Harris County Carver Middle School Optional 8th Grade Georgia Studies Field Trip Health and Safety Protocols concerning COVID-19 The health and safety of our students and staff continues to be our highest priority. For the 2022 Georgia Studies Field Trip, the Harris County School District Protocol for Health Schools will guide our planning and decision-making process. Participants will be required to follow the protocols as they exist at the time of the trip. Dear 8th Grade Parents and Students, We are excited to announce that we will offer our 8th graders the opportunity to take a trip through Georgia’s coastal area! This is a three-day, two night tour that will take our students across Georgia to visit and study some of our state’s most famous sites. (See itinerary attached.) Trip Information The trip is scheduled for Tuesday, March 29th – Thursday, March 31st. The cost for the trip is $441.00 per student. This cost includes transportation on luxury motor coaches, hotel lodging, all meals, nighttime security, and admission to all sites and events. Field trip seats are available on a first come first serve basis. An initial deposit must be made by December 17, 2021 through the online payment portal to secure a spot on the trip (if spaces are available). The first 200 students and parents are guaranteed a spot on the trip, once the slots are full, a waiting list will be started through the Online Payment Portal. If there is a financial need please see your GA Studies teacher prior to registering online. Payment Portal Funds will be collected using an online payment portal. For your convenience, the cost of the trip may be completed in one payment or split over four payments. The payment portal does have a 2.9% transaction fee that will be added upon check- out. To remain active on the trip, the full cost of the trip must be paid in-full by February 28, 2022. You have two options for payment: • Option 1: Pay in full the $441 when you register online. • Option 2: You will make a deposit of $114 on the day you register and 3 additional payments of $109 on November 30th, January 31st and February 28th. Final payments are due by February 28th, no exceptions. Note: You may pay your trip off earlier if you like but no later than the date given. Travel Insurance Travel insurance is available for an additional cost through the online payment portal. When you make your last payment a green box will appear that offers you the opportunity to purchase insurance on the trip. This is not something we’ve offered before but the travel company as well as the school feel this may be something you want to look at this year. • Anyone who must cancel after registering will receive their money back, minus a $114 motor coach seat fee (or their first installment payment decided by A Plus and Lead Teacher). • Anyone who must cancel, in writing, within 7 days of the trip will forfeit $190 (for bus and hotel). Any no shows the morning of departure will forfeit the entire cost of the trip. Behavior Expectations: Students participating in this trip are expected to maintain a positive behavior record. ● Students with two full-day assignments to In School Suspension (ISS) between October 6, 2021 and March 28, 2022 may not participate unless their parent or guardian, at their own expense, accompanies and supervises them. Parent or guardian spots would be determined based on space available at the time of the parent or guardian request. ● Students who are assigned to Out of School Suspension (OSS) anytime in the 2021-2022 school year or a student who serves 3 or more full-day (separate) assignments in In School Suspension WILL NOT BE ABLE TO ATTEND THE TRIP UNDER ANY CIRCUMSTANCES. COVID-19 Considerations: Masking - Under the current HC Protocols for Healthy Schools, participants on the trip would be required to wear face coverings at all times while on the bus and when social distancing is not possible. Heath Checks - Health Checks will be completed daily in accordance with the HC Protocol for Health Schools document. This would include student temperatures as they are a leading indicator for student illness. Grouping - In an effort to ensure a safe environment for all students, students will be required to remain in their student groupings throughout the trip. Chaperone Groupings will determining rooming assignments, bus assignments, and seating assignments. Students/Chaperones - Students/Chaperones testing positive for COVID-19 at time of the tip Testing Positive for will be required to isolate in accordance to the Protocol for Healthy COVID- 19 before Schools document the trip. - Students/Chaperones testing positive for COVID-19, who did not purchase travel insurance, will not receive a refund if they are unable to attend the trip. Students/Chaperones - Students/Chaperones identified as a Close Contact at time of the trip Identified as a Close will be required to quarantine in accordance to the Protocol for Healthy Contact before the Schools document trip. - Students/Chaperones identified as Close Contact at the time of the trip, who did not purchase travel insurance, will not receive a refund if they are unable to attend the trip. Student’s illnesses - If a student is showing symptoms of COVID-19, tests positive for while on the trip. COVID-19, or is identified as a Close Contact to an individual who tested positive for COVID-19 while on the trip, the following procedure will be implemented: (i) Parents will be notified and must immediately pick up their student. (ii) Students will be immediately be removed from the trip’s activities and every effort will be made to return them to their hotel. (iii) Students will be quarantined until parent pick-up is completed What if the trip is - If it is determined, by the school or other agency, that the trip will be Canceled canceled due to COVID-19 concerns, full refunds, of the amount paid, will be provided.
Travel Insurance - Travel Insurance is available, for an additional cost, through the online payment portal. Travel insurance is optional but suggested given the uncertainty associated with the COVID-19 Pandemic. Scholarship Fund Request: In an effort to make this trip available to as many students as possible, we are asking families, who are interested in supporting our scholarship fund, to consider making a donation to help sponsor a student. If you are interested, please contact Mrs. McCarty at mccarty-felicia@harris.k12.ga.us or have your student take your donation to Mrs. McCarty in room 405. Write “Scholarship” on the “For” line on your check and it will be added to the fund. Donations are tax deductible with a school issued receipt of your scholarship donation. If you know of a business willing to donate, please let Ms. Jenkins know as a letter can be provided to you to give to the business. Donations should be processed through Mrs. McCarty and not the online payment portal. Fundraising: The Online Portal offers a link to create a “Go Fund Me” account to raise money for your trip. This provides an option for you to share your Go Fund Me request with family or friends that may want to help share the cost of your student’s trip. This option is not sponsored by the school. If you choose to participate in the “Go Fund Me” the school will not be involved in any way.
