2019 Central New York Scholastic Art Awards About the Awards America’s Most Comprehensive Awards Program for Young Artists The Scholastic Art & Writing Awards were launched in 1923 to encourage and recognize student achievement in the creative arts. Now entering their 96th year, The Scholastic Awards attract over 350,000 entries in 29 categories of writing and the visual arts. Across the nation prizes and scholarships totaling more than $200,000 are awarded to students in grades 7-12. The program also enables winners to compete for an additional $500,000 in scholarships from 60 colleges and universities. National award recipients are honored at the Scholastic Art & Writing Awards National Events in New York City. The Scholastic Art and Writing Awards are projects of the Alliance for Young Artists & Writers, Inc., a not-for- profit organization. 1) What Opportunities Will I Have? • Regional Exhibition and cash prizes from $50 to $300 • National Scholarships and Cash Awards up to $10,000. • Additional Scholarships • Certificates of Achievement • Local and National Exhibitions • Publishing Opportunities 2) Am I Eligible? • Students in grades 7-12 who are currently enrolled in public or non-public schools in the United States, Canada, U.S. Territories, or in U.S.-sponsored schools abroad are eligible. 3) What Happens When I Enter? • In some parts of the country, including here in Central New York, the Scholastic Art & Writing Awards are administered by local organizations, called regional affiliates. The regional affiliate may be a gallery, museum, newspaper, library, etc. which accepts the submissions and conducts preliminary judging. Because you are from an area with a regional affiliate, you will first participate at the local level. If you are from an area without a regional affiliate, your work is forwarded directly to New York City to undergo preliminary judging. The Submission Guidelines linked at the national website will tell you where to send your submission(s). 4) How Do I Apply? • In the Central New York region (comprised of the following counties: Cayuga, Chenango, Cortland, Delaware, Herkimer, Jefferson, Lewis, Madison, Oneida, Onondaga, Otsego and St. Lawrence, you can enter through your school - ask your art teacher if your school participates in the regional program. 2019 Central New York Scholastic Art Awards Judging Criteria and Process Criteria Originality: All entries must be original work. If there is any doubt as to the originality of the work, it may be disqualified. For guidelines and information on the issue of plagiarism and copyright violation, please visit the following page on the Scholastic Art & Writing Awards website: Copyright & Plagiarism: A Guide for Students & Teachers Judges look for work that challenges conventions, blurs the boundaries between genres, and shifts notions of how a particular concept or emotion can be expressed. Judges are encouraged to look for works of art that surprise them and leave a lasting impression. Skill/Technique: Judges look for work that uses technique to advance an original perspective or a personal vision, and show skills being utilized to create something unique, powerful and innovative. Exhibition of technical skill alone is unlikely to be rewarded unless it’s exercised in the service of expressing an idea that is unique, powerful, and innovative and helps to highlight the srtist’s vision. Personal Vision: Judges look for work with a unique point of view and style. Process The Scholastic Art Awards are determined on a merit basis. ALL artwork is reviewed and judged without knowledge of the student’s identity, school or demographic information (gender, race, background, etc.). Judges will be made aware of students’ grade ranges. The digital adjudication system also displays the title of the work, materials and dimensions. Last year judges chose over 1,800 winners. The number varies from year to year as awards are allocated based on the total number of entries submitted as follows: • Gold Key Awards: 5% - 7% • Silver Key Awards: 7% - 10% • Honorable Mentions: 10% - 15% On average over 6,000 pieces of art are submitted from the 13 counties that make up the Central New York Scholastic Art region. The judging process results in an exhibit of about 1,600-1,800 total pieces. The remaining work is rejected. Return to the Table of Contents Page - 6

Understanding Copyright & Plagiarism The Copyright & Plagiarism guidelines are continually reviewed and updated to make them easier to understand. Be sure to read through them before submitting your work! While we all are influenced by the works of others, it’s important that the work you submit to the Scholastic Awards is an original piece created by you. You have a unique voice and vision, and we want to see the world through your eyes! Category Updates... 1. Video Game Design - This category has been broadened to include conceptual designs of playable games. See full description for details. New National-level Sponsored Awards... 1. ESA Foundation Award for Video Game Design $1,000 scholarship for 2 students The ESA Foundation Award for Video Game Design, underwritten by the Entertainment Software Association Foundation, provides two students who exhibit excellence in video game design with $1,000 scholarships. 