BuildYourOwnCurriculum Fall 2018 User’s Group Meeting BYOC / BYOC+ Updates Activity Updates Option to Require Alignment to Learning Targets While we strongly believe that all Activities should be connected to Learning Targets, this is not something we have ever required. However, one of the requests from our users’ group discussions was to have the option to require that all Activities be aligned to at least one Learning Target. To support this request, there is a new option in the Activity Options, “Require Learning Target Alignment.” This new option, when set, will prompt and require the user to always align their Activity to at least one Target. To maintain consistency for everyone, this will default to NOT being required. Option to Hide/Show or Require Activity Expectations and Measures BYOC has always had a section called Expectations and Measures at the Activity level. This is another area that may or may not fit a district’s philosophy. To better meet the needs of everyone, we have added two new Activity Options related to Expectations and Measures. The option “Show Expectations and Measures” will control if the section shows on your Activity Add/Edit page. The option “Require Expectations and Measures,” will require that each activity have at least one Expectation/Measure prior to being saved. 5
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting Option default sharing to “Allow others in my dept/grade to edit” Activities, by default, are only editable by the author of the activity or by a Curriculum Director or System Administrator. We have long had an option for the author to allow other teachers in their department and grade to also edit the activity, but this option needed to be set for each individual activity, which, unfortunately, many teachers forget to do. This enhancement consists of two parts. First, an option has been added to the Activity Options page where the district can set the “Allow others in my Dept/Grade to edit” to default to on. Please note that activity authors can still turn the option off for specific activities. Second, under Administrative Functions >> Mass Maintenance >> Click here to maintain multiple items belonging to a single user >> Reclassify Activities, we have added the ability to change the “Allow others in the same Department/Grade to edit the Activities.” This will give you the ability to mass reset this option for specific teachers if needed. Lesson Plan Updates Add the ability to “Bump” Lesson Plans Often when people discuss “bumping lesson plans” they are looking at how to roll them into the next year. That is not the goal of this enhancement, this is targeted at quickly adjusting the dates of lesson plans if for some reason you need to reschedule, such as a snow day occurring. At the bottom of a lesson plan list page, whether it be in Plan Book view, Week view, or List view you will see two options, “Manually Reset Dates and Times” and “Automatically Bump Dates.” The option to “Automatically Bump Dates” is new and is the subject of this enhancement. 6
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting The Bump Dates page allows you to search for a list of plans to be bumped, filters include Class, Course, and Date Range which is limited to a 14-day window. Once the list is displayed, you can choose the number of Scheduled Teaching Days to bump the plans by and indicate any plans in the list to “Skip” or not bump. Please note that we are talking about Scheduled Teaching Days, so if the lesson plan template is tied to a District Calendar and if the course that the plan is based on is associated with a Projection Schedule on the Class Setup page all that information will be considered when bumping the plan. In other words, if the plan is for a course which occurs every day based on the Projection Schedule and you are requesting to bump the plan 2 days, but the day after the plan is currently scheduled to occur is a non-teaching day on the District Calendar, the plan will be moved 3 calendar days. It would skip the non-teaching day, and then move the plan the two days as requested. This all assumes that we are not encountering a weekend as those would also, typically, be treated as a non-teaching day. If a calendar or projection schedule is not specified, the system will revert to assuming the course occurs every day, Monday – Friday. Updated the Lesson Plan “Mass Date” change function The other option at the bottom of the lesson plan list pages, “Manually Reset Dates and Times,” has existed for years, but the user interface was a bit poor. We have updated the overall look of the page and implemented the 14-day date window logic to match the new “Bump Dates” option. The Mass Date Change page allows you to view 14 days’ worth of plans and manually set new dates, periods, or times. The format of the information to the right of the plan will vary based on how your lesson plans are configured, primarily based on if they are using predefined schedules or if the teacher is manually entering start and end times for the plan. 7
