out via your respective Fleet WhatsApp groups. 8 Safety Briefing – Zoom – Thurs 29 April 2021 ALL helms, crews and coaches MUST attend the Sunset Safety Briefing. This is scheduled to take place via Zoom call at 6:30pm on Thursday 29 April 2021. Invitations will be sent out via your WhatsApp groups. 9 Parent’s attendance & duties 9.1 Attendance during sessions When a sailor is participating in a Sunset session, at least one parent/guardian must be in attendance (afloat or ashore) for the whole session. Sunset is NOT run as a ‘drop- off’ activity. 9.2 Duties Running Sunset takes significant volunteer effort. It is a condition for participation in Sunset that at least one parent/guardian) volunteers for duties for at least one Sunset session each week of the series. Parents have already pledged their duties for Sunset 6
Sunset Series 2021 – Sailing Instructions when making their application. ALL Parents MUST attend and perform their assigned duties. Note that parent duties may be subject to some changes each week. It may be necessary in some sessions for some parents to perform duties that are different to those that they pledged. Where possible an updated copy of the duties roster will be posted /provided on the DSC website, or otherwise made available on the DSC noticeboard in advance of each session. Parents should note that, if their child’s particular fleet session is cancelled, that parent may still be required to perform their agreed duties in support of other fleets that are still going sailing. 10 COVID 19 10.1 COVID 19 Restrictions Sunset Series must be run accordance with all National and Local COVID restrictions that are in force and we are following the guidelines of our governing body, the RYA. By doing this we can take advantage of the exemption for organised sports activity that allows us to work, on the water, in larger groups. However, we must still maintain social distancing when working on the water and avoid close contact with those outside of our household. When not participating in the activity (on the water), sailors and parents MUST NOT gather in large groups and MUST still observe the current restriction on ‘rule of 6/ 2 households’. As the regulations are relaxed by the government so they may be relaxed on the beach and when ashore. IT IS IMPORTANT THAT WE ALL OBSERVE THE COVID RESTRICTIONS AND THAT ANYONE IN OUR COMMUNITY WHO OBSERVES US SEES THAT WE ARE DOING THINGS PROPERLY. 10.2 Key COVID 19 Measures in place for Sunset 2021 Registering for each session and confirming your COVID status Before each Sunset Session at the Hard, we will be asking parents to confirm if they or their child will be attending the session and to provide some simple COVID related confirmations. This will be done using a mobile app called TeamApp. If you do not already have Team App on your mobile, please install it. A link is included in section 16.5 below. 7
Sunset Series 2021 – Sailing Instructions During Sunset Sessions Masks do not need to be worn routinely or when sailing as we are outside, but it would be sensible if those that might need to wear a mask have one available and use it as appropriate. Sailors do not need to have masks in boats. On the water, boats are spaced out but when close assistance is required the safety boat crew members will need to maintain social distancing where possible. Close contact is necessary support boat helms/crews may need to wear masks to mitigate any potential related COVID risks. Parents and Children should sanitiser their hands when appropriate (such as when interacting with the tally). Sanitiser will be available at the Tally station but, to avoid congregation, it is preferable that parents ensure their children are provided with sanitiser, as required. Whilst on the hard we will encourage sailors and parents to follow social distancing by avoiding grouping together however this will be the responsibility of all participants. Once past the tally point on the beach we will minimise the number of people where possible and will try to group and control participants to minimise grouping and social contact. Sailors will be encouraged to launch and recover their own boats and equipment where possible. Where assistance is required, it will be provided with adherence to social distancing as far as possible. Mixing of participants in different fleets will be discouraged and sailors will be asked to stay with their boats at all times. 10.3 Personal responsibility Each parent and sailor MUST also take their responsibility for their own compliance with all National and Local COVID restrictions. All parents and sailors should be familiar with the current restrictions, but we ask that parents ensure that their children have been briefed on the need to avoid contact, wash hands, and maintain social distancing etc. 11 Behaviour We expect good respectful behaviour on and off the water by sailors and parents. Poor behaviour may result in exclusion from Sunset. The Hard and the Coast Road are used by many others in our community and we ask that everyone respects others in a way that enhances the reputation of our great club. Have respect for other people’s boats and property in the dinghy park. Do not climb or swing on boats or equipment in the boat parks. In particular, we ask that everyone is conscious of noise levels outside the clubhouse with regards to the close resident neighbours. 8
