Onstream home (/onstream/) / Onstream highlights 31 January 2019 The National Student Survey (NSS) 2019 opens at Oxford Brookes As recently reported in Onstream (https://intranet.brookes.ac.uk/onstream/2019/jan/the-national-student- survey-(nss)-2019-launching-soon!/?type=roundup), the National Student Survey (NSS) 2019 will launch at Brookes on Monday (4 February). Final-year students will receive an email from Professor Anne-Marie Kilday, Pro Vice-Chancellor (Student and Staff Experience), on Monday with information about the NSS. A formal email invitation from survey organisers Ipsos MORI will follow on Thursday 7 February encouraging students to take part. A range of University activities to promote participation in the NSS will take place over the coming weeks until the survey closes on 30 April. A dedicated staff page (https://intranet.brookes.ac.uk/staff/nss/) is now live on the staff webpages. This provides a range of information about the survey and a Communications Toolkit to encourage student participation including: a set of PowerPoint slides (https://intranet.brookes.ac.uk/Documents/Staff/NSS/NSS-2019-Slides/) to encourage students to fill out the survey - to be used at the start or end of lecture Poster (A0 (https://intranet.brookes.ac.uk/Documents/Staff/NSS/NSS- 2019-poster-A0/), A3 (https://intranet.brookes.ac.uk/Documents/Staff/NSS/NSS-2019-poster- A3/) and A4 (https://intranet.brookes.ac.uk/Documents/Staff/NSS/NSS- 2019-poster-A4/)) and leaflet templates (https://intranet.brookes.ac.uk/Documents/Staff/NSS/NSS-2019-Flyer/) to promote participation in the NSS Ipsos MORI’s Staff Briefing (https://docs.google.com/document/d/1dSmn3LmJPieoxDE13EZYTTGbA7VlLvx3JoOGRbdjI9I/edit) which includes important guidelines on what may constitute inappropriate influence on students completing the NSS. We have also produced a localised version with Brookes specific information, available here (file:///C:/Users/p0076799/Desktop/NSS%202019%20Staff%20Guidance%20Document%20v2.pdf). All communications activity should have the aim to raise awareness of the NSS amongst mostly final-year undergraduate students and encourage students to give honest and anonymous feedback on their course experience. Associate Deans for Student Experience (ADSEs) are coordinating promotional activity at faculty level and will be providing further guidance around activities and timings. Early online completion is desirable so please help to ensure students are aware of the NSS from 4 February and encourage them to complete the survey online at www.thestudentsurvey.com (http://www.thestudentsurvey.com) before 30 April 2019. (www.thestudentsurvey.com) To encourage students to participate, the University will make a £3 donation to charity for each completed survey. We've selected four local charities to support - OSARCC (Oxford Sexual Abuse and Rape Crisis Centre), Homeless Oxford, Restore, and Prospect Hospice - and donations will be split equally amongst them. We need to achieve an NSS response rate of at least 50% at an institution level and in our subjects of study (combined with at least 10 respondents per cohort) in order for publication to take place. Last year we achieved an excellent overall response rate of 75% and we are aiming to reach at least that rate this year.