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting New – Lesson Plan – Plan Book View Print When we added the Plan Book view to lesson planning in BYOC, the requests to print that view started almost immediately. This is now printable by choosing “Print Book View” on the lesson planning page within a class. The details included on the print will be the same as the details shown in each box of the plan book view, which, as a reminder, are customizable by each user in the Lesson Plan section of User Preferences. Updated – Recurring Lesson Plans When recurring a lesson plan, we will now take the district calendar associated with the Lesson Plan Template, or the default district calendar into consideration so we do not recur the lesson plan onto non-teaching days. District Options Ability to clear old fields at the Course, Unit, and Topic levels Districts have always had the ability to alter the district defined template for entering information at the Course, Unit, and Topic levels. A common procedure when removing a field has been to rename the field, say “Field A” to “Old-Field A” and mark it as not visible to the public, then give staff a set period of time to move information out of the field prior to finally deleting the field from the template by clearing the title. This process has always worked fine. However, if in the future you choose to reuse that spot in the template for a new field, any old, not cleared out information at the Course, Unit, or Topic level would now be visible in the new field, causing lots of confusion. If a field that does not have a title in the Course, Unit, or Topic Template has old data in it, a link will now be shown below the field giving the district the option to clear all the old information from that field. 8
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting Control the default Learning Target view used on the Public site On the Public view of your district curriculum, there is an option for parents or students to see a listing of the Learning Targets for a course. Historically we have always shown this, by default, in the Scope and Sequence or Context view, i.e. shown the Targets grouped into the Units and Topics that would be addressing them. We’ve had requests to make the default view configurable at the district level, which we will now allow. The new option is accessible via Administrative Functions >> District Options >> General Configuration. On the public site, if you view a particular course you will see the Learning Targets link. When you click the Learning Targets link, a list of the Targets will be displayed in the order specified on the District Options. 9
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting Reports and Exports New – Course Audit – Last Update Information Report This report, selectable for a specific course or an entire department, will provide the last update information for every item in the course, including Course, Units, Topics, and Learning Targets. Additionally, the most recently updated item will be identified and when it was most recently updated. New – Preselected Course and Unit Standards Report One of the Educational Service Agencies we work with was developing curriculum by identifying the standards to be addressed by a course, breaking those standards down into Units, and then developing Learning Targets for the standards and assigned them into Topics. So, we created a report to help them manage the process better. • The top (course) section of this report identifies the Standards assigned to the Course by using the Course Standards button in BYOC. Additionally, it shows the number of Learning Targets aligned to each of the standards. • The next section of the report shows each unit which has standards assigned to it using the Unit Standards button in BYOC. This also shows the number of Learning Targets aligned to each standard and the number of those Targets assigned to any Topic within the Unit. The goal of this section being to prove that the Units are actually addressing the Standards that they are supposed to address. 10
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting New – Power Standards Utilization Report One of our Kansas districts contacted us regarding a “Focus Standards Worksheet” the state had published for Math. The goal of this, was to identify certain key standards (Power Standards) and focus 70% of their time on those standards. Generalizing this idea a bit it seemed like an intriguing concept for any district using Power Standards to see what percentage of their curriculum was focused on those standards. Additionally, we included support for Priority Targets, weighting any Standards associated with them. This report will provide a breakdown at the Course, Unit, and Topic level of the percent of standards, All vs Power, and the percent of time allocated to them. Given the complexity of the calculations required, we did include footnotes to explain our assumptions. Updated – Standard/Learning Target Analysis Report The Standard/Learning Target Analysis report provides the ability to get a list of Standards that have or do not have Learning Targets, and for BYOC+ districts a listing of Standards or Learning Targets linked or not linked to Assessments. In order to make the data on this report more specific, if desired, we added an optional ability to filter the standards by grade New – Power School Export One of our Kansas clients has been aggressively pursuing standards/competency-based grading utilizing Power School. Working with this district, we have created a custom export of Learning Targets or Standards from BYOC for importing into Power School. The key of this process is to group the Targets or Standards by Unit/Topic, thus making it easier for teachers to find the appropriate gradable items easily within the gradebook. Optionally, this export can be filtered to include “Priority Targets” if the district is using this feature. 11
