This is a licensing requirement – all preschool children must have current medical records on file in order to attend school. For new students, bring your child’s medical records on the 1st day of school. For returning students, remember to update your child’s medical records at their next check up. We are honored that you have chosen us to be part of your child’s early educaAon and care during these most precious preschool years. Our primary objecAve is to provide superior ChrisAan educaAon in a nurturing atmosphere embracing the whole child. We believe that children should learn in an stress-free, safe environment where teacher-guided and free-expression acAviAes are combined to enhance each child’s spiritual, emoAonal, social, physical, and cogniAve development. The Day School uses a blend of creaAve curriculums designed to provide posiAve experiences for preschool children. We focus on the process rather than the product. Through themed-based studies and invesAgaAons, children are encouraged to be creaAve, confident thinkers. This is achieved through learning centers, and large and small group acAviAes. Our creaAve curriculum supports acAve, “hands-on” learning and promotes progress in all developmental areas including mathemaAcs, science, language, and pre-reading skills. Over the past 32 years, the Day School has had an open-door policy and welcomed our wonderful parents and grandparents into the school and classrooms to parAcipate in their children’s preschool experiences. So much has changed in just the past 6 months and it saddens us that some of our programming will need to change to maintain a safe environment. We may look a liOle different from the outside, but inside, we have the same ideals and principles. Our teachers are working on effecAve ways to communicate with each parent and to share their child’s preschool experiences through pictures and videos. We will remain diligent to the recommendaAons of the CDC and the Florida Department of Children and Families. The Day School has adopted guidelines to help control the spread of COVID-19 and other illnesses. I have included these measures on the following page. Please read over these guidelines and procedures which we will be following throughout the 2020–2021 school year. Back to School 2020 - 2021 Friday, August 7, 2020 Bay Hope Day School / 2020 - 2021 Guidelines New Hours of Operation: The Day School has changed the hours of operation to 7 am to 6 pm. All full-time lead teachers will be in their classrooms at 7:00 am to receive children. All full-time assistant teachers will remain with their students until the end of the day. This change is necessary to keep each group of children in their assigned classroom and not mix or interact with children enrolled in other classrooms. Teachers schedules will be changed accordingly to eliminate morning and aftercare. No Access Policy: Only Day School staff will be allowed to enter the Day School. Health Screening: All children and staff will have their temperature taken upon arrival. Please do not send your child to school if your child is experiencing any respiratory infection, cough, shortness of breath, or fever including low-grade fever. (Also, keep your child home for 14 days if they have had any contact with someone experiencing a respiratory illness or if they’ve been in contact with persons who have traveled outside the United States.) Hand-Washing: Children will be asked to wash their hands upon arrival, before and after meals and snacks, as they move from center to center, and after using the restroom and as needed. Classroom Sanitizing: Classrooms will be sanitized daily, as well as a special weekly sanitizing measure whereby classrooms are misted with a sanitizing solution. Teacher/Child Ratios: Child Care Licensing has returned to normal. However, we will be keeping each class separate. Children will not mingle or come in contact with children enrolled in other classrooms. Hillsborough County Ratios: 2-yr old: 1 to 11 / 3-yr old: 1 to 15 / 4-yr old: 1 to 18. However, the Day School strives to have two teachers in each classroom whenever possible, therefore we have assigned two teachers per classroom - which is double the teacher to child ratios. Mandatory Absence Reporting: Parents must report their child’s absences. Report your absences via text message to: 813-461-3647 or email to: absent@bayhopedayschool.com Confirmed Cases of COVID-19 as per Child Care Licensing: If a case of COVID-19 is confirmed in a childcare program, providers should immediately notify parents and other relevant contacts. In addition, the classroom should temporarily close and follow disinfecting procedures as outlined by the County Health Department and CDC. Additional information may be found on the CDC website: http://www.cdc.gov/coronavirus/2019-ncov/ community/oranizations/cleaning-disinfection.html. All children and teachers assigned in a classroom in which a case of COVID-19 is confirmed must quarantine at home for 14 days. Proper COVID-19 Reporting: For confidentially, please report confirmed cases immediately to the Day School office at 813-960-1694. If you or your child comes in contact with someone who tested positive for COVID-19, you must report to the Day School office immediately. For accounting and accountability purposes, if you were advised to be screened for COVID-19, do not send your child to school until you and your child have either quarantined for 14 days, or receive negative results for Coronavirus. As per Child Care Licensing, all Day School parents will be notified if a confirmed case is reported to the Day School , even though your child did not have contact with the confirmed case. Back to School 2020 - 2021 Friday, August 7, 2020 Face Masks & Prevention At this point, we have no plans for preschool children to wear face masks. However, if Child Care Licensing makes it mandatory (hopefully, not) we will need to follow suit. But as it is now, licensing has a stance that is it not feasible for preschool children to wear masks. Licensing has determined that it is not feasible for preschool teachers to wear face masks. However, the CDC advises otherwise. So at this