FAQ: Wellness Center Re-Opening PHILLIPS 66 DOWNTOWN BARTLESVILLE This FAQ is intended to serve as a resource for members returning to the Wellness Center. This guidance is effective Monday, January 4, 2021 and will be updated on a regular basis. CLEANING AND SANITIZATION Q: WHAT CLEANING ENHANCEMENTS ARE IN PLACE? A: Housekeeping completed a thorough disinfection and sanitization process of the entire facility prior to re-opening. High-touch areas, such as handrails and doorknobs, will continue to be the focus. The Wellness Center staff has sanitized all equipment and will continue with a regular cleaning schedule that is triple the standard frequency. Night cleaning protocols have also increased. Q: WILL THE EQUIPMENT BE CLEANED REGULARLY? A: The Wellness Center staff will continue to clean all equipment on a consistent schedule throughout the day and during high-attendance hours. The housekeeping staff assigned to the Wellness Center will be cleaning high traffic and high touch areas on a regular basis throughout the day. Q: HOW WILL SMALLER ACCESSORY ITEMS BE CLEANED? A: Members are to drop off smaller accessory items such as dumbbells, weight plates, and barbells at one of the two “Disinfection Zone” locations in the Fitness Center stretching area and basement storage closet B53. The Wellness Center staff will disinfect the items and return them to their proper location. Q: WILL LOCKER ROOMS BE SANITIZED REGULARLY? A: Locker rooms and single bathrooms will be cleaned by housekeeping every night after closing hours. The Wellness Center staff will sanitize high touch surfaces such as day-use locker handles, locks and wall-mounted hairdryers on a consistent basis. Q: WILL SANITATION ITEMS BE PROVIDED FOR MEMBER USE? A: In addition to the hand sanitizer and disinfecting wipe stations already in the Wellness Center, more stations have been added for increased availability. Please protect yourself and wipe down the equipment before and after use. Q: HOW SHOULD MEMBERS BE INVOLVED IN KEEPING THE WELLNESS CENTER CLEAN AND OTHER MEMBERS HEALTHY? A: Members are asked to increase their health awareness and healthy behaviors. Wash your hands before and after your workout. Avoid touching your eyes and mouth. Cover your mouth with a tissue or your elbow when coughing or sneezing. Wipe down your equipment with the sanitation wipes provided, not your workout towel. Drop your towels in the marked towel bins,
not on the floor. Avoid spitting. Be considerate of your social distance to other Wellness Center members and staff. PERSONAL PROTECTIVE EQUIPMENT Q: ARE MEMBERS REQUIRED TO WEAR GLOVES IN THE WELLNESS CENTER? A: Members are not required to wear gloves in the Wellness Center. The Wellness Center staff will wear gloves for their entire shift unless they are taking a break or working at their personal workstations. Staff gloves will be changed after every task performed. Q: ARE MEMBERS REQUIRED TO WEAR FACE COVERINGS IN THE WELLNESS CENTER? A: Yes. When you are walking around the Wellness Center, not exercising, you are expected to follow the face covering guidelines for downtown Bartlesville. Since face coverings impede breathing when exerting oneself, masks are not required during exercise activities. However, you are welcome to wear face coverings during your workout and you must continue with social distancing practices. Face coverings are expected to be on your person at all times. The Wellness Center staff will wear face coverings for their entire shift unless they are taking a break or working at their personal workstation. Q: ARE FACE COVERINGS REQUIRED IN THE LOCKER ROOMS? A: Yes. When you are walking around the Wellness Center or using the locker room, not exercising, you are expected to follow the face covering guidelines for downtown Bartlesville. Q: ARE FACE COVERINGS REQUIRED IN THE ELEVATOR? A: Yes. To align with headquarters facial coverings are required on elevators in Bartlesville. SOCIAL DISTANCING Q: WHAT IS THE GUIDANCE FOR SOCIAL DISTANCING IN THE WELLNESS CENTER? A: While exercising, members are asked to maintain a 6-foot distance from those around you. Avoid gathering in large groups and refrain from handshakes and high-fives. If social distancing expectations are not followed by others, use your Stop Work Authority to correct the situation. Q: WHAT IS THE GUIDANCE FOR SOCIAL DISTANCING IN THE LOCKER ROOMS? A: Various day-use lockers have been taken out of order to encourage social distancing. Do not use day-use lockers with a “Do Not Use” sign posted. If you would like to move your rental locker location to increase the distance from others, please visit the Fitness Center front desk to make this change. For all lockers, please remain directly in front of the locker you are using to allow comfortable social distancing for others. Please be patient if you need to wait for a changing area to become available.
