Exhibitor Manual for EduCanada Latin America Tour 2018 We are delighted that you have chosen to exhibit at the EduCanada Fairs in Latin America. In this manual you will find all the information you need about booking your accommodation, your flights, shipping your materials, creating your online profile in advance and enhancing your presence while you are at the fairs. Booths/Tables Fair setup varies from city to city. Some cities have booths with tables inside, while others have tables without a booth. In all cities, exhibitors are provided with: - One table and four chairs. - One electricity outlet. - WiFi connection. Cities with Tables: Cities with Booths: - Santa Cruz - Lima (6sq meters: 3 x 2 meters) - Panama City - Bogota (6sq meters: 3 x 2 meters) - Guayaquil - Medellin (6sq meters: 3 x 2 meters) - Quito - Cali (6sq meters: 3 x 2 meters) - Santiago - Buenos Aires Each in-line booth has 7 panels, 3 back panels and 2 on each side. On average, there is 1 meter (3 ft / 3.4 in) of Corner booths have 5 panels, 3 back panels space around the outside of each table. and 2 on one side. 6
Visible area per panel: Lima: 95 cm width x 240 cm height. Bogota: 96.5 cm width x 231 cm height. Medellin: 96.5 cm width x 231 cm height. Cali: 100 cm width x 240 cm height. Customize your Booth: Booths may be customized with printed panels as shown in the pictures below. Each panel is USD 140. An in-line booth has 7 panels. A corner booth has 5 panels. If you are interested, please contact your FPP representative, or write to talkto@fppedu.media. Event Halls Event halls will open three hours before the start of each fair for exhibitors to set up display materials. If you have requested a translator or stand assistant, they will arrive half an hour before the start of each student fair to meet and talk with their institution representatives. Food and Drinks Coffee, tea, water and light snacks are available to institution representatives and their assistants during the events. Lunch is not provided. Exhibitor badges are required to enter the coffee break area.Exhibitors are not permitted to distribute food or drinks to attending students. Marketing Materials Materials shipped using the instructions provided below will be delivered to your table prior to the opening of the fair. All marketing and display materials are to be provided by the exhibiting institution. No promotional material from education agents, including but not limited to, business cards, flyers, brochures, swag or apparel shall be used, displayed or distributed at the booth/table or at the event. Promotional material will be limited to material supplied by the brand eligible institution. Display of Materials Event venues request that materials should not be attached to walls but rather displayed on your table. Some venues allow hanging materials on the walls as long as they don’t damage the surface. Tacks, tape, etc. are not provided. To display materials, such as banners, it is advised to bring freestanding mounting equipment. 7
Seminar Rooms Seminar rooms are located near the main EXPO room and include an LCD projector, screen, laptop and sound system. FPP staff will be at the exhibitor's booth 10 minutes before the presentation to collect the presenter. Exhibitors should bring their presentations on a pen drive. If audio for videos is required, please let your FPP representative know in advance, as some venues require prior notice. Punctuality Opening of fairs have been delayed in the past sometimes due to some institutions that were not ready on time. To prevent this situation, we strongly recommend exhibitors to set up as early as possible, at least one hour before the events. Setting up early avoids delays at the start of the event and/or setting up while students are entering the room, which may give an unprofessional image to both the event and your institution. Material Safety It is important to keep a close watch on all your valuables during the student fairs especially when there is high traffic. Do not leave electronic devices such as laptops, iPads and mobile phones unattended at your booth. FPP EDU Media recommend using locks with laptops. FPP EDU Media will not be responsible for any lost/stolen laptops or devices. Power, Internet Connections and Audio Visual Equipment Electrical outlets and internet are included and will be available upon your arrival at the fairs. Additional equipment can be arranged for each exhibiting institution upon request and will carry an additional cost. For any request please write to educanada@fppedu.media Check the Travel Tips section and please bring your own international power adapter, as we will not be able to provide one. 8

