1. INTRODUCTION The Hair Games 2019 is the second edition of “the” event of the hairdressing sector, organized by Coiffure.org. A concept where congress, exhibition, competition and shows & party are combined. The Hair Games is a top event by and for the hairdressing industry. What is The Hairdresser of the Year? For the first time in Belgium, The Hairdresser of the Year will be revealed at The Hair Games. To compete for this prestigious title, the finest Belgian hairdressers will demonstrate their exceptional artistic talents during the show on Sunday evening. Where and when does the competition takes place? The Hairdresser of the Year will take place during The Hair Games on Sunday 27 January 2019 at Brussels Kart Expo. Who is this competition for? Per product brand, each company can select one artistic ambassador to participate in The Hairdresser of the Year. This ambassador can be either an artistic responsible for a product brand or a hairdresser. However, he must live and work in Belgium. As an individual hairdresser, you cannot register directly. Registration always takes place via the product brand. There is no minimum or maximum age. Registration is free, but with a penalty clause if the nominated ambassador of the brand is not present during the final on 27 January 2019. Who will be The Hairdresser of the Year? Each artistic ambassador sends four photos for each of the following categories: ladies' cut, men's cut, color, avant-garde. All photos must respect a predetermined theme (see below). From all submissions, an international jury will choose a top 3. This way, 80% of the total points is already earned. During the final on 27 January 2019, the three nominees will also give a show to present their collection. Each artistic ambassador has 30 minutes to give a demonstration on stage in which he actively works on and presents the creations shown in the photos. 2. CONDITIONS FOR PARTICIPATION 2.1 REGISTRATION To register for the competition, you must live in Belgium and be the owner of one or more hairdressing salons, an independent hairdresser with a business number or employed as a hairdresser in a hairdressing salon. You can also be an artistic responsible selected by a product brand. Each artistic ambassador can only be registered for one product brand. He submits a collection of four photos in the following categories: • Ladies’ cut • Men’s cut • Color • Avant-garde You must register before 13 December 2018 through the website www.thehairgames.be. Your registration is only valid after confirmation by letter, which will include a complete participant package, and after signature of the contract. If you do not receive this confirmation within 14 days after registration, please contact Coiffure.org. Except for possible communication costs related to the registration or participation (e.g. postage, telephone ...), no fee or contribution is due to Coiffure.org for the registration for or participation in the competition. If you register but do not submit a photo without cancelling your registration in writing before 10 December 2018, an administrative fee of € 50 will be charged. If you register, you agree to give a show during the final on 27 January 2019 if you are nominated. If you are not present at the show, a fine of € 5000 will be charged. 2.2 PARTICIPATION In order to participate in the competition, you must create four original hairstyles according to the guidelines below and you must send your photos on USB stick by post to Coiffure.org at the following address: UBK/UCB vzw-asbl, Vijfwindgatenstraat 21F, 9000 GENT. We advise you to send it by registered post against receipt. Write your name clearly on these envelope and add the completed information form. All necessary documents must be received by Coiffure.org by Thursday 13 December 2018 at 3 PM at the latest. For each hairstyle, 4 different photos (front, both sides and back) must be submitted. Each creation needs to be provided with a ‘before’ photo of each model (taken on the day of the photo shoot) before anything happens to the model in terms of hair, make-up and styling. In order for the submission to be valid, the following theme and guidelines must be respected and followed: Theme All creations must be a translation of Vincent van Gogh's painting - "The starry night". “The Starry Night” is a painting by the Dutch painter Vincent van Gogh. It is an oil on canvas and is regarded as one of the finest works of this painter. It is in the permanent collection of the Museum of Modern Art in New York. Since 1888 during his stay in Arles, considered by many to be one of his most creative periods (February 1888 – May 1889) and from which 187 works by his hand are known, van Gogh painted several works that resemble “The Starry Night”. The painting is a nocturne representing a night sky with yellow stars above a small town in the hills. It is a view from an imaginary point of view over a village with a church tower and to the left a flaming cypress and to the right olive trees against the hills. For the use of complementary colours, van Gogh drew inspiration from Delacroix. The painting is often associated with the following words of Vincent van Gogh: "I wonder why the radiant dots in the sky shouldn't be as easily accessible as the black dots on the map of France? Like we take the train to Tarascon or Rouen, we use death to travel to the stars.” Guidelines and special points of focus for the hairstyles Ladies’ cut • The use of wigs and/or hair pieces is not allowed. • Colouring of the hair is allowed. Men’s cut • The use of wigs and/or hair pieces is not allowed. • Colouring of the hair is