Mission Statement
The Seattle Children’s Chorus, a performance and educational choral music organization, nurtures
excellence in young musicians through:
    ● Performance of the finest choral music with a unique commitment to sacred literature.
    ● Education that fosters musical development and personal growth through teamwork,
        friendships, community and cross-cultural experience.
    ● Acceptance of young musicians of diverse ethnic, economic, and religious backgrounds.

                                         Our Organization
The Seattle Children’s Chorus originated in 1989 when Kris Mason, founder and Artistic Director of the
Chorus envisioned a community-based program that would provide a high level of choral training and
experience for interested young musicians. Since its founding, the Chorus has been uniquely committed to
the preservation of sacred literature for young voices. The Chorus has also provided a rich base of
outstanding choral literature from a variety of historical and cultural backgrounds.

The Chorus provides performance opportunities for choristers at various community events as well as
formal concerts during the regular concert year. The Seattle Children’s Chorus is committed to enriching
choral training with tours and music festival experiences for upper level choristers. The first official
outside performance for the Chorus was their participation in the Goodwill Games Choir in 1990. Since
then the chorus has had many opportunities to participate in festivals and performances regionally,
nationally and all over the world, including Europe, South America, and Canada.

The Seattle Children's Chorus is pleased to continue offering a unique and challenging programs as we
enter our 30th Season. The staff and board of SCC are committed to providing excellent performing events
in outstanding venues and cultural experiences.

Presbyterian Church. Rehearsal schedule:

PLEASE NOTE:
Choristers are expected to be on time for all rehearsals. Please do not plan to arrive earlier than 10
minutes prior to your rehearsal time. Parents should plan on picking up choristers promptly after
rehearsal is over.

Rehearsals will follow a regular public school schedule with days off for Thanksgiving, Christmas Break
and a Break during the ACDA convention for artistic staff professional development in February. (Please
note: since our choristers attend so many different school districts we are unable to coordinate all of them,
so your school may have vacation at a different time than the Chorus.) A Chorus Calendar is included;
however, p​ lease watch your newsletter for specific changes in schedule.

Rehearsals may be cancelled due to snow or inclement weather. Please call the Chorus office if you are
unsure; a recorded message will advise of cancellations and changes. Rehearsals cancelled due to snow,
etc. will not be made up.

Regular attendance at rehearsals is expected and necessary for a successful choral experience. Attendance
is taken at every rehearsal. Please call or email the Chorus office if you will be absent. Each rehearsal is
carefully planned to build on the last. Unexcused absences hold back the progress of the Chorus. The
only​ acceptable excuses include illness, a major school event, or important family conflict. ​ No more than
two (2) absences per semester (Sept-Dec and Jan-June) are acceptable​. Choristers in ​Arioso a​ nd ​Camerata
are expected to have a personal conversation with the director when conflicts arise with rehearsals and
events. Special arrangements are sometimes made. ​Brio​ and ​Intermezzo​ rehearsals can be made up by
attending at the other branch location; please inform the office of plans to make up attendance in this way.
Arioso​ and C
            ​ amerata​ choristers will be given a chorister covenant to sign at the beginning of each chorus
year.

Choristers should plan to use the restroom and drinking fountains prior to coming into the rehearsal
room.​ Rehearsals often require intense concentration on the part of our choristers. Parents should refrain

from visiting rehearsals, especially just prior to performances, without permission from the director.
Parents with young children should make arrangements for their care during pre-arranged visits.

Transportation

Transportation to and from rehearsals, concerts, retreats and other events is the responsibility of the
parent to provide and/or arrange. We encourage you to make contact with other parents to arrange
carpooling.

Occasionally, the Chorus will offer to help put together a carpool situation for special events; however this
is the exception rather than the rule. It is the policy of the Chorus that student drivers are not used for
carpool transportation unless we have specific permission given by both the parent of the driver and of
the passenger for that specific event.

Transportation for Tour will be arranged by the Chorus.

Drop-Off and Pick-Up

Your promptness in picking up your chorister after rehearsal is appreciated. It is SCC policy that a staff
person must remain with choristers of late-arriving parents. If this becomes a problem we will contact
parents and a fee may be assessed.

