Customer Service CONNECT CONNECT is the Red Cross’s online order management platform, designed to address all your hospital partner needs and grant direct access to efficient and effortless order placement and inventory management. The CONNECT platform is a single point of service for on-line ordering of all product and service, including HLA, IRL and molecular testing services. Other features include status tracking of all placed orders, product transfers and transfer partnership, Par level ordering, return authorizations and credits requests and customer concern submission. With regular software releases, we continue to add features that enhance functionality and benefit to our hospital partners that you can learn about through the Connect User Guide. Customer Service Managing a Shortage All fulfillment issues related to blood product shortages will be managed by: • Initiating a request for products from the Red Cross national network of 36 Blood Services Regions. • Facilitate moving product to the hospital from a nearby hospital. • Contacting blood providers across the country. • Suggest an equivalent product for consideration. • Offer medical consultation to triage the shortage and assess the patient’s needs. • Provide the hospital with timely updates until the shortage is resolved. Order Management Contingency Procedures When the Red Cross computer is not operational, we ship following manual procedures. The Red Cross will only ship products that are needed for STAT orders and will delay standing or stock orders. Cellular Phone During severe weather alerts and building evacuation alarms, it is the Red Cross policy to transfer from land line phones to a cell phone and evacuate the department. The Red Cross also backs up its land phone lines with the cell phone in case the land lines are not operational, please find them on the contact sheet of the manual Quarantine In the event the Red Cross identifies a large non-conformance, whether with supplies/equipment, collection or manufacturing procedures, testing procedures or large donor population concerns; the Red Cross might ask that a hospital quarantine blood products at the hospital location rather then returning products to the Red Cross. Hospitals should have procedures in place to quarantine these products from the product that is still acceptable for transfusion. Patient Services The Red Cross plays a leading role in protecting the safety of blood donors and patients and ensuring the availability of blood. It works to find rare blood donors to meet the specialized needs of patients all over the country. Direct Patient Care (THAP, Photo, Stem) The American Red Cross offers a full array of direct patient care services: therapeutic apheresis, perioperative cell salvage, HPC harvesting/freezing/ storage, therapeutic phlebotomy and a hemovigilance system to monitor and report adverse outcomes. Autologous and Directed Donor Information Perioperative Autologous Cell Salvage (PACS) services are recognized as a key component of blood management programs and are an effective transfusion option for surgical patients who need blood transfusions. Our PACS programs provide the necessary equipment and disposables for the PACS services that they perform, which reduces the hospital’s need for capital expenditures and inventory costs. Educational Services SUCCESS SUCCESS is a comprehensive suite of educational resources comprised of online instruction, industry publications, and learning events, designed for physicians and laboratory professionals in the areas of blood banking and transfusion medicine. Courses are developed by nationally and internationally recognized transfusion medicine physicians and blood banking experts and are accredited by the Accreditation Council for Continuing Medical Education (ACCME). Packing & Shipping Packing and Shipping Information Overview The American Red Cross packs blood products in qualified boxes. The boxes have been qualified to ensure products are maintained at the required shipping temperatures. Shipping temperature requirements are slightly different then storage temperatures and the following table will outline differences: The packing procedures (included at the end of this section) must be followed to ensure product temperatures are maintained during transit. If products are received out of shipping temperature range or they are packed incorrectly, notify Red Cross Customer Service. These products will be managed based on the non-conformance. In emergency situations, the products will be released following our medically-approved procedures. The Red Cross boxes are reusable and will be rotated during routine deliveries. Packing & Shipping Packing and Shipping Documentation Each box that originates from the Red Cross contains a detailed packing slip. Hospitals should verify container contents against the packing slip. If a discrepancy is found, immediately contact the Red Cross customer service. Packing Slips Best of Practice When shipping blood products using overnight couriers, the shipping facility should pack the products using the configuration that allows the longest transit time. Preconditioned Temperature Stabilizing Packs Temperature stabilizing packs (TSP’s) used in shipping are preconditioned to appropriate temperatures based on the products being shipped. For example, when shipping platelets, the TSP’s are preconditioned to a temperature between 20.0 C and 24.0 C. Precondition TSP’s by storing them in the appropriate temperature before use. Packing & Shipping Packing Limits Shipping box qualifications were performed based on volume dependency, not the number of products or bags. The following chart provides minimum and maximum volume for each shipping container. The determining factor for the packing load is volume, not the number of bags included in the shipment. Blood Bank Resources and Documents Certificates Each American Red Cross Blood Services region holds an FDA registration and is AABB accredited. Our five HLA labs are Clinical Laboratory Improvement Act (CLIA) certified and accredited by agencies such as American Society for Histocompatibility and Immunogenetics (ASHI) the New York State Department of Health, the Florida Health Agency, State of California Department of Public Health and received a contract award from the National Marrow Donor Program (NMDP). Our specialty labs (National Molecular, Neutrophil and Platelet Serology) are licensed nationwide. The NML is AABB-accredited, CLIA-certified, and licensed by the Department of Health of multiple states. Many of our IRLs are licensed in multiple states. Our Stem Cell Processing Laboratories in Philadelphia, PA; Portland, OR; Salt Lake City, UT; and Norfolk, VA are accredited by the Foundation for the Accreditation of Cellular Therapy (FACT). Billing & Reconciliation Billing Invoices are produced for products purchased and services performed 4 times each month. Daily reconciliation is performed to validate that all products are passed to the Billing System from the Distribution department to insure all product transactions are correct. When invoicing for Lab Services alone, the test performed is manually entered into the invoice along with the patient name, if requested, by the hospital. Invoice Central The most efficient method of payment is through ARC’s Invoice Central. Customers enrolled in Invoice Central can receive and pay their Red Cross invoice electronically. Red Cross also offers a network of 5 national lockboxes where customers remit payments for invoices via check of ACH. These payments are interfaced daily and if received with a valid invoice number the payments apply automatically through the interface process. Partnering Opportunities Blood Drives The Red Cross needs to collect more than 13,000 blood donations and more than 2,500 platelet donations each day. The blood collected helps millions of patients across the country. 84 percent of blood donations are given at blood drives - hosted by generous sponsoring organizations and hospital partners. Consider partnering with the Red Cross to host a blood drive today. You can also support a blood drive by: rolling up your sleeve and donating, supporting those who donate by volunteering, or pledging to support our efforts by posting to your social networks about this great community initiative. Annual Campaigns Sound the Alarm Sound the Alarm is Red Cross’s National Annual Signature Event. Together, we will install thousands of smoke alarms major cities across the U.S. Along with our network of volunteers, we work to make homes safe against home fires. We need everyone’s help to make this event a success. Here are ways you can get involved: Volunteer Volunteers are needed to do many things on the day of the installation event such as help operationally, serve as a greeter for other volunteers, and fulfill one of three roles on the home visit installation team- Installer, Educator, or Reporter. Missing Types Missing Types leverages an international movement to build awareness of the need for new blood donors through striking visuals that illustrate the critical role every prospective blood donor has in ensuring lifesaving blood products are available to patients. Every year we ask iconic corporate and civic brands, celebrities and influencers to remove the A, B and O – the main blood groups – from signage, websites and other public-facing platforms during the campaign period to help raise visibility. The Missing Types’ campaign goal is to inspire thousands of people to make blood and platelet donation appointments, with at least 50,000 of those individuals being new donors.