time, this matter is left up to the discretion each individual teacher. Teachers will be wearing face masks whenever feasible. There will be times when the teachers will wear them, such as when they cannot practice social distancing, and times when they will not, such as during playground time. We will be following the CDC recommendations for face coverings in public places and work places whenever social distancing cannot be maintained. Teachers will only enter classrooms in which they are assigned. Office staff does not enter classrooms unless absolutely necessary. If we need to enter a classroom, a face mask will be used. We take temperatures of each staff member upon arrival, and practice proper hand washing procedures for teachers and children. The teachers disinfect the classroom throughout the day and at the end of each day. In addition, classroom toys are misted at least twice a week with a special sanitizing solution. For the health of the children and staff, we want to make sure we are taking measures to keep everyone safe. These are certainly different times for all of us. Children are used to seeing people with masks on - it’s the new normal. During drop off and pick up time, teachers and staff will wear a mask and try to remain six feet from each parent. However, for the safety of the children especially during pick up, we cannot always maintain this distance. To help control the spread of viruses, we do not usually touch the child or hold their hand during drop off and pick up time. Bay Hope Day School 5
Back to School 2020 - 2021 Friday, August 7, 2020 Mandatory Drop Off & Pick Up Line for Full-time Students All cars must enter the Day School parking lot entrance off of Lakeside Drive. (Remember, there is a designated Entrance and Exit on Lakeside Drive, so be careful to use the correct entrance/exit when entering/exiting the parking lot. Please remember to put your car in park and assist your child in/out of the vehicle. Parents will drop off and pick up at the Day School entrance pulling under the overhang. Car line will begin at 7:00 am and will continue through 6:00 pm. Children will be taken directly to their classroom. ___________________________________________________________________________ Mandatory Drop Off & Pick Up for Part-time Students (mornings only program) All cars must enter the Bay Hope Church entrance off Lakeshore Road (Do not enter the Day School parking lot.) Remember, there is a designated Entrance and Exit off Lakeshore Road, so be careful to use the correct entrance/exit when entering/exiting the parking lot. Parents will form a car line wrapping around the buildings using the outermost lane. Note: Do not park your car in the parking lot and walk up to drop off or pick up - for safety reasons, this will be strictly enforced. Car Line for Part-time VPK Students: Parents will drop off and pick up at the 1st overhang by the large mailbox before the Day School entrance. Please pull under the overhang and remember to place your car in park. Parents are responsible for assisting the children in and out of the vehicle. Your child’s teachers will be gathering the children assigned in their class. Please follow the schedule below. Caution: All traffic will exit the Day School parking lot off of Lakeside Drive. Please wait for traffic to clear - do not pass other cars in line. Drop Off: Part-time VPK (8:30 am to 12:15 pm) VPK Car Line Times: 8:10 am to 8:20 am Drop off: Part-time VPK (8:30 am to 1:15 pm) VPK Car Line Times: 8:20 am - 8:30 am Pick Up: Part-time VPK (8:30 am to 12:15 pm) VPK Car Line Times: 12:20 pm Pick Up: Part-time VPK (8:30 am to 1:15 pm) VPK Car Line Times: 1:20 pm ************************************************************************************ HOW TO USE THE PICK UP/DROP OFF SERVICE You will be given two (2) cards with your child/ren name. Please place the card facing outward on your windshield, or the front passenger side window when dropping off and pick up your child. When picking up, a staff member may ask for your ID if she doesn’t know you. Please do not walk your child up to the building or walk up to the teachers to pick up your child. Important: You must not be late picking up your child; there is no after-care for part-time students. Thank you for your cooperation!!! Bay Hope Day School 6
Back to School 2020 - 2021 Friday, August 7, 2020 Classroom Supplies We do not have a supply list. You were charged a supply fee to help cover the cost of the items your child will be using in the classroom, such as paint, paper, puzzles, toys, and games. (Part-time VPK students are not charged a supply fee as mandated by the state.) Teachers may provide you with a “Wish List” for any additional items the teacher would like to use in the classroom. Please volunteer to bring in an item or two if you are able. (Donations of Flushable Cleansing Cloths, Clorox Wipes, Band-aids and Kleenex are alway welcome.) Please keep in mind that the Day School staff members are not allowed to accept cash, checks or gift cards toward supply purchases. If you wish to donate to the classroom, you MUST purchase the item and give it to the teacher. Supply donations are greatly appreciated! Backpacks & Children’s Belongings Please provide a backpack for your child which he/she will use to carry lunchboxes (if applicable) snacks, etc. We will be sending backpacks home each day along with a communication folder. Please check your child’s folder daily for items which may need to be returned to the school or classroom. Likewise, teachers will be checking the folders daily. You may also send notes to teachers or send your tuition check in your child’s communication folder. Please label backpack, lunch boxes, snacks, extra clothes with your child’s name. Dressing for Preschool Your child should wear comfortable play clothes. Avoid excessive snaps and buttons. For safety reasons, closed-toe shoes are a must. Tennis shoes or soft sole shoes are best. Boots, sandals, crocs, and flip flops are not to be worn to school. Children wearing inappropriate shoes will not be able to use the playground equipment. Bay Hope Day School 7
