Introduction This is your guide to the restrictions on the use of free and privilege staff and FIP travel facilities. If a service is not listed, then specific restrictions do not apply. This Restrictions document and the ‘Where Can I Go?’ document will help you get the best out of your benefits. • Restrictions apply to the use of both leisure and residential travel facilities unless otherwise stated. • Trains shown in the passenger timetable with U or S stops cannot be used for either alighting or joining at the stations designated. • As required by the National Rail Conditions of Travel section 6 (with the exception that privilege tickets are not available from Ticket Vending machines), you must buy your privilege tickets in advance before boarding the train. If you don’t you will be charged the STD single fare for the journey or a penalty fare if appropriate. Where the facility to purchase a privilege ticket does not exist at the station where you start your journey, you should actively seek to obtain a ticket at the first available opportunity, either on the train or from gate-line staff, or next available ticket office. • If you wish to use a sleeper service, book as early as possible. Only a limited number of reservations may be available for staff travel on each service and this can sometimes be reduced if demand is high. • Reservations are available in standard class accommodation on some services. Reservations in First class is not permitted on some TOC services. Please refer to the specific pages for further details. • When travelling using your staff travel facilities, priority should be given to fare-paying passengers. Whenever possible, cardholders should travel on lightly-loaded trains. If a train is crowded, cardholders should allow fare-paying passengers to take seats. 3

Caledonian Sleeper There are no specific restrictions on Rail Staff Travel on Caledonian Sleeper. Reservations for free travel open 3 months before the date of travel. There are limited numbers of free places available. Sleeper Accommodation. Staff using discounted travel have two options to travel on Caledonian Sleeper: • 75% discount on fully inclusive flexible fares • 75% discounted inter-available tickets plus a full price room supplement Safeguarded staff do not need to date a box for either of these options. Safeguarded staff using free travel (Travelling on Boxes, Blue or Silver Status Passes) must purchase a full price room supplement. Gold Status Passes endorsed for free travel in Sleeping Cars do not need an additional payment but reservations are required through Guest Services and are limited in number. The £2 maximum child fare does not apply to inclusive Sleeper products. Children pay the same price as Adults. The £2 maximum does apply to Anytime / Off-Peak / Super Off-Peak tickets used with a full price child Room Supplement. Children can travel on 75% discounted Adult fares. When making bookings all the group should book as if they were all Adults. In most cases the 75% discounted inclusive fare is cheaper. There are some restrictions on travelling with children on sleeper trains please check www.sleeper.scot for the latest information. Accommodation Types On 28 October 2018 Caledonian Sleeper will introduce a new customer offer with new trains to follow early next year. The accommodation and room configuration is different on the train sets and we are unable to offer the full set of products and services in the current train compared to that which is available on the new train. This means that in the transition there will be the full customer offer on the new train but a restricted subset where trains are planned to be operated by the existing train. 5
New Trains On new trains all rooms will be available for either Solo or Twin occupancy in all classes. In the crossover period there will be some restrictions on the existing trains. • Holders of Standard facilities may only travel in Classic accommodation. • Holders of First Class facilities may travel in either Club or Classic accommodation. • There are no discounted or free travel in the Caledonian doubles. Existing Trains The existing train will have a reduced set of the new fares available. Only accommodation and products will be on sale that is common across the two train sets. The enhanced new trains offer will not be available in this period. This will be extended once the changeover dates are known. This means there are restrictions on the products which are available to purchase. This has an impact on Rail Staff wanting to use Caledonian Sleeper. Classic Rooms are only being sold as Twin Rooms, for two people travelling together and Club Rooms as solo occupancy. The share with a stranger option is no longer available. There will be no solo option in Classic accommodation. This means there is no product available for solo Guests in Classic accommodation. A consequence of this is that holders of Standard Class facilities have no product they can purchase when travelling alone. In the period this is happening Solo Travellers with Standard facilities should book as two adults in a twin room and can have solo occupancy of the room. If two people are occupying a twin room at Staff Travel discounted rates they must both have staff travel facilities. You may not purchase a Staff Travel discounted room and take a second person at the discounted rate who does not hold facilities. To book a twin room the booking will always have to be made for two adults. For solo occupancy of a twin room you will have to book as two adults in this transitional period, even if only one is travelling. Holders of Standard facilities cannot use Solo Club accommodation. 6