The bathroom stalls and showers will be available but be mindful of social distancing and stagger use. Q: HOW MANY PEOPLE ARE ALLOWED ON THE ELEVATOR AT ONE TIME? A: To help with maintaining proper social distancing, elevator occupancy will be limited to a maximum of two people. SCREENING Q: HOW SHOULD I SELF-SCREEN PRIOR TO VISITING THE WELLNESS CENTER? A: Ask yourself the following questions before visiting the Wellness Center: 1. Am I currently experiencing cold or flu-like symptoms, including a fever of >98.6F orally, cough, shortness of breath, OR have I lost my sense of taste or smell? 2. In the last 14 days, has a household member had COVID-19-like symptoms or been presumed/confirmed positive for COVID-19? 3. In the last 14 days, have I been in close contact with someone outside of my household who was presumed/confirmed positive for COVID-19? If you answer “yes” to any of the three questions, please stay home. Q: WILL THERE BE DAILY TEMPERATURE CHECKS? A: Yes. Use of the temperature screening kiosk is required. If you do not use the kiosk, you will not be permitted inside the building. The scanner in the Adams Building south lobby Wellness Center entrance is not connected to the badge access system. Please scan your temperature prior to badging in with your Wellness Center barcode. Instructions for using the temperature kiosks: • Approach the scanner and stand approximately 1.5 feet away from the device. • Ensure your face is within the white outline on the device. • The scanner will indicate your temperature. o If your temperature is within the proper range, the LED bar at the top of the scanner will turn green. Continue to scan your Wellness Center barcode at the scanner. o If your temperature is elevated, the LED bar at the top of the scanner will turn red. Step aside and try again after five minutes. If your temperature is still elevated, you will not be allowed to enter the facility. If you are a Phillips 66 employee, leave the building and contact your supervisor and Health Services. • Do not piggyback another employee or allow someone to enter under your temperature screening. Members are required to complete the screening process before entering the Wellness Center.
Q: I’M A CONOCOPHILLIPS EMPLOYEE, WILL I BE REQUIRED TO COMPLETE A DAILY TEMPERATURE CHECK? A: Yes. Automated temperature scanners have been installed at various entry points including the main lobbies of the Plaza Office Building (POB) and the Information Center (IC). If you enter through one of those main lobbies, you will need to use the automated temperature scanner. Follow the process outlined below: • Face the scanner from approximately 18 inches away. • Scanning should take 3-5 seconds. To ensure an accurate reading, please wear your mask low on your face while still covering your mouth and nose. Hold hot liquids away from your body. • If the scanner gives a green message at the bottom left of the screen, badge and proceed through the turnstile. • If the scanner gives a red message at the bottom left of the screen, please see the security guard. Members are required to complete the screening process before entering the Wellness Center. FACILITY OPERATION Q: WILL THE HOURS OF OPERATION BE DIFFERENT? A: Yes. To ensure the Wellness Center staff have ample time to complete the required screening process and increase the cleanliness of the Wellness Center, the hours have been temporarily adjusted. The Wellness Center will be open Monday – Friday 6 a.m. – 7 p.m., Saturday 7 a.m. – 12 p.m. The Aquatic Center will be open Monday – Friday 6 a.m. – 1 p.m., Saturday 7 a.m. – 10 a.m. The Bowling Center will be open Monday – Thursday, 11 a.m. – 1 p.m. Q: ARE THERE CAPACITY LIMITS? A: Yes. There are capacity limits for the Fitness Center, Gymnasium, Aquatic Center, Bowling Center and group fitness studios. Capacity limits have been posted at the entrances of each space. Please adhere to these guidelines. The Wellness Center staff will have the ultimate authority to restrict access so capacity limits are not exceeded. Members that typically work out during peak hours, such as lunch, are encouraged to consider utilizing the facility during non-peak hours so capacity limits are not met. Capacity will increase in a phased approach as Phillips 66, CDC and state restrictions are lifted. Updated capacity limits will be posted as the phased changes begin. Q: WILL NON-EMPLOYEE MEMBERS HAVE ACCESS TO THE WELLNESS CENTER? A: Upon initial re-opening, only Phillips 66, ConocoPhillips and ChevronPhillips employee members will be invited to use the Wellness Center. At this time, only business-critical visitors
