At your earliest convenience, I ask you to contact me so that we can arrange the necessary counseling sessions. Contained in the booklet are the wedding guidelines, fee schedules and answers to many questions that may arise concerning your wedding. Please understand that your wedding date cannot be guaranteed until all of the individuals below have been contacted and appropriate fees have been paid. Allison will answer your initial questions, give you some basic information, and check the church calendar to see what dates are available. She will mail you information concerning wedding guidelines. After your date is set, she will meet with you to continue the planning and be available to direct the rehearsal and wedding. 2) Senior Pastor: Rev. Please refer to the fee schedule for fee information including when fees are due. The bride and groom must contact the pastor and arrange a meeting with him before any plans become official. 3) Organist Kandice Davis 252-342-4671 149 Blue Heron Lane Gloucester, NC 28528 kandice@ec.rr.com After your wedding is officially scheduled on the church calendar, immediately contact the church organist to discuss your plans and ideas concerning music. It will be necessary for the church organist to schedule your wedding on her calendar as well. If you wish to have additional musicians, these plans must be approved. She will discuss with you musical selections and make appropriate suggestions. Other musicians available through the church are listed under the Wedding Guidelines section of this informational packet. 4
Getting Married at Ann St. Ann St. conducts weddings for current members of the church family and their children. The bride, groom or the family or either should be a member of the church for at least six months before the wedding date. Ann St. also conducts weddings for non-members with the approval of Ann St’s pastor. The pastor has the right of refusal on any wedding that does not meet the requirements of Christian covenant, regardless of membership. Our sanctuary at Ann St. has a maximum occupancy of 350. Wheelchair Access There is a wheelchair entrance to the church. The wheelchair entrance is located up the ramp on the Ann St. of the church. The Wedding Guild Ann St’s wedding director is required for all weddings and rehearsals. The day of your wedding can seem very chaotic but Ann St’s wedding director will be there to guide you through the process before and during the ceremony. There could be unforeseen difficulties or questions arising on your wedding day. Ann St’s director is there to intervene, and in many cases eliminate these problems, and will be able to help with any task that may be required. Our wedding director has the final decision in all matters regarding the premises while you are in the church buildings. Clergy An ordained Ann St. staff member presides over weddings at Ann St. UMC. If you wish to invite other clergy to assist in the wedding ceremony or to preside solely throughout the entire ceremony, a request can be made to Ann St’s clergy. The pastor will contact the other clergy to discuss an invitation to the Ann St. pulpit to participate in or to conduct the ceremony. If other clergy are involved in the ceremony Ann St’s clergy will discuss these policies with the other clergy, particularly regarding the pre-martial counseling and Holy Communion, if applicable. All United Methodist clergy are expected to counsel the couples they marry; therefore, pre-marital counseling is required for all couples being married at Ann St. UMC. The counseling will be conducted by the ordained staff member presiding at the wedding service, with the number of sessions to be determined by the ordained staff member. Music It is the policy of Ann St. UMC that the Church Organist play for all weddings. Guest organists are not permitted to play for weddings. 5
Since weddings at Ann St. UMC are considered a service of worship, the same high standards are applied in selecting wedding music as are applied in all other worship services. It is very important to keep in mind that your wedding is a worship service of the church and the music should be in keeping with the reverence customarily observed in worship. All music to be used in a wedding service must be approved by the Ann St. UMC organist. The guidelines for music are that it is sacred and worshipful in nature and no pre-recorded music can be used. Our organist will assist you with music selections, Additional musicians or soloists should be discussed with the organist. No secular music may be played or sung as part of a wedding ceremony. Vocal solos may be sung during the pre-service music and during the service. Each soloist and/or instrumentalist is required to rehearse with the Organist for one hour on a date prior to the rehearsal date. If there are additional hours of rehearsal required, an additional fee will be charged. Photography Your official photographer may take “available light” photographs from the rear during the ceremony, providing there is no noise or distraction from taking these pictures. Additional pictures may be taken in the narthex at the time of the recessional. All pre-wedding pictures in the sanctuary and outside must finish 45 minutes before the start of the