Visas Visa for Latin America Canadians DO NOT require a visa to enter Colombia, Panama, Chile, Ecuador, Peru & Bolivia. For Argentina, Canadians DO NOT require a visa but will need to pay a reciprocity tax on arrival. All institution representatives are encouraged to consult their travel agents and/or official sources at all times in regards to visas. Shipping Materials Shipping materials basics Before shipping your material: - Please read the shipping section carefully, and follow the recommendations. - Fill-in the shipping labels before printing. - You must put a label on each item you are shipping. - IMPORTANT: Make sure you inform your international courier that all fees and custom taxes are payable by the sender, and not the recipient, (called DDP - Delivery Duty Paid). If custom taxes are to be charged to the recipient your boxes may be rejected. After shipping your material: - Provide the tracking number to the representative(s) that will be exhibiting at the Fair. - Track your shipments and sign-up for your courier's automatic alerts. - Check on the status of your shipment, and inform your FPP representative of any concerns. Having no materials will affect your recruitment Shipping materials can, at times, be problematic and lead to delays. Being at a student fair without brochures or promotional materials will affect your outcome from the fair and the branding of your institution. These recommendations are based on the information provided by FedEX, UPS, DHL and customs representatives. WE ENCOURAGE YOU TO CAREFULLY READ THE RECOMMENDATIONS ON HOW TO SHIP MATERIALS AND TO USE THE LABELS WE PROVIDE. The following is a comprehensive guide to help you know what you can do to ensure that your materials arrive at the events without any problems. General Shipping Recommendations 1. Always carry one set of materials in your baggage. 2. IMPORTANT: Make sure you inform your international courier that all fees and custom taxes are payable by the sender, and not the recipient, (called DDP - Delivery Duty Paid). If any taxes are to be charged to the recipient your boxes may be rejected. Shipping of materials to events and any associated costs are the sole responsibility of the exhibiting institution. 3. Ship two to three weeks before the start of each event. Please do not send materials more than three weeks prior to event commencement. If materials arrive more than two weeks prior, the recipients reserve the right to reject them. 4. Make sure you fill-in the details before printing the labels. Please write the name of the institution, contact person, phone number and country, to help identify the owner of each package. These labels also help to distinguish our event packages from other packages. Incorrectly labelled boxes are more likely to be misplaced and potentially lost. 5. Do not insure your packages. Insured packages are subject to customs controls, which result in delays. 6. Always include the original commercial invoice, detailing the exact content of the package, and avoid using general terms in the content description. 7. Do not declare a value of zero. A certain value must be declared for every package sent. A value of zero or a very low value will likely result in boxes being sent for more customs checks and possible delays. 8. Track your shipment. All couriers provide a tracking number, so you can keep an eye on your shipment by accessing the courier’s website. Most couriers offer the possibility to sign-up for updates. Check the status of your shipment and inform us immediately of any concerns. Spotting a customs problem in advance may help expedite the delivery if action is taken. An unreported customs problem may result in undelivered materials and extra fees. 9. Inform your representative(s). Provide the tracking number to the representative(s) that will be at the Fair. A missing package is most easily found, when the tracking number is quickly provided. We recommend not send more that this limit or change the name of the sender. PLEASE USE ONLY PRIVATE COURIERS. 2. Shipping to Bolivia Unfortunately, there are heavy restrictions to material being shipped to Bolivia. We recommend not to ship materials, but either travel with them as luggage, or print locally. Never exceed 50 kg (110 lb), any shipment exceeding this limit will be considered as an importation of goods and it will be impossible for FPP EDU Media to take them out of customs. If you want to send more than this limit, do it separately, waiting at least 4 days between one shipment and another. 2. Never exceed USD 1000 on the declared value, any shipment exceeding this limit will be considered as the same situation explained in item 1. 3. Complete and correct information of the recipient is needed, complete address, telephone no., contact person and the RUC number, this number is a legal identification of companies in Peru and it's used for taxes purposes. 4. Always include the original invoice. Any material sent to Peru should be described specifically, avoiding the use of general terms. 5. Never declare 0 value, a certain value must be declared for every package sent to Peru. 6. When declaring value for brochures, Peruvian Customs estimates an average of USD 8 per kg (2.2 lb) of printed papers. 7. For other materials, declare the real value of the goods. 23