Staff Travel and non-Staff Travel Groups If a group is travelling where some of the group is eligible and others are not, a shared room can only be discounted if both people hold facilities. If one does and one doesn’t then there are two options: • A solo room at discounted rate and a solo room at the public rate • A twin room at the public rate In the transition period where current trains will still be in operation the solo staff traveller, with Standard facilities, will have to purchase a twin room at staff travel rate and then a solo room at the public rate to use the first option. Station Lounge Access Holders of staff travel facilities with confirmed reservations in First Class on the sleeper may use the Caledonian Sleeper Lounge up to 2 hours before boarding and up to 2 hours after the scheduled arrival time of the train in the morning. Seated Accommodation Staff travel holders cannot used discounted or free travel facilities to travel in overnight seated accommodation on Caledonian Sleeper. However, they may travel in the seated accommodation on the legs of the journey between Fort William and Edinburgh and vice versa, and Kingussie and Inverness where the sleeper train forms a day service, (reservations are not required). Free or privilege rate travel facilities can be used on these services. It should be noted that the seated section of the train is Standard Class only and there is no First Class seated accommodation. Holders of First Class facilities may travel in the Standard accommodation. Chiltern Railways The Business Zone on Chiltern Railways Mainline Silver Trains services is not First Class accommodation, but an additional facility available to all staff travel facilities holders upon payment of the full public supplement (currently £10 off-peak / £25 peak). WiFi There is no restriction on the use of WiFi by holders of rail staff travel facilities This information is provided by the Pricing and Ticketing Manager, Chiltern Railways, Great Central House, Marylebone Station, Melcombe Place, London, NW1 6JJ. CrossCountry There are no restrictions to users of free and privilege rate travel facilities on any CrossCountry service. However the following should be noted: • Active staff holders of National Rail First Class travel facilities must give priority to fare-paying First Class customers. • Active staff holders of National Rail STD travel facilities are requested to vacate their seats if fare-paying customers are standing. Due to high demand and limited capacity in First class accommodation, CrossCountry respectfully asks all active staff travel facilities holders using free and reduced rate First class travel facilities to refrain from occupying First class accommodation on the following routes/ services: Routes: Bristol/Birmingham/Manchester/York/Reading Times: 07.00-09.00 & 15.00-18.30 Day(s): Monday – Friday only WiFi Staff travel holders are not provided with free Wi-fi on any services as this is only available to full fare paying passengers. 8
Catering Acceptance of alcohol or complimentary food is not permitted on any CrossCountry service. Staff with First Class travel facilities may partake of complimentary tea, coffee and soft drinks on CrossCountry services except on the following routes where Turbostar rolling stock operate and catering is provided by an external supplier: • Cardiff – Nottingham, including local flows between Birmingham and Nottingham • Birmingham – Stansted Airport, including local flows between Birmingham and Leicester This information is provided by the Pricing and Revenue Manager, CrossCountry, 5th Floor, Cannon House, 18 Priory Queensway, Birmingham, B4 6BS. The following services are extremely busy in STD Class accommodation between Liverpool Lime Street and Manchester Piccadilly and users are strongly recommended to travel on alternative services (Mon- Fri): 06.47 Liverpool - Norwich 07.42 Liverpool - Norwich 17.52 Liverpool - Norwich 17.37 Manchester - Liverpool On special non-timetabled loco-hauled services that EMT may operate from time to time, rail staff travel facilities will not be valid. Active staff travel facilities holders are requested to vacate their seats if fare paying customers are standing. Reservations Active First Class pass holders should always give fare paying passengers priority on all trains. Under no circumstances should First Class seats be booked in advance on East Midlands Trains services. Catering First Class travel facility holders are respectfully requested to refrain from accepting the complimentary glass of wine, fruit juice, breakfast and snacks, but are welcome to accept tea, coffee and mineral water. Breakfast is available to purchase on-train for £5.00 (Mondays - Fridays). Snacks and other items are also available to purchase on-train. Lounge access First Class lounges are not available to First Class travel facility holders before 09.00. First Hull Trains First Hull Trains is an open access operator. There is limited capacity, so travel with First Hull Trains staff travel passes and National Rail staff travel cards and passes on the following First Hull Trains services is only available at the discretion of the Train Manager (pass holders should confirm with the Train Manager prior to boarding). 10