allowed. • Beard and moustache are allowed, but not mandatory. Color • The use of wigs and/or hair pieces is not allowed. • Black and white photos are not allowed. • Only use professional colouring products. • At least 4 colour images of the different steps of the colouring must be added to the form. • Fill out the provided form, mentioning a step-by-step plan of the used colouring products, colouring formulas and colouring techniques, with the following information: o a technical description: diagnosis, natural colour, outgrowth, colour of the tips; o an explanation of the application of the colour (used technique): foil, strands, blonde pre- dyeing, colour nuances; o a drawn explanation of the technique on the drawing heads; o the concept for the end result and how the colour and technique strengthen each other; o mention the products used + the colour numbers UBK/UCB vzw-asbl tel: +32/9/223.71.24 Vijfwindgatenstraat 21F fax: +32/9/233.42.19 9000 Gent email: info@thehairgames.be
Avant-Garde • The use of wigs and hair pieces is allowed, but you have to mention it. • Colouring of the hair is allowed. • Both men’s and women’s hairstyles are allowed. Creativity is important in this category. The created hairstyle is not meant for the consumer. The hairstyle is not wearable, but a source of inspiration for the future. You need to create a hairstyle that transforms hair to art. Guidelines and special points of focus for the show During the final on 27 January 2019, the three nominees will present their collection, for which 20% of the points will be awarded. Each hairdresser has 30 minutes to present the creative translation of the artwork on stage. • Four models must be present on stage. • The hairdresser has to bring all the material. Coiffure.org will provide a distribution plug on stage. • The timing and the technical script for light and sound will be sent in time. • Coiffure.org provides a backstage area with shampoo basins, mirrors and power connectors. Guidelines for the submitted photos The USB stick with the photos must be send using an envelope. The submitted photos must comply with the following criteria: • Portrait (so upright, not horizontal - no landscape); • The photos may not be fitted with the name of the hairdresser, hairdressing salon or photographer in any way; • The photos must be specifically taken for the competition and may not be used before 17 December 2018 (e.g. publication on the internet). We count on the honesty of the participants; • The colours of the hairstyles may not be edited on the computer. The digital photos must be submitted using the USB stick, with the following specifications: • High resolution: min. 300 dpi; • Format as big as possible, saved as .jpeg or .tiff. Provide your photographer with these instructions before starting the photoshoot. 3. COMPETITION PROCESS Coiffure.org composes an international jury of an uneven number of people known in the hairdressing sector. The jury is independent, excluded from participation and has no professional or family ties with the participants. The jury takes all its decisions by an absolute majority. In the event of equality of votes, the chairman has a casting vote. Submissions that meet the conditions for participation will be anonymously submitted to the jury. In order to guarantee the anonymity of the photos for the jury, Coiffure.org will provide special coding for the photos. The three nominees can only be selected if there are at least 5 participants and if the jury considers the submissions to be of sufficient quality. From all submissions that meet the conditions for participation, the jury will nominate the 3 best ambassadors. All participants will be informed by e-mail, at the latest on 17 December 2018, whether or not their collection has been nominated for The Hairdresser of the Year. The jury gives 80% of the points to the submitted collection. The remaining 20% can be earned with the live presentation of their work on stage. For each judgement, the jury always looks for the best photos in the field of hairdressing in line with the theme, not just the most beautiful photos. Hairdressing craftsmanship must be rewarded, where creativity, innovation and international allure take centre stage! Therefore, the jury takes into account the following aspects, among other things: • Showing hairdressing craftsmanship; • A vision of current and/or upcoming trends; • It must be a creation with his or her vision on hair fashion; • Latest hairtrends / edgy • Innovative / progressive / out of the box • Innovative textures, colours & shapes; • Creative / no copies / exceptional. Provided that there are at least 5 participants and 3 nominees, 1 title will be awarded: • The Hairdresser of the Year All shows and the awards ceremony will take place during the Show & Dinner Party at The Hair Games on 27 January 2019. 