ceremony. If photographs of the wedding party at the altar are desired, the party may re-assemble in the sanctuary after the conclusion of the ceremony for a period of time not to exceed thirty (30) minutes. Please indicate in your wedding program that the congregation is to refrain from the use of flash photography during the wedding service. Flashes from the congregation disrupt the photographs being taken by the official photographer. Receiving Lines Receiving lines are not recommended in the narthex of the church sanctuary immediately following the wedding ceremony. Communion The Sacrament of Holy Communion may be celebrated as part of the service of Christian marriage. When Communion is included in the wedding ceremony for the bridal couple, all wedding guests must be invited to participate in the Communion using the Intinction method of Communion for the guests. The intinction method of Communion involves wedding guests walking to the altar, receiving the bread, dipping the bread into the common cup, and returning to the pews. It is Methodist tradition to invite all persons present at a communion service to receive the Sacrament of Holy Communion. The pastor of Ann St. UMC must approve all guest ministers who will preside over Holy Communion at Ann St. UMC. Any minister presiding over Holy Communion must utilize 6
the Great Thanksgiving liturgy contained in The United Methodist Book of Worship. An alternative liturgy may be used if very similar to the Great Thanksgiving liturgy and if approved by the pastor of Ann St. UMC. The bridal couple must provide two (2) loaves of unsliced bread and two (2) 16 ounce bottles of grape juice for the Sacrament of Holy Communion. No wine may be used. Wedding Programs Wedding programs are the responsibility of the couple. You will discuss this with the minister prior the wedding. Four copies of your wedding program are required at the wedding rehearsal. Please give these to our wedding director, who will then distribute them to the minister, organist and any musicians. Wedding Reception Ann St. UMC has a Fellowship Hall with kitchen which can be used for an additional fee. (Please see fee schedule.) Alcoholic beverages may not be served, stored, or consumed in the church buildings or on the grounds. Reception Music: Consideration should be given when selecting appropriate music to be played for receptions on the church premises. General Policies and Directions It is the responsibility of the bride and groom to inform the wedding party and the wedding guests of the applicable wedding policies at Ann St. UMC as contained in this policy document. Alcoholic beverages or controlled substances are not permitted on the premises at any time. Smoking is not permitted anywhere in the building. If anyone smokes outside the building, the smoker must not leave any tobacco butts on the church grounds. Members of the wedding party and/or wedding guests shall not come to the rehearsal and/or the wedding under the influence of alcohol or illicit drugs. This includes the Bridal Couple; you cannot take the solemn vow of matrimony with the presence of mind that this solemn vow deserves while under the influence of alcohol or illicit drugs. Any disruptive person in attendance at the rehearsal and/or wedding ceremony and/or reception will be removed immediately from Ann St. UMC premises. Ann St. UMC cannot and does not take responsibility for valuables left at the church. Do not leave any valuables unattended at any time. Any damage done to the facilities or the premises by florists, photographers, caterers, wedding party, or wedding guests shall be the responsibility of the bride and groom. Only birdseed and bubbles may be thrown outside the building. 7
Birdseed, rice confetti, or bubbles may not be thrown inside any part of the church buildings. Only artificial petals may be scattered by the flower girl. The sanctuary is not an appropriate place for pets of any kind. Only trained dogs for impaired persons will be allowed. Noncompliance with these policies will result in cancellation of your wedding at Ann St. UMC. Marriage Certificate The official North Carolina Marriage Certificate is the sole responsibility of the bride and groom until it is signed by the presiding ordained clergy and two (2) witnesses. At such point, it becomes the responsibility of the presiding ordained clergy. If presiding at the ceremony, the Pastor will mail the completed Certificate to the Register of Deeds office before the deadline. We recommend that the North Carolina Certificate of Marriage be in the keeping of the Best Man before the wedding begins. On the way to the post-ceremony photography session, the Best Man (or designee) must present the certificate to the Pastor. Signing the certificate shall take place before photography in Sanctuary has ended and before the Reception. Each of the witness will sign as the Pastor indicates. (The bride and groom already signed the certificate at the Register of Deeds office.) Both witnesses shall sign the certificate in the Sanctuary in the presence of the presiding ordained clergy. The photographer is invited to capture the moment in pictures. See appendix for information on how to acquire a North Carolina marriage license. Meeting with the Pastor-The Pastor must have at least one meeting with the bride and groom, even if the Pastor does not preside at the wedding. The first session must occur no later than 90 days before the wedding. The Pastor will give the couple a series of day- time weekday (excluding Friday) appointment opportunities to choose from. Couples who live out of the state of North Carolina, or live far from Beaufort, may have the option of having their meetings with the Pastor over Google Hangout. 8
