Dear Applicant Thank you for expressing an interest in the post of Executive Assistant to the CEO at Bullers Wood Multi Academy Trust. The information in this pack will, we hope, give you a good flavour of the school, as well as the application procedure and I hope having read it, you will decide to apply. This post is available 1st September 2021 and offers an exciting opportunity, in a new role, created to support the Executive Team and Trustees in our Multi Academy Trust. The successful candidate will work closely with me, alongside the supportive and experienced Executive Team, to successfully accomplish the next phase of our strategy and vision. The role will grow from an initial part-time position in-line with our Trust growth. The Trust was formed in February 2018 following a successful application under the Free Schools programme to open a secondary boys’ school to join the existing and very successful girls’ school. Our girls’ school was last fully inspected by Ofsted in May 2011 and we were awarded Outstanding. The report is available on our website. We are very proud of our achievements and in recent years we have been congratulated by the Minister of State for Schools on our achievements at GCSE level, placing us in the top 100 non-selective state- funded schools in England. In addition, we were in the top 100 for pupils achieving the English Baccalaureate. We have also regularly been in the top 10% nationally (out of over 2,500 schools and colleges) for our A level performance assessed by ALPS. The successful candidate will join our Trust at an exciting time as September 2018 saw the opening of a new secondary free school, Bullers Wood School for Boys, who are now situated in their brand-new permanent building. Our two schools led to the establishment of the Bullers Wood Multi Academy Trust, giving opportunities for enhanced professional and career development for colleagues working within the Trust. The Role Job title: Executive Assistant to the CEO Reports to: CEO Start Date: September 2021 (negotiable) The role would initially be offered on a part-time basis: 36 hours a week / 38 weeks a year and grow to a full-time position (52 weeks a year). Overall Purpose To provide support and assistance to the CEO across the full range of their leadership: • Organisational management • External/internal including relationship management To provide logistical and administrative support to the Executive Team and Trustees as delegated. Key Responsibilities Support for the CEO’s organisational management and leadership • Support the CEO with organisational planning and tracking delivery of the annual work programme and priorities • Set 1-2-1 meeting dates and support effective communications with the CEO’s line reports • Fix dates, orchestrate agendas, papers, and minutes for meetings of the Executive, Senior Managers and others led by the CEO as required, chasing actions • Assist with the production of high-quality presentation materials • Support in the creation of regular Trust bulletins and newsletters Support the CEO’s external leadership • Support the CEO in developing and maintaining excellent relationships with key external stakeholders • Drive the setting of regular meetings with agreed external contacts; planning dates, booking venues, liaising over agendas and ensuring prompt thanks and follow up. • Support the Trust’s social media work and use of technology • Manage important and urgent e-mails and telephone calls and act as an interface between the CEO and other staff whilst the CEO is out of the office • Manage travel and logistical arrangements for the CEO • Track complaints, record data and report to the Executive Team and Trustees 3|Page
Support the Executive Team • Assisting the Executive Team with the production of high-level papers and presentations Support the CEO’s office • Organise CEO’s diary • Ensure effective electronic and paper filing and record keeping including accurate recording of expenses • Work closely with the finance team to plan and monitor the CEO budget • Respond promptly and positively to staff requests for dates, information and advice Support to the Chair of Trustees and Governance • Support the Chair’s diary as it relates to BWMAT business • Support the Chair and Trustees in developing and maintaining excellent relationships with key stakeholders including regular communication • Make logistical arrangements for the Trustees on BWMAT business. • Set dates for Trustee meetings and produce Trust wide calendars (in liaison with clerk to LGBs) business agendas for Trustee meetings and manage all logistics such as accommodation and refreshments • Track actions from Trustee meetings and ensure that the Executive Team are informed of their actions • Act as a first point of contact for Trustees and Members for meeting related enquiries and constitutional matters • Maintain statutory records with the ESFA and the DFE • File annual returns at Companies House and other documents including directors’ report and audit report, and financial statements including assets and liability • Undertake skills audits of Trustees, produce training plans and arrange events as required to deliver training. • Supporting with the drafting and production of the Annual Report • Support members with setting up meetings and lead on the recruitment and induction of Trustees as required Key Experience • Have good written and verbal communication skills; attention to detail is essential • Be able to work cross-functionally and form strong working relationships internally with all staff, Headteachers, the Executive team and Trustees • Have good project management, planning and organisational skills; must be able to manage own time, prioritise and meet deadlines without compromising on quality • Be able to adapt well to change in a fast-changing environment • Have strong PC skills including Microsoft Office and Teams Essential • Experience of working with a senior management team 4|Page
• Experience of working with both internal and external stakeholders • Ability to work flexibly and creatively • Self-motivating and uses own initiative when making decisions and recommendations. • The ability to remain calm and objective when under pressure • Excellent organisational skills, ability to organise others and self and manage several projects running at once. • Proficient in the use of IT programmes such as Microsoft Office and Teams to an expert level. • Excellent attention to detail • Ability to meet various deadlines. • Must exercise discretion when dealing with confidential or sensitive information. • Professional telephone manner. • Able to use own initiative and able to work alone. Confident to work within limited guidance, clarity and structure. • Able to form strong relationships with colleagues and outside parties. • Experience of organising meetings and taking minutes. Desirable • Educated to a degree level or equivalent • Experience as a Company Secretary • Experience of organising events The salary for this position is in the BR7 range £24,677 to £26,617 per annum dependent upon skills and experience. The pro-rata salary would be dependent on days and hours agreed. (Pro-rata salary based on £24,677 for 36 hours a week and 38 weeks a year would be £20,154.11) The annualised salary is paid in 12 monthly instalments. The successful candidate must be willing to uphold the ethos and policies of the Trust, including the commitment to safeguarding and promoting the welfare of children and young people.