First Class Travel Holders of First Hull Trains First Class passes and National Rail staff First Class cards and passes may occupy seats in First Class accommodation, subject to availability. Pass holders are required to give up seats for fare paying customers if requested by the Train Manager or First Class host, or move to other seats so as to afford full fare paying passengers the benefit of their choice of seats, at any point during the journey. Holders of all staff STD passes will be required to pay the appropriate First Class fare for the journey being taken if they wish to travel in First Class. When available, payment of the Weekend First upgrade is sufficient. Reservations Holders of First Hull Trains staff travel passes and National Rail staff travel cards and passes are not permitted to make seat reservations on First Hull Trains services. Catering Holders of First Class staff passes may partake of complimentary tea, coffee, water and biscuits/light snacks as available. However, acceptance of any other food or drink is not permitted unless a catering voucher (currently £4) has been purchased on board that train from the Train Manager; the receipt for this should be retained and shown to the First Class host if requested. Vouchers purchased on one train are not valid for use on another, and are not refundable. In all cases, priority of stock will be given to full fare paying customers, and the provision of food and drink to holders of 11
staff passes and PRIV/FIP discounted tickets is not guaranteed for shorter journeys, although every effort will be made to serve all passengers. Staff and their dependents who have purchased PRIV/FIP discounted First Class fares, or a Weekend First upgrade, are entitled to partake of the full catering offer without the need to purchase the voucher. This information is provided by the Revenue Development Manager, First Hull Trains, Premier House, Ferensway, Hull, HU1 3UF. Grand Central Grand Central are an open access operator. They have no agreement to exchange travel facilities with the franchised Train Operating Companies and as such Staff and FIP free and privilege rate travel facilities are not available for use on Grand Central services. 19.15 London Paddington – Swansea 19.30 London Paddington – Weston-super-Mare Active staff holders of National Rail First Class travel facilities must give priority to fare-paying First Class customers. Active staff holders of National Rail STD travel facilities are requested to vacate their seats if fare-paying customers are standing. In respect of journeys terminating at Paddington on services which arrive between 07.15 and 09.00 and journeys departing from Paddington between 16.30 and 19.15, holders of all staff travel facilities should only use accommodation where spare seats are available. Whenever required by fare-paying customers, including those joining en-route, seats should be vacated immediately. Catering First class free pass facilities holders may partake of complimentary tea, coffee, hot chocolate, water and Borders twin pack biscuits on Great Western Railway services. However, regardless of the type of free First Class staff travel facilities held, acceptance of other complimentary food items, fruit juice, fizzy or alcoholic drinks is not permitted. Travel facilities holders who have PRIV/FIP discounted First Class tickets, or at weekends who have purchased a Weekend First upgrade, are entitled to partake of the full complimentary catering offer. Note 1: This restriction applies only to staff making journeys between Manningtree or Colchester and London and vice versa. However, owing to capacity issues holders travelling from Ipswich are asked to avoid using the above trains where possible. Alternative services starting from Ipswich are the 06.29, 06.58 and 07.38, or the 07.17 (starting at Stowmarket). Staff travel holders are also respectfully asked to avoid travelling in First Class accommodation on the following services (Mon-Fri): 08.30 Norwich to Liverpool Street (south of Ipswich) 17.50 Liverpool Street to Norwich On all other services, holders of First and STD Class free and privilege travel facilities are asked only to occupy seats that are not required by fare-paying passengers. If at any point during the journey seats become required by fare-paying passengers, staff are requested to vacate them immediately. This ruling does not apply to retired staff. Reservations Active staff and dependants must not make First or STD seat reservations on any service booked to arrive in London before 10.00, or to depart London between 16.00 and 19.00 (inclusive) on Mondays to Fridays. Catering The complimentary refreshments served in First Class or from the café bar on InterCity services are not available to staff travel holders regardless of the level of facilities held. London North Eastern Railway There are no restrictions to users of free and privilege rate travel facilities. Holders of First Class and STD free and privilege travel facilities may use respective accommodation whenever there are seats unoccupied by fare-paying passengers. If during the journey the seat is required by fare paying passengers, staff are requested to vacate them immediately. This ruling does not apply to retired staff. 14