Wedding Guidelines Rehearsal: At your wedding rehearsal, your Ann St. wedding director and Pastor will welcome you and your guests. They will guide you through the process that will take place on your wedding day. The quality of the rehearsal will have a direct impact on the quality of the wedding ceremony and on your peace of mind. To have the best possible rehearsal, please emphasize to your wedding party in the strongest possible terms the importance of everyone arriving in the sanctuary (or the venue of your service) at least 15 minutes before the start of your rehearsal. Keep in mind that there are overtime fees associated with running late or long. The professionals conducting your service and rehearsal may have to leave promptly at the end of your allotted rehearsal time. Custodian: The duties of the custodian are to clean the church before and after the ceremony. That does not include disposing of the flowers, candles or other decorations used for the wedding. If the bride and groom wish to leave flowers in the sanctuary for the Sunday service or to leave decorations on the door or outside of the church, the custodian should be notified in advance. Because the sanctuary has to be ready for Sunday, the bride and groom need to appoint someone to remove any items that they wish to keep. Unity candles, bulletins, flowers, etc. that are left will be removed from the sanctuary and disposed of on Monday morning. Often there is a tight schedule to make ready the sanctuary for Sunday service and your attention to this matter will be greatly appreciated. Miscellaneous: Pictures –No flash pictures are to be taken during the ceremony. Video taping may be done from the back of the sanctuary. Photographers are to remove all of their equipment before leaving the church. The Ann Street UMC video equipment cannot be used. Sound System- No one is allowed to disconnect the Ann Street UMC sound system or tap into it for music or speaking purposes. Dressing – Rooms are available to both the Bride and her attendants and the Groom and his attendants to dress at the church if so desired. You will have to inform your Wedding Coordinator if you are going to dress at the church. The areas assigned to you in which to dress are the only areas used for this purpose. All personal items must be removed upon leaving the church. In keeping with the sacredness of the service of marriage, the Bride is urged to keep the choice of her gown and those of her attendants tasteful and appropriate to the holy setting of the occasion. 9
Wedding Contract The following is a good faith contract between the Bride and Groom and Ann Street UMC. The purpose of this contract is to confirm the date of the wedding and that the information contained in this packet has been read and agreed upon by the Bride and Groom. Adverse Weather: In the event that a hurricane, tornado, flood, or any other natural disaster or “act of God” occurs during the seven days prior to the wedding date rendering performance impractical, or in the event that the church is so badly damaged that its ability to accommodate the intended wedding would be substantially impaired, the bride and groom or their respective parents will receive, at their option, a full refund of all monies paid to Ann Street United Methodist Church pursuant to this contract. The deposit is otherwise non-refundable. Special Note: The use of alcoholic beverages, tobacco, or “controlled substances” is strictly forbidden in any facilities of Ann Street United Methodist Church for all functions. The Bride and Groom are responsible for any damages or extra cleaning. I agree to abide by the guidelines set forth by Ann Street United Methodist Church and to abide by its policies. Appendix: How do I obtain a marriage license? To obtain a marriage license, both bride and groom must do the following: Complete a marriage application form. Present identification that in the determination of the Register of Deeds the applicants to the marriage are at a minimum age of 18 years and are authorized to be married under the laws of this state. Types of identification accepted are a current and valid government issued photo ID, such as a driver’s license, passport, etc. The applicants (both) must bring their Social Security card. Cost of a marriage license is $60.00 to be paid in cash, certified check or money order. If you are going to make a name change to your driver’s license and Social Security card, a certified copy of the marriage license will be needed. Therefore, an additional $10.00 copy fee is required. If you need to change your last name, you can use an online marriage name change kit. This information was current at the time of printing but is subject to change by the Register of Deeds. Consult the Register of Deeds office.
