This is a very exciting time as CAPA College prepares to implement the next stage of its development. CAPA College is currently renting temporary accommodation but will move to its new, permanent home on Mulberry Way (opposite Wakefield Westgate train station) in September 2022. This purpose-built, multi million pound facility will enable CAPA College to expand its cohort from 134 students to 250 students per year group as well as offering more performance and learning opportunities, new course pathways, increased staffing, exceptional resources and better outreach with the local community. JOB DESCRIPTION Personal Assistant & HR Administrator Name of role: Personal Assistant (to CAPA College Leadership Team) & HR Administrator Summary of main purpose of role To provide high quality administration and support to the Principal and CAPA College Leadership Team thus ensuring the efficient and effective operation and development of the college. To be an ambassador for the CAPA College demonstrating positive, personable and professional communications (verbal and written) with all stakeholders. To implement and maintain effective HR systems and processes Accountability – specific Personal Assistant: • Effectively, efficiently and professionally deal with a wide variety of people on a daily basis (students, parents, visitors, staff, Governors) • Manage complex and busy diaries for the Principal and Leadership Team, avoiding clashes, anticipating and solving problems in advance and communicating well with all concerned • Organise filing • Arrange and support events in relation to staff recruitment, meetings, hospitality and visitors • Support and organise general correspondence and appointments • Taking minutes of Leadership Team meetings and other meetings as required • Prepare papers for meetings • Manage telephone calls and messages • Write and distribute a weekly Staff bulletin • Maintain the college calendar ensuring it is kept up to date and is available for all parties – staff, students, parents and governors • Policy Management including keeping a record of all policies for the college and ensuring they are reviewed on time, liaising with relevant Leadership Team members and Governors regarding necessary actions and updates • Ensure policies are accessible and read by staff members with correct versions on the website • Be the first point of contact with external agencies on behalf of Principal and Leadership Team • Respond independently and proactively to correspondence and produce complex and confidential reports, minutes and letters to a high standard. • Prepare reports and presentations on behalf of Leadership Team. • Arrange and co-ordinate line management and other meetings for Leadership Team and middle level leaders • Monitor various school email addresses and circulate information as necessary HR: • Manage the advertising and recruitment process for all staff posts in accordance with college procedures and policies • Prepare all staff recruitment documentation including job descriptions, person specifications, adverts, interviews, collation of applications • Co-ordinate any staff recruitment enquiries. • Complete statutory checks and contracts. • Manage and monitor the Single Central Record. • Complete the workforce census. • Managing the staff leave of absence system CAPA College is proud to be part of Enhance Academy Trust 3
• Coordinate all processes and systems for reviewing and managing staff performance • Maintain accurate staff training records Accountability – generic • Serve as a role model based on high standards and professional conduct • To present the best possible image of the College in general, and in particular, in all contact and communications with the general public, visitors, parents, students, customers, suppliers and all other external organisations. • Be aware of and comply with policies and procedures relating to health and safety, equal opportunities, confidentiality and data protection at all times, reporting all concerns to the appropriate person. • To comply with the College’s Staff Code of Conduct • Maintain confidentiality in relation to all work undertaken • Contribute to the safeguarding and promotion of the welfare and personal care of students and with regard to Child Protection procedures. • Be aware of the responsibility for personal Health, Safety and Welfare and that of others who may be affected by your actions or inactions. • Undertake any professional development as needed and as determined by the Principal. • Carry out such duties as may be reasonably assigned by the Principal. • Participate in the College’s staff appraisal system. • Participate in key events, e.g. Open days, staff recruitment activities; performances (some on weekends and evenings) • Support other staff members and teams as required.