2. One Earth Award $1,000 scholarship for 4 students The One Earth Award, underwritten by an anonymous donor, provides four students whose creative works encourage the awareness of, and meaningful responses to, pressing issues of climate change with $1,000 scholarships. 2019 Central New York Scholastic Art Awards NEW for 2019 (continued) REMINDER - Note How You Pay on Your Submission Form You must check a box at the bottom of your submission form indicating whether your submission was paid by check, online or with a fee waiver. Please note that the Central New York Region does NOT accept online payments. Whether you are actually sending a check/money order, or if you are using a Purchase Order from your district, please have the student select “Check” unless they are applying for a Fee Waiver. Also, please DO NOT send cash through the mail. If you receive cash from your students please replace it with a check or money order for that amount. REGARDING FEE WAIVERS Fee Waivers are available to students for whom payment of fees would be an impediment to participation. This does not apply if the district or some other program (ie. 2019 Central New York Scholastic Art Awards Reminders... 1. ALL WORK IN THE CENTRAL NEW YORK REGION IS JUDGED DIGITALLY. • No live artwork is to be delivered prior to judging. • Teachers will be notified of award winning work by email by the end of the day on Wednesday, January 9, 2019. • All AWARD WINNING ARTWORK* will be included in the exhibit and must be delivered to the Whitney Building at Onondaga Community College on Saturday, January 12, 2019, between 9:00 a.m. and 1:00 p.m. (*Honorable Mention portfolios will be represented by one piece from the portfolio that did not earn an individual award) • Art Portfolio and Photography Portfolio. At the national level all senior portfolios are now submitted under the Art Portfolio category, regardless of the categories of the individual works included in the portfolio. Students may submit up to two portfolios and all pieces included in the portfolio may only be submitted once. Specifically, a student cannot include the same work in two portfolios. (Regional note - in the CNY Region we will judge and award recognition separately for all-photography portfolios, but when they are submitted to the national level they will be judged in the Art Portfolio category. In order to be judged as an all-photography portfolio, ALL EIGHT PIECES must be listed in the PHOTOGRAPHY category. If even one piece is in Digital Art or any other category it will default to the ART Portfolio group.) 2. Standardized Fee Waiver Form The form can be found in the “Downloads” section of the Region Webpage. a) Parent/Guardian signature is required on all forms b) A separate completed Fee Waiver form must be submitted for each piece. c) Please add the name of the piece to the accompanying form. d) The Fee Waiver is intended for students for whom payment of fees would be an impediment to participation. If the district or some other program (ie. Arts In Ed through BOCES) is paying submission fees, there is no impediment to participation, therefore the fee waiver would be null and void. 3. Video/Film/Animation Students must submit a five-minute-or-under version of their film (the file size limit for this upload is 350MB) and may also upload a full-length version if the 5-minue clip has been excerpted. The film must be in one of the following formats: .mp4, .mov, .wmv, .avi, .mpg, .mpeg. A film summary is required. 4. Digital Upload All Art regions are required to use the digital upload system, which enables students to upload files when registering through ORS, including all individual and portfolio categories as well as video, film and animation submissions. Since judging is done digitally now, this point is critical. If there is not a properly uploaded image, the work will not be judged. Return to the Table of Contents Page - 9

Registered artwork NOT being submitted for judging In the past we have had several hundred pieces of art registered but not actually submitted for judging. We understand that you may register artwork and decide at the last minute not to submit it. Please DELETE these pieces from the ORS before the registration deadline, otherwise we spend countless hours trying to determine whether they are supposed to be judged or not. 6. Web Page Location The Alliance for Young Artists & Writers provides each region with designated Region pages through the national website. You can get to it through this link: www.artandwriting.org/affiliate/NY003A or by clicking the link on the login page for the “Regional Guidelines”. You will be asked to enter your zip code to take you to the region page. All of the important information you need for our region will be posted there. 7. Award Designations and Percentages Awards are allocated according to the following percentages: • Gold Key Awards: 5% - 7% • Silver Key Awards: 7% - 10% • Honorable Mentions: 10% - 15% The award percentages apply to both individual works as well as portfolios. 