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting Ability to Print Projections A request from last year’s Missouri User’s Group meeting was the ability to print a Projection. For those of you unfamiliar with this, a Projection is a merging of your curriculum with your district calendar so that you can see the flow of Unit or Topics across the school year. You have always been able to see a Projection, but you could only print one if it was associated with an existing class. With this update, you can now print any projections. To print a Projection, go to Reports, then in the Course Reports section choose Course/Schedule Projector. Under the “Make a Projection” heading choose the Department, Course, Projection Schedule, and if you would like to see Units or Topics in the projection, then choose the OK button. This will return your projection to the screen, to print it, including a calendar for each month of the projection, simply click the Print Projections link. Standards Updates Greying and flagging “old” standard sets States seem to be releasing new standard sets at an ever-increasing rate, making it harder and harder for districts to keep track of the most current standards. To help with this we have made two changes. First, when reviewing the list of available standards, in Department Maintenance, we are now greying out any non-current standard sets. Second, within Department Maintenance >> Department Details, we are flagging any non-current standards with the message “**More current standards exist in BYOC.” 12
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting Add link to standards “source” document To better understand and validate the standards in BYOC, we have added a link back to the “source document” that we used when loading the standards. You can see this link either by clicking the Preview button when you are adding a set of standards or the View icon if the standards are already added to your department. Clicking the “Standards Source Data” link will open a new page and show the source file, typically from the state, which was used in the creation of the standards. PLEASE NOTE: This link will only show for newer standards in BYOC as we did not previously track this information. Miscellaneous Updates Support for “Classlink” Single Sign-On Districts using ClassLink Single Sign On will now have access to a BYOC icon. Simply clicking on this icon will authenticate the currently logged in user to BYOC and position them directly onto their BYOC home page. If the user is not currently logged into ClassLink and desires to access BYOC, you can access the BYOC login page, click the ClassLink button, which will then prompt you to login to ClassLink, and position you on your BYOC home page. Ability to view another district’s complete curriculum The Advanced Course Search page has always required that you search other districts using a Keyword. We have received requests to allow for the viewing of an entire district’s curriculum versus the need to search. This update will still require a Keyword when viewing “All Districts,” but will no longer be required when viewing a specific district. 13
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting Support for Google Team Drives As some of our districts started utilizing Google Team Drives, it was discovered that those drives were not visible when browsing your Google Drive from BYOC. These drives are now accessible from BYOC. Special thanks to Nevada R-5 School District in Missouri for both alerting us to this issue and assisting us in testing out the solution. Support for attaching multiple items at once Users have often requested the ability to upload or attach multiple files or Google Drive items at once. Our stance has always been to not allow this due to the display name, description, and security which we assign to each attachment. After much debate, and many requests, we’ve changed our stance and added the ability to create multiple attachments at once. • Security – the same security level will be assigned to each item being attached when you click the Add Attachment button. • Description – the same description will be assigned to each item being attached when you click the Add Attachment button. • Display Name – this field is no longer required. o If you leave the field blank, each attachment will be named the same as what the file or Google Drive item was originally called. o If you supply a display name, it will be suffixed with a dash number (- 1, - 2, - 3…) for each item being attached. Topic Level “Power Delete” A “Power Delete” button has now been added to the Topic level. As with all of the Power Deletes, the button is located at the bottom of the Topic Edit page and is only visible to System Administrators. Clicking the Power Delete button will cause the following confirmation page to display. Clicking the Delete Topic button on the confirmation page will cause the Topic to be deleted. This will not delete Learning Targets assigned to the Topic, the alignment between the Targets and Topic will simply be removed. 14
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting Mass Course Subscription Page We have had the ability to “Subscribe” to a course and receive an email when it is updated for a long time. However, this has always been done at the individual course level. Depending on your role in your district, there are instances where you may want to quickly subscribe to a large number of courses. To enable this, under User Preferences, we have added the ability to “Mass Subscribe” to courses. 15
