RECITAL HANDBOOK Our annual recital is coming soon! Recital will be on Saturday, June 12 th at 11 AM at Memorial Auditorium. A lot of hard work goes into recital by the teachers, students and parents. It is a commitment and you are responsible for making sure you and your student are ready to make it the smoothest recital experience possible. Please read this handbook THREE times and then read it again! If you have any additional questions, please ask your teacher, the front desk staff or email amy@dance502.com. Recital information will also be posted on Facebook. If you have not “liked” our page yet, please do so at www.facebook.com/louisvilledance502 to stay up to date with the latest studio news. COVID GUIDELINES FOR 2021 Masks will be required in the audience and while backstage for those 5 and older. Masks will be optional when students are performing onstage. We will have hooks backstage for mask storage while the students are dancing. They will hang up their masks as they get ready to walk onstage and masks will be placed back on immediately after they exit the stage. If your student chooses to wear a mask onstage, they must be a skin-toned mask. You can purchase a skin toned mask or buy a white mask and cake it with foundation that closely matches skin tone. Masks will be required for any student participating in the grand finale due to the number of students backstage and onstage during the finale. If your student is only wearing a mask for finale, the mask can be any solid color. Even though the governor is lifting the mask mandate on the 11 th, we are still requiring masks in the audience. We will have a large gathering of people, and most of our students are not eligible for the vaccine yet due to their age, so our number one priority is keeping everybody safe. We are no longer requiring assigned seats, but we will have every other row of seats blocked off and we ask that you please leave 4 seats between your party and the next party over. This still allows us an auditorium capacity of over 1,000 people so we will have plenty of space. We may fill half of the available 1,000 seats. For anybody that cannot make the show, we will be offering a free livestream on YouTube. That link will go out later. MEMORIAL AUDITORIUM Memorial Auditorium is a historic building and thus, does not have central A/C. We will have free hand fans available for audience members and we recommend wearing cool, light clothing. There are box fans in the hallways and you can step outside when needed (but please don’t get out of your seat in the middle of a dance.) As of now, the forecast looks mild by mid-June standards, so fingers crossed that it holds! COSTUME CARE Write your child’s name on the inside of all costumes, shoes, tights and accessories. Please use the provided garment bags for traveling with your costume(s). Place accessories in a clear plastic storage bag with your child’s name on it. Hats should be stored in a hat box or a similar storage container to prevent damage. Please do not wash costumes in a washer; dry clean only (after recital.) No underwear is to be worn under your child’s costume. If your child is wearing a full body
tight, leave on at all times unless specified by teacher. Enclosed is a list from your teacher detailing all costume needs for recital. HAIR AND MAKE-UP All female students are required to wear make-up for rehearsal and recital day: red lipstick, blush, eye shadow and mascara. For males, a little blush works well. For required hairstyles for female students, please see the accessory list enclosed in the folder. For hair that is pulled back, make sure that hair is slicked back and tightly secured with clips and bobby pins. Buns need to be secured with hair nets. Dancers with short hair must pull their hair away from their face and slick it down. No earrings or other jewelry are to be worn unless specified by the teacher. No fingernail polish is allowed. PRE-PLANNING Gather all costumes, accessories, shoes and make-up several days in advance so that you know if something is missing or isn’t right. Use the highlighted accessory list as a checklist to make sure that you aren’t missing any necessary items when it’s time to go to the theater. Bring extra hair gel, hair nets, bobby pins and hairspray. Other hand extras include: Baby wipes/Shout wipes: to fix make-up mistakes or wash hands Baby powder: for itchy costumes Safety pins/small sewing kit: for emergency costume repairs Clear nail polish: to repair minor runs in tights Pain relievers: for any aches and pains Clear band-aids: for minor scrapes/cuts DRESS REHEARSAL The rehearsal allows the student to become familiar with the auditorium surroundings and feel comfortable with their performance, costumes and being onstage. Lighting, music cues and all the other logistics for an organized and professional performance are rehearsed so the students make the best impression possible. Participation in the dress rehearsal is mandatory! We run an organized and timely dress rehearsal. Your help with the process will guarantee a professional production. For dress rehearsal only, we will run the grand finale at intermission. We will also run any 3-5 year old classes after grand finale practice so that you can be in and out quickly for dress rehearsal. DRESSING ROOM ETIQUETTE Dressing rooms are available backstage, both upstairs and downstairs. Please do not use the dressing rooms on stage level that have been assigned names. These dressing rooms are designated for students in multiple routines with quick changes. Limit the number of people in the dressing rooms; space is limited and students are storing many of their belongings in these rooms. We must respect their space and belongings. Students will spend more time in dressing rooms than on stage or in the auditorium, so do your best to keep them organized and clean. There is a lot of backstage activity in a limited space, and dressing rooms are a private area. Please remind your family and guests to be respectful of these areas. Those who wish to greet a performer after the show or present flowers should do so in the lobby area.