8. No Quotas There are no quotas per teacher or per student (with the exception of individual submissions in the PHOTOGRAPHY category - see below. • Students may submit as many individual entries as they wish, with the exception of the PHOTOGRAPHY category where there is a 16 submission maximum. Individual entries must be work that has not been previously submitted for judging. • Seniors may submit up to two portfolios. Portfolios should contain a series of 8 distinct works that communicate a single cohesive idea or visual invenstigation. The works can come from one category or any combination of multiple categories. • Any piece from a portfolio that has not been previously judged may also be submitted as an individual entry. There is no limit on the number of pieces from a portfolio that may be judged as an individual entry. • Any piece from a portfolio that is being submitted for individual judging must also be registered and paid for as a separate individual entry. 2019 Central New York Scholastic Art Awards 2019 CNY Submission Requirements 1. All entries must be mailed - there is no longer an in-person delivery option for entry forms. All entries must be postmarked by Friday, December 14, 2018. Registered mail with delivery confirmation is recommended. Forms should be put into a large manila envelope or box (DO NOT FOLD any paperwork/forms) and mailed to: 2019 CNY Scholastic Art Awards 9200 Sixty Road Phoenix, NY 13135 2. DO NOT deliver or mail live artwork prior to judging. 3. Register all individual submissions and portfolios through the ONLINE REGISTRATION SYSTEM (ORS) and upload digital images as directed. a. Submissions will not be considered complete and eligible for judging without: i. the required digital image(s) properly uploaded ii. artist’s statement uploaded (portfolios only) iii. printed submission form iv. all required signatures on the printed submission form v. payment of all submission fees (check, money order or district purchase order accepted) 4. Required paperwork per teacher (all forms available within this guide): a. One completed 2019 Teacher Submission Summary Form. b. One completed 2019 CNY Individual Entry Fee Form. c. One completed 2019 CNY Portfolio Entry Fee Form (if applicable) d. One submission form for each individual piece or portfolio with all required signatures. e. One individual submission form for each Portfolio piece submitted for individual category judging with all required signatures (if applicable) f. Full payment of all submission fees (check, money order or district purchase order accepted) 5. If multiple teachers are on the same DISTRICT payment or purchase order a. One completed 2019 CNY District Payment Summary form b. Ideally, all teacher packets being covered by the district payment are delivered together. c. Advise your business office that Purchase Orders may not be invoiced until after January 22, 2019. Districts will only be invoiced for complete submissions. Return to the Table of Contents Page - 11
2019 Central New York Scholastic Art Awards Size Limitations for all Artwork: • The Alliance considers artwork oversized if it is 48” or greater in length, width or height or if any two of its dimensions add up to 82” or greater. This is based on the UPS shipping guidelines, which is the service used to ship work to the Alliance for the National Exhibition. Oversized work earning a National Medal will be considered for the National Exhibition on a case-by-case basis, but will still be considered for all recognition and scholarship opportunities. • In the CNY Region we ask schools to voluntarily limit work to the size of large matte board 30x42 inches, including matte. Mattes must be a minimum of 2” up to maximum of 3 1/4” wide and black or white - no color mattes, please. Hanging work larger than this is very difficult. If any of your students’ prize winning pieces are very large or heavy, you are encouraged to help on the day we hang the exhibit so this work is hung securely and to your satisfaction. 2019 Central New York Scholastic Art Awards Digital Image Requirements The following guidelines for formatting digital images have been developed in cooperation with a national working group of arts and education organizations to assist artists and teachers in preparing the best quality image possible to represent the work well and accurately and to make participation in a variety of programs and activities more convenient. Students who submit electronic images pledge that the images fairly and accurately represent the work and have not been manipulated or altered, with the exception of color and contrast corrections. Digital images for ALL artwork being submitted must be uploaded to the Online Registration System (ORS). Digital Formatting Guidelines Checklist File Type: Artwork must be submitted as a digital file in JPG, GIF, or PNG format (PSD, BMP, PDF, RAW, or TIF files are NOT accepted). Image Print Size: Print dimensions must be 5” x 7” or larger. Image Resolution: must be 300 dpi. Photography: should be scanned at 100% (real world size) and uploaded to ORS File Size: Each JPG file should be at least one megabyte but no greater than 10 megabytes. Suggested naming protocol: Students must indicate the titles of works during the registration process. • Use only the title and not the full file name where it asks for title. • Do not use quotation marks around the title. When taking digital pictures of 3-D works, please include a ruler or another object for reference to indicate scale. For 3-D works, include up to four files saved A - D. For Comic Art, include up to eight files saved A - H. The number indicates the order of this piece for viewing. Videos are uploaded online according to category descriptions. 