A WORD FROM activ’été coordination team Again this year, the Activ’Été team is pleased to facilitate activities and entertain your child for seven weeks. Although safety will be our priority throughout the summer, it will not prevent children from having fun and learning to live in a group. Your child can count on a dynamic and dedicated team, as well as benefit from diversified programs. Ville de Châteauguay submits its Parents’ Guide covering all of its Activ’Été programs to help you prepare and plan your child’s summer in addition to informing you about our various policies and procedures. We hope this guide will be useful and answer your questions. In addition, you will be given a “participant’s kit” with all the information you need about your child’s various excursions and activities. We encourage you to refer to this guide and keep it handy until the end of the summer. However, should you have any other questions, feel free to contact us. Have a wonderful summer with Activ’Été! 1 GENERAL INFORMATION The objective of Châteauguay’s dynamic and dedicated Activ’Été team is to facilitate activities and entertain children in a variety of programs where safety is the priority. 1.1 PROGRAM OBJECTIVES • To provide a fun, safe and rewarding recreational experience for all participants; • Promote the camp’s values of adopting a healthy lifestyle, being open to others and allowing all participants to enjoy group life. 1.2 DAY CAMP OPERATION The Activ’Été program day camp offers 14 sectors for children aged 5 to 15. The sectors are divided into age groups: ages 5 to 6, 7 to 9, 10 to 13 and 13 to 15. The team of facilitators is assigned to each sector for the entire summer. Each team is made up of facilitators, integration facilitators and a sector leader. The leaders supervise and coach the groups to which they are assigned. For any questions during the summer, we encourage you to contact the assistant coordinator as- signed to your child’s age group. It will not be possible for parents to contact their childrens’ sector directly. École Saint-Jude – 71 Alphonse Desjardins St. Billings School – 210 McLeod St. 1.5 ABSENCE PROCEDURE Attendance is taken every day, morning, noon and evening. In the event of tardiness, parents must imme- diately inform the sector leader of the arrival of their children and the sector leader will inform the entire team of facilitators. The team will not contact you in case of absence, and it is not necessary to inform the coordination team. 1.6 DEPARTURE PROCEDURE Children registered in the day camp program may not leave alone or with someone whose name is not on the registration form, without a written authorization from the parent or a phone call to the coordinators. In this situation, a call will be made to the parents to obtain authorization, without which the child will stay with the team of facilitators. To ensure the safety of all children, the sector leader (day camp or daycare) will ask to see the identity card of anyone coming to pick up children. 1.7 ITEMS TO BRING - Backpack Children in 5- to 6-year-old groups - Bottle of water To bring on the first day and leave in the sector: - Cold lunch and two snacks - One towel (for relaxation) - Sports shoes or closed sandals - A do-it-yourself apron - Hat Please identify all of your children’s clothing and - Sunscreen (to be ideally applied before the child’s personal belongings. departure / sunscreen is not loaned) Ville de Châteauguay is not responsible for items lost during the summer or for breakage or theft. Please note: The Activ’Été team encourages active participation, so plan appropriate clothing for outdoor activities according to weather forecasts. 6 PARENTS GUIDE
2 BIKE TRIPS For children aged 7 to 13 enrolled in day camp The Ville de Châteauguay day camp offers families a special and unique mode of transportation for young people: bikes. Similar to a bus route, at morning and night, hundreds of children ride their bikes to go to their sector of activities and return home on a predetermined route, led by a trained facilitator. This concept, which has been applied for more than 25 years, is unique in Quebec and is an original feature of the Châteauguay day camp program. For obvious safety reasons, bikes should not have training wheels. Children must wait at the inter- section of the street identified on one of the bicycle routes at the school where they are signed up at 9 a.m. Please note that a bicycle route should take a maximum of 30 minutes. Therefore, children living near the school will arrive home at about 3:45 p.m. whereas the ones living at the end of the bike route will arrive home at 4:15 p.m. (the route may take longer at the beginning of the summer, especially for the first few days). We strongly recommend that parents buy their children bike helmets, which are ideal for their pro- tection. At Activ’Été, we wear our helmets! Please note: If your child goes to the sector alone (without