II. REVIEW OF DEADLINES AND IMPORTANT DATES Submission of entries via Hytek Tuesday, February 12 at 6pm Team information, student-athlete information and event shirt form Friday, February 15 Notification of special medical needs to Princeton (if necessary) Monday, February 18 Head coaches championships informational meeting Wednesday, February 20 at 2:00 pm Diving coaches championships informational meeting Wednesday, February 20 at 3:30 pm III. AWARDS The dual meet champion trophy will be presented prior to the start of the Thursday evening finals session. Event medals will be presented immediately following each event championship final. Princeton will secure the majority of presenters for medal presentations. If there is a need for presenters, coaches will be asked during the logistical meeting (see review of deadlines and important dates) if an administrator or alum from their school would like to present. The team champion and individual awards ceremony will take place at the conclusion of Saturday evening’s finals. Awards will be presented in the following order: • Rick Gilbert - Outstanding Diver (determined by points earned in championship) • Outstanding Swimmer (determined by points earned in championship) • Career High Point Diver (determined by cumulative points over four years) • Career High Point Swimmer (determined by cumulative points over four years) • Perpetual team trophy (Frank Keefe Trophy) IV. EVENT ADMINISTRATION A. Appeals Committee Comprised of the head coaches from the eight schools. The appealing coach will not have a vote. A swimming appeals committee will handle issues directly related to all swimming events. A diving appeals committee will handle issues directly related to all diving events. B. Appeals Procedure Appeals may be lodged only for errors in entries, scratches, recording of data, scoring and non-judgment errors in the application of rules. Films or videotape will not be used in the appeals process. Appeal forms may be obtained from the referee. The written statement made on the appeal form must be submitted to the referee not later than 15 minutes after the finish of the final heat/round of that event to which the appeal is applicable. The appropriate appeals committee will act upon appeals. The decision of this committee is final. C. Date/Site • The date of the Ivy Women’s Championship Meet will be the weekend that is three full weeks before the Women’s NCAA Championships. In years when the NCAA zone Diving Championships is held the Monday-Wednesday of the week immediately following the 2
Ivy Men’s Championships, the Ivy Men’s and Women’s Swimming and Diving Championships will move one week earlier. • The following is the site rotation for the Ivy Women’s Conference Championship Meet: o 2019 – Princeton o 2020 – Brown o 2021 – Harvard D. Format A four-day individual and team championship, with preliminary and final competition except in the 1000-yard freestyle, 1650-yard freestyle, 200-yard medley relay, 400-yard medley relay, 200-yard freestyle relay, 400-yard freestyle relay, and 800-yard freestyle relay, which shall be timed final events. The 1000-yard freestyle will be swum slowest-to-fastest with the fastest heat swum during the evening finals. All but the fastest heat of the 1000-yard freestyle will swim starting at approximately 4:00 pm on Friday afternoon. The 1650-yard freestyle will be swum slowest-to-fastest with the last heat swum during the evening finals. All but the fastest heat of the 1650-yard freestyle will swim starting at approximately 4:00 pm on Saturday afternoon. The exact schedules will be posted following the scratch deadline. In all prelims/finals swimming events, the evening finals will consist of a scoring bonus final, consolation final and championship final. Eight lanes will be used for all competition, and 24 places will be scored. Competitors in the championship finals, the fastest heats of the 1000 freestyle and 1650 freestyle, as well as all evening heats of the relay events, will march-out from the “ready area” immediately before competing. E. Meet Committee Comprised of the coach chair, three head coaches (year-to-year rotational basis), head referee, diving operations director (when applicable), swimming operations director (when applicable) and championships director. Rules NCAA swimming & diving rules will be in effect. V. MEDICAL INFORMATION A. Emergency Richard Tronolone will ensure a thorough understanding by all parties, including the leadership of participating teams, of the personnel and procedures associated with the 3