Sunset Series 2021 – Sailing Instructions No swimming on the Hard or the launching area! 12 Responsibility for your child when ashore Parent’s remain responsible for their own child when the children are ashore. The boat parks, and Coast Road and areas around the club and the Hard can be dangerous. DSC and volunteers cannot take responsibility for your child onshore. You must brief your child accordingly. If you feel that your child needs supervision ashore (when you are still busy with your own Sunset duties) we recommend that you make your own arrangements with someone that you trust. 13 Person Buoyancy Aids ALL Sailors, Support Boat Helms and Crews MUST wear a personal buoyancy aid at all times whilst on or around the water. 14 Footwear Appropriate sailing footwear MUST be worn. You MUST NOT sail in bare feet! 15 Clothing Appropriate clothing and footwear does make a big difference to the sailor’s comfort and, therefore, their enjoyment and their ability to concentrate and learn. It gets cold in the evening so adequate clothing is essential. It is often colder on the water than on the shore. The weather will vary greatly over the season and it is a key part of a sailor’s learning to know what to wear under different conditions. 9
Sunset Series 2021 – Sailing Instructions • There may be days where lighter UV clothing, sun hat, UV protection sunglasses and good quality waterproof, sun-cream and a bottle of drinking water may be necessary! • Wind cools you so wind proof clothing over warm clothes is the basic requirement. • Dry suits do not keep you warm so wear adequate clothing under them. • Wet suits keep you warm until they get wet so it can help to have windproof clothing over them. • A woolly hat really keeps you warm. • Hair - Girls and boys with long hair SHOULD ensure that it is restrained to prevent it getting caught in the mainsheet block on the boom and other bits of the boat. • Jewellery SHOULD not be worn as it risks being caught in ropes and can cause injury. 16 Safeguarding The Club’s current Safeguarding Policy /(Child & Vulnerable Persons Protection Policy) is kept in a folder in the Start Box at the club house. The Club’s Welfare Officer is Joanna Jackson whose contact details are provided in that Policy document. 17 To Do - before Sunset Starts 17.1 Check Your Boat Check your boat over carefully to ensure that is in good condition and is ready for sailing. For example, check that: • The hull has no holes, and you have effective bungs for the drainage holes. • All cleats and ropes are in good order and that you have a suitable painter • The Sail Number on your sail matches the number in your Sunset application. Diamond Fleet (1st year), Emerald Fleet (2nd year) and Bronze Fleet (3rd year) sailors. Sunset coaches conduct mandatory boat inspections for all Optimists sailing in these fleets. You will be advised of the timing and location of the boat inspections for your fleet. Ensure that any issues identified during the inspection have been resolved before the first session. Further guidance on ‘Preparing Your Optimist Sunset’ and boat inspection is provided in a guide that is available on the DSC website . 10
Sunset Series 2021 – Sailing Instructions 17.2 Boat Insurance – A reminder! You will have already certified in the application for Sunset 2021 that in your Sunset application form that you have 3rd party liability insurance of at least £3m per incident. You MUST ensure that you have insurance in place for your boat before it goes on the water. It is YOUR responsibility as parents and boat owners to ensure that you have the appropriate insurance in place! https://www.goslinginsurance.co.uk 17.3 Trolley Label Make sure that you have a trolley label that includes the correct Sail number and sailor’s name. (See picture). This is vital as most of the trolleys look identical. For all the Optimists, the label MUST have coloured tape on it to match the fleet in which it is sailing. The colours are as follows: Diamond Fleet – Blue tape Emerald Fleet – Green tape Bronze Fleet – Orange tape Silver & Gold Fleet - Yellow tape Subject to stock availability, Trolley labels with cable ties can be purchased from the Club at a cost of [£2]. These will be available from the Galley when it is open. We will also try to have a stock ready for Diamond Fleet at the Diamond Lake Weekend. At the beginning of each Sunset season, we will print new water-poof stickers for all entered boats with the correct number and name already printed on them. You will be able to collect these from your Fleet coaches or Beach Team. However, in the meantime, as long as you have a trolley label with the correct sail number and (for Optimists) tape colour, that will be good enough to get you started for the season. Alternatively, you can produce your own trolley label. It MUST have the correct sail number, sailor’s name, and (for Optimists) correctly coloured tape and be firmly fixed to the front of the trolley. 11