Retreats
Chorus retreats are held for A   ​ rioso​, ​Coro Vivo, ​and​ Camerata ​once or twice each year, and for I​ ntermezzo
possibly once each year for the purpose of intense rehearsal time and extended friendship-building
between the branches of Seattle Children's Chorus. An all-day or overnight retreat may be held in the Fall
for A
    ​ rioso​, ​Coro Vivo​ and ​Camerata​ choristers. The Winter/Spring Retreats for A   ​ rioso​, ​Coro Vivo​, ​Camerata
and I​ ntermezzo​ choirs are generally one-day events. To accommodate busy schedules, SCC only meets
once a week and we rely on our retreats to help choristers become concert-ready. These are REQUIRED
events for our SCC Choristers and are planned well in advance in order for our families to make room in
their calendar.

The cost of retreats is generally included in tuition. Transportation to and from retreats is the
responsibility of the parent. Choristers may be required to bring their own meals.

                                                     Uniforms
SCC will lend uniforms for all choristers to use during the duration of their time at SCC. At the beginning
of each year all choristers needing a uniform will be measured during a rehearsal. A uniform will be
checked out to them. S ​ eattle Children’s Chorus expects uniforms to be cleaned and returned when
choristers are promoted or end their time with SCC. Unwashed or unreturned uniforms will incur a $50
replacement charge to your account.​ Watch the newsletter for these important rehearsal dates. Below you
will find specific uniform details per choir.

Uniform Details:

Brio Girls​ - If you are new to Brio, you will be measured for a new dress. If you are a returning chorister -
please make sure your dress fits you. If you need to be refitted, bring your used dress and we will fit you
for another size: you are asked to provide your own white tights and black, flat shoes.

Brio Boys​ -​ You are asked to provide your own long-sleeved, white, button down dress shirt; black pants;
black belt; black socks; black shoes.

Intermezzo Ladies​ - all of you will be measured for a dress: you are asked to provide b
                                                                                       ​ lack opaque tights
(no leggings please)​ and black, flat shoes.

Intermezzo Boys​ - if you are new to Intermezzo, you will be measured for a vest. If you are a returning
chorister - please make sure your vest fits you. If you need to be refitted, bring your used vest and we will
fit you for another size: you are asked to provide a white, long-sleeved, button down dress shirt; black
pants; black belt; black socks and black shoes

Arioso Women​ -​ if you are new to Arioso, you will be measured for a dress. If you are a returning Arioso
chorister - please try your dress on and make sure it fits you. If you need to be refitted, bring your used
dress and we will fit you for another size: you are asked to provide b ​ lack transparent nylons​ and black,
flat shoes.

Arioso Men​ - if you are new to Arioso, you will be measured for a tuxedo vest and tuxedo pants. If you
are a returning chorister - please try your pants and vest on and make sure it fits you. If you need to be
refitted, bring your used pants and vest and we will fit you for another size: you are asked to provide
your own white, long sleeved, button down dress shirt; ​black socks and black dress shoes.

Camerata Women​ - If you are new to Camerata, you will be measured for a dress. If you are a returning
chorister - please make sure your dress fits you. If you need to be refitted, bring your used dress and we
will fit you for another size: you are asked to provide your own black transparent nylons; black shoes.

Camerata/Coro Vivo Men​ - If you need a tuxedo, you will be measured for a tuxedo shirt; pants; and
jacket. You are asked to provide your own ​black socks and black dress shoes​. Camerata/Coro Vivo does
have the option to purchase a tux instead of borrowing, if you would like to own your own tux.

Other Performance Notes​ - H​ air should be done simply, pulled back from the face with simple,
hair-colored, non-flashy hair implements; only natural hair color will be allowed; only small stud earrings
are allowed (pearls are great); no other body piercing is allowed; make-up should be discreet and
appropriate for a children's choir. Unscented deodorant is required for ALL choristers who need it.

                                                Concerts
General Information

The Seattle Children's Chorus has three major performance periods per year, in December, March, and
June. Attendance at each of these concerts is REQUIRED for choristers in all chorus levels unless specified
on the Chorus calendar. Other concerts may be scheduled for separate chorus levels at churches, festivals
and community events. Attendance is also expected at these performances. To participate in
performances, your chorister's tuition account must be current.