medical plan. A member of the sports medicine department will send communication supplying all emergency information about the event to the participating team’s athletic training staff. B. Hospital The nearest hospital to Princeton University is: University Medical Center of Princeton at Plainsboro One Plainsboro Road, Plainsboro, NJ 08536 Main Phone Number: 609-853-7120 C. Miscelleneous Water and ice will be provided on the pool deck. Princeton Athletic Training Staff will send communication supplying all emergency information about the event to the participating team’s athletic training staff. The participating team’s athletic training staff is to notify Richard Tronolone of any special needs of their participating student-athletes, including any medical orders for treatments to be carried out during the event by the date listed in the deadlines and important dates section. Please note that Princeton University will do their best to service all student-athletes competing in this event but cannot make such guarantees due to our own student-athlete population. D. Physician A physician will be on call during the championship. Please contact Richard Tronolone, if you have a student-athlete that needs to see a physician outside of the championship. E. Training Room/Massage Information The Caldwell Fieldhouse Athletic Training Room will be open from 9:00 am to 9:00 pm during each day of competition. The Athletic Training room is located on the first floor of Caldwell Fieldhouse and can be accessed from DeNunzio Pool through the tunnel on the pool deck level near the conference room. Ice for injury and water will be available on the pool deck. For injury evaluation or treatment, please send your athletes to the Athletic Training Room. For emergencies, have the championships director call the athletic trainer who is working in the Caldwell Athletic Training Room. Ice, Heat, and Hydrotherapy treatments are available. Due to Princeton University Athletic Medicine policy, ultrasound and electric stimulation will not be available to visiting athletes. Massage tables are to be kept in the area designated by facility management as to not impose on traffic flow or awards presentations. If you have any questions about medical treatment at Princeton, please contact Richard Tronolone VI. TEAM INFORMATION A. Accommodations, Hotels and Travel Each team is responsible for securing their own hotel and travel accommodations. Each team is also required to submit a team information form to the Ivy Office by the deadline (see review of deadlines and important dates section). Automatic Judging and Timing Daktronics Timing System, electronic judging and timing will be used throughout the championship. Please note that NCAA regulations require that three watch times be used for 4
NCAA Championship qualifying times in the event of an electronic timing system failure. There will always be at least one meet-provided backup timer for each lane. If you have a swimmer or relay whom you believe will qualify for the NCAA Championships, please be prepared to provide two additional backup timers for that swim in case of an electronic timing system malfunction. Relay takeoff pads along with relay takeoff officials will be used for all relays throughout the meet in accordance with NCAA Swimming & Diving rule 4, article 6. C. Banners The hanging of banners and signs will be allowed in the pool area under the following restrictions: a. Teams may hang signs and banners on the wall immediately behind their seating area. b. Official team banners should be given to the championship staff at the coaches meeting or during practice. Championship staff will hang official team banners from the metal railings at the bottom of the spectator area. c. Championship staff reserves discretion in the placement of banners based on size so as not to interfere with deck activities. Any other team posters or signs in the pool area will be removed. D. Coaches Meeting A head coaches meeting to review championships logistics will be held on the date listed in review of deadlines and important dates at 2:00 pm in the DeNunzio Conference Room. A meeting of the diving coaches will be held on the pool deck at 3:30 pm. It is mandatory for the championships director and Ivy Office representative to be present at both meetings. E. Diving Format For both one-meter and three-meter diving, there will be seven judges for preliminaries and seven judges (the diving director will no longer determine the number of judges) for the consolation final and championship final. Any school with an athlete participating in the 3M preliminary must have their diving coach available to serve as a judge for the 3M preliminary round (Friday afternoon), consolation round (if requested by the Diving Director - Friday evening), and championship round (if requested by the Diving Director - Saturday evening). The judging panels for the consolation and championship rounds will be determined after the completion of the preliminary round. One-Meter Diving: Preliminary: The one-meter preliminary will begin at 1:30 pm on Thursday. Each contestant will perform six optional dives, including one from each of five groups, in any order, without limit on degree of difficulty. Scores on all dives performed by each contestant will be used to determine the ranking at the conclusion of the preliminary round. Contestants finishing first through eighth will continue into the final round. Contestants finishing ninth through 16th will continue into the consolation final, but may not advance in finish higher than ninth-place. Contestants finishing 17th through 24th have no further opportunity to advance in place. Consolation Final: The one-meter consolation final will take place fifteen minutes following the conclusion of the one-meter preliminaries. Each contestant will start with a score of zero. The consolation final will consist of six optional dives, including one from each of five groups, in any order, without limit on degree of difficulty. Scores on all dives performed by 5