Sunset Series 2021 – Sailing Instructions 17.4 Make sure all your sailing kit is marked with your name You’d be amazed how much kit these kids can lose over a season! Mersea is in danger of becoming ‘Glove Island’. Make sure that all your kit has your name on it. 17.5 WhatsApp & Team App Make sure that you are signed up to the correct Fleet WhatsApp group(s) and that you have Team App installed on your mobile. Links are provided below. Team App for Apple Team App on Google Play Once you have TeamApp installed search for Team ‘DSC Sunset Support’ You will need to use TeamApp to sign up for each Sunset Session see section 17.1 below. 17.6 Support Boats If you have kindly offered to helm your own support boat, please check that is all working and INSURED and that you have signed the insurance certificate available . Please complete the form and sign it and either email it to [Jane Marr] or bring it to the first session before going on the water. Inform [James Sanderson/ Jane Marr] if you have any issues with use of your boat. 18 To Do - before each Sunset Session 18.1 Signing on for your Sunset Session using TeamApp ALL PARENTS MUST sign their child -on for each Sunset session via Team App. 48 hours before each session you will receive a request on your mobile via TeamApp to confirm that your child/children will be sailing and that you will also be attending the upcoming session. That request will also require you to provide a confirmation regarding COVID. We do ask you to reply even if you are not coming as this will greatly help us to know how many sailors will be sailing. This will enable us to match the support boats with the size of the fleet. 18.2 Support Boats If you are a Helm with your own support boat, we shall assume you are available. If you or your boat are not available, please confirm 24 hrs before the session via Team App or WhatsApp to Safety (Jane Marr/James Sanderson). 12
Sunset Series 2021 – Sailing Instructions 18.3 Food For the first few sessions it is likely that there will be no galley. If and when guidelines do permit us to open the galley, details of the galley arrangements (including use of galley forms for pre-ordering food) will be advised to you via the WhatsApp Groups. 18.4 Changing Due to COVID these are only open for toilets so come down changed and ready 18.5 Get Rigged Be changed, fully rigged and ready to go for 6pm. 18.6 Coach’s briefing You coach will arrange a pre-session briefing at an agreed location. Be there and ready to listen carefully. Your Fleet will also have designated ‘Fleet Parents’ to help manage you through Tally and launching. Please follow their instructions and those of your coaches. 18.7 Tallying -on A tally system will also be in operation on all sessions running from the hard. ALL sailors MUST Tally-on (located at the top of the hard), before launching. Sailors will be instructed by the Beach Team when to Tally-on. Do not try to Tally-on before you have been told to do so. You will be provided an elastic Tally-band with your tally number on it. This should be worn on your arm. 18.8 Launching Pull your own boat to the beach area and to the water when you are told to do so. If you are waiting to launch, stay with your fleet, do not wonder off. Do not block access in the boat park to the RNLI station or park your boat in front of their slipway. Sailors should check that their own boat is ready for launch (including last check on the mast clip for Optimists!) Help the beach team with the launch of your own boat and always thank them for their assistance. 19 On the water 13
Sunset Series 2021 – Sailing Instructions 19.1 Follow instructions Follow your coaches’ instructions, concentrate and do your best. 19.2 Stay with your fleet Sailors MUST sail with their fleet and not sail off alone. Each fleet will go out as a fleet, complete the session, and return back to the hard as a fleet. If it is necessary for a sailor to retire from a session, they must consult with their fleet coaches/ safety support for instructions. Sailors MUST NOT try to sail back to the hard on their own. 19.3 Being towed You will be told by coaches if you are to be towed out or towed in. Follow instructions. Only remove your dagger board and mainsheet clip when you are told to do so. When you are being towed, keep your tiller straight, sit low and central in your boat and keep your arms and hands inside the boat. 20 After each Sunset Session 20.1 Coming Ashore Listen for instructions from your coaches as you may be asked to sail about for a bit if beach are busy and not ready for you. Only approach the beach when told to do so by your coaches. Help the beach volunteers to recover your boat and say thank you to them. Pull your own boat up the beach. 20.2 Tallying-off All sailors MUST Tally-off immediately (again, at the top of the hard) by passing their Tally-band back to the Member of the Beach Team in charge of Tally. Do not: • lose your Tally Band or leave it loose in your boat. • give your Tally Band to anyone else to hand in – you must Tally-off personally. • forget to Tally-off! 20.3 After Sailing You may have a debrief from your coaches Pack your boat away (Don’t expect Mum and Dad to do it all!) 14
Sunset Series 2021 – Sailing Instructions Look after your boat! Respect DSC Neighbours – Try to keep the noise down a bit. If you make a mess, you tidy it up. Put your rubbish in the bin! Don’t expect others to do it for you! Help tidy up! Be helpful! Thank the volunteers, and especially your parents! 15