Fare-paying passengers should be allowed to occupy their choice of seats first. Trains starting/terminating at Glasgow, Edinburgh, Aberdeen and Inverness are exceptionally busy, especially during school holidays and whenever possible, these trains should be used only by staff who are travelling to/from stations north of Newcastle. Reservations Active staff and dependants must not make First Class seat reservations on Mondays to Fridays. Additionally, active and retired staff and dependants must not make STD seat reservations from Peterborough or Stevenage to London arriving before 09.40, nor from London to Stevenage or Peterborough 16.25 - 18.05 inclusive, Mondays to Fridays. Catering First Class free travel facilities holders may partake of tea, coffee, water, fruit juice, biscuits and savoury snacks. However, regardless of the type of free First Class staff travel facilities held, acceptance of complimentary food, fizzy or alcoholic drinks is not permitted unless a catering voucher has been purchased in advance from the designated member of on- train staff. In all cases the voucher should be handed to the member of the on board crew before ordering or accepting food or drink. A voucher costs £5.00 per person and no child discounts are available. Vouchers purchased on one train are not valid for use on another. Holders who have purchased Staff/FIP Privilege First Class fares, or at Weekends who have purchased a Weekend First upgrade are entitled to partake of the offer without the need to purchase the voucher. Scotrail There are currently no specific First Class restrictions on free and privilege travel facilities on any ScotRail service Active staff and dependants are reminded of the following: • Wherever possible staff travel facilities holders should seek to travel on lightly loaded trains • When this is not possible and travel is undertaken on a crowded train, it is expected that staff travel facilities holders should stand back to allow fare-paying passengers to obtain seats • Failure by staff travel facilities holders to take this action will result in consideration being given to the imposition of a travel restriction on the service(s) in question Specifically, we would encourage First Class staff travel facilities holders to take note of the above on the following services: • Glasgow Queen Street – Edinburgh Waverley (and vice versa) express services departing between 07.00 and 08.00, and between 17.00 and 18.00 • Glasgow Queen Street - Aberdeen services departing 07.39, 16.42 and 17.41. Southeastern Southeastern asks you to be pro-active in considering their First and STD Class fare paying passengers by allowing them to take their seats first. Southern, Gatwick Express, Thameslink and Great Northern There are no specific restrictions on Southern, Gatwick Express, Thameslink and Great Northern services. However you are asked to be pro-active in considering fare paying passengers by allowing them to take their seats first. Where a train has passengers standing, rail staff are requested to give up their seats for fare paying passengers. This does not apply to retired staff. South Western Railway Train From To Days Dates Barred Facilities Exceptions Barred 06.15 Portsmouth Waterloo Monday 09/12/18 - AE XY Harbour - Friday 18/05/19 (Note 1) Note 1: Restriction applies between Haslemere and Waterloo (including all intermediate stations). This service is free of restrictions between Portsmouth Harbour and Haslemere, but staff travel facilities holders (as outlined above) need to de-train at Haslemere onto alternative services to continue their journey. Active holders of First Class free travel facilities are requested to give priority to fare paying passengers on peak period services and to relinquish First Class seats if fare-paying passengers are standing. TransPennine Express There are no restrictions to free and privilege travel facilities, however the following should be noted: Active staff holders of First Class travel facilities are advised that First Class accommodation should only be used where seats are available. These seats should be vacated whenever required by fare paying customers. Active staff holders of STD Class travel facilities are requested to vacate their seats if fare paying customers are standing. Reservations First Class seat reservations for active staff and dependants are not permitted. This information is provided by the Pricing Manager, TransPennine Express, 7th Floor, Bridgewater House, 60 Whitworth Street, Manchester M1 6LT. Transport for Wales There are no specifically restricted services. However, holders of active First Class staff travel facilities are advised that Business Class accommodation should only be used where seats are available. These seats should be vacated whenever required for fare paying customers. Business Class seat reservations for active staff are not permitted. Catering On a limited number of services free meals are offered in Business Class accommodation. Holders of First Class travel facilities are not permitted to accept these. However meals can be purchased on the day of travel from the catering staff. Where seats are available, and only on the trains where this service is offered, holders of STD Class travel facilities may travel in Business Class accommodation upon payment of the relevant Upgrade for the journey being made and meals will be included. Virgin Trains West Coast Train From To Days Dates Barred Facilities Exceptions