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting BuildYourOwnCurriculum+ Updates New – Parent Portal One of your key requests for the BYOC+ Student Portal was read-only, parental access to the student’s information. This enhancement added a Parent Portal to the student portal. To minimize the overhead on schools associated with this feature we have provided multiple approaches to “inviting” a parent to access the portal. Depending on your district options setup, parents can be invited by Students, Teachers, or in mass by the district via a combination of a new “Parent Portal Invitation file” export and a mail merge. In all instances, other than the export/mail merge, parents will, for security reasons, receive two emails each containing part of the information required to register themselves and connect to a student. Students can invite a parent via the “Invite Your Parent” option in the Student Portal. Depending on your district options, teachers may be able to invite parents via the new Parent column added to the student list on the Class Details page Curriculum Directors or System Administrators will have the ability to invite parents via the new Parent column added to the Students page accessible within the Administrative Functions section. 16
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting Regardless of the approach taken to invite a parent the process is the same. After choosing the “Invite Your Parent” link or one of the new Parent icons, a screen will be displayed to enter the parent’s email address. Once entered, simply click “Send Email” to generate the invitation emails for the parent. This is the FIRST of the two emails. Please note that your district name will be included in each email. In this one a link is supplied to the parent portal and the student information with one of two, required, unique codes included. This is the SECOND of the two emails. This one contains the second of the two, required, unique codes. Someone will need to have both codes to connect to a student. 17
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting Once the parent has received both emails, using the link from the first email they will access the Student Portal and either Login or Register if they are a first-time user. Once logged in they will be presented with their student information and need to add the Access Security Code from the second email to add the student to their account. Once the student has been added, the parent can simply click on the student’s name or select them from the dropdown to view that student’s portal. Additional students can be added via the Add a Student button assuming the parent has received the required two emails for that student also. Once a student is selected, the information will be presented in a read-only fashion. The parent can easily switch students via the Student dropdown. 18
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting New – Giving Teachers the ability to “emulate” a student Users of the BYOC+ Classroom System, specifically those using the Student Portal for making assignments have, at times, requested the ability to “see what the students will see.” This enhancement gives them that ability. On the Class Details page, scroll down to the list of students. In the list you will see a new column, Emulate. Simply click on the Emulate Icon and a popup page will appear providing read-only access to the student’s portal page. Once on the emulation page, the teacher will have the ability to choose any student from their class, via the student dropdown. A message, in yellow will communicate what student is currently being emulated. When emulating a student, please note that only the classes taught by the teacher doing the emulation will be shown on the Student Portal. Also note that the entire portal will only be accessible in Read-Only mode. 19
BuildYourOwnCurriculum Fall 2018 User’s Group Meeting New – Lesson Plans visible on Student Portal In BYOC, districts have the ability, to optionally, post lesson plans on the public site for parent/student access. Unfortunately, when we released the Student Portal we failed to add this same capability. With this release, districts can now, optionally, have lesson plan information appear in the Student and Parent portals within BYOC+. New BYOC+ Specific District Options Three new district options were added to support these changes. The new options are located in the “General Configuration” section. • Allow Student or Guardian to Email Teacher – as the name implies this controls if the teacher’s name appears as an email link in the Student/Parent portal enabling emails to the teacher. • Allow Parent access to the Student Portal - this option enables the Parent Portal. • Allow Teachers to Invite Parents to the Parent Portal – this option controls if Teachers (Educator / Curriculum Author / Departmental Curriculum Coordinator) are allowed to invite parents into the Parent Portal, if this option is not on, Parents can only be invited by Students or Administrators (Curriculum Director / System Admin), Student Portal Updates Show the Assigned Date for Assignments BYOC+ has always communicated the Due Date for student assignments. With this update, we are also communicating the Assigned Date. Do not treat “Past Due” assignments as past due By default, any assignment which has not been electronically turned in by the student by the assigned due date, is moved to a Past Due section on the student portal and shown in red. For a variety of reasons, some educators would rather this not happen. We have added an indicator at the individual assignment level to skip this feature as well as an indicator at the class level to, by default, ignore this feature for all assignments associated with a particular class. 20