4. PERSONAL DATA By registering for the competition, you share your personal data with Coiffure.org. Coiffure.org processes these personal data with respect for the General Data Protection Regulation (also known by the abbreviation 'GDPR') and the Belgian Privacy Laws and this processing is necessary for the purpose of the execution of the agreement between the participant and Coiffure.org. In order to participate in the competition, you must provide Coiffure.org with certain personal data using the registration form, namely: surname, first name, date of birth, hairdressing salon where the participant works or CBE number if you are self-employed, telephone number, address and mail address. This information is collected in order to ensure a good competition process. By registering, you give your consent that your personal data will be processed by Coiffure.org and that Coiffure.org can contact you in the context of this competition and possibly for the next edition. By registering, you also give your consent that if you are one of the nominees, your name, age and the hairdressing salon where you work for, will be published on the website of Coiffure.org and The Hair Games (among others in The Hairdresser of the Year). Furthermore, by registering, you give your consent that you may appear, possibly with photo and other personal data, on the website of the partners of Coiffure.org, as well as in the written press, or that you may be filmed for a report on the competition. The responsible for the processing of personal data is Coiffure.org (UBK/UCB vzw-asbl, Vijfwindgatenstraat 21F, 9000 GENT, CBE number 0453.346.029). Each participant has the right to contact Coiffure.org to request access to his personal data, to have them adjusted, corrected or deleted. The participant can send an e-mail to privacy@coiffure.org. If the participant requests the total or partial deletion of his or her personal data before the end of the competition, the participation may be declared invalid and the participant may therefore lose his or her right to any prize as the participant can no longer be contacted. Each participant also has the right to oppose transferring his or her personal data, this free of any charge. 5. RESPONSIBILITY AND APPEAL 5.1 RESPONSIBILITY OF COIFFURE.ORG Coiffure.org is not responsible for any failure of the post and/or courier companies to deliver your submission or for the loss of your delivery. Coiffure.org is not responsible for any damage, physical injuries or accidents that may occur as a result of registering for and/or participating in the competition and/or winning the title of The Hairdresser of the Year. Printing, spelling, typesetting or other errors as well as technical problems (including e-mail communication) cannot be invoked as a ground for any obligation or responsibility whatsoever of Coiffure.org. If Coiffure.org is forced to postpone, shorten or cancel the competition, to change the competition rules or to adapt the competition formula, Coiffure.org cannot be held responsible in any way whatsoever, and no compensation can be claimed. 5.2 APPEAL From the announcement of the nominees (17 December 2018) until 13 January 2019, a participant can appeal a submission to the Board of Appeal. Every appeal must be submitted in writing and duly justified, referring to the article being appealed, within the time period described in section 1 of this article, to the Board of Appeal via Coiffure.org. The Board of Appeal consists of 3 independent persons, who cannot be related to the persons involved in the appeal. The Board of Appeal will provide a written and duly motivated judgement regarding the submitted appeal as soon as possible. This judgement is binding and final for all parties. An appeal will only be taken into consideration after a guarantee of € 150 has been paid to Coiffure.org. The guarantee will be reimbursed if the appeal is granted. If the appeal is dismissed, Coiffure.org keeps the guarantee. If the jury’s verdict is based on (the elaboration) of an estimation/evaluation of the submission, appeal is not possible. The decision of the Board of Appeal cannot be appealed. You agree to not publicly communicate about any appeals. 6. GENERAL CONDITIONS As long as no photos have been sent, you can still cancel your registration in writing. As soon as Coiffure.org has received your photos, your participation will be definitely confirmed. The submitted photos and the accompanying USB stick will not be returned by Coiffure.org after the competition. By participating in the competition: • you agree with the rules and accept them without reservation; • you give Coiffure.org permission to publish your submission, without any compensation and without any limitation in time and space: • on the Coiffure.org website(s) (whether or not adapted for mobile use) and all other online channels such as Facebook, Instagram ... • in magazines or other media published by Coiffure.org. • you declare that you have the necessary rights (intellectual property rights and personality rights) to allow this use of your submissions and you indemnify Coiffure.org from all possible claims related to these submissions. This means that all creative input must have been created by you, or that you have the necessary permissions from the beneficiaries. • you commit yourself to only publish your submitted photos (online, in magazines ...) after 17/12/2018. • you accept that in all cases not provided for in these rules, the decision will be taken unilaterally by Coiffure.org. Coiffure.org is under no obligation to publish and/or use the submissions and can at any time and for any reason remove a submission after publication and/or use. If at any time it is determined that you do not (or no longer) meet all the conditions of the rules, or in case of abuse, deception, fraud or bad faith, Coiffure.org reserves the right to exclude you from the competition or to disqualify you and whether or not to exclude you permanently from other Coiffure.org competitions. Anyone declared a winner without fully meeting all of the above conditions for participation, will automatically loose their right to the Award without any compensation or recourse. Coiffure.org will inform you in writing of this disqualification and/or exclusion. Participation in The Hair Games and accession to these rules is deemed to take place in Ghent and at the time of the first submission by the participant.