Backstage

It is the policy of the Seattle Children’s Chorus that only authorized chaperones and staff only be allowed
backstage with the choristers. Any parent who is not a chaperone will be asked to stay at the front of
house. This ensures safety for all our choristers.

Concert Behavior

Choristers are expected to maintain professional decorum at all times. (Please refer to Discipline Policy.)
High standards of behavior are expected and can only be achieved through self-discipline.

Concert Etiquette for Family and Friends

Video or audio recording is​ prohibited​ during concerts. Recording a performance is an infringement of
the music copyright law. All cell phones and pagers should be turned to the off or silent position during
performances. Refrain from taking photographs during a performance. This distracts the choristers and
audience members. We have a photographer that is designated to take pictures during the concert. A link
of all pictures will be sent to all families and can be downloaded.

Seattle Children's Chorus concerts are designed to reach a broad spectrum of the music-loving public.
SCC strives to have many different styles of concerts to reach all potential concert goers. Some are
designed for mature audiences and some are family friendly for an audience of all ages.

Tickets

Tickets for concerts are available a month prior to each concert. . These can be purchased on-line through
www.brownpapertickets.com​ as well as at the concert-site box office, if seats are not sold out.

Will-call tickets can be purchased through ​www.brownpapertickets.com​. You will only need to present a
photo ID at the will call desk.

Complimentary tickets are given to all prospective choristers and a parent. One or two complimentary
tickets are made available to guest artists. Two complimentary tickets are made available to vocal music
educators.

                                      Auditions & Promotions
Entrance into Seattle Children's Chorus is by audition only. Formal auditions into the Chorus are held
three times each year: (1) in September for entrance in the present choir year; (2) in January for mid-year
enrollment and (3) in June for entrance in the following choir year which begins in September. We may
also hold rolling auditions, on a case-by-case basis.

Children already in the Chorus are not subject to an audition to return the following year. Each chorister's
performance, including attendance, vocal abilities and behavioral aspects, is taken into account for the
continuation and/or promotion in the program and voice checks are done periodically to assess this
readiness.

The Director has sole discretion for selection of choristers for entrance into the Chorus and promotion to
the next level. Promotion and placement are not necessarily based upon age, but also upon vocal abilities,
attendance and/or behavioral maturity.

The Director also has sole discretion for selection of choristers for solos, special performances and select
festival opportunities.

                                             Choral Library
The Seattle Children's Chorus maintains a Choral Library which we hope will continue to grow to become
a very comprehensive and complete collection of great choral literature for our choristers to learn, perform
and enjoy.

Choristers are responsible for keeping their musical literature in a music folder that has been checked out
to them. Choristers are responsible for maintaining their assigned music in good condition. Choristers are
allowed to check out music folders with permission from the Director.

Choristers will be charged for lost or missing music pieces or folders. A replacement fee of $3.00 per piece
will be assessed for lost music and a charge of $30.00 will be assessed for lost folders. We believe this
policy will result in our choral library becoming an outstanding resource for Seattle Children's Chorus.

Choir Etiquette
Philosophy

♦    Consistent standards are necessary so that all parents and choristers understand the expectations for
     appropriate behavior.
♦    This policy is a positive step to insure a comfortable and safe environment for choristers and adult
     supervisors.
♦    Professional decorum is part of the training of the Chorus.

Professional Decorum means respect for…

1. …those in authority. Choristers will respect the Director and adult supervisors at any concert or
   chorus-related activity. Choristers will comply with all requests of adult chaperones.
2. …fellow choristers. Choristers will treat others with common courtesies and will respect others'
   personal space (choristers will keep their hands to themselves).
3. …themselves. Choristers will use self-control at all times, will use appropriate language, maintain
   good grooming habits (will keep uniforms neat and clean and have good personal hygiene), and
   exercise good sleeping and eating habits.
4. …buildings and facilities. Choristers will show proper respect for buildings and all properties and
   facilities the Chorus uses. Running or destruction of property will not be tolerated.

Rules

1.   Drug, alcohol or tobacco use during chorus events is prohibited.
2.   Inappropriate language and activities will not be tolerated.
3.   Proper modesty at all times will be exercised.
4.   Public show of affection between boys and girls is inappropriate.

                                       Parent Responsibilities

1. Show support for your child's efforts by attending performances and assisting them with any choir
   homework, such as memorization or use of rehearsal recordings.
2. Ensure that your chorister is on time to all rehearsals, concerts and activities.
3. Provide your chorister with a nutritious snack that should be finished prior to the start of rehearsal.
   Remind them to use the restroom, get a drink and wash/sanitize their hands prior to rehearsal, as well.
4. Keep the Chorus advised of any problems in meeting the schedule as outlined on the calendar by
   calling when a rehearsal or concert must be missed due to illness, major school event, or important
   family conflict. We appreciate all efforts to work out compromises when scheduling conflicts occur, as
   well as efforts to make up missed rehearsals.
5. Show support for your chorister’s fundraising efforts.
6. Look for and thoroughly read the chorus newsletter. It is a vital link in our communication with
   parents.
7. Ensure proper fit and cleanliness of the uniform at all times.
8. Keep your tuition account current.
9. Complete and promptly return all required forms for registration, tours and special activities
   throughout the year.

10. Participate in vital volunteer efforts by being part of a committee, chaperoning, fundraising, and other
    activities.

                                     Chorister Responsibilities
1. Attend rehearsals and concerts in accordance with the calendar.
2. Arrive to rehearsals on time and with a positive attitude.
3. Come to rehearsal with snacks finished, bathroom needs taken care of, and use of the drinking
    fountain completed prior to the start of rehearsal.
4. Participate in vocal warm-ups and remain focused during rehearsal.
5. Maintain music folder in a neat and orderly fashion and be sure to have a sharpened pencil ready at
    each rehearsal. Choristers are responsible for missing music and will be charged $3 per piece and/or
    $30 per folder.
6. Keep uniform neat and clean.
7. Treat the Director, other adults and fellow choristers with respect at all times.
8. Devote time and concentration to the learning of the music, working at home when required.
9. Respect the property of others, including the facilities we are using.
10. Plan to speak with the director when outside conflicts arise.

Discipline Policy
1. Use of drugs, alcohol or tobacco during chorus events will lead to immediate expulsion from the
   Chorus.
2. For other offenses a verbal warning will be given. If the behavior is not corrected, the following steps
   may be taken:
       a) Contact parents
       b) Conversation with the Director
       c) Possible suspension from the Chorus

Tuition Payments, Policies and Procedures
The Seattle Children's Chorus is a non-profit, member-supported organization. Tuition is paid by all
members. Tuition covers the cost of music, rehearsal sites, instruction, uniforms, and administrative costs.
A standard $75 registration fee per chorister, per choir, is assessed on an annual basis. Tuition does not
cover the cost of tours, festivals and some special events.

Tuition is assessed as follows:        Poco a Poco                    $125 per session
                                       Brio                           $800 per year
                                       Intermezzo                     $950 per year
                                       Coro Vivo                      $1100 per year
                                       Arioso                         $1100 per year
                                       Camerata                       $550 per year in addition to either
                                                                      Coro Vivo or Arioso.

Families with more than one child in the Chorus are given a 5% tuition discount per child in the program.
(This discount does not include siblings enrolled in P

 Tuition for Brio, Intermezzo, Arioso, Coro Vivo, and Camerata are paid through FACTS Management
                                                   System​.

ALL SCC families will need to enroll in the F
                                            ​ ACTS Tuition Management System​. Regardless of the
payment plan you choose (monthly, semi-annual or full payment) your chorister's registration will not be
complete until you have enrolled. Further information and a link to FACTS is on the FACTS enrollment
page on the SCC website under the Registration tab.

Full Payment: ​Full tuition p
                            ​ aid by October 10, 2018. ​A 5% discount is offered under this plan. If the full
       discounted tuition is not paid by the due date the 5% discount offer is rescinded. You are still
       welcome to pay the full tuition amount to avoid any fees from FACTS Tuition Management
Semi-Annual​: This can be set up in your FACTS Tuition Management Account. There is a $10 fee for this.
Monthly​: This can be set up in your FACTS Tuition Management Account. There is a $43 fee for this.

For mid-year enrollments, tuition is pro-rated and payments are adjusted accordingly. Tuition is not
refunded for missed rehearsals. You may pay off your tuition balance at any time.

NO CASH​ will be accepted for payments of tuition, tours or fundraisers.
NO CHECKS​ will be accepted for payments of tuition.

FACTS Tuition Management System:

All choristers must register with FACTS to choose your payment plan and payment type​ (​ bank ACH
draft, credit or debit card) for each of your choristers. You will have one account but will enter each
chorister (student) separately. Once your account and tuition fees have been verified by SCC, FACTS will

Why FACTS?
Since the stability of our organization and the quality of its programs are of the utmost importance, we are
always seeking ways to make improvements to benefit everyone. After much research and investigation,
we have partnered with FACTS Management Company to help us manage our tuition payment program.
FACTS is used by many schools and other community choral organizations locally and over 6,500 schools
nationally. We are excited to be working with them and are confident this program will offer greater
efficiency and financial stability for SCC while providing convenience to our families.

One of our primary goals at Seattle Children’s Chorus is to utilize systems that will improve the business
side of our organization so that we can more fully concentrate on our mission of ​Nurturing Excellence in
Young Musicians​. By taking advantage of the security and convenience of payment processing and
information technology offered by FACTS, we remain committed to this goal.

You will realize these benefits by using FACTS for your tuition payment plan:

   1. Payment Dates: Your tuition payments will continue to be on the 10th of each month. Automatic
      payments can be made from a checking or savings account or from a variety of credit cards. Tour
      account payments may also be set up and payment dates will be the 5th of each month.
   2. Enrolling in FACTS: You may enroll in FACTS by going online.
   3. Convenience & Security: Along with multiple payment plan options, your payments are processed
      securely through a bank to bank transaction.
   4. Consumer Account: You may check your personal account or make payments online (if applicable)
      from the convenience of your home or office anytime.

Tuition and General Payment Agreement Policies:

    ●   There is a late payment fee of $10.00 per month which will be charged on overdue accounts.
    ●   All accounts must be current for choristers to participate in rehearsals, concerts, festivals and
        tours.
    ●   There is a fee of $20.00 which will be assessed for any declined transactions.

Choristers are allowed a 2 week trial period after which t will be charged a $5 late fee per rehearsal they
attended unregistered.

Tuition Refund Policy

We work with the families of choristers to make the Seattle Children’s Chorus experience a positive and
educational time of excellence, nurturing excellence in young musicians. We understand that occasionally
due to life circumstances a family is forced to withdraw their chorister from the program. We are always
sad to see such a musical experience come to a conclusion. If this should happen, a chorister may be due a
tuition refund or reduction if they withdraw from choir before the end of the season due to illness or other
unforeseen circumstances.

If this circumstance arises, parents of choristers must give written notice of their intent. This notice must
be 30 days in advance of the withdrawal. The tuition refund or reduction will be based on the date that
the written notice is turned into the Seattle Children’s Chorus office. Please note that if you are on an
installment plan you must continue paying installments until you have paid the required portion.

   ●   If written notice is given on or before September 1, the family is liable only for the nonrefundable
       registration fee and any FACTS installment fees.

   ●   If written notice is given on or before October 30th, the family is liable for the nonrefundable
       registration fee, FACTS fees, and ¼ of the annual tuition.

   ●   If written notice is given on or before January 1, the family is liable for the nonrefundable
       registration fee, FACTS fees, and 1/2 of the annual tuition.

   ●   If written notice is given after January 1, the family is liable for the nonrefundable registration fee,
       FACTS fees, and the annual tuition. After January 1, there is no​ a​ llowable refund.

Financial Assistance

Financial Aid is available to those choristers requiring assistance with tuition. You may contact the
Chorus office to request the required form and then complete and return by the deadline. Tuition
accounts must be current to request financial aid and must remain current for the financial aid to remain
in effect. Financial Aid is awarded based on need and funds available. For choristers entering the
program mid-year and those with a sudden change in financial situation, financial aid is awarded if
money is available. Financial aid applies to tuition only and may not be used for tour, festivals or uniform
costs. No full tuition aid is granted. Late fees will accrue for overdue accounts. Tuition accounts where
financial aid has been granted which are over 2 months past due are in jeopardy of termination.

Volunteer Opportunities
As a non-profit, we rely on our volunteers to help keep our overhead low and tuition affordable. Your
contribution of time and resources is extremely valuable to SCC. These are the six main areas SCC needs
assistance in. When you register, you are able to pick one or more of these areas to volunteer.
     ● Hospitality -​ Provide food and fun for rehearsal parties, retreats, and other Chorus social events
     ● Fundraising ​- Be a part of a creative team helping facilitate individual chorister fundraising as
        well as general SCC fundraising events.
     ● Welcoming​ - Help us welcome new families into SCC. Tell new families about concerts, events,
        etc.
     ● Choir Coordinator​ - Work with the artistic staff and welcoming committee to ensure all choristers
        feel welcome and are accounted for at rehearsals.
     ● Concert Volunteer​ - We need ushers, ticket sellers, merchandise sellers, etc. for all concerts.
     ● Chaperone ​- We need Chaperones for retreats, concerts, tours, etc. When you volunteer for this
        you will be sent a background check form to fill out.
     ● Office & Music Library Volunteer​ - Help staff with tasks such as preparing concert programs,
        music cataloging, sorting and filing.

                                              Fundraising

SCC is committed to providing the best musical instruction at an affordable price. We rely on our
fundraising efforts to cover the gap between what we charge for our programs and the true cost of SCC’s
programs. We count on our families to be advocates and fundraisers on behalf of SCC. Share the vision
and your experience to your circle of friends and family.

Fundraising is divided into two categories:
1) Funds generated through general fundraising, such as annual fundraising events and our online and
direct mail appeals will be allocated by the board to enhance the future artistic endeavors and/or
administration of the Seattle Children’s Chorus.
2) Funds raised by individual choristers through product sales, benefit concert ticket sales and other
fundraisers which are held to benefit those choristers who are planning on touring with the Chorus.

General Fundraising

Annual Fund Drive​ This is our annual “Gift to Music” campaign. These gifts will allow us to continue the
legacy you have had a part in establishing. It will also guarantee that we can continue to offer children the
gift of music at a reasonable cost. We encourage all families to give what you are able and know that we
will be grateful for any amount you give. We especially encourage our alumni families to give generously
for a new generation of choristers. You can donate online.

Auction ​SCC is hosting an auction this year. We will need your help! Please begin to think about items
you would like to donate and friends you would like to invite. Please contact Lisa Ecklund

Individual Chorister Fundraising

Product Sales​ (​ Candy Sales, Christmas Wreaths, Other)

Individual Chorister Fundraising opportunities are provided for all A  ​ rioso,​ C
                                                                                 ​ oro Vivo, Camerata ​and
Intermezzo​ Choristers as a way to earn money for touring. These are optional activities, however, it is
hoped that a majority of choristers and their families participate. Often the chorister’s earnings are
increased with a greater number of participants. ​Brio​ choristers are not eligible to participate in individual
product sales, except when a specific festival/touring opportunity is offered to them or to provide funding
for general Chorus programs.

Any products "checked out" for sale during a fundraiser are the sole responsibility of the chorister to sell.
Products are generally not returnable. Choristers will be billed for any items or monies not returned. A
final​ ​sale date will be announced after which time all products will be inventoried and billings sent out to
choristers for monies not returned.

Money earned through specified fundraisers is held by Seattle Children’s Chorus and is allocated at the
discretion of the organization in individual chorister accounts and is applied toward the cost of tour only.
They cannot be used for other purposes, i.e., tuition, registration fees for tour, or any other invoice.
Individual fundraising accounts may be carried over from year to year provided choristers continue to be
enrolled in SCC. Any ​overpayment towards a specific tour​ in an individual tour account that becomes offset
by fundraising monies earned before the final payment for tour is due will be refunded to the chorister
prior to the end of the current Chorus year. If a chorister leaves the chorus, fundraising monies are ​not
refundable to the chorister, and are transferred to the SCC general operating budget.

Tours
Each year the Seattle Children's Chorus plans a tour or festival experience during the spring or summer
for one of its touring choirs (​Arioso, Coro Vivo, and Camerata).​ We will also investigate opportunities for
our I​ ntermezzo​ Choir to tour when appropriate options are found. We believe a commitment to a yearly
tour or music festival experience enhances children's love for, appreciation of and participation in music
for a lifetime.

Generally, unless specific requirements are involved for a particular festival opportunity, all ​Arioso, Coro
Vivo,​ and C
           ​ amerata​ Choristers are eligible to go on tour. The decision to participate in the summer tour is
left up to the choristers and their families. The cost of tour is the responsibility of each chorister's family.
Fundraising opportunities are provided throughout the year, although participation in fundraising is
voluntary.

Each fall, an estimate of tour or festival costs is announced via the newsletter. A written and financial
commitment is then required, by a specific date, for each chorister desiring to participate. This
commitment will include a registration form, signed by a parent, and a non-refundable deposit. The
deposit must be paid by check or money order and must accompany the signed registration form before a
chorister is considered registered for tour. The Chorus will not accept a registration form without a check
or a check without a registration form. For each tour or festival a date will be set beyond which no
registrations will be accepted.

No fundraising dollars may be used for tour deposits unless the entire tour & deposit can be paid for with
the chorister’s available fundraising. However, if the entire tour or festival cost equals the registration cost,
the chorister will have the option of either paying the cost directly or asking that fund raising dollars be
applied.

A schedule of suggested payments, based on the cost of the tour and the timing of when money must be
paid out for tour costs (plane tickets, hotel rooms, general tour fees, etc.) will be published on the
registration form. It is expected that each touring chorister will stay current with the payment schedule.
A final tour account statement, documenting payments and fundraising monies earned will be sent the
month prior to when the final payment is due. Fundraising monies for choristers registered for tour will
be applied as they are earned. Any fundraising balance carried forward from the previous year will be
applied to tour, once the chorister’s registration form and deposit are received and recorded.

If a chorister decides to drop from tour, she/he must provide a written statement of withdrawal. In
addition to the non-refundable deposit, any money, including fundraising dollars, paid out by the Chorus
on behalf of that chorister (such as for airline tickets etc.) prior to the receipt of withdrawal notice, will be
non-refundable unless another chorister not already registered for this tour takes his/her place. All
choristers going on tour must be current in their tuition accounts. Any chorister more than 60 days past
due on his/her tuition account may not register for tour until payment has been made on the tuition
account. There are no scholarships given for tour.

Travel insurance for touring choristers is strongly advised but not required and it is the responsibility of
families to obtain such insurance. Choristers will receive a Tour Handbook prior to the beginning of the
tour which includes a tentative schedule of performances and events, a packing list, and details outlining
all expectations for behavior for choristers going on tour.

Touring Uniforms​ -​ Choristers who are going on tour may be required to purchase from the Chorus
additional shirts, sweatshirts, shorts, or slacks for informal performances. The final touring uniform will
be determined before each tour, once requirements for performing are established.

Tour Chaperone Policy

Philosophy
The vision statement of the choir is N​ urturing Excellence in Young Musicians. ​And it is the philosophy of
the Seattle Children’s Chorus that as a part of creative expression, growth and musical recognition and
acceptance, the Chorus will participate in a variety of tours. The participation in the diverse musical
settings provided by touring is an important part of choral training. In a successful tour the chaperones
are a vital factor in promoting a nurturing environment. The safety and well-being of each chorister is our
top priority, therefore the selection of chaperones plays a key role in every tour.

Qualifications
The Chorus anticipates that each tour will be a joyous event producing wonderful activities and life long
memories. To that end and since chaperones fulfill a very demanding role; qualifications and expectations
are set very high.

The Chorus seeks individuals that demonstrate a love for choristers of all ages. The Chorus expects that
on tour a chaperone focus 100% on the tour and the choristers assigned to them. Each tour is also
physically demanding and requires flexibility to meet unexpected circumstances. There are often long
days and short nights with little sleep and diverse accommodations. Walking is often the primary mode
of transportation.

Expectations
Seattle Children’s Chorus expects full commitment from the chaperones. Chaperones will attend all
mandatory Tour Chaperone Meetings and will fulfill all responsibilities as outlined at them. General tour
expenses for chaperones, such as, but not limited to transportation, housing and food, will be paid in full
by the Chorus. Any personal needs or extras are the responsibility of the individual chaperone.
Chaperones must start the tour and finish the tour with the choristers, barring unforeseen emergencies. It
is expected that the chaperones will promote, enforce and adhere to all guidelines and tour rules. It is the
policy of the Seattle Children’s Chorus that the use of recreational or illegal drugs, alcoholic beverages or
tobacco is forbidden on tour.