8. Do not send brochures or flyers that contain the map of Peru, any brochure with the Peruvian Map is subject to further bureaucracy, and will be impossible to get it out of customs. 9. Avoid sending CDs or DVDs to Peru by post, especially containing software, as they are inspected and are subject to additional taxes and documentation which may cause delay. 10. There are no formal restrictions for weight or size, although standard box sizes and weight should be respected. Shipping to Ecuador Unfortunately, since 2013 there are heavy restrictions on printed matter being shipped to Ecuador. We recommend not to ship materials, but either travel with them as luggage, or print locally. The art 55 of the "Reglamento General de la Ley Orgánica de Comunicación" forbids the importation of promotional material such as catalogs, magazines, agendas, etc. FPP EDU Media can help with printing locally, let us know and we'll be glad to help you to overcome these customs restrictions. If you decide to ship, we recommend sending very small packages (preferably envelopes). Shipping to Panama 1. Never exceed 50 kg (110 lb), any shipment exceeding this limit will be considered as an importation of goods and it will be impossible for FPP EDU Media to take them out of customs. If you want to send more than this limit, do it separately, waiting at least 4 days between one shipment and another. 2. The shipment must not exceed these measurements - length 118cms (46in), width 88cms (35in), height 120cms (47in). 3. If you want to send more than this limit, do it separately, waiting at least 4 days between one shipment and another. Another alternative is using different couriers, but if by any means the packages coming from the same sender are grouped together in the Colombian customs, they will be considered as one and the weight will be combined. 2. Fair Rules These rules aim to facilitate a better Fair for all exhibitors and must be respected at all times. They are included in the Terms & Conditions agreed to at the time of registration. Exhibitors breaking these rules will be notified by a staff member. If the exhibitor is deemed to be continually and intentionally breaking these rules, the offending exhibitor will be asked to leave the premises without refund. Space Each exhibitor shall occupy the space allocated to him exclusively. The exhibitor should not invade the space of other exhibitors. The exhibitor may not assign, sublet, transfer the space or grant licenses in respect of any part of the space allotted to him/her nor, may s/he advertise firms who are not a party to the contract. Maximum number of people The maximum number of representatives for a single booth/table is five people. The organizers may accept more than five names for the purposes of badge-creation, but no more than five people should be at a single booth/table at the same time. If the customer would like to bring more than five representatives, a larger space should be contracted. Flyer or material distribution Exhibitors shall not distribute materials or flyers outside of their allocated space. Distributing flyers, placing banners or any signage outside of the allocated booth/table is not permitted. Scanning students Scanning students can only be done at each exhibitor’s booth/table, or at seminar rooms during the institution's seminar. Scanning students in any other place is not permitted. Smoking, food and drinks Smoking is not permitted at any of our Fairs. The distribution of food or drinks to attending students is not permitted. Damages to premises or materials Exhibitors are responsible for any damage caused to the premises, furniture and any other materials provided to them. Timing All exhibitors should be ready at their booths at the Fair start time. They should not leave until the fair has concluded. Empty booths provide an unprofessional image of both the event and your institution. 27
Agent Guidelines 2018 Edu-Canada Latin America TourGuidelines for participation by education agents representing a Canadian institution This document defines the rules for education agents participating in the 2018 EduCanada Latin America Tour Events. These parameters are intended to ensure the integrity of the EduCanada brand and the participating institutions. 1) No agent can register for a fair. If a Canadian institution (or school board) delegates an agent to participate, they must advise so in the online registration. This applies if a Canadian institution invites an agent to assist them at the fair. 2) Education agents assisting Canadian institutions at the fair shall not advertise their own services on any of the booth/ table decorations. Only the name of the Canadian institution shall be displayed on the signage. 3) No promotional material from agents, including but not limited to, business cards, flyers, and brochures, shall be displayed or distributed at the booth/table. Promotional material will be limited to material supplied by the Canadian institution. 4) Promotional material from non-participating schools or non-Canadian educational jurisdictions is strictly forbidden. 5) Canadian institutions that are represented by their local agent or that invite their local agent to assist them at the fairs are required to ensure that agents fully adhere to these guidelines. 6) The Embassy or High Commission of Canada in the country reserves the right to remove a local agent from a fair if they do not comply with the rules laid out in this document. 28