with approval from a Bartlesville Leadership Team member are allowed into Phillips 66 buildings. As Phillips 66 visitor guidelines change, additional membership groups will be invited to use the Wellness Center. Q: CAN I TAKE A TOUR OF THE WELLNESS CENTER TO SEE THE CHANGES, BETTER PREPARE FOR MY WORKOUT AND INCREASE MY COMFORT? A: Yes. Once your membership group is invited to begin utilizing the Wellness Center, you are welcome to take a tour. If you would like a guided tour to learn additional details about the changes made and new protocols in place, stop by the Fitness Center desk and a staff member will assist you. Q: WHEN ARE FUTURE PHASES PLANNED? A: We will continue to monitor Phillips 66, CDC and state guidelines to determine when it is safe to transition to future phases. Given the fluid nature of the combined guidance, we will regularly monitor the information and prepare for next steps. Members will receive communication as future phase dates are determined. AMENITIES Q: WILL ANY EQUIPMENT BE UNAVAILABLE? A: Yes. Various equipment items have been taken out of the facility. Equipment considered a “soft good” made of porous material or a high-touch item has been removed. Examples of these items include, but are not limited to, foam rollers, yoga blocks and straps. Q: WILL EQUIPMENT BE OUT OF ORDER DUE TO SOCIAL DISTANCING? A: Yes. Various items of equipment have been taken out of order to encourage social distancing. Do not use equipment with a “Do Not Use” sign posted. Larger equipment such as cardio machines and selectorized weight equipment will be on a rotating “out of order” schedule to provide a variety of available options. Q: WHEN WILL THE UNAVAILABLE AND OUT OF ORDER EQUIPMENT BECOME AVAILABLE AGAIN? A: Equipment availability will be adjusted in a phased approach as Phillips 66, CDC and state restrictions are lifted. The volume of equipment with “Do Not Use” signs posted will decrease as the phased changes begin. Soft good and high-touch items will become available as phases continue.
Q: WILL GROUP FITNESS CLASSES BE AVAILABLE? A: Upon initial re-opening, in-person instructor-led group fitness classes will not be available. However, the Wellness Center staff have created fitness videos for members to follow. Those videos can be found on the Fitness Services website. The password is Fitness. You can also enjoy the entire suite of LES MILLS OnDemand classes at any time via the downloadable app. LES MILLS OnDemand classes are available to members at a special rate of $9.99 per month with a free 30-day trial. Get unlimited access to LES MILLS OnDemand workouts through the affiliate website. Q: WILL PERSONAL TRAINING BE AVAILABLE? A: In-person personal training is now available. If you’re looking for some assistance with your workout routine or need help getting started, the Bartlesville Wellness Center will be offering in- person personal training with a certified personal trainer to ensure that you get the most out of your workouts and allow you to take your fitness to the next level. Social distancing and cleaning protocols will be maintained for your health and safety. To learn more about personal training rates and the personal training staff, visit the Fitness Services website. Personalized digital coaching is also available to Phillips 66, ConocoPhillips and ChevronPhillips employees. Visit the Fitness Services website for the registration link and follow these simple steps: 1. Enter your company email address to confirm you are eligible 2. Register for remote coaching 3. Click the link in the confirmation email to schedule a one-on-one consultation 4. Finish scheduling through Calendly and start your program with ongoing support from your coach Q: WILL GROUP SPORTS SUCH AS BASKETBALL, VOLLEYBALL OR BADMINTON BE AVAILABLE? A: Upon initial re-opening, group sports will not be available. Members may pick-up sports equipment from the front desk for individual use. Limited sports equipment will be available to encourage social distancing. Members are asked to drop off equipment in the Disinfection Zone following use. Q: CAN I RUN THE STAIRS IN THE GYMNASIUM? A: Yes. Members may run the stairs and use the bleachers as part of their workout. Please maintain social distancing from other members and abide by all safety guidelines. Q: CAN I RESERVE THE GYMNASIUM OR BOWLING CENTER FOR A TEAM BUILDING EVENT? A: Future reservations can be made; however, group events will not be scheduled upon initial re-opening to encourage social distancing.