Jon Snow to officially open Clerici, Sinclair and Sir Kenneth Wheare Hall There will be an opportunity for staff to join former Chancellor Jon Snow when he officially opens the recently redeveloped buildings on Headington Campus. The opening ceremony will take place on Friday 5 April at 11.15 am in the Sir Kenneth Wheare Hall. The ceremony will be followed by an in-conversation event with Jon Snow and Pro Vice-Chancellor and Dean of the Business School, Chris Blackburn. There will be celebratory refreshments and an opportunity to ask Jon questions after his discussion with Chris. For a lucky few there will also be a lunch at Brookes Restaurant with Jon, Vice-Chancellor Professor Alistair Fitt and other members of the Vice-Chancellor’s Group. It is expected that there will be high demand among both staff and students for all parts of the day so there will be a ballot, with names drawn at random to determine who can attend. If you wish to attend the ceremony and in- conversation event, please complete the ballot entry. Those who are successful in this ballot and who indicate they also wish to attend the lunch at Brookes Restaurant, will then be entered into a draw for the lunch. The deadline for entering the ballot is Friday 1 March. Set to roll out this June, the new system brings together dozens of legacy systems, creating a single access point for multiple student-facing systems. It will both improve the way in which numerous back-office systems interact with each other and provide a new interface for students, enhancing the experience of both. Given the size of the task, the project has been very complex and many staff have been involved to date and will continue to be as we approach the final few months before rollout. The new system will: help the University to make better decision making and provide improved services have efficient and streamlined processes and ways of working provide a better user experience for staff and students alike. Plans are well underway to help staff and students, workstreams and other business areas to move across to using the new SRS. The next phase of the programme is User Acceptance Testing (UAT), which is the final stage of testing, and this starts in early February. It will involve students and staff, as appropriate, testing parts of the system to ensure that it meets the needs of everyone who will be using it. The SRS team has planned a series of roadshows at all campuses during week commencing 25 March to demonstrate parts of the system. These sessions may be of interest to all colleagues and will provide a great opportunity to ask questions of the team. The dates and times are below, with rooms to be confirmed in a later edition of Onstream. Harcourt Hill: Friday 29 March (room TBC), demonstrations 11.00am- 12.00pm and 2.00-3.00pm. Headington: Tuesday 26 March (room TBC), demonstrations 10.00- 11.00am and 2.00-3.00pm. Marston Road: Monday 25 March (room TBC), demonstrations 10.00- 11.00am and 2.00-3.00pm. Swindon: Thursday 28 March (room TBC), demonstrations 10.45-11.45am and 12.30-1.30pm.
Wheatley: Wednesday 27 March (room TBC), demonstrations 11.00am- 12.00pm and 2.00-3.00pm. The SRS team is also engaging directly with academic and professional services colleagues through the established change groups alongside other engagement meetings. This month's SRS Top 5 in 5 is also available to view below (you can also find it online (https://prezi.com/5jpgsx79p0b_/srs-top-5-in-5-january-2019/)). This month, find out what's happening in the Curriculum, Enrolment, Module Registration and Self-Service workstreams, plus a programme testing update. SRS Top 5 in 5 January 2019 (https://prezi.com/5jpgsx79p0b_/) By SRS Brooke Present EU settlement scheme update In a recent Onstream update (https://intranet.brookes.ac.uk/onstream/2019/jan/oxford-brookes-to-cover- eu-settlement-fee-for-staff/?type=roundup), staff were informed of the news that the University would allow those EU colleagues applying for settlement, to claim the application fee back. On 21 January, the Prime Minister announced that there will be no fee when the scheme opens fully on 30 March 2019. Furthermore anyone who has applied already, or who applies and pays a fee during the test phases, will have their fee refunded. Details of the refunds process will be published by the Government shortly. This Government announcement is welcomed but it also makes the previous announcement in Onstream largely redundant. However colleagues should know that the University will also allow claims to the same level for those EU staff who, since 1 January 2018, have applied successfully for British citizenship. Applications for a contribution of £65 towards such costs will still be honoured, as outlined in the last update. In a further positive development to the Settlement scheme, the Government has announced that it is now open for some EU Nationals to apply for settled status (https://www.gov.uk/settled-status-eu-citizens-families) now rather than waiting until 31 March 2019. EU citizens living in the UK who have a valid biometric passport and non-EU family members who have a valid biometric residence card, will be able to apply. If anyone is considering an application and they have queries over their eligibility to do so, or the nature of the application process itself, then they are encouraged to call