2019 Central New York Scholastic Art Awards Additional Details 1. Fees, Delivery and Pick up: a. This region adheres to the standardized processing fees established by the Alliance for Young Artists & Writers, the national nonprofit organization that administers The Scholastic Art & Writing Awards. These include a $5 fee per individual submissions, including any portfolio pieces submitted for individual category judging, and a $20 fee per portfolio submission. Fee Waiver: Students for whom payment would be an impediment to participation may request a fee waiver. A Parent/Guardian must sign the FEE WAIVER FORM. A separate fee waiver form must be included with each submission. If the district or some other program (ie. Arts In Ed through BOCES) is paying submission fees, there is no impediment to participation, therefore the fee waiver would be null and void. b. All required fees MUST be paid at the time of paperwork delivery (check, money order or district purchase order accepted). Make checks payable to: CNY Art Council, Inc. c. Teachers will be notified by email by the end of the day on Wednesday, January 9, 2019, with a complete list of award winners. All AWARD WINNING ARTWORK* will be included in the exhibit and MUST BE DELIVERED TO THE WHITNEY BUILDING AT ONONDAGA COMMUNITY COLLEGE ON SATURDAY, JANUARY 12, 2019, BETWEEN 9:00 a.m. AND 1:00 p.m. (*Honorable Mention portfolios will be represented by one piece from the portfolio that did not earn an individual award) d. No work may be removed from the exhibit before Saturday, March 2, 2019. e. Final pick up of all exhibited artwork: All artwork hung in the regional exhibit must be picked up at the Whitney Applied Technology Center, on March 2, 2019, between 9:00 and 11:00 a.m. You or a representative will be responsible for taking down your own work to minimize loss/damage of pieces. f. The committee responsible for making sure all the artwork is down and retrieved will begin clearing any remaining work at 11:00 am on March 2, 2019. In order to ensure that your work is taken down in the way you would like, and to avoid loss/damage of individual pieces, you should have your work down before 11:00 am. 2. Labeling Exhibit pieces - INDIVIDUAL CATEGORIES a. One copy of the National Submission Form must be taped on all four sides to the back of the piece. b. On the BACK of the matte of each piece place a typed label or PRINT neatly - STUDENT NAME and the SCHOOL NAME (in addition to attaching the submission form). c. On flat pieces, make sure the submission form is placed in the direction the piece is to be hung. The submission form must be securely fastened with tape as indicated in #2a above. d. All three-dimensional work should have a submission form affixed to the work as well as a piece of masking tape with the school name attached to the bottom of the work. One copy of the Portfolio Submission Form must be taped on all four sides to the back of each of the 8 portfolio pieces. b. Highlight the name of each piece on the Portfolio Form. c. Follow guidelines for items “#2, b - d” under Labeling Exhibit Pieces - Individual Categories. d. For any Portfolio piece that also earned an individual category award you must ALSO attach an INDIVIDUAL submission form to the back of the piece. e. Package all eight portfolio pieces in a container that will protect the work. Write the student’s name and school on the outside of the container. Inside the container please tape one copy of the portfolio submission form. 4. 2019 Central New York Scholastic Art Awards CNY Scholastic Art Awards 9200 Sixty Road Phoenix, NY 13135 Fall 2018 Dear Superintendent / Principal: As we begin a new year of the Scholastic Art Awards program in Central New York, I would like to thank you for your past and continued support of our student artists. Last year the Central New York region presented over 1,800 awards locally and proudly earned a record thirty-eight awards at the national level. This program is an enormous undertaking and would not be possible without the tireless efforts of many volunteers - art teachers, students, judges and others - who together last year gave an estimated 3,000 hours of their time. Again this year we are relying on the participation of these volunteers for several days for planning (October 16th), processing submission packets (December 27th), judging the entries (January 8th), receiving the winning artwork (January 12th), hanging the exhibit (January 15th), conducting the award ceremony (January 22nd) and dismantling the exhibit (March 2nd). Thank you for allowing your teachers to contribute their time and talent. It is the support you provide to your art educators and art programs that makes our success possible.