taking the bike route), he or she will be unsupervised until the facilitators arrive at 9:00 a.m. 2.2 TRAVEL COSTS For the 5- to 6-year-old groups and La Centrale group (aged 13–15), all the excursions are by bus. For children aged 7 to 13, many outings will be by bike. Children must therefore ride their bikes when indicated. Bikes are mandatory when the following symbol appears on the schedule: If children do not have their bikes on the morning of an outing, the sector leader will contact the parents so that they can bring them to the sector before the departure. If the parents cannot be reached or are unable to make it, one of the coordinators may drive the child. Fees of $20 will be charged to the parents for transportation. Children without bikes may also be transferred to another sector, if possible. In that case, they will not be able to attend the planned outing. PARENTS GUIDE 7
3 INTEGRATION PROGRAM The program’s objective is to allow children who have disabilities to participate in the day camp’s daily activities. To do this, children will be assigned to facilitators who will provide them with the necessary support to help them integrate into the group. Parents who want to enroll their children must fill in the registration and needs identification form available at the Centre culturel Vanier or online at www.ville.chateauguay.qc.ca /activ-été. The form must be completed no later than Friday, March 16, 2018. For more information about the services offered, please refer to the Integration Program Guide or contact the Assistant Coordinator, who is responsible for the program. 4 METHOD OF PAYMENT AND REFUNDS 4.1 REGISTRATION ONLINE REGISTRATION Payable by VISA, MASTERCARD or Accès D. Fees must be paid in full at the time of registration. REGISTRATION IN PERSON at the Centre culturel Vanier, 15 Maple Boulevard Payable by VISA, MASTERCARD, debit card, cash or by cheque made payable to Ville de Châ- teauguay. For any amount of more than $200, it is possible to pay in two equal payments: - 1st payment: 50% of the total of the bill at the time of registration; - 2nd payment: postdated cheque in mid-June 8 PARENTS GUIDE
4.2 REFUNDS AND CANCELLATION 1. A registration may be cancelled with a refund before the date on which the day camp program starts. Administration fees of $10 will be withheld. Late fees are not reimbursed. 2. Ville de Châteauguay will reimburse the whole amount paid, without penalty, if it modifies the conditions of an activity before it begins. 3. If the person registered is unable to attend because of illness, the refund will be prorated according to the service used. A medical certificate will be required no later than 10 days after the beginning of the illness. 4. Ville de Châteauguay will charge fees of $45 for every NSF cheque received. 5. If children do not attend on time and at the planned place, Ville de Châteauguay will not be held responsible or provide a refund. 4.3 TAX RECEIPT If you requested a Relevé 24 slip, it will be issued to you for tax purposes for all the programs, except for the Excursions program. You will receive the RL-24 slip in February of the following year. PARENTS GUIDE 9
5 PARTICIPANT’S CODE OF LIVING The coordination team encourages parents to read the participant’s code of living and make sure their children are aware of its content. These rules are aimed at children, but also concern parents. • All of my actions and words addressed both to children and facilitators are respectful; • I abide by the rules established by the team of facilitators and the authorities in charge of the sites visited; • I do not engage in any offensive, discriminating, intimidating, violent or threatening actions, and I do not encourage other children to engage in such actions (including cyberbullying); • I take care of the environment, public property and equipment lent to me, and I help to keep the area clean; • I do not endanger my own safety or that of others at any time through either my actions or the simple possession of hazardous objects (e.g., pocketknife, firecracker, lighter, flammable liquids); • I use my cell phone or any other electronic device only with the authorization of the team of facilitators or in an emergency situation. At all times, it must be stored in my backpack and Ville de Châteauguay will not be held liable for the breakage, theft or loss of the device. • I dress in such a way as to be able to fully benefit from the activities offered, and I do not wear any clothing or accessories that promote drugs (illegal or not), alcoholic beverages, tobacco products or that bear messages that may be considered discriminatory, rude or violent; • I do not drink, smoke or take drugs, and I do not have either alcohol, cigarettes, cannabis (and derivative products), or illegal drugs in my possession; Any noncompliance to the above code may result in disciplinary measures. 5.1 DISCIPLINARY MEASURES Noncompliance with the various provisions of the code of living may lead to disciplinary measures, including the participant’s suspension or official expulsion. At the time of registration, parents must sign the day camp’s code of living, which means that they have read the rules, limitations and conse- quences of non-compliance with the various provisions that we consider important for group living. Disciplinary measures arising from non-compliance with the code of living will be applied in a gradu- ated manner: a) Verbal warning, by the sector leader; b) First written warning, by the sector leader; c) Second written warning together with a one-day suspension, by the assistant coordinator of the age group; d) Third written warning together with a final expulsion from the day camp by the assistant coordinator of the age group. Ville de Châteauguay reserves the right to expel, without notice, a young person who consciously and seriously violates the living code. Being expelled from one of the eight programs results in being automatically expelled from all the programs (Day Camp, Excursions, Specialized Camps, daycare service, Integration, La Centrale for ages 13-15, Apprentice Facilitators) without a refund. 10 PARENTS GUIDE
6 HEALTH AND SAFETY To ensure appropriate safety, all of the summer program employees take CPR first aid training. If your child is injured or does not feel well, a sector leader will determine the seriousness. If the case is major or if we have any doubts, we will immediately contact the parent or other person responsible who has been previously identified. If no responsible adult can be reached, we will arrange for the transportation of the child to the medical clinic or to the hospital. The child will be accompanied by an Activ’Été daycare staff member at all times until a parent arrives. The day camp staff will decide whether it is necessary to call for an ambulance in case of an emer- gency, and the parents will assume any costs of transportation by ambulance 6.1 MEDICATIONS According to law, no Activ’Été day camp employees can administer medications. However, the sector leader can supervise children who take their medications themselves. The sector leader can remind the child to take his or her medication, but if the sector leader forgets, he or she may not be held responsible. In some cases, the sector leader has the right to refuse this responsibility. If children are unable to take their medication alone or if the medication may have significant side ef- fects, a parent might have to travel to administer the medicament to the child. As a safety measure, children may not keep medication in their backpack or lunch bag. Please note: The administration of EpiPen, in case of a severe allergic reaction, is an emergency first aid situation and, in this case, the facilitator will be allowed to administer the medication. The medication must be in its original container and identified with the child’s name. You must give your child a waistpack that he or she can wear at all times containing an auto-in- jector. If a child goes to day camp without his or her medication, the parent must bring it quickly to camp or the child will have to return home 6.2 ALLERGIES Certain food will be prohibited on the day camp site to prevent allergic reactions. On the first days of the camp, you will receive a notice to this effect. Be very careful when preparing your child’s meals so that you do not include these foods. PARENTS GUIDE 11
7 LOCAL OUTINGS Children have the opportunity to enjoy local outings during the summer. Please refer to the schedule for your child’s sector given to you at the time of registration and note the excursion dates. Travel will be by bike, on foot or by bus depending on the distance and the children’s ages. • ALFRED-DORAIS, YVAN-FRANCO, MARCEL-SEERS, JOSAPHAT-PITRE AND BONNEAU PARKS Bring the following: - Bathing suit (already under the child’s clothes) - Beach towel - Change of underwear - Sunscreen (to be applied before the child leaves) - Beach or canvas shoes to wear at all times on the site • CENTRE AQUATIQUE POLYDIUM – 111 Maple Boulevard Each child must pass a swimming test when arriving at the pool so that lifeguards can assess his or her ability to swim. Lifeguards will decide whether children must wear a lifejacket or not during the swimming period. 9 APPRENTICE FACILITATORS TRAINING OF FUTURE LEADERS For ages 14 and 15 From July 3 to August 18, minimum of 3 days a week Schedule: From Monday to Friday Targeted goals: • To offer an enriching work experience for the apprentice facilitator in the areas of recreation and facilitation; • To train future leaders. When the apprentice facilitators have completed their training with Activ’Été, certificates will be awarded to them attesting to the number of hours worked and the skills acquired during the summer. If a candidate shows a lack of motivation during the season, Activ’été reserves the right to end the arrangement. PARENTS GUIDE 15