the EU Settlement Scheme Resolution Centre on 0300 123 7379. Queries can also be raised through an online function (https://eu- settled-status-enquiries.service.gov.uk/start?hof-cookie-check). Applicant Day volunteers needed – 16 February and 6 April An update from David Martin, Applicant Day Volunteers Coordinator: Our Applicant Days are fast approaching on 16 February and 6 April. As always, the University is looking for friendly volunteers to assist prospective students and their families, both on and off campus. For those of you who don’t know, Applicant Day is when prospective students who have applied to us, come and visit to help them decide which university to choose. So it goes without saying how important this day is. We would not have been able to run our many successful Applicant and Open Days without the support of volunteers, and I am grateful to all of you who have volunteered in the past. We are looking for assistance on Headington Campus, welcoming and directing visitors, and also with greeting arrivals at the train station and at Thornhill Park & Ride in Oxford. You may wish to do a full day, or if that’s not possible we welcome colleagues signing up for a half day. You’ll be provided with training beforehand and lunch on the day. You’ll also earn TOIL at time and a half for any hours worked, although please discuss this with your line manager before confirming. If you have never volunteered before and have any questions about what it involves then feel free to contact me. People who have volunteered often tell us how rewarding they found it to interact with our prospective students and their families. If you would like to volunteer on one or both of these dates, or want any further information please contact David Martin at opendayvolunteers@brookes.ac.uk or on x4304 Upping your digital skills for 2019 Is 2019 the year you’ve decided to up your digital game? Your invitation to attend the Professional Services Staff Research Showcase 2019! After the success of the first Professional Services Staff Research showcase last year, we are delighted to welcome you all once again to support Brookes colleagues on Wednesday 27 February 2019. Typically, research efforts have been celebrated by academic staff only, missing out the valuable input of those working in professional services support roles. This showcase is an opportunity for Brookes professional services staff to exhibit their research to all in an inclusive, supportive space. Short, ten-minute presentations will run in parallel from 10.15am - 12 noon with a break in between. You will be able to choose from a diverse programme including History and Revolt, Cultural Themes, Topical Issues and International Experiences. A closing plenary and networking lunch will follow at 12 noon -1.00pm. All staff are encouraged to attend as part of their own development so please discuss this with your line manager before registration. Come along and support your fellow Brookes colleagues! Sign-up for your place (https://goo.gl/forms/LYzOkWVYoQjjbSEg2) at the showcase and take a look at the programme for the event. Next round of alumni-student mentoring starts soon The next six-week course of career mentoring for students through Brookes Connections starts on 11 February. If you know students who would benefit from this, please encourage them to join. Brookes Connections is a career e-mentoring scheme connecting students with alumni in professional jobs. It is open to all Brookes students. By joining the scheme, students can benefit from: advice and encouragement from an experienced professional assistance in setting clear career goals and sense of career direction strategies for dealing with academic issues increased social and academic confidence support to prepare them for their chosen career insights and connections from alumni to enhance their career prospects. Many students have already benefitted from the scheme and one recently commented: “I had the opportunity to meet someone who had years of industry experience in the sector that I am interested in. This gave me a chance to re-evaluate myself and be more prepared for the job market.” The next round of mentoring runs for six weeks from 11 February to 22 March. Students can select their mentor based on professional and educational background. There is also an option for students to ask alumni questions at any time – so even if they do not want a mentor at this stage it may still be worth their while joining the scheme. “A mentor empowers a person to see a possible future, and believe it can be obtained.” Muhammad Saqib ‘08 (pictured above) - Brookes Connections Mentor If you are an alumna/alumnus of Oxford Brookes and interested in mentoring, you can join Brookes Connections as a mentor. Thank you to everyone who submitted feedback to the consultation on changes to the mitigating circumstances policy. We received 274 responses, of which 60% were from academic staff, and 27% were professional services staff working in faculties or directorates. Broadly speaking, respondents agreed with the proposals being put forward, agreeing that the University needed a simpler, more straightforward process that could be completed online and administered by a dedicated team of staff. Respondents agreed that the policy should offer more guidance on what claims were likely to be accepted