BOOKING TERMS & CONDITIONS Bookings/Room Hire: A tentative booking will be held for a maximum of 2 weeks (except for November/December where we will require an immediate deposit to confirm your booking) A non-refundable deposit of $100 for the “Private Dining Room” and $300 for the “Main Dining Room” is required. Palmwoods Hotel retains the right to accept other bookings on the requested day until a booking is confirmed. Bookings will not be considered confirmed until Palmwoods Hotel receives a deposit, which means you understand and agree to our Function Terms and Conditions. Functions booked on a Friday, Saturday, or Sunday, requiring exclusive use of our “Main Dining Room” area or our “Outdoor Area” , are required to guarantee a minimum spend of $3500 on meals and drinks. Set up Fees: Any function requiring the exclusive use of the “Main Dining Room” area or the “Outdoor Area” will incur a Setup fee of $200. Functions requiring the exclusive use of the “Private Dining Room”, with a maximum capacity of 30 people seated, do not incur the “minimum spend”, however will incur Setup fee of $100. All decoration must be approved by the function manager before function. Any decorations small than 5mm such as glitter or confetti will incur a $100 clean up fee. Cancellations: We would be disappointed if a function were to be cancelled. However, we realise that circumstances occasionally make this necessary. In the event of a cancellation, the deposit MAY be refunded in full, if written notice is received by us no less than 30 days prior to the event. Confirmed Numbers & Details: Confirmation of “final numbers”, and menu selections, will be required NO LESS than SEVEN DAYS prior to the function date. All details relating to your function must be confirmed with the Function Manager via email or in writing (functionmanager@palmwoodshotel.com.au) This “final number” will be considered to be the “minimum number” for the purposes of determining the invoiced amount, and will not be subject to further reduction. In the event guest numbers exceed the “minimum number”, the invoiced amount will be increased accordingly. In the event the number of 5445 9003 functionmanager@palmwoodshotel.com
guests subsequently attending the function drops below the “minimum number”, you will still be charged for the number of guests confirmed as your “minimum number”. Payment Payment of your account can be made by cash or EFTPOS (we do not accept DINERS or AMEX). Your account (including final menu choices, any setup fee incurred, or extras eg linen) are required to be settled SEVEN days prior to the function. Any further payment (eg: bar tab, extra guests) are required to be settled immediately concluding the function, prior to your departure from the venue. Preventing Damage No items are to be attached to the walls, other than using the picture hooks already in place. We always take reasonable care but we do not accept any responsibility for loss or damage of equipment, memorabilia, or merchandise left on the premises prior to, during, or after the function - this includes any cakes delivered, table decorations, or any equipment hired by the clients for use in the Hotel. Damage to the hotel property during a function is the financial responsibility of the organiser of the function. All decorations etc brought by the client for the night are to be removed at conclusion of the function, or the next day if prior arrangements are made. Children must be strictly supervised and remain within the function area at all times (unless they are accompanied by an adult). Any damages caused by children or minors to the Hotel will be charged to the function account. Patron Care Under the Liquor Act, alcohol cannot be served to persons under 18 nor to intoxicated persons. Management reserves the right to refuse service. No exceptions will be made. Acceptable identification nominated under the Liquor Act (drivers licence, 18+ card, passport) MUST be brought into the functions by all persons wishing to purchase or consume alcohol on the premise, including the guests of honour eg, bride and groom, 21sts etc. Palmwoods Hotel is fully licensed. Food items (other than ‘occasion cakes’) or alcohol are not to be brought onto the premises for any reason. Gifts of alcohol (eg: special bottles of wine/champagne) are not to be consumed on the premises. Liquor brought onto the premises will be confiscated by the staff and returned at the end of the function. Pricing and Menu Whilst we endeavour to maintain all prices at the time of the booking, they may be subject to price increases at our discretion.