Q: WILL THE BOWLING CENTER BE OPEN? A: Yes. The Bowling Center will be open with reduced capacity. Every other lane will be open. Paper scorecards will be given to members before play and won’t be collected by the staff. The staff ask that members verbally report the number of games bowled. Q: HOW WILL THE BOWLING EQUIPMENT BE CLEANED? A: Phillips 66-owned bowling balls can be left in the ball return following use. The Bowling Center staff will clean the bowling balls before returning them to their storage location. Bowling shoes and pencils can be turned back into the staff and will be cleaned with antiviral spray and sanitizing wipes. Q: WILL THE AQUATIC CENTER BE OPEN? A: Yes. The Aquatic Center will be open with reduced capacity. Lap swim lanes will be open to three people per lane. Swimmers are encouraged to stop for breaks on opposite ends of the pool of fellow swimmers. Benches have been marked where personal belongings can be placed to encourage social distancing. Pool equipment will be available for use since all equipment is submerged in the pool water that is treated with chemicals and UV lights that will kill viruses and bacteria. Q: WILL THE SPLASH CLUB PRACTICE IN THE AQUATIC CENTER? A: Yes. Splash Club practices will take place in the Aquatic Center following the hours available for member use. The timeframe will not overlap. Q: WILL FITNESS ASSESSMENTS BE AVAILABLE? A: Upon initial re-opening, fitness assessments will not be performed. However, Phillips 66 employees who were unable to complete their free birth month fitness assessment during the facility closure will be able to schedule their assessment once fitness assessments become available. The Wellness Center staff will honor those missed assessments. Q: WILL MASSAGE THERAPY BE AVAILABLE? A: Massage therapy is available to employee members in the newly rejuvenated massage therapy room. Enhanced health and safety protocols are in place. • Appointments are required to allow time for social distancing and cleaning protocols between clients. Contact the main Fusion office at 918-331-3855 to schedule an appointment in the Wellness Center massage therapy room. • Massage therapist will wear a facial covering during the entire massage and follow all Phillips 66 site face covering requirements and temperature screenings • Clients will wear a facial covering when face up on the massage table • The client and massage therapist will be asked to wash their hands before the session begins • Disinfection of the table, headrest and high touch items will be done between clients
Q: WILL TOWELS BE AVAILABLE? A: Yes. Workout and bath towels have been freshly laundered following CDC guidelines and will be available for member use. Towels can be picked up from the front desk. We ask that only members with towel service locker room access pick up bath towels. Please dispose of your used towels in the provided bins. Q: WILL THERE BE A CHANGE TO ANY LOCKER ROOM AMENITIES? A: Yes. High-touch items such as handheld hairdryers and hangers will be temporarily removed from the locker rooms. Q: WAS I CHARGED FOR MY LOCKER DUES DURING THE WELLNESS CENTER CLOSURE? A: No. Locker dues were suspended during the Wellness Center closure. Locker dues will begin the first full month the Wellness Center is open and your membership category (i.e. employee, retiree) is invited to use the Wellness Center. Q: WILL WELLNESS CENTER AMENITIES BECOME AVAILABLE AGAIN? A: Yes. Wellness Center amenities will become available on a phased approach. Availability of amenities will be adjusted as Phillips 66, CDC and state restrictions are lifted. Once amenities begin to become available, guidelines will be communicated to encourage spatial awareness and health and safety practices.