each diver in the consolation finals will be used to determine ninth through 16th place. The diving order will be in reverse order of preliminary place finish. Entrance Coaches, participants, managers, trainers, sports information staff, administrative staff, officials and meet personnel should follow signs to the proper facility entrance. All athletes and coaches must enter the facility through Caldwell Field House. Spectators and all others must enter DeNunzio Pool through the main entrance. All coaches and team personnel will need to wear a deck pass in order to access the deck level. Athletes who are not participating in the championship meet will not be permitted on deck. Each team is to submit the names of those who will need deck passes with their team information to the Ivy office by the deadline (see review of deadlines and important dates). G. Entry Procedure/Squad Sizes • Each team is permitted eighteen (18) competitors as described by the following: an entrant who swims will be counted as one; an entrant who dives will be counted as one- third; an entrant who swims and dives will be counted as one. • A competitor is permitted to compete in a maximum of seven events, of which no more than three may be individual events. Coaches may enter competitors in more than three individual events, and may enter more than 18 competitors, as long as they “scratch down” to the appropriate numbers by the scratch deadlines. Divers who will not compete must also be scratched by the appropriate scratch deadline. • Entries are due by the deadline (see review of deadlines and important dates). All possible entries must be listed on the entry form and best times must be submitted. 6
• Please be sure to specify entry times for your relays in the appropriate area on the entry form, even if the entry time is “NT” (no time). Relays without an entry time may not swim in the meet. • Entries submitted must be best performances attained between September 1, 2018 and February 14, 2019. • Coaches must submit entries using Hy-Tek Team Manager. A Team Manager events file will be distributed to all coaches. You must also submit a copy of your Team Manager entry report (preferably in Adobe PDF format). This report, and your Team Manager entry file, must be sent to Ellen Mace (besmarttinc@gmail.com) • It is imperative that all athletes entered match EXACTLY to the roster submitted to the NCAA Database. These values will be used for the purposes of NCAA and USA Swimming database submissions. The host team will submit all results to the NCAA database. Please make sure that the names submitted match the names listed in the NCAA database exactly. The “preferred name” field is to be used for appropriate nicknames, which will be printed on heat sheets and results, and will be the name used for announcing purposes. (e.g., “Greg” instead of “Gregory”) • Ellen Mace will send a copy of the team entry file to each team upon submission of their entry file that includes information for their team only. After the copy of the team entry file is sent, each team will have 24 hours to review and submit any corrections. At the conclusion of the 24-hour period for all teams, the official psych sheet will be distributed to all coaches. No corrections will be accepted following the distribution of the official psych sheet. Please note, clerical errors (misspelling of names, typos with times, etc.) identified following the distribution of the official psych sheet will be considered on a case-by-case basis by the meet committee. H. Facilities and Equipment DeNunzio Pool features an eight-lane competitive course, with double competitor lane lines and a Colorado timing system with full alphanumeric video scoreboard display and relay takeoff pads. The racing course has a depth of 12 feet at the starting end and 10 feet at the turning end. There are adjoining warm-up lanes within the pool. The diving well features two 1-meter boards, two 3-meter boards, and 1-meter, 3-meter, 5-meter, 7.5-meter and 10- meter platforms, and has a water depth of 17 feet. I. Facility Availability DeNunzio Pool will be open to meet participants on Wednesday from 9:00 am until 9:00 pm, and Thursday through Saturday from 6:30 am until the end of the championship finals. Please