Barred 16.43 Euston Edinburgh Monday 09/12/18 - D X - Friday 18/05/19 (Note 1) Note 1: Restriction only applies to holders boarding the service at Euston and alighting at Milton Keynes. There are no restrictions to users of free and privilege rate travel facilities on any other Virgin Trains West Coast service. However, the following trains are extremely busy (often with passengers standing) in both STD and First Class accommodation Monday to Friday, and it is strongly recommended that staff travel facilities holders use alternative services: 19.00 Euston - Manchester Piccadilly 19.03 Euston - Birmingham New Street 19.07 Euston - Liverpool Lime Street 19.10 Euston - Holyhead 19.30 Euston – Glasgow Active staff holders of National Rail First Class travel facilities must give priority to fare-paying First Class customers. Active staff holders of National Rail STD travel facilities are requested to vacate their seats if fare-paying customers are standing. Lounge access Holders of National Rail and Virgin Trains First Class staff travel facilities are not permitted to use the First Class lounge at London Euston on Thursdays and Fridays between 17.00 and 20.00. At all other times admittance is at the discretion of lounge staff. Catering First Class travel facilities holders may partake of complimentary tea, coffee and soft drinks on West Coast services. However, regardless of the type of staff travel facilities document held acceptance of alcohol or complimentary food is not permitted. 19
Staff pass holders may purchase a catering voucher (currently £5) from the Shop. The catering voucher can only be used on the train on which it was purchased. This can be presented to the crew in First Class for the full First Class menu offering for the train you are travelling on, excluding alcoholic drinks. West Midlands Railway See entry for West Midlands Trains West Midlands Trains There are no specific train service restrictions applicable to users of free and privilege travel facilities on West Midlands Trains services (branded West Midlands Railway and London Northwestern Railway). Shipping Services Caledonian MacBrayne Travel facilities are available only to staff who entered the service prior to 1 January 1971 and only on the routes listed below. Reduced rate travel facilities are available to all eligible active and retired staff on these services upon presentation of a valid undated Staff Travel Card at the Company’s booking offices. Free travel facilities, obtained by use of a dated Staff Travel Card, are granted to all eligible active and retired staff on routes 13 – 15 only. On routes 1 – 12 free travel is granted only to eligible active salaried staff who should make an application for specific journeys (maximum 2 per annum) to their usual travel facilities administration point. 1. Isle of Man Steam Packet Company The Isle of Man Steam Packet has requested that all active and retired staff who are entitled to free/discounted travel on their services make reservations in advance of travel. This is to avoid disappointment at not being able to board owing to the ship having insufficient space for privilege rate passengers. P&O Ferries Foot passengers can only travel between the hours of 08.25 - 19.15 on P&O Ferries services from Dover and between 06.45 - 21.45 from Calais. All free and concessionary travel holders must have the correct documentation before travelling. All Stena Line services are single class Reservations are compulsory on all sailings - Anyone wishing to travel should telephone Stena Line in advance on 08448 471471 to make a booking. It is recommended that bookings are made as early as possible throughout the year as space for concessionary travel is subject to availability. An alternative sailing can however be requested if the first choice sailing has no space left for concessionary travel. Please note that bookings cannot be made at the Port on the day of departure. Vehicles - Stena Line operate a pricing structure in which fares are generally cheaper the earlier the booking is made. As such the 50% discount available to staff for conveyance of vehicles will be on the flexi fare available at the time of booking. Wightlink - Isle of Wight Travel facilities are available only to staff who entered the service prior to 1 April 1985. There are no restrictions on the use of free and privilege travel facilities by eligible staff as foot passengers on Wightlink services during the Winter 2018 timetable. 24
Leisure Railways East Lancashire Railway Privilege fares are not available on the following events: • Santa Specials - 24 November to 24 December 2018 Privilege fares remain valid as normal on all other trains operating on these dates. Mid Hants Railway (Watercress Line) Staff Privilege Fares are not available on the following: • Santa Specials – 1 to 24 December 2018 inclusive North Yorkshire Moors Railway On normal operating days concessionary fares will be calculated at 75% discount. To obtain this discount staff travel holders must present their National Rail Staff Travel Card or TOC Privilege Card at a NYMR station ticket office. Privilege rate tickets cannot be purchased on the train. Concessionary fares are not available on our Pullman Dining Trains, selected NYMR services on the ESK Valley Line to Battersby, Santa Special Trains and other special events. Please check with the NYMR before travel for our special event dates.