in order to manage expectations. They also concurred that claims for extenuating circumstances should be supported by evidence, except for self-limiting conditions affecting attendance at event assessments such as exams. However, we recognise that a significant proportion of respondents had some reservations about the proposal to offer a 48-hour grace period with access to the full range of marks. We realise that we didn’t fully explain this proposal and offer some further explanation, along with more details on the consultation feedback, in this document (https://www.brookes.ac.uk/Documents/Students/Mitigating- circumstances/Feedback-mitigating-circumstances-consultation/), which can also be found on the Mitigating Circumstances webpages (https://www.brookes.ac.uk/students/your-studies/mitigating- circumstances/). The open comments section of the consultation provided us with a lot of information that we are now working through. Comments were especially thorough in areas regarding examples of non-medical extenuating circumstances, cultural differences and how the policy works for students and colleagues at Accredited College Partner institutions. After feedback has been reviewed, the policy will be taken to the Teaching and Learning Infrastructure Committee in February and Academic Board in April ready for implementation in September 2019. Ali Blair, associate director of ASA Alumni support widening participation events Seven Oxford Brookes alumni returned on 9 and 16 January to participate in Brookes Engage careers events for Years 12 and 13 school and college students. The alumni professions ranged from an independent film director and lecturer, a paramedic and a policy advisor for the University of Oxford. Brookes Engage is an 18-month engagement programme that has been developed for students who come from backgrounds which are under- represented in higher education. It is designed to support pupils to make a successful transition into university or from further education. Brookes Engage aims to provide participants with experiences that will develop skills and attributes which will be beneficial both in the world of study and employment. Both evenings were very lively with students asking lots of open questions in their small groups and receiving useful advice from the alumni professionals. One student mentioned how amazing it was meeting film director and subject co-ordinator Govind Chandran ‘15 who had been on the Star Wars film-set the day before! Another lovely connection was an alumni offer of film studios for the future use of Brookes placement students. "Thank you for organising and inviting me to such a great event. The students were fantastic and Brookes Engage is such an incredible initiative." Daniel O'Driscoll '07, head of alumni engagement at University of Birmingham

The conference is open to all students currently studying undergraduate or postgraduate taught courses to showcase their research from dissertations, independent study modules and other modules. Students should submit a 250-word abstract (https://docs.google.com/forms/d/1Mcn2BFTSW2BB1bsRclJDUjXcwsuN24I2BCu7yJi5SHA/viewform? edit_requested=true) by 1.00pm on 8 February for a chance to be one of up to 120 students who can present their research at the poster conference. Taking place on Friday 12 April 2019 (Week 11), the conference provides a great opportunity for students to engage fellow students, academic staff, the public and employers with their research. The students showcase their research via poster presentations in the Forum and prizes are awarded for the best posters. Dr Andrea Macrae, Get Published! project lead said: “Presenting a research poster at the conference is a great way for students to share the knowledge and insights they’ve discovered at Oxford Brookes. “It's an opportunity for students to communicate complex ideas in straightforward ways and a chance for everyone to come and learn about some of the exciting work our students do here.’’ All posters presented at the conference can be published online in the Get Published! Questioning the givens of academic writing across the disciplines. Thursday, 07 March 2019
What is academic writing? In this symposium we undertake a transdisciplinary stance to examining the tightly regulated practices of disciplinary writing. So doing, we will shed light on some of the hidden dynamics and tensions within. Our intention is to position academic writing as an object of inquiry from different methodological and epistemological perspectives such that alternative theoretical and pedagogical approaches to this central aspect of both student and educator everyday life might be facilitated. Whilst this will be a one-off event, we intend it to be the first step in building a research community focused on exploring different approaches to theorising and teaching writing in and across the disciplines. Starting at 10 am and finishing at 3.30 pm, the day will include: · two transdisciplinary panels on theorising and teaching writing in and across the disciplines · workshop sessions to spark ideas, dialogue and collaboration · morning coffee and lunch Venue: JHB 303, Oxford Brookes University, Headington Campus, OX3 0BP For all queries contact: Juliet Henderson jhenderson@brookes.ac.uk Questioning the givens of academic writing across the disciplines.