REHEARSAL DAY ARRIVAL FIRST HALF ROUTINES If your child’s routine is in the first half, they must be at Memorial Auditorium by 4:00-4:15 pm. Please be aware of downtown traffic and plan your travel accordingly. The rehearsal will begin promptly at 4:30 pm. Please make sure your child is completely dressed and ready at least seven numbers prior to their routine. If your child’s routine is #1-7 in the recital, they will need to be dressed and ready to perform by 4:15 pm. Please bring students to the drop off area (located by the stage entrance door) three numbers prior to their routine. All students in the first half must stay for the finale practice if they will be participating in finale at recital. The grand finale will be run at intermission on rehearsal day. SECOND HALF ROUTINES If your child’s routine is in the second half, they must be at Memorial Auditorium dressed and ready to perform by 6:00 PM. Please be aware of downtown traffic and plan your travel accordingly. The finale will be run at the beginning of the second half. After the finale, your child must be ready for their routine at least seven numbers prior to dancing. Please bring students to the drop off area (located by the stage door entrance) three numbers prior to their routine. Once your child has performed all of their routines, they are free to leave. FINALE We wish for all students to participate in the grand finale, which will be rehearsed during classes the few weeks prior to recital. A run through of the finale will be between the first and second half routines on rehearsal day. All students will remain in their last performance costumes for the finale. Announcements will be made to bring your child to the drop-off area approximately five numbers before the closing. Afterwards, parents may come onstage to retrieve their child, and take candid photos on stage with friends and teachers. VIDEO AND PHOTOGRAPHY Parents or guests may videotape or shoot photographs of their child at dress rehearsal. Due to the large number of cameras, no electrical outlets will be available, so make sure your battery is fully charged. PLEASE NOTE: NO VIDEO OR FLASH PHOTOGRAPHY WILL BE ALLOWED IN THE AUDITORIUM ON RECITAL DAY. Houselights are down on recital day, and flashes can be detrimental to the dancers on stage. Please keep your child’s and other children’s safety in mind and adhere to these rules. Videos will be available for purchase in the lobby on recital day. The DVDs will be $30 and will be ready 3 weeks after recital. DRESS REHEARSAL DISMISSAL Students will be dismissed from rehearsal once they have completed all of their routines. Please make sure all items are packed and costumes are organized. Check that you have all of your belongings and your area is clean. RECITAL DAY Recital will be at 11:00 am at Memorial Auditorium. Doors will open at 10:00 am. Admission is free to the public, so please invite your family and friends! Please have your guests arrive on time to avoid “seat saving.” There has been frustration and confusion in the past with family members saving seats with programs and/or personal items, so please arrive on time to get to your desired seats. Any students in routines #1-8 must be dressed and ready by 10:30 am. All others should arrive by 11:00 and enjoy the show! Students must be taken to the drop-off area (located by the dressing rooms) three numbers prior to their routine. Students will be picked up at this same location following their routine. Remember, no videotaping or flash photography is allowed on recital day!
AUDITORIUM RULES The dress rehearsal and recital are at Memorial Auditorium- 970 South Fourth Street, Louisville, KY 40203. No eating or drinking is permitted in the auditorium. Once students are in their costumes, they must wear cover-ups in the audience, and please, no tap shoes in the audience. Large button-up shirts work well for costume cover-ups. Please be respectful of other students and their families by not getting up during routines. Please use the time in between routines to move from your seat in the auditorium. Thank you in advance for your time and support in making this recital a success. Your children have been working hard, so please make sure they are practicing and are well-rested to ensure their optimal performance.
Picture Day Schedule- Sunday, June 6th at the studio Please arrive 15-20 minutes before your photo. If we are running ahead of schedule, we will go ahead with the group photo. Please know ahead of time if your child will be taking an individual photo. We will take group photos first with no parents in the room and then allow parents in the room one-by-one if your student is taking an individual photo. If you are having an individual photo taken, you must pay your photo deposit that day! Photo order forms and specific instructions from Kathy Chandler Photography will be sent out once we receive them. Masks will be worn throughout the day, and will only be removed once the dancers are placed in their pose and we are ready for the photo. Temperature checks will not be required for picture day.