Back to School 2020 - 2021 Friday, August 7, 2020 Extra Clothing Each child will need to bring an extra set of clothing, including socks and underwear, in a Ziplock bag labeled with your child’s name. Meal Planning & Snacks Child Care Licensing has mandated that we serve individually packed snacks for each student. It has been determined that we cannot accomplish this task. Therefore, this will be the responsibility of parents to provide daily snack or snacks for their child. Childcare Licensing has determined that certain foods are choking hazards. We will not be able to serve hard raw vegetables such as carrots. Also, we will be unable to serve nuts, hard candies and popcorn to preschool children. Hot Dogs, Grapes and small tomatoes must be cut lengthwise or in small pieces. Meal Planning for Part-time VPK Students (8:30 - 12:15 pm): Please provide a daily snack consisting of 2 items individually packed in a labeled snack-sized container. (Ex: crackers and cheese; animal crackers and fruit). Meal Planning for Part-time VPK Students (8:30 - 1:15): Please provide a packed lunch and a morning snack consisting of 2 items preferably from 2 food groups (see examples above). Back to School 2020 - 2021 Friday, August 7, 2020 Your child’s VPK Attendance/Part-time VPK Program There are important VPK Standards and Kindergarten Objectives are being taught each day. Please be conscientious of your child’s attendance by sending your child to school whenever they are able to attend. Timely attendance is key to your child’s success; please have your child here by or before the start of the program (8:30 am). Your child may attend later, if your child has a doctor or dentist appointment. According to the VPK Attendance Policy set forth by the State of Florida, your child is allowed to miss 28 days per program year. (September 14h – May 12th). Attendance on the 1st VPK day (September 14th) is mandatory unless your child is unable to attend due to illness. The State will not pay the Day School for any absences beyond 28 days. In the case of excessive absences, beyond 28 days, you may be asked to withdraw your child from the program. A copy of the VPK Attendance Policy will be sent home with your child. Please initial each statement and sign the policy and return to school. Please return the signed policy by Friday, September 18th. A copy of the Attendance Policy is attached for your review. (A wet ink copy is requested - please do not email the signed Attendance Policy back to the school.) You will receive a form each month with your child’s recorded attendance. Parents will need to verify their child’s VPK monthly attendance with a signature on the 1st day of the following month but no later than the 3rd of the month. We hope to acquire parent signatures when children are picked up at the end of their day. The Day School is required to upload your child’s attendance in the ELC provider portal by the 3rd business day of the following month. Thank you for your cooperation. Back to School 2020 - 2021 Friday, August 7, 2020 VPK ATTENDANCE POLICY 2020-2021 Welcome to the 2020-2021 VPK school year program! Our goal is to provide a high quality prekindergarten learning experience that will prepare your child to be successful in kindergarten. To obtain this goal, we recognize that regular daily aOendance is vitally important to your child’s kindergarten readiness. Our aOendance policy was adopted following Florida’s Voluntary Prekindergarten Program’s aOendance requirements. VPK A&endance Requirement: By ini&aling each item, you are verifying that you understand, and will comply with each requirement. It is important that parents adhere to the start Ame, as late arrivals are disrupAve to the group and awkward for the arriving child. More than three (3) tardies per month is unacceptable and could be cause for terminaAon from the VPK program. Absences cannot exceed more than 20% of the instrucAonal days each month. The 20% does not apply to scheduled holidays or other school closings. Please refer to our school calendar for holiday closure and plan your vacaAons in accordance with these dates. A child with excessive absences (more than 20% each month) may jeopardize his/ her conAnued enrollment in the VPK program. Parents are required to sign a monthly child aOendance cerAficate verifying their child’s daily aOendance in the program. Failure to do so could result in terminaAon of your child from the VPK program. If terminaAon from the VPK Program results due to the inability to follow the above requirements, you will be given the opAon of keeping your child enrolled, but paying the regular tuiAon rate. Back to School 2020 - 2021 Friday, August 7, 2020 Financial Q & A When is my Tuition due? Part-Time Programs (Mornings Only): Yearly tuition for part-time students is divided into nine (9 equal payments and is expected from September—May. Tuition is paid on a monthly basis and is subject to a late payment fee of $10 if not received by the 10th day of each month. Generally, you will not receive a monthly invoice for preschool tuition unless it is late. How do I make payments to Bay Hope Day School? Tuition Express: Tuition Express is our preferred payment method. You authorize Bay Hope Day School to do an automatic EFT (electronic funds transfer) through your checking or savings account. Withdrawals will be set up for transfer on Wednesdays of each month for part-time preschool tuition. Tuition Express forms can be downloaded from our school website. When enrolled in Tuition Express, you never have to worry about writing a check or missing a payment! Other Payment Options: We accept checks and money orders made payable to Bay Hope Day School. These may be dropped off at the front desk in the Tuition box. We do not have the equipment to process debit and credit cards. We cannot accept cash for tuition payment. We also accept online payments through your bank. To set up, use Bay Hope Day School as payee, use mailing address below. Use your child’s first & last name as the account number. It is important that you arrange this at least a week before your payment is due so that we receive payment on time, otherwise you will be charged a late payment fee.