Chaperone Financial Responsibilities
The cost for chaperones traveling with the Chorus on trips, tours or festivals that involve no airplane
travel will be factored into the cost of the trip for the chorister. The chaperone will not be charged to
participate. If a tour, trip or festival involves airplane travel, the chaperone m

of the chorister’s cost for the tour.

Ratio
The specific need of each tour depends on the destination, number and ages of choristers attending, and
the combination of male/female choristers traveling with the tour. A minimum of two of any gender
chaperone shall travel for each tour to maintain appropriate supervision of our choristers. The chaperone
to chorister ratio is always age appropriate.

Selection Process
A neutral selection process has been designed to rationally and objectively evaluate each applicant. Each
individual applying for tour chaperone is asked to fill out an application form and pass a Washington
State Background Check. The application form assesses the individual’s skills and abilities, experience
working with children, and specific volunteer experience with the Seattle Children’s Chorus.

An objective score sheet was developed specifically for SCC and each applicant is scored on a variety of
levels. All applicants are asked to provide references. The references of all final candidates are contacted.
The final selection is made based on all this information and is reflective of each tour.

Tour Director
There will always be a Tour Director in charge of every tour. The Tour Director is in charge of the
arrangements for the tour, is empowered to make the appropriate decisions regarding events of the tour
and has full authority to act on behalf of the Chorus with regard to tour issues. The Tour Director may
delegate these duties as necessary.

Parent Traveler Policy

Philosophy
We believe that the experience of touring with Seattle Children’s Chorus teaches choristers many lessons.
Chief among these lessons is independence, flexibility, and cultural awareness. SCC tours provide a safe
and thoughtful environment for young people to begin to live independently. The SCC staff has had years
of tour experience and we are still amazed at how tour and the unique challenges that come with being on
one's own, in a supportive environment, changes lives. We want every chorister to feel a certain level of
independence on tour.

Expectations
Parents will not interact with their students on tour except at public performances. Parents may attend
public performances and are welcome to greet their child after these performances. All interaction is to
remain limited to performances and will not be allowed at meals, activities, hotels, and during
transportation. Additionally, we ask our students not to call home but if they need anything to talk to their
chaperone first. We ask parents to honor this request. Chaperones are our first responders during tour and
allowing them to deal with any needs that arise ensures your chorister is given appropriate support. SCC
does not support or condone families who wish to share the tour experience with the group. SCC tours are
not to be considered a family vacation. Those who desire to be on tour must apply to be a chaperone.

Guidelines for Parents During Tour
   1. Plan to see your chorister as little as possible other than in concert and after a concert. Make your
       visit brief, uplifting and focused upon what he/she is doing on tour.
   2. Do not expect to take your chorister from the group. If you wish to share special, intimate times
       with your chorister it is recommended that you arrange to have your chorister stay on with you
       after the rest of the choir returns home. If you desire the latter, please contact the office
       immediately to make sure arrangements have been made for a deviation from the scheduled trip.
   3. Seattle Children’s Chorus is not a travel agency. Parents must make their own travel
       arrangements. Parents are not to be considered part of the tour entourage in any other way.
       Please plan your itinerary separately so that you “meet up” with the tour only on special occasions
       (performances only, please).
   4. Parents must book hotels separate from the Chorus’ hotels at all locations.
   5. Parents will not be provided with transportation, tickets, entrance fees or any other considerations
       through the Seattle Children’s Chorus tour arrangements.
   6. You must consult with the Chorus Office prior to departure about when you plan to “meet up”
       with the tour. Please be sure you are where you say you will be. Communication is essential for
       ensuring the tour goes smoothly. If you are not where you have said you will be, we will have to
       continue on our planned itinerary.

The chaperones have been appointed as surrogate parents for the duration of the tour. As the parent of a
chorister who will be experiencing a once in a lifetime trip like this, we hope you understand that our
guidelines need to be respected by you. Your chorister will be carefully watched over and nurtured by
these chaperones. We plan to provide you with opportunities to become acquainted with your chorister’s
chaperone in advance of the tour. We look forward to positive cooperation as we plan the most beneficial
tour possible for your chorister!