notify Jack Jephson (Championship Director) if you have any questions J. Hospitality Bagels, snacks, coffee and juice will be available for coaches, meet personnel and officials in the morning in the DeNunzio Conference Room. Assorted snacks and juices will be provided in the afternoon. Accessing the hospitality area will require the appropriate credentials. K. Locker Rooms Teams will be assigned a locker room prior to arriving. Please follow signs to the appropriate locker room. PRINCETON is not responsible for lost or stolen articles. Valuables should not be kept in the locker rooms. Locks and towels are not available, and personal locks cannot be left on lockers overnight. Glass bottles are not permitted anywhere within DeNunzio Pool. 7
L. Merchandise The Ivy office will be selling event specific t-shirts. If you are interested in placing a team order for event shirts please submit sizes and quantities on the team information form by the deadline. M. The Ivy League on ESPN The championships broadcast will be produced by PACK Network and available live on ESPN+. N. Parking All cars and vans should park in Lot #21, adjacent to DeNunzio Pool. Busses should park along the fence adjacent to the practice field in Lot #21. Busses should not take up parking spaces available for cars. The front circle may be used for drop-offs and pick-ups only – and will be closed during the most of the meet. O. Scratch Deadlines • Scratches may only be submitted to the Director of Meet Operations, Championship Director or Meet Referee. Scratches will only be accepted from coaches or the team’s official representative, and must be signed by both the team coach and the appropriate meet official (see above). • A receipt form will be used for scratch verification. All entries not scratched by the scratch deadline will become official entries. Coaches will be given a composite scratch form to list all scratches for a particular day. Additional scratches may be made, by the scratch deadline, using individual scratch cards. Diving sheets must be submitted by the appropriate scratch deadlines. Divers who will not dive must be scratched. The scratch deadlines are as follows: o Wednesday, 2:00 pm for all Wednesday events (beginning of the coach’s meeting) o Wednesday, 6:00 pm for all Thursday events o Thursday, 6:00 pm for all Friday events o Friday, 6:00 pm for all Saturday events • Rule 3, Section 3, Article 4 of the NCAA Swimming & Diving Rulebook will be followed regarding scratches for the evening finals. Scratches for evening finals must be made using individual scratch cards, and must be signed by both the team coach and the appropriate meet official (see above). Scratches for finals must be submitted to the appropriate meet official (see above) within 30 minutes of the announcement of the qualifiers for the event. P. Senior Recognition The senior recognition will take place at the beginning of the Saturday evening finals. Seniors will be asked to gather in the awards ready area at 5:50 pm in their official team warm-ups. All seniors on a team’s roster at the time of the championship will be recognized, and those who are in attendance will be invited to participate in the senior recognition. Q. Student Athlete Surveys Following the championship student-athletes will be asked to provide feedback for improvement in future planning/administration via an on-line survey. A coach will be designated to distribute the survey to their student-athletes. 8
R. Team Seating Team seating on the pool deck will be determined at the coaches meeting. Seating selection will be chosen based on the order of last year’s finish (Harvard, Yale, Princeton, Penn, Columbia, Brown, Cornell, Dartmouth). S. Tickets As has been the case for many years, a section of seats is reserved near the finish line for the host school’s team, parents, special guests, and awards presenters. • Admission will not be charged for Wednesday evening. Time Trials Time trials will be offered after the preliminaries session each morning and any potential swim-offs required. Only swimmers who count against the teams’ final scoring squad of 18 plus one alternate/manager may swim time trials. U. Wedge Procedures Relays: It will be up to each team to decide how to use the track wedges for relays. While it recommended that the wedges stay on, or are taken off, for the entirety of the relay, it will be the responsibility of each team to set up the block the way it prefers. Please note that removing the wedges can bump out the relay takeoff pad cord, which would not be helpful for keeping the integrity of the race. Princeton event staff will reset the track wedges at the conclusion of the relays. Individual Races - Track blocks will stay on for all individual races. If a swimmer does not want to use the wedge, he can push it all the way back and elect not to use it. It will be the responsibility of the individual swimmer to make sure his track wedge is set